Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Repair Windows errors before they cause bigger problems3Fix the driver behind crashes, sound loss and screen glitchesThe safest way to set up AI time tracking is to treat AI as a time-entry assistant, not an unattended payroll clerk. First decide whether you need attendance, project and billable hours, productivity signals, or a combination. Then choose a capture method that matches how your people work, configure employees and approval rules, run AI-generated entries through employee and manager review, and only send approved totals to payroll or billing.
A small pilot lasting one pay period exposes missed punches, incorrect project tags, location failures and privacy concerns before they affect everyone. Keep a manual correction path and publish a clear policy before collecting desktop activity, GPS or biometric data.

1. Define the business outcome before choosing software
“AI time tracking” can mean several different systems. Write down the decision the time data must support; otherwise you may buy a sophisticated activity monitor when you only need reliable hours for payroll.

For hourly employees, the priority is complete clock-in, clock-out, break, leave and overtime data. A payroll-native tracker or kiosk is usually easier to govern than a tool that infers hours from computer activity. The system should flag missing punches and route approved regular hours, overtime and leave to payroll.

Project and billable time
Agencies, consultants and software teams need hours assigned to clients, projects and tasks. Automatic desktop capture can propose project allocations, but each person still needs to review the day and correct work that was done away from the keyboard.
Productivity analysis
Activity data can show where work is being spent, but it is a weak stand-alone measure of performance. Decide exactly which aggregate reports are useful and whether raw application, website, screenshot or keystroke data is necessary. Collect the least intrusive signal that answers the business question.
A combined model
Some businesses need payroll-grade attendance plus project allocation. Use a system that keeps an authoritative worked-time record while allowing AI to suggest project or task labels. Do not let an inferred activity interval replace an employee’s legal time record without review.

2. Match the capture method to the work
Choose the capture model based on where work happens, how often people move between locations and how much correction you can support. Compare the full approval and audit workflow, not the word “AI” in a feature list.
| Capture model | Best fit | What it captures | Important requirements and limits |
|---|---|---|---|
| Desktop AI tracker | Computer-based teams, agencies and software businesses | Active computer sessions, application or project context and suggested timesheets | Usually requires an installed agent. On macOS, TimeCamp documents Accessibility permission and optional Screen Recording permission for OCR, plus an API-token connection. Activity is a suggestion and can miss meetings, phone calls, reading on paper or work on another device. |
| Mobile and GPS punches | Field, delivery, construction and multi-site teams | Mobile clock-in/out with location verification | AiTIME describes GPS verification and offline synchronization. Explain when location is collected, how failures are corrected and whether employees can punch without a signal. |
| Kiosk or biometric clock | Shared workplaces with a fixed entry point | Clock events from an internet-connected shared device or biometric terminal | A kiosk can turn a shared device into a clock. AiTIME lists the ZKTeco F18 and other biometric devices as compatible hardware. Biometrics require special notice, access controls and jurisdiction-specific review. |
| Payroll or accounting-native tracker | Simple hourly teams and businesses that want fewer integrations | Approved hours, leave and sometimes project time inside the payroll or accounting workflow | Gusto states that approved hours sync to regular and dismissal payrolls. Sage Intelligent Time builds timesheets from calendars, email and work activity and routes time into payroll, billing and project accounting. Confirm which records remain editable and which become locked after approval. |
Questions to ask in a selection test
- Does it cover every place work occurs, including phones, client sites, travel and offline periods?
- Can an employee inspect, correct and explain an automatically generated entry?
- Can a manager approve exceptions, overtime and edits without changing the original audit trail?
- Which payroll, accounting, calendar and project systems receive approved data, and what field mapping is available?
- What happens when GPS, internet, an API connection or the desktop agent fails?
- Can administrators restrict raw activity, biometric templates and location data to people who genuinely need them?
- What hardware, operating-system permissions, support work and recurring charges are required?
3. Write a one-page time-tracking and AI policy
Publish the policy before the first employee is enrolled. Keep it short enough to read, but specific enough that a person can tell what is collected and challenge an error.
State the purpose and data fields
List each signal separately: clock-in/out, breaks, project duration, application activity, screenshots, GPS coordinates, device identifiers or biometric templates. If a signal is not needed for payroll, billing or a defined management report, leave it off.

