Do not give someone your WordPress administrator password. Create a separate, named account (or send a WordPress.com invitation), assign only the role required for the job, and remove or downgrade that access when the work ends. Have the recipient choose a unique password through WordPress, require HTTPS, and protect privileged accounts with two-factor authentication (2FA). For scripts, use a revocable Application Password; for brief support work, consider an expiring temporary login.

Why shared WordPress passwords are a security problem
A shared administrator password removes the controls that make WordPress access manageable. Everyone appears as the same user, so you cannot reliably tell who changed a setting, installed a plugin, edited a post, or created another account. You also cannot remove one person without changing the password for everybody else. If the password is copied into an email, chat transcript, ticket, screenshot, browser autofill record, or shared document, it may remain accessible long after the task is finished.

Each collaborator has a distinct identity, a role with defined capabilities, and an account that can be disabled independently. WordPress recommends strong unique passwords, password managers, HTTPS, and two-factor authentication. The practical rule is simple: share an invitation or a controlled vault entry, never a reusable administrator password.
Choose the right access method first
Start with the work the person must perform, not with the role they request. A developer who only needs to edit content does not need plugin installation rights. A support technician who needs to inspect one setting may not need a permanent account. A deployment script should not use a human’s browser password.

- Requires 3 "AAA" batteries (included)
- Unit auto-locks for 30 minutes after 5 consecutive incorrect PINs
| Method | Best use | Main security property | Limitation |
|---|---|---|---|
| Named WordPress user with a role | Ongoing collaborator | Individual accountability and role boundaries | Requires cleanup when work ends |
| WordPress.com invitation or SSO | WordPress.com teams | Centralized invitation and sign-on controls | Depends on the WordPress.com plan and configuration |
| Temporary-login plugin | Short support or maintenance job | Expiring or revocable access without sharing a password | Adds plugin supply-chain, maintenance, and privacy risk |
| Application Password | Script, deployment tool, or API client | Per-application machine credential that can be revoked | Not suitable for a person signing in through wp-admin |
| FIDO2 security key with 2FA | Administrators and other privileged users | Strong possession factor with phishing resistance | Requires enrollment and a recovery plan |
WordPress roles: give the smallest capability set
On a typical single-site installation, choose the least-powerful role that completes the assignment. Roles control capabilities; they are not labels for seniority.
| Role | What it normally allows | Typical sharing scenario |
|---|---|---|
| Administrator | All single-site capabilities, including site configuration, user management, plugins, themes, and other administrative functions | Only a trusted owner or maintainer who genuinely needs full control |
| Editor | Manage and publish content, including other users’ posts | Content manager or editorial lead |
| Author | Publish and manage the user’s own posts | Independent writer who should not edit others’ work |
| Contributor | Create and manage drafts but cannot publish them | Writer whose work requires editorial approval |
| Subscriber | Manage only the user’s profile | A person who needs an account for comments or profile access |
Plugin and theme changes, database work, security configuration, and user administration usually require administrator-level capabilities. Confirm the exact capability needed before granting that role, and remove the privilege as soon as the task is complete. On a multisite network, network-level controls and the Super Admin role are separate from the single-site roles above; do not assume an ordinary Administrator can or should manage the whole network.
Step-by-step: create a secure named account on self-hosted WordPress
- Define the task and expiry. Write down whether the person needs drafting, publishing, user management, plugin/theme work, or full administration. Set an end date or a review date before you create the account.
- Open the user screen. Sign in over HTTPS, then go to Users → Add New in the WordPress dashboard.
- Use the person’s own email address. Do not create a generic account such as “developer,” “support,” or “agency.” A named address preserves attribution and lets WordPress send the enrollment message to the correct person.
- Assign the minimum role. Select Contributor, Author, Editor, or Administrator only after matching the capabilities to the task. If the job changes, raise the role temporarily and schedule its downgrade.
- Send WordPress’s invitation. Enable the option that sends the new-user email when available. The recipient should complete the password setup through the WordPress-generated link rather than receiving a password copied from you.
- Ask for a unique password. The recipient should generate and store it in a password manager. WordPress’s password-strength indicator is useful, but uniqueness matters more than trying to memorize a complex string.
- Record the access window. Keep a private note of the account name, role, purpose, approver, and planned removal date. Do not place the password in that note.
WordPress.com invitations and team access
For a WordPress.com site, use the service’s invitation or team workflow instead of handing over the owner’s credentials. Invite the person’s account, choose the available permission level, and let WordPress.com handle sign-on and account recovery. Invitation and SSO controls depend on the WordPress.com plan and configuration, so verify which roles and identity options your plan exposes before promising a capability.
Remove the member from the site or team when the engagement ends. If the person needs access to several sites, review each site’s membership separately; removing one invitation does not necessarily revoke access granted elsewhere.

