How to set up Copilot for each person in a Microsoft 365 family

You cannot turn on the Copilot benefits included with one Microsoft 365 Family subscription for every person in the household. The subscription owner can share Microsoft 365 apps, OneDrive storage and other eligible benefits with up to five additional people, but Copilot features in Word, Excel, PowerPoint, Outlook and Designer remain the owner’s benefit. Each other person needs a qualifying subscription or license on their own account for Copilot inside those apps.

The practical setup has two separate parts: share the Family subscription with the household, then check or obtain a Copilot entitlement for each person who needs AI features. A family member can also use the general Copilot service with their own personal Microsoft account, which is different from receiving the owner’s in-app Family Copilot benefit.

What “set up Copilot for each person” really means

Microsoft 365 Family sharing and Copilot licensing are separate systems. Sharing adds people to the subscription’s family group and gives them the benefits Microsoft allows the plan to share. It does not copy the owner’s AI entitlement to their accounts.

What the person wants to do Account or entitlement required Does the owner’s Family share provide it?
Install and use the shared Microsoft 365 apps The person’s own Microsoft account after accepting the invitation Yes, for eligible shared subscription benefits
Use Copilot features in Word, Excel, PowerPoint, Outlook or Designer A qualifying Copilot-enabled personal subscription or another applicable license on that person’s account No. The Family owner’s in-app AI benefit is not transferable
Use the general Microsoft Copilot service The person’s own personal Microsoft account, subject to current availability and limits Not through the owner’s Family entitlement; this is a separate sign-in path
Use Copilot through an employer or school An eligible work or school license assigned to that person No. It is supplied by the organization’s license, not household sharing

Microsoft’s subscription FAQ states: “AI features in Word, Excel, PowerPoint, Outlook and Designer included in Microsoft 365 Family and Premium plans are only available to the subscription owner and cannot be shared with others.” Read the Microsoft Copilot subscription FAQ for the official wording.

  • [Deep Bass with Clear Vocals] High-performance drivers produce punchy bass while keeping vocals clean and detailed for everyday listening.

That rule explains why adding a spouse, child or roommate to the Family group may give them Office apps and storage while leaving the Copilot button unavailable in their apps. There is no Family-owner switch that changes this licensing boundary.

What you need before inviting anyone

  • The subscription owner must be able to sign in to the Microsoft account that owns the Microsoft 365 Family plan.
  • The owner can share with up to five additional people, for six people total including the owner. This is a sharing limit, not a promise that every person receives Copilot.
  • Every invitee needs a Microsoft account. Microsoft offers account creation during the joining process if someone does not already have one.
  • An invitee who is already in a different Microsoft family group must leave that group before joining the owner’s group.
  • Anyone who needs Copilot inside Microsoft 365 apps must identify a separate qualifying subscription or license for their own account.
  • For current AI credits, limits and plan details, use the account’s Services & subscriptions dashboard. Microsoft says limits can vary by plan, feature, entry point and system conditions.

Do not assume that household membership, the email address receiving an invitation or the ability to install Word proves that the same account has Copilot. The account signed in to the app is the account whose entitlement is checked.

Share the Microsoft 365 Family subscription

Complete these steps as the subscription owner. They establish family membership and shared Microsoft 365 benefits; they do not grant the owner’s Copilot entitlement to other people.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Open the sharing page. Sign in to Microsoft’s Microsoft 365 sharing page with the account that owns the Family subscription.
  2. Choose Share. The sharing controls let you invite people individually or create a link that you can send through your usual messaging method.
  3. Choose an invitation method. Enter a person’s email address for an email invitation, or create and copy an invitation link. Use an address the intended person can access and associate with their Microsoft account.
  4. Have the invitee open the invitation. The recipient signs in or creates a Microsoft account when prompted, then selects Join now.
  5. Resolve an existing family-group membership. If Microsoft says the person belongs to another family group, that person must leave the other group before accepting membership in the owner’s group. The owner cannot bypass that requirement from the sharing page.
  6. Install the shared apps. After joining, the person uses their own account dashboard to install the Microsoft 365 apps and access the eligible benefits shared by the plan.

Microsoft documents the owner workflow in Share your Microsoft 365 subscription. Invitees can follow the acceptance and installation guidance in Someone invited you to share their Microsoft 365 subscription.

