In a Nextcloud deployment, you can use Nextcloud Office with a Euro-Office Document Server, Collabora Online, or the separate ONLYOFFICE connector with an ONLYOFFICE document server.
Install the editor service, connect it to the file platform over correctly routed HTTPS, create a share with the right edit or view permission, and verify the invitation from a second account. The details below use Nextcloud documentation (version 35) as the concrete example; other self-hosted platforms use different connectors, settings and permission models.

How the architecture works
A self-hosted collaborative document system is not one application doing everything. It is a chain of services, and a failure in any link can prevent editing.
- File platform: Nextcloud stores the file, authenticates users, applies share permissions and records the resulting file.
- Connector or integration app: This adds the office editor to the file platform and passes document, user and permission information to the editor.
- Document server: The office server converts, renders and edits the document in the browser, then writes changes back through the integration.
- Client browser: Each collaborator connects to the services using the addresses published in your configuration.
Installing a connector app alone does not provide browser editing. The connector must be able to reach a running document server, and the document server must be able to send requests back to the file platform. This bidirectional relationship is especially important for the ONLYOFFICE integration.

Choose an editor deployment
Nextcloud’s version 35 documentation describes two office paths in its own ecosystem and a separate integration path. Select one before you configure shares; installing multiple editors without a clear default can make troubleshooting and user training harder.

When the built-in CODE server is enough
Nextcloud presents its built-in CODE server as an easy route for personal use or small teams. The same documentation describes that built-in server as slower and lacking advanced scalability features, and recommends a dedicated Collabora installation when performance is important. It does not provide a universal user limit or a guaranteed editing speed, so size the service from your own concurrency, document size and available CPU and memory rather than from an assumed number.
Formats and fidelity
Nextcloud says its two documented office solutions support common Microsoft Office and OpenDocument formats, including DOC, DOCX, PPT, PPTX, XLS, XLSX and ODF files. “Supported” does not guarantee identical layout or feature fidelity for every file. Test templates containing macros, unusual fonts, complex spreadsheets, embedded objects or advanced presentation effects before migrating a production workflow.

ONLYOFFICE collaboration modes
ONLYOFFICE documentation describes Fast real-time co-editing and Strict mode, in which changes are saved on demand rather than immediately merged for everyone. It also documents comments, chat and tracked changes. The available controls depend on the document-server edition and the connector version, so confirm entitlements in the manual for the version you operate.
Prepare the services before inviting anyone
Do the infrastructure work first. A share created before the editor is healthy may open as a download, show a connection error or leave users with a view-only experience.
File-platform prerequisites
- A working Nextcloud installation with user accounts or an identity provider already configured.
- Storage permissions that allow the document owner and intended collaborators to access the target folder.
- An administrator account able to install the office integration and set its server address.
- A plan for which groups may use the office app and which groups may edit, because Nextcloud documents separate group-level controls for office-app access and editing.
Document-server prerequisites
- A supported document-server deployment: package, Docker or another documented installation method for your chosen editor.
- A stable DNS name or internal hostname for the service.
- Network routes and firewall rules that allow the required HTTPS requests in both directions.
- A certificate whose name matches the address users and servers use. Keep certificate verification enabled.
For Collabora, the Nextcloud manual recommends HTTPS when you enter the server URL and port. For ONLYOFFICE, the integration guidance requires reachability from Nextcloud to the document server, reachability from browsers or other client devices to the document server, and the ability for the document server to POST to Nextcloud.

Connect the office server securely
Configure the editor endpoint
- Install the relevant integration app in Nextcloud and install the matching document server using its supported package, Docker or platform instructions.
- Open the integration’s administrator settings and enter the document-server URL and port. Exact menu names and locations can change between releases; use the labels shown by your installed app rather than copying a path from an older screenshot.
- Save the configuration and use the integration’s built-in connection check, if present.
- Open a small test document while signed in as an administrator. Confirm that the browser loads the editor rather than downloading the file or displaying an error.
When public addresses cannot be used for internal requests, the ONLYOFFICE guide documents separate internal addresses. This is useful when external DNS resolves to a public load balancer that your internal network cannot hairpin through. Configure the public address for clients and the internal address for server-to-server traffic only where the integration supports those separate fields.
Use trusted TLS certificates
Certificate verification protects the connection between the file platform and the editor. ONLYOFFICE describes disabling verification as insecure and recommends replacing a self-signed certificate with one issued by a certificate authority. A temporary verification bypass may help isolate a certificate problem during diagnosis, but it should not be your operating configuration: restore verification after installing a trusted certificate and confirming that its hostname, chain and expiration are correct.
Reverse proxies and ports
A reverse proxy is commonly used in front of a dedicated Collabora Online server, particularly when you need one public HTTPS entry point, automatic certificate renewal or centralized access logging. Forward the paths and upgrade requests required by the editor’s current manual, preserve the original host and scheme headers, and ensure that idle WebSocket or long-lived HTTP connections are not terminated prematurely. Do not assume that a proxy configuration written for one editor works unchanged for another.

