1. Decide what the business needs Odoo to do
Before installing anything, write down the tasks you need to handle in the first month. A home-based service business may need customer records and invoices; a shop may also need stock tracking or counter sales. A family business may need separate logins and carefully limited access. Hosting is a separate decision from app selection. With self-hosting, you are responsible for the server, database, network access, updates, and working backups. 3. Configure a test database before using live records
Start with a separate test database so you can learn the menus and check that your business process works before importing or entering real customer, supplier, or transaction data. Database creation steps depend on the release and hosting method; use the official documentation for your selected version rather than following button names from an unrelated tutorial.
Enter the business identity and settings that apply to the actual business, including its name, country, currency, and fiscal settings. Do not guess at tax or accounting choices: their correct treatment depends on jurisdiction and the business’s legal structure.
4. Install the smallest useful app set and test a full transaction
A menu that opens is not proof that the setup supports your work. In the test database, complete the workflow from start to finish and confirm that the records and reports make sense.
For invoicing-first services
- Create a test customer record.
- Draft an invoice and check its details.
- Record a test payment using the workflow available in your release.
- Review the relevant report and verify that the transaction appears as expected.
For a business selling goods
- Create a test product.
- Record a stock receipt.
- Complete a test sale and check that the stock movement is recorded as expected.
For counter sales
- Open a POS session.
- Complete a test sale.
- Reconcile its payment using your intended workflow.
- Close the session and review the resulting records.

Give each person who uses the system an individual login and only the access needed for their work. Do not use one administrator account for routine tasks: individual accounts make it clearer who performed an action and avoid giving everyone full control by default.

6. Verify accounting localization before relying on figures

Before using Odoo’s accounting outputs for tax filings or other compliance work, ask a local accountant to review the configuration. Tax rates, filing duties, and accounting treatment depend on both jurisdiction and business structure; a default setting should not be treated as professional confirmation.

7. Make backups, restore testing, and updates part of setup
For a self-hosted system in particular, decide how backups will be created and stored, how often they will run, and how you will restore one. A backup is only useful if it can be recovered, so perform a restore check before depending on the system for live records. The exact procedure and any retention arrangements depend on your release and hosting provider; follow the selected release’s administration documentation and the provider’s instructions.

Also decide who will apply updates and check the installation afterward. Keeping a note of the Odoo release, hosting arrangement, apps, and configuration changes will make future maintenance easier.
8. Delay hardware purchases until the workflow is clear
A basic setup does not establish a requirement for a particular computer, scanner, printer, or payment terminal.