Enroll the recipient without exposing credentials
Use a WordPress-generated invitation or password-reset email. Do not paste a username and password into ordinary email, chat, a help-desk ticket, a screenshot, or a shared document. If a support process requires a handoff, send the invitation through the approved account channel and confirm receipt through a separate channel.
A password manager can create a long, unique password and share a controlled vault item when a team process requires it. Limit the vault item’s members and expiry, and remove the item after the WordPress account is disabled. A password manager does not make an administrator password safe to share; it only reduces copying and exposure when access must be delegated.
Require HTTPS before anyone signs in
Administer the site only through its HTTPS address. WordPress documents secure authentication cookies for HTTPS logins and strongly recommends secure connections. Plain HTTP can expose login data and session information to interception on an untrusted network.
- Confirm that the dashboard address begins with
https://before entering credentials. - Make sure the site’s certificate is valid and the browser shows no certificate warning.
- Redirect HTTP requests to HTTPS and update the WordPress Address and Site Address settings when a migration has left them on HTTP.
- Do not treat a VPN or private office network as a substitute for HTTPS.
Protect privileged accounts with two-factor authentication
Self-hosted WordPress does not include 2FA by default. Add it through a maintained security plugin or an identity provider, and check its current compatibility, update history, privacy terms, and recovery behavior before enabling it. WordPress documentation describes authenticator applications and security keys as available approaches.

- Choose the 2FA method and define who must use it. Require it at least for Administrators and anyone who can install code, manage users, or change security settings.
- Enroll each person’s own device or key. Never register one shared phone or authenticator seed for an entire team.
- Have the user save the recovery codes in a protected location that is separate from the login device.
- Test a fresh login in a private browser window before ending the current session.
- Document the recovery owner and the procedure for replacing a lost device, without recording the one-time codes in a public ticket.
When a FIDO2 security key is the better choice
A FIDO2/WebAuthn security key provides a separate possession factor and is designed to resist phishing. It avoids sharing a one-time-code device and works well for administrators who routinely change sensitive settings. Enroll a second key, or document a tested recovery method, before relying on the first key. Otherwise a lost or damaged key can lock the administrator out at the moment access is needed.
Use Application Passwords for automation, not people
Application Passwords are per-application credentials for scripts, deployment tools, and API clients. They can be revoked individually without changing the user’s main password. WordPress Developer Resources explicitly says they are meant for applications and scripts, not humans typing credentials into a login form.
- Create a dedicated named WordPress user for the automation where practical, with only the capabilities the API operation requires.
- Open that user’s profile and create an Application Password with a descriptive label such as the deployment system and environment.
- Copy the generated value once into the automation platform’s encrypted secret store. Do not commit it to source control, paste it into a ticket, or place it in a shell history that other users can read.
- Test the API call, monitor its activity, and give the credential an owner and review date.
- Revoke that specific Application Password when the integration is retired, the owner changes, or exposure is suspected.
Application Passwords do not replace HTTPS, role design, code review, or 2FA for the human administrators who manage the integration.
Temporary access for a short support job
A temporary-login plugin can issue a login that expires or can be revoked, avoiding a permanent user account. This can be appropriate for a brief troubleshooting session, but it adds software to the site and therefore adds supply-chain and maintenance risk.

