How to Set Up Daily Health Reports and Email Alerts on a NAS

To get dependable NAS health messages, configure the storage system’s notification service, authenticate a sender account, add recipients, choose a report schedule where the platform supports one, set an alert-severity threshold, and send a test. A scheduled health report is not the same as an event alert: a report summarizes status on a timetable, while an alert is generated when a disk, pool, service, power condition, or other monitored value crosses a threshold.

The menu names differ. TrueNAS SCALE has separate email, alert-service, and TrueNAS Connect notification-task controls; Synology DSM puts event email under Control Panel > Notification > Email; and QNAP QTS centralizes delivery and rules in Notification Center. Use the platform section that matches your NAS, then complete the reliability checks so a successful test proves more than that one message can leave the box.

Reports and alerts do different jobs

Start by deciding which information you need. A scheduled report is a periodic summary: it can show capacity, usage trends, predictive capacity analysis, update availability, and alert history when the platform supports those fields. An event alert is tied to a condition such as a failing disk, a lost network connection, a fan problem, a power failure, or a failed backup task. It may be sent immediately or grouped into a digest.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

TrueNAS Connect makes the distinction explicit. Its notification tasks can run hourly, daily, or weekly and can include a selected alert threshold in the report. Its alert service has its own frequency choices—Immediately, Hourly, Daily, or Never. Choosing “Daily” for alerts does not automatically create a daily health report, and creating a daily report does not change when threshold warnings are delivered.

TrueNAS also has a separate system-email function. Its documentation states that an automatic script sends a nightly email containing important information such as disk health to configured recipients. Treat that nightly message as an additional system report, not as a replacement for threshold-triggered alerts.

Prepare the NAS and mail path before changing settings

Have these items ready before opening the notification page:

  • An administrator account for the NAS and the exact operating-system release running on it.
  • A sender mailbox or relay account that permits authenticated sending. The sender address must be accepted by the provider; a display name alone is not authentication.
  • At least one recipient who can respond to a warning, plus a second recipient outside the NAS host’s local-account system.
  • A decision about urgency: immediate warnings for disk or pool conditions, or a digest for lower-priority events.
  • A way to check the recipient’s spam or quarantine folder and, if applicable, the organization’s mail gateway logs.

Keep a small change record with the NAS model, operating-system version, sender method, recipients, and date of the last successful test. This turns a forgotten notification setting into an auditable control.

Set up TrueNAS SCALE

TrueNAS separates the sender configuration from the alert rules and from TrueNAS Connect reports. Complete them in that order so a later test tells you which layer is working.

1. Configure the system email sender

  1. Open the TrueNAS system email settings.
  2. Choose an email method supported by your installed release. The current TrueNAS system-email documentation describes authorizing an Outlook account with OAuth rather than entering a reusable password.
  3. Enter the sender address and sender name, then complete the provider authorization in the window TrueNAS opens.
  4. Before relying on any rule, select Send Test Email. Confirm that the message arrives at the intended recipient and inspect its sender, subject, and timestamp.
  5. Save the configuration only after the test succeeds. If the release presents a different authenticated method, use the provider’s required authorization flow; do not substitute an unapproved “from” address.

2. Create the Email Alert Service

  1. Open the alert-service configuration and add or edit the email service.
  2. Enter every recipient who should receive threshold warnings.
  3. Choose the warning level. TrueNAS sends the selected level and all more-severe levels, so selecting a low level can create noise while selecting a high level can hide disk or pool problems.
  4. Choose the alert frequency: Immediately, Hourly, Daily, or Never. This frequency controls alert delivery, not the separate report schedule.
  5. Use Send Test Alert and verify that the alert arrives. A successful test alert confirms the alert service can use the sender settings, but it does not prove that every event category is enabled.

3. Schedule a TrueNAS Connect health report

Use this path when you want a recurring summary rather than only event-driven mail:

  1. In TrueNAS Connect, open Notification Tasks and click Add.
  2. Select the systems and tags to include.
  3. Choose Report as the task type.
  4. Set the frequency to Hourly, Daily, or Weekly.
  5. Select the alert threshold to include in the summary.
  6. Choose Email as the delivery method and save.

TrueNAS Connect reports can contain storage availability and usage, usage trends, predictive capacity analysis, update availability, and alert history. Select only the systems and tags that the recipients need; a broad task can make a useful daily message difficult to scan.

4. Understand the built-in nightly message

TrueNAS system email also sends an automatic nightly message with important information such as disk health to configured recipients. This is independent of a TrueNAS Connect report and independent of the alert-service frequency. If you receive both, give them different subjects or mailbox labels so a routine summary is not mistaken for an urgent warning.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

5. Verify a real event path

After both tests pass, use a harmless event or a built-in simulation if your release provides one. Do not disconnect a production disk or deliberately damage a pool to test mail. Confirm that the message identifies the NAS, the event severity, and the time it occurred, then check the alert history for the corresponding entry.