Explain visibility and use
Identify who can see raw activity, who sees summarized hours, and whether clients receive project totals only. State that AI classifications are suggestions and explain how they are checked before payroll or invoices are produced. Prohibit using an unexplained confidence score as the sole basis for discipline or pay changes.
Quick wins for a faster PC:
Scan for outdated or missing drivers - takes under a minuteDriver Scan →Repair Windows errors before they cause bigger problemsFix Now →Define corrections and disputes
Give employees a clear route to add a missed punch, reassign a project, explain travel or mark a break. Record the original value, the correction, the person making it and the approval time. Set a response deadline for disputes and name the manager or payroll contact responsible for resolving them.
Set retention, access and deletion
Specify retention periods for payroll records, project reports, raw activity, location and biometric data. Restrict administrator rights, use individual accounts and review access when someone changes role or leaves. Encrypt exports and delete temporary files and unused integrations on schedule.
Disclose sensitive signals
GOV.UK guidance identifies biometrics as sensitive data and says employees should be told what data is kept and how it is used. Location and biometric requirements differ by jurisdiction, so obtain local legal advice before deployment. Obtain any consent or notices required where you operate; do not assume a general employee handbook notice is enough.
Control AI-agent access
If an AI agent can read or change time data, require explicit authorization, least-privilege permissions and a way to revoke access. Timing’s documentation for its MCP integration describes this authorization and revocation model. Keep agent actions in the same audit log as human edits.
4. Configure the workspace before enabling automation
Most bad AI timesheets begin with bad master data. Finish these settings first, then turn on suggestions.

- Import people and employment details. Add each employee, manager, pay type, location and time zone. Confirm that every account maps to the correct payroll identity; duplicate names and shared logins make later reconciliation unreliable.
- Set the workweek and pay period. Configure the first day of the workweek, pay-period dates, break rules, overtime thresholds and leave categories. Test a week that crosses a pay-period boundary.
- Create the work structure. Add clients, projects, tasks, cost centers and billable/non-billable categories. Archive old projects so the AI cannot keep suggesting them.
- Assign roles and permissions. Separate employee, manager, payroll, project-admin and system-admin rights. Give raw activity and biometric access only to roles that need it.
- Apply location or biometric settings selectively. Configure geofences, permitted sites, device enrollment and fallback procedures only for roles that require them. Document what happens when a person works at an approved site that is temporarily offline.
- Install and test desktop agents. For a desktop system, install the agent on supported operating systems, grant only the permissions it requires, connect integrations and verify that the correct employee and project receive test activity. TimeCamp documents macOS Accessibility permission, optional Screen Recording for OCR, API-token connection and automatic syncing.
- Configure mobile and kiosk devices. Enroll phones or shared devices, test offline punches and synchronization, and display the account or site identity on a kiosk so people do not clock into the wrong workplace.
- Run a data-mapping test. Create one test employee, project and pay code. Send a small approved entry through the complete path and verify the destination field, rounding behavior, overtime treatment and audit history.
AiTIME describes employee import, shift configuration and training as part of implementation; include those activities in your launch plan rather than treating them as optional support tasks.
5. Start AI with conservative rules and review gates
Use suggestions before automatic tagging
Begin with high-confidence project mappings, limited keywords and conservative thresholds. Let the system propose a task or fill a gap, but require a person to accept it. Timely AutoSheet creates a timesheet proposal from captured activity, while TimeCamp says its AI learns from corrections. Both patterns work best when corrections are deliberate and documented.
Require two levels of review
- Employee review: Each person checks the day for missing meetings, travel, breaks, offline work, incorrect projects and personal activity. They submit corrections before the internal cutoff.
- Manager or payroll review: A responsible approver checks exceptions, overtime, unusual locations, large edits and unresolved confidence warnings. Approval locks the version sent to payroll or billing while preserving the edit history.
Never allow an AI suggestion to silently become payable time. If the employee does not respond, route the entry to a manager or hold it for manual resolution according to the published policy.