- Review the plugin’s current maintenance, compatibility with your WordPress version, developer reputation, requested permissions, and privacy behavior.
- Install it only from a trusted source and update it before use.
- Set the shortest useful expiry and limit the role to the task.
- Send the generated link through a controlled channel; treat it like a credential until it expires.
- Revoke the link immediately after the support work, then remove the plugin if it is no longer needed.
Do not use a temporary-login tool as a reason to grant Administrator access automatically. Expiration limits duration; it does not limit what the account can do during that window.

Access removal is part of the original handoff, not an optional later task. Use this sequence:
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problems- Confirm the deliverable and identify every account, temporary link, session, and machine credential used.
- Disable or delete the collaborator’s WordPress account, or downgrade it to the lowest role still needed.
- Revoke every Application Password associated with the completed integration.
- Revoke temporary-login links and remove an unneeded temporary-access plugin.
- Terminate active sessions where your WordPress security controls provide that function.
- Review authentication and activity logs for unexpected sign-ins, user creation, plugin changes, or configuration edits.
- Rotate any credential that may have been exposed, including the owner’s password if it was ever sent in a message or entered into an untrusted device.
- Update WordPress core, plugins, and themes after the maintenance work, following your normal backup and testing process.
What to do if an administrator password was already shared
Assume the password is compromised; do not wait for evidence of misuse. Sign in from a trusted device over HTTPS and change the password to a new unique value. End other sessions, inspect the user list and administrator roles, revoke unfamiliar Application Passwords, and review security and activity logs. Check for newly installed plugins, modified themes, scheduled tasks, changed recovery email addresses, and unexpected content or settings changes. If the same password was reused on another service, change it there as well. Then create named accounts and stop using the shared credential.
Common failure modes and fixes
The collaborator says the invitation never arrived
Ask the person to check spam and quarantine folders, verify the address, and use WordPress’s password-reset or invitation resend function. Do not solve the delay by sending the password in chat. If the mailbox is controlled by an organization, have its administrator allow the WordPress email domain or provide a different named address.

The requested role is too powerful
Ask which exact screen or capability is blocked. Test a lower role in a staging site or with a temporary elevation, then downgrade it after the operation. A request for Administrator “just in case” is not a technical requirement.
2FA causes a lockout
Use the saved recovery codes, the second enrolled security key, or the documented identity-provider recovery process. Do not disable 2FA permanently to restore convenience. After recovery, replace the lost device or key and invalidate old recovery material.

An API integration stopped after a password change
Check whether it uses an Application Password or the human account password. Create a new, labeled Application Password, update the encrypted secret store, test the integration, and revoke the old credential. Keep the human login password out of automation.
A temporary-login link remains active
Revoke it in the plugin’s control panel, disable the associated account if one was created, inspect logs, and remove the plugin when the support task is over. If the link was posted publicly, treat it as exposed and complete the credential-rotation steps.
A practical decision checklist
- Ongoing human collaboration: create one named user, choose the least-privileged role, require a unique password, and set a review date.
- WordPress.com team member: send a platform invitation or use the configured SSO workflow; remove the membership when finished.
- Brief support session: use a maintained temporary-login solution with a short expiry and explicit revocation.
- Script or deployment tool: create a revocable Application Password and store it as an encrypted machine secret.
- Administrator access: require HTTPS, individual accounts, 2FA, and preferably a FIDO2 security key with a backup or recovery plan.
- Any credential exposure: rotate it, end sessions, revoke machine credentials, inspect logs, and check for account or code changes.
The security principle behind every option
Safe login sharing is really controlled delegation. Least privilege limits what a compromised account can change; named accounts preserve accountability; revocation limits how long access lasts; and a recovery plan prevents security controls from becoming a lockout. Combining those four properties is safer than trying to protect one shared administrator password, no matter how complex that password is.
