To use 3CX on a Windows PC for everyday business calls, get your 3CX URL and extension sign-in details from your organization, install the Windows Softphone your administrator supports, then select and test your microphone and speakers. In 3CX, Softphone mode uses the computer for calls; the separately documented Windows Client can also control a deskphone in CTI mode. The right sign-in steps depend on which app your organization provides.

Before you install: confirm which 3CX app your organization uses

3CX documents a native Windows Softphone app and a separate Windows Client workflow. Their setup instructions are not interchangeable. Check your organization’s welcome email or ask your administrator which app and provisioning method to use before installing.

  • Windows Softphone: The 3CX manual describes signing in with the 3CX URL and email or extension credentials, using Google or Microsoft 365 authentication, or provisioning through the Web Client. See the 3CX Windows Softphone App user manual.
  • Windows Client: Its guide describes installing the client from the Web Client, downloading and opening a configuration file, and allowing the extension to configure. See Using the 3CX Windows client (last updated 4 July 2023).

3CX calls the Windows Softphone “a native softphone for Microsoft Windows.” The app’s build history includes a V5.8 Beta entry dated August 2026, so labels and available features may change; follow the instructions supplied by your organization and the current app screens.

What you need from your organization

Have your organization’s 3CX URL and the sign-in details for your extension ready. The Softphone manual says the URL is included in the “Your 3CX Account Details” email. If you cannot find that message or do not know which sign-in method applies, ask your administrator rather than guessing at server or account settings.

If your organization uses the Windows Client instead

Do not apply the Softphone credential steps as though the Client has identical screens. In the Windows Client workflow, open the Web Client, go to Apps > Windows App, install the client, download and open the configuration file, and allow your extension to configure. The steps are in 3CX’s Windows Client guide.

Choose whether calls use your PC or a deskphone

In the Windows Client guide, Softphone mode routes calls through the PC or laptop without a deskphone. CTI mode controls an IP deskphone. If you want to handle calls with a computer and headset, choose Softphone mode; if you want the Client to control your deskphone, use CTI. The distinction is documented in Using the 3CX Windows client.

For remote use, the extension must be granted remote connection rights. If the app cannot connect away from the office, ask your administrator to check the extension’s permissions instead of changing advanced settings yourself. 3CX also identifies remote connection rights in its end-user app troubleshooting guide.

Set up your microphone, speakers, and headset

  1. Open the app’s audio settings and select the microphone you will speak into and the speaker or headset where you want to hear calls.
  2. If you use a supported Jabra headset with integration features, the 3CX guide directs users to Settings > Audio/Video > Headset integration, select Jabra, connect the headset, and confirm it is ready.
  3. Set the microphone and speaker to the headset device. If you prefer calls to ring through another device, configure the ringing device separately where that option is available.
  4. Make a test call and confirm that the other person can hear you and that you can hear them.

Controls depend on the headset model. 3CX’s Jabra headset configuration guide (last updated 4 June 2026) explains setup for Jabra; it is not a guarantee that every headset feature works with every model. A USB headset with a microphone can be a practical choice for PC calls, but check compatibility with your organization’s setup.

Make and manage routine business calls

Place a call

The Softphone manual describes three ways to start a call: choose a contact from the phonebook, enter a number on the dialpad, or paste a number. Test an internal contact first, then call an external number if your organization permits it. Confirm two-way audio before relying on the app for work calls.

Use in-call controls when available

Depending on your extension and configuration, the Softphone can provide controls to place a call on hold, make a new call, add conference participants, record a call, or transfer it. A blind transfer sends the call without first speaking to the recipient; an attended transfer lets you speak with the recipient before completing the transfer. Recording and other call features may be restricted by your organization, so use only controls enabled for your extension and follow workplace policy.

Set availability and understand call handling

Choose the status that accurately reflects whether you are available. Status profiles can affect how calls are handled. The Softphone manual directs users to the Web Client’s Configure/Call forwarding area to change forwarding behavior. Before relying on a status or forwarding rule, confirm with your administrator how your organization routes calls for that profile.

Troubleshoot common setup problems

  • No sound, or the other person cannot hear you: Check that the app is in Softphone rather than CTI mode if you expect audio through the PC, then verify the selected microphone and speaker. Check for operating-system permission prompts that may block microphone access.
  • The app will not connect remotely: Ask the administrator whether your extension has remote connection rights.
  • Headset call controls do not work: Confirm that headset integration is available for your model, select the correct integration in audio settings if supported, and reconnect the device. Basic audio can work even when a model’s extra control features are unavailable.
  • You cannot sign in or find the right setup route: Verify the 3CX URL and extension credentials with your organization, and confirm whether you were assigned the Windows Softphone or Windows Client workflow.

3CX’s Simple Troubleshooting of the 3CX Apps offers additional end-user guidance. App features and labels can change; 3CX’s Windows Softphone build history records releases.