Set up email notifications in Synology DSM

DSM’s email feature is event-oriented. It can notify you about system errors, network connection loss, fan behavior, power failure, and backup-task failure. The exact event list can vary with the DSM release and installed packages.

1. Enable the email channel

  1. Sign in with an administrator account.
  2. Go to Control Panel > Notification > Email.
  3. Enable email notifications.
  4. Enter one or more recipient addresses.
  5. When your organization does not provide a local relay, configure a third-party relay such as Gmail or Outlook using the authentication fields DSM displays.
  6. Save the settings and use DSM’s available test action, if shown, to confirm delivery before enabling a large set of event categories.

2. Select the events that matter

Enable the categories that require action: storage or system errors, loss of network connectivity, abnormal fan behavior, power failures, and failed backup tasks. Start with actionable categories and add informational events only if someone will read them. DSM’s event notifications are not a promise of a daily summary; they are messages tied to specified events.

3. Treat drive-health reporting separately

Synology storage guidance describes a monthly drive-health report. Do not label that report “daily” unless the DSM release installed on your NAS exposes a separate daily schedule. If you need daily visibility and DSM offers no daily drive-report option, use the event notifications for immediate problems and review the storage-health page on your own daily checklist.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

4. Confirm delivery and event history

Send a test message after adding recipients and again after changing the relay. Then verify that a controlled, low-risk event appears in DSM’s notification or log views and reaches the mailbox. A test proves the mail path; the event check proves that the selected category is actually enabled.

Set up QNAP QTS Notification Center

QTS uses Notification Center as a central place for system events, delivery methods, rules, and history. QNAP describes it as a single-app solution instead of requiring notification settings in separate applications.

1. Pair a delivery service

  1. Open Notification Center in QTS.
  2. Pair the service account or device needed for email, or select another supported delivery method.
  3. Enter the sender and recipient information requested by the service.
  4. Save the connection and send a test if the selected service exposes one.

QNAP lists email, SMS, instant messaging, and push delivery. Availability and authentication fields depend on the service and QTS version, so use the options displayed by your installation rather than copying settings from a different release.

2. Build notification rules

  1. In Notification Center, open the system-notification rules area.
  2. Create or edit a rule for the event categories you need, such as storage, hardware, networking, power, or backup events.
  3. Choose the delivery methods for that rule and assign the recipients.
  4. Save the rule, then review its enabled state and scope.

Per-rule customization lets you send urgent storage events to an email group while routing less urgent information to push or instant messaging. QNAP does not document a universal daily health-report schedule in the supplied material; use the rule and history features for event coverage and confirm whether your installed QTS release offers a separate scheduled report.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

3. Use the queue and history views

Open the queue or history view after saving a rule. Confirm that QTS generated a notification, identify the delivery result, and match the event timestamp with the recipient’s mailbox. If an item appears in history but never arrives, the rule generated correctly and the remaining investigation belongs to the service, relay, or recipient mailbox.

Platform comparison

Capability TrueNAS SCALE Synology DSM QNAP QTS
Scheduled reports separate from alerts Yes. TrueNAS Connect reports are separate from the Email Alert Service; system email also has an automatic nightly disk-health message. Event email is separate from the documented monthly drive-health report. A daily drive report is not established unless the installed release provides one. Notification Center centralizes event rules and delivery. A universal scheduled daily health report is not stated.
Report or digest frequencies TrueNAS Connect: hourly, daily, or weekly. Alert service: immediately, hourly, daily, or never. Monthly drive-health reporting is documented; other schedules depend on the DSM release and feature. Per-rule delivery is documented; a standard daily report frequency is not stated.
Severity controls Choose a warning level; that level and more-severe levels are sent. Event categories are selected; a universal severity-threshold scheme is not stated. Rules are customized by event and delivery method; a universal severity-threshold scheme is not stated.
Authentication The current system-email documentation describes Outlook OAuth authorization; other methods depend on the release. DSM can use a configured third-party relay such as Gmail or Outlook. Authentication depends on the paired service account or device and the options shown by QTS.
Delivery channels Email for system alerts and TrueNAS Connect reports. Email notifications. Email, SMS, instant messaging, and push are listed by QNAP.
Testing and history Send Test Email and Send Test Alert; alert history is available in report content. Test delivery and DSM notification or log views, where provided by the release. Queue and history views show generated notifications and delivery status.

TrueNAS has the clearest documented daily-report workflow. Synology emphasizes event email plus a monthly drive-health report, while QNAP emphasizes centralized, multi-channel rules. The TrueNAS Alerts documentation was last modified 2 March 2026, and the TrueNAS system-email documentation was last modified 21 April 2026; menu labels can still differ in an installed release.