Use one invitation per person

Each additional person should accept the invitation with the Microsoft account they intend to use for Microsoft 365. Using a different account at the invitation stage can create a confusing split: one account belongs to the family group while another account is signed in to Word or Outlook. Record which email address accepted each invitation so the person can later check the correct Services & subscriptions page.

What joining changes—and what it does not

Joining can make shared apps and other eligible subscription benefits available to the new member. It does not merge the member’s Microsoft account with the owner’s account, transfer ownership of the plan or expose the owner’s private documents. It also does not make the member a beneficiary of the owner’s Family-plan Copilot AI features.

Give each person a legitimate Copilot access path

After the family invitations are accepted, handle Copilot one account at a time. Start by deciding where that person needs Copilot, because “Copilot” can mean the general service or AI features embedded in Microsoft 365 apps.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

For Copilot in Word, Excel, PowerPoint, Outlook or Designer

  1. Identify the account used in the app. In the relevant Microsoft 365 app, open the account area and note the signed-in email address. It must be the account that holds the person’s qualifying subscription or license.
  2. Check that account’s plan. Sign in to the Microsoft account dashboard and open Services & subscriptions. Confirm that the account itself has an eligible personal plan or another applicable entitlement. Do not use the owner’s Family invitation as evidence of Copilot eligibility.
  3. Check for an organization license where applicable. A work or school account may provide Copilot through an organization-assigned license. That entitlement belongs to the individual’s organizational account and is separate from the household’s Family group.
  4. Sign out of mismatched accounts. If the app is using a shared-family account while the Copilot entitlement belongs to a different personal or organizational account, sign out and sign back in with the licensed account. Keep personal and work or school accounts distinct rather than expecting one account to inherit the other’s rights.
  5. Update or reopen the app. Once the correct account is signed in, close and reopen the Microsoft 365 app so it can recheck the license. Feature rollout and availability can differ by account, app and market.
  6. Test only the feature that the license covers. Look for the Copilot control in the app named by the entitlement. Absence in one app does not prove that every Copilot entry point is unavailable, and presence of a general Copilot chat does not prove that in-app editing features are licensed.

Microsoft explains how to distinguish qualifying accounts and licenses in What Copilot license do I have. The exact plan names, markets and app rollouts can change, so check the account rather than relying on an older plan description.

For the general Microsoft Copilot service

A family member may sign in to Microsoft Copilot with their own personal Microsoft account. This is an individual access path, not a way to consume the owner’s Microsoft 365 Family app entitlement. Sign in with the person’s own account and treat the resulting features, limits and available models as belonging to that account.

Microsoft’s explanation of account-based grounding and Copilot behavior is available in How grounding works with individual or family accounts. Do not promise that a general Copilot sign-in unlocks Copilot features in every installed Office app.

For a person who has no Copilot entitlement

The person can still remain in the Family group and use the shared benefits that the plan makes available. They simply should not expect the owner’s Copilot controls to appear in their Microsoft 365 apps. If in-app AI is essential, obtain a qualifying entitlement for that person’s account or use an applicable work or school license; there is no household setting that substitutes for one.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Verify each person’s account and current limits

Microsoft’s AI usage guidance for September and October 2026 describes limits as dependent on the plan, feature, entry point and system conditions. New models and service changes can alter those limits. Treat the dashboard as the authority for the specific account instead of publishing or relying on a fixed household-wide credit number.

  1. Open Services & subscriptions for the individual account. Confirm the plan name, renewal status and any displayed Copilot or AI information.
  2. Check the app account separately. A browser session can be signed in to one Microsoft account while Word, Excel or Outlook uses another. Compare the email addresses before troubleshooting the feature.
  3. Review any displayed credits or usage information. Record the limit shown for that person and entry point. A limit for general Copilot is not automatically the limit for an embedded Office feature.
  4. Repeat after plan or model changes. Microsoft can adjust limits as features and models change, so recheck the dashboard when a person’s plan changes or a previously available control disappears.

The current limits guidance is on AI credits and limits for Microsoft 365 subscriptions. It is more reliable for an individual’s current allowance than a number copied from an older plan comparison.