Create a share with deliberate permissions
Sharing and editing are separate decisions. The file platform’s share control determines who can open the file; the editor’s permissions determine what those people can do once it is open.
- In Nextcloud, select the document and open its sharing control. The exact button label can vary by release and theme.
- Invite a named user or an appropriate group rather than publishing an unrestricted link when the document contains private information.
- Choose edit access for collaborators who must change the document, or view-only access for readers and approvers.
- Decide whether recipients may reshare. Disable resharing when you need the owner or a small group to retain control of the audience.
- Check the group restrictions for the office app and editing. A user can have a valid file share but still be unable to edit if their group is excluded from the relevant office permission.
- Save the share and communicate the invitation through your normal trusted channel.
Permission choices in the ONLYOFFICE integration

ONLYOFFICE also documents optional controls for reviewing, commenting, spreadsheet filtering and PDF forms. Those controls require the relevant advanced-permissions option; they are not automatically available merely because a user can open the file.

Before relying on the setup for a project, verify the complete path with an owner account and an invited collaborator account. This procedure confirms configuration; it is not a substitute for testing your own document types and network conditions.
- Create a disposable DOCX or ODT file in a normal Nextcloud folder.
- Share it with a second account using edit permission. Do not use an administrator account for both identities.
- Sign in as the collaborator in a separate browser profile or private window, open the share and confirm that the online editor loads.
- Have both accounts open the document. Insert a short, distinguishable sentence from each account and wait for each change to appear for the other user.
- Save or close the document according to the editor’s mode, then reopen it and confirm that both changes persist.
- Create a second share with view-only permission. Open it as the recipient and verify that editing controls are unavailable or that attempted changes are rejected.
- If your workflow uses comments, tracked changes, filters or PDF forms, test each permission separately; advanced controls may be disabled even when ordinary editing works.
- Remove the disposable file and revoke the test shares.
Troubleshoot the common failure points
The file downloads instead of opening in the browser
- Confirm that the integration app is installed and enabled in Nextcloud.
- Check that a document server is actually running; the connector is not an editor by itself.
- Verify that the configured server URL includes the correct scheme and port and resolves from the Nextcloud host.
- Check that the file type is supported by the selected editor.
The editor loads, but changes do not appear for the other user
- Confirm both users are connected to the same document server. A browser reaching a different public endpoint can create a split experience.
- Check server-to-server POST requests from the document server back to Nextcloud, including firewall rules and reverse-proxy routing.
- Review whether the editor is using Strict mode, where updates are saved on demand rather than merged immediately.
- Inspect the document’s share and group permissions; a user may have opened an old link with a different permission.
Internal users receive a timeout or certificate error
- Test DNS resolution and TCP/HTTPS reachability from the Nextcloud server and from an end-user device separately.
- If the public address cannot be reached from inside the network, configure the documented internal address option rather than disabling security checks.
- Install a certificate issued by a trusted certificate authority, with the correct hostname and complete chain.
- Inspect reverse-proxy timeouts and WebSocket handling if the editor opens but disconnects during activity.
A user can view the file but cannot edit it
- Inspect the share’s permission and change it from read-only to edit only if the user should modify the file.
- Check Nextcloud’s group-level office-app and editing restrictions.
- Check advanced ONLYOFFICE permissions if the user needs comments, reviewing, filters or forms rather than basic editing.
Understand federation and external-storage limits
Do not promise universal real-time editing across independent self-hosted instances. The ONLYOFFICE integration guide states that co-editing is not available when federated Nextcloud instances are attached to different ONLYOFFICE document servers. For a shared editing session, collaborators should be served through the same compatible document-server arrangement.

Treat external storage as a separate compatibility case: verify the specific storage backend, authorization method and connector version before announcing that a federated or externally mounted document supports simultaneous editing.
Choose a maintainable setup

Operational checklist
- Document which file platform, connector version and document-server version are installed.
- Record the public and, where needed, internal service addresses.
- Renew certificates before expiration and monitor the reverse proxy and document-server logs.
- Review group restrictions whenever a new department receives access.
- Use named shares for confidential material and audit or revoke resharing rights periodically.
- Retest a representative DOCX, XLSX, PPTX and ODF file after upgrading the connector or document server.
- Repeat the two-account smoke test after network, proxy, certificate or storage changes.
The dependable pattern is straightforward: keep storage and identity in the self-hosted file platform, run a compatible browser editor as a separate service, connect the two over trusted and reachable HTTPS endpoints, then grant the narrowest share permission that fits the task. That separation makes it possible to replace or scale the editor without moving the files, while the permission and network checks prevent most failures before collaborators encounter them.
