Before publishing, remove hidden or historical material, review a copy, and revoke the public link when it is no longer needed.
The safest way to share a Canva design
Use this sequence whenever privacy matters:
- Open the design’s Share controls and confirm that access is Only you can access before you copy a link or invite anyone.
- For a known audience, add recipients by email under People with access.
- Assign the least powerful permission that will do the job: View, Comment, or Edit.
- If you need a link, choose its audience and permission deliberately. Do not select Anyone with the link for confidential material.
- Before public sharing, inspect hidden pages, cropped media, presenter notes, comments, and older material. Remove anything private, make a copy, review the copy again, and publish that copy.
- When the link is no longer needed, delete the public-view link or revoke the relevant link access.
This approach keeps access tied to invited people instead of to possession of a URL, and it creates a clean separation between your working file and anything intended for broad viewing.

What each Canva sharing option actually means
Canva’s sharing help says a new design defaults to Only you can access. The important difference between the options is not just convenience; it is who can obtain access, what they can do, and what information they may see.

For sensitive work, start with named people by email. A link is a distribution mechanism, not an identity check: anyone who can copy, forward, or discover it may be able to open the design according to its link setting.

Step-by-step: share privately with named recipients
1. Check the current access level before sending anything
Open the design and select Share. Read the audience shown in the access control before using Copy link or sending an invitation. If it says Only you can access, the design is still restricted to you. If it already shows a team, a link audience, or another group, determine why before proceeding; changing the permission for a new recipient does not automatically undo an existing broad link.
Do this check every time you reopen an old design. A file may have been shared for an earlier project, and its current audience is more important than what you remember selecting.
2. Add people by email
In the sharing panel, find People with access and enter each recipient’s email address. Use the address associated with the person’s intended Canva account when possible. Inviting named recipients makes access easier to audit and lets you remove one person without changing everyone else’s access.
For a confidential design, avoid sending a broad link in the invitation message. Let Canva’s named invitation establish access, then send context separately if needed. Keep a record of who was invited when the design contains client, financial, personal, unpublished, or internal information.
3. Choose the least permission that works
- View: Use when someone only needs to read, present, or inspect the finished design.
- Comment: Use when someone must leave feedback but should not change the design itself.
- Edit: Use only when the person must modify pages, assets, text, or settings.
Do not give edit access simply because it is convenient. An editor can alter the file, move or remove content, and potentially change how it is later shared. If feedback is the only requirement, comment access is the narrower choice; if no feedback is needed, view access is narrower still.
4. Verify the invitation and recipient list
Review the final list of people with access for spelling errors, former collaborators, shared mailboxes, and addresses belonging to the wrong organization. Remove anyone who no longer needs access. If a person changes roles, remove the old address and invite the replacement rather than leaving historical access in place.

5. Test with a low-risk copy when the audience is unfamiliar
When a recipient or workflow is new, test the invitation on a non-sensitive copy first. Confirm that the recipient can perform the required action and cannot perform more than intended. This catches account, team, and permission differences before the real design is exposed.

Why “Anyone with the link” is not private
The setting Anyone with the link grants access to whoever obtains the URL, including someone who receives it through forwarding, a chat export, browser history, a document, or a screenshot containing the link. An unlisted link is therefore not equivalent to an invitation-only file.
Canva’s privacy policy warns that anonymous, non-Canva access can expose logged-in users’ full names, avatars, cursors, and comments, depending on the settings in use. Canva’s policy states: “We do not recommend this option for information you wish to keep confidential.” That warning applies even when you believe only a small group will receive the URL.
Use a broad link only after deciding that the design and the collaborator information associated with it can be seen by anyone who gets the address. If the audience must be controlled, use named invitations instead.
Comment access can reveal existing comments
Comment-only sharing does not make existing comments private. Canva says that link holders can view all comments in the editor without logging in. Before using a comment-capable link, open the comments panel and remove confidential feedback, personal data, internal names, or discussion that the link audience should not see.

Do not assume that changing from edit to comment removes previous discussion. Permission limits what a viewer can do; it does not automatically sanitize the conversation already attached to the design.