Troubleshoot the most common setup failures

The invitee joined but cannot see Copilot in Office

First, check the signed-in email address inside the affected app. If it is the invitee’s Family-shared account, that membership explains access to shared apps but not Copilot. Check Services & subscriptions for a separate qualifying entitlement on that same account, or sign in with the person’s licensed work, school or personal account. If no qualifying entitlement exists, the missing Copilot control is expected rather than a sharing error.

The invitation says the person is already in another family

The invitee must leave the existing Microsoft family group, then reopen the owner’s invitation and select Join now. If the person needs to preserve another household’s benefits, decide which group should provide the shared subscription before leaving; one Microsoft account cannot simply belong to both groups for this purpose.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The person installed the apps with one account and bought a license with another

Sign out of the Microsoft 365 app, close it, and sign back in with the account that owns the qualifying Copilot entitlement. Also check the browser account used for Services & subscriptions. Installing an app from a Family invitation does not move a separately purchased or organization-assigned license to that account.

General Copilot works, but app-level Copilot does not

This usually reflects the distinction between the general Copilot service and Copilot features embedded in Microsoft 365 apps. Verify the in-app account and its license rather than treating general Copilot access as proof of Word, Excel, PowerPoint, Outlook or Designer eligibility.

A Copilot control appeared, then usage was limited

Check the account’s current AI credits and limits. Usage can vary by plan, feature, entry point and system conditions, and Microsoft may change limits as new models become available. Do not assume that another family member’s allowance, or a previous month’s display, applies to this account.

Understand privacy in a shared family group

Family sharing does not create a shared mailbox or common document library. Microsoft says each person’s mailbox, files and folders remain private. A member receives the shared subscription benefits associated with their account, not permission to browse another member’s private content.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

That privacy boundary also matters when considering Copilot. A member’s personal-account Copilot activity and files are not automatically exposed to the subscription owner merely because both accounts belong to the same Microsoft family group. Likewise, joining the group does not give a member access to the owner’s private files or make the owner’s Copilot entitlement usable on the member’s account.

Household setups that follow the rules

Household situation Correct arrangement What to avoid
Owner needs Copilot; five relatives need Office apps Owner uses the owner account for Copilot. Relatives accept invitations and use their own accounts for shared apps and storage. Assuming the five invitations include five additional Copilot seats
One member has a qualifying personal Copilot plan That member signs in to Microsoft 365 apps with the account holding that plan, even if another account accepted the Family invitation. Expecting the Family-group account to inherit the personal plan
A student or employee has an eligible school or work license Use the organization account in the apps where that license applies; keep it separate from the personal Family account. Mixing personal and organization accounts and diagnosing the wrong entitlement
A member only wants general Copilot Sign in to the general Copilot service with that person’s own personal Microsoft account and review its displayed limits. Calling general Copilot access a shared Family-plan app license
More than five additional people need shared benefits Review Microsoft’s current subscription options and account assignments; the Family sharing cap is five additional people. Sending more invitations and expecting them to bypass the cap

What the owner cannot configure

  • The owner cannot toggle on Copilot for every member from the Family sharing page.
  • The owner cannot transfer the owner-only AI benefit by sending an invitation link.
  • The owner cannot make a member’s general Copilot sign-in equivalent to a licensed Copilot feature in Word, Excel, PowerPoint, Outlook or Designer.
  • The owner cannot use family-group membership to override a separate work, school or personal account’s licensing rules.
  • The owner should not expect shared subscription membership to expose another person’s mailbox, files or folders.

The sharing page manages subscription membership. The individual account’s Services & subscriptions page and the account signed in to each app determine whether that person has Copilot access.

A simple checklist for every family member

  1. Accept the owner’s invitation and join the correct Microsoft family group.
  2. Confirm which Microsoft account accepted the invitation.
  3. Install Microsoft 365 apps from that account’s dashboard if needed.
  4. Decide whether the goal is general Copilot or Copilot inside Microsoft 365 apps.
  5. For in-app Copilot, verify a qualifying personal, work or school entitlement on the account that will sign in to the app.
  6. For general Copilot, sign in with the person’s own personal Microsoft account.
  7. Check Services & subscriptions and current AI credits or limits for that account.
  8. If a feature is missing, compare the app’s signed-in account with the account that holds the entitlement before changing the family invitation.