Run a reliability test instead of trusting one test message

  1. Test the sender. Send the platform’s test email and confirm arrival at two recipients, including one outside the NAS’s local account system.
  2. Test the alert layer. On TrueNAS, use Send Test Alert. On Synology or QNAP, use the available test action or a harmless event supported by the release.
  3. Check message details. Verify the sender address, recipient list, NAS identity, severity, event time, and whether the message is a report or an alert.
  4. Check spam and quarantine. Search by sender and subject, then ask the mail administrator whether the message was rejected or quarantined.
  5. Check generated history. Match the test or event with TrueNAS alert history, DSM logs, or the QNAP queue/history view.
  6. Check the schedule. Leave the NAS running through the next scheduled window. A successful immediate test does not prove that a daily or nightly task is enabled.
  7. Record the result. Write down the last successful test date and repeat it after an operating-system upgrade, sender-account change, or mail-policy change.

Keep severity thresholds practical. On TrueNAS, the chosen level includes every more-severe level. A threshold that is too low creates alert fatigue; one that is too high can delay action on a degrading disk or pool.

Troubleshoot by symptom

No test message arrives

  • Recheck the sender authorization and make sure the provider permits that exact sender address.
  • Confirm that the recipient address contains no typo and that the message was not placed in spam or quarantine.
  • Send to a second, unrelated mailbox. If only one destination fails, the NAS is probably not the failing component.
  • On TrueNAS, repeat Send Test Email before changing alert rules. On QNAP, inspect the service pairing and history; on Synology, recheck the relay fields under Control Panel > Notification > Email.

Test email works, but alerts do not

  • Confirm that the alert service or event rule is enabled and has at least one recipient.
  • Check the selected threshold. On TrueNAS, an event below the selected warning level will not be sent.
  • Check frequency and aggregation. An hourly or daily setting can hold a message until the next interval.
  • Look in the platform’s history view to distinguish “not generated” from “generated but not delivered.”

A daily report never appears

  • Verify that you created a scheduled report task rather than only an alert rule. In TrueNAS Connect, the task type must be Report and the frequency must be Daily.
  • On Synology, verify whether you are expecting the documented monthly drive-health report; do not assume a daily schedule exists.
  • On QNAP, check whether the installed QTS version actually offers a scheduled-report feature. Notification Center rules alone are event-driven.
  • Confirm that the NAS was online at the scheduled time and that its clock and time zone are correct.

Too many messages arrive

  • Raise the event threshold or disable informational categories that do not require action.
  • Use a digest frequency for routine conditions while retaining immediate delivery for storage and hardware warnings.
  • Separate recipients by responsibility so backup notices do not bury disk-failure warnings.
  • On QNAP, create narrower per-rule scopes instead of sending every category through every channel.

A message identifies the wrong NAS or event

  • Give each NAS a distinct host name and sender display name.
  • Review the systems, tags, and threshold selected in a TrueNAS Connect report.
  • Review QNAP rule scope and Synology event selections after cloning or restoring a configuration.
  • Keep the original message and the corresponding history entry together when investigating; the timestamps reveal whether a delayed digest is being mistaken for a new event.

Security and maintenance practices

Use authenticated sending and the least access the provider allows. OAuth authorization is preferable where the platform and provider support it because it avoids storing a reusable mailbox password in the NAS interface. Never work around a provider’s sender policy by claiming an address the account is not allowed to use.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Health reports can reveal pool names, capacity, update state, and hardware condition. Send them only to people who need that information, protect the mailboxes, and avoid forwarding reports to broad lists. If a provider or organization blocks automated mail, have the mail administrator approve the sender rather than weakening filtering for everyone.

Re-test after firmware or operating-system upgrades, changes to the sender account, password or OAuth revocation, recipient changes, network redesigns, and mail-policy changes. Keep one external recipient and a written last-test date so a local NAS-account failure cannot silently remove every notification destination.

Choose the setup that matches the question you need answered

  • Choose TrueNAS SCALE when you need a documented daily summary as well as threshold alerts. Configure the sender, Email Alert Service, and TrueNAS Connect report separately.
  • Choose Synology DSM event email when immediate notice of system, connectivity, fan, power, or backup failures is the priority. Use the documented monthly drive-health report unless your release exposes another schedule.
  • Choose QNAP QTS when central rules and multiple channels—email, SMS, instant messaging, or push—fit your operations. Use Notification Center history to prove that each rule generated a message.

The dependable pattern is the same on every platform: authenticate a permitted sender, define recipients, separate recurring reports from event alerts, set a threshold that someone will act on, test both the mail path and the alert path, and keep checking the platform’s history after changes.