Forwarding rules depend on the link type
Canva’s team-sharing guidance distinguishes link types. View or watch links may be forwarded or shared, and Canva notes that permissions cannot be changed after those links are shared. The controls shown in your account can vary by link type, team configuration, region, and plan. Before relying on a link as a security boundary, identify exactly which link you created and whether its access can later be revoked or changed.
Prepare a design before making it public
A public design can contain more than the page currently visible on the canvas. Canva recommends removing unwanted content, making a copy, reviewing the copy, and sharing that copy. The copy does not include the original design’s previous revisions, which helps separate the published artifact from the working history.
Inspect the parts people commonly overlook
- Hidden pages: Unhide or otherwise inspect every page that could be included in the shared experience. Delete pages that contain drafts, alternate concepts, private data, or internal instructions.
- Cropped images and video: Check the source media and the area outside the crop. A crop can conceal material in the current view without removing it from the design.
- Presenter notes: Read notes as if an outside viewer might see them. Remove talking points, customer details, internal URLs, and personal reminders that are not part of the public presentation.
- Comments: Review every thread, including resolved or older discussions where the interface makes them available. Delete comments that disclose private information or identify people who should not be named.
- Previous revisions: Treat the working file as an internal record. Publish a reviewed copy rather than exposing the file that contains its editing history.
- Embedded or linked material: Check text, QR codes, buttons, linked documents, and media for destinations that reveal private files or personal details.
- Personal identifiers: Look for email addresses, phone numbers, signatures, account names, profile images, client references, and file names that were never intended for public viewing.
Create and review the publication copy
- Remove or replace sensitive pages, notes, comments, media, and links in the working design.
- Make a copy of the design after the cleanup.
- Open the copy from the beginning and inspect every page, including pages that are hidden in the normal editing view.
- Check the copy’s comments and presenter notes separately; do not assume the visible canvas is the complete content.
- Give the copy a neutral file name if the original name contains a client, campaign, or personal identifier.
- Share only the reviewed copy, leaving the original restricted to the people who need the working history.
Keeping the original private also gives you a controlled place to continue editing without accidentally changing the public version.

Delete a public link when the project ends
When a public view link is no longer required, use Canva’s public-view-link controls to delete it. Canva’s guidance says deleting the link removes access and deletes that URL. If you create a replacement public view link later, it receives a new URL rather than reusing the old one.
Do not treat deletion as proof that an already downloaded, copied, or screenshotted design has disappeared. Link deletion controls future access through that URL; it cannot retract files someone saved while access was available. For that reason, publish only material that is safe to distribute and remove links promptly when the sharing purpose ends.
For other link types, look for the corresponding revoke, remove, or access-management control in the sharing panel. If the account does not offer a control for a link that has been forwarded, assume that the URL remains usable and replace the design with a sanitized copy if necessary.

Choose the right method for common situations
Sending a draft to one client
Invite the client’s named email address with Comment if feedback is required, or View if the draft is for inspection only. Review comments before inviting anyone, especially if the file already contains internal discussion. Keep Edit for a client who must directly change the design.

Use team access when every member of the selected team or group is an appropriate audience. Confirm whether the sharing route creates a forwardable view or watch link. If the design includes information restricted to a subset of the team, invite those people by email instead of relying on the broad team audience.
Collecting feedback from a large group
A link may be convenient, but decide first whether anonymous viewers can see the design and existing comments. Remove private discussion and personal information before enabling a comment-capable link. If the audience can be enumerated, named invitations provide stronger control.
Publishing a presentation publicly
Make a clean copy, inspect hidden pages and notes, remove comments and private links, and use the public-view option only for the copy. Keep the working design restricted. Delete the public link when the presentation is retired or replaced.
Sharing a design with a contractor who may leave
Invite the contractor’s individual email address with the minimum permission. Avoid a shared mailbox or a link that can circulate outside the project. When the engagement ends, remove the contractor from People with access and review any links created during the work.
Troubleshooting privacy problems
Someone can still open the design after you changed their permission
Check whether that person is accessing a different link or through team membership. A named invitation, a team link, and a public-view link can have separate audiences. Review every access entry and link type shown in the sharing controls, then remove the outdated route where Canva provides that control.
A viewer reports seeing comments you expected to be hidden
Comment visibility is separate from edit permission. Link holders can view existing comments in the editor without logging in. Delete or rewrite comments containing confidential information, then issue a new invitation or a sanitized copy.
A public version shows information that is not on the current page
Inspect hidden pages, cropped media, presenter notes, comments, and the original file’s historical material. Remove the unwanted content, make a copy, review the copy from start to finish, and share only that copy.
You cannot change permissions on a shared view or watch link
Canva’s team-sharing guidance says some view or watch links cannot have their permissions changed after they are shared. Identify the link type and use the available revoke or deletion control. If no suitable control exists, stop distributing that URL and create a new, properly restricted copy.
The sharing labels do not match these instructions
Canva’s interface can vary by region, account, team configuration, and plan. The public-view-link help material is localized for India, and product controls can change over time. Use the current labels shown in your account, but preserve the underlying decisions: identify the audience, grant the least access, inspect non-obvious content, and avoid broad links for confidential work.
A final pre-share checklist
- Is the current access level still Only you can access while you prepare the design?
- Have you invited named recipients instead of relying on a broadly shareable URL?
- Does every recipient have only view, comment, or edit access appropriate to their role?
- Have you checked the exact link type and whether it can be forwarded or revoked?
- Have you removed sensitive comments and reviewed the comment history?
- Have you inspected hidden pages, cropped content, presenter notes, embedded links, and personal identifiers?
- Are you sharing a reviewed copy rather than the working file with its previous revisions?
- Have you recorded who received access and removed people who no longer need it?
- Will you delete the public-view link when the publication period ends?
The reliable privacy boundary is deliberate access control, not obscurity. Keep the working design private, invite known people by email, limit permissions, sanitize a separate copy before public distribution, and revoke links that have served their purpose.