Outbyte PC Repair FREERepair Windows errors before they cause bigger problemsFix Now →Outbyte Driver Updater FREEScan for outdated or missing drivers - takes under a minuteDriver Scan →Improve rules from corrections
Review recurring corrections weekly during the pilot. Update project keywords, calendar mappings, confidence thresholds, work schedules or exclusion lists. Do not train the system by silently deleting inconvenient entries; that hides a policy or configuration problem.
6. Connect approved time to payroll and billing
Build the integration around approved records, not raw activity. Map regular hours, overtime, leave, project hours and cost codes explicitly.
- Document the field map. Write down which time category feeds each payroll earning code, invoice line, project phase or accounting dimension.
- Set approval cutoffs. Give employees and managers enough time to correct entries before payroll closes. Define who can reopen a locked period.
- Run one parallel pay period. Compare the AI workflow with the old process. Reconcile total hours by employee, overtime, leave, project and pay code; investigate every difference rather than accepting a net total.
- Test failure cases. Simulate a missed punch, duplicate punch, offline mobile entry, unassigned project, manager edit and late approval. Record the recovery procedure.
- Enable production sync only after reconciliation. Send approved records, confirm the receiving system’s totals and retain the export or transaction identifier in your audit log.
Gusto states that approved hours sync to regular and dismissal payrolls. Sage states that time can flow into payroll, billing and project accounting. Verify the exact behavior for your edition, region and pay codes before relying on automation.

- Which permissions, notifications or device steps cause confusion
Fix mappings, permissions and instructions before expanding. Publish the final policy, train everyone, and keep a manual timesheet or correction form available for outages and exceptional work.
8. Privacy, security and US recordkeeping guardrails
Meet the FLSA record standard
For US employers covered by the Fair Labor Standards Act, the Department of Labor says records must be complete and accurate and may be created with any timekeeping method that meets that standard. Payroll records generally must be retained at least three years. Records used for wage computations, including time cards and schedules, generally must be retained two years.
The DOL also says employers must count all practically ascertainable work time. Do not use rounding or clock practices that fail to capture time actually worked. An AI system that misses a short task, rounds away a few minutes or treats an automatically detected idle period as unpaid time can create a wage-compliance problem.
Minimize and protect sensitive data
- Collect application, screenshot, GPS or biometric data only when a documented purpose requires it.
- Separate raw activity from payroll summaries and limit each to the smallest appropriate audience.
- Encrypt exports and backups, use strong individual authentication and review administrator access regularly.
- Log every automated change, human edit, approval, export and deletion.
- Give employees a way to inspect and challenge entries.
- Define deletion dates for raw activity, location histories and biometric data, while preserving records that must be retained for payroll or legal reasons.
- Review vendors, subprocessors and cross-border transfers before uploading employee data.
Biometric and location rules vary by state and country. Obtain advice for each jurisdiction in which employees work, especially before using fingerprint templates or continuous location collection.

9. Troubleshoot common failures
The AI assigns work to the wrong project
Check that project names, keywords, calendar titles and employee assignments are current. Add an explicit correction rule, lower the automation level and require employee confirmation for ambiguous matches. Archive completed projects so they stop competing with active ones.

Desktop time is missing
Confirm that the agent is running, the employee is signed into the correct account and required operating-system permissions are enabled. On macOS, check Accessibility permission and, if OCR is intentionally used, Screen Recording permission. Compare the agent’s local status with the integration’s last-sync time and provide a manual entry for the gap.
Mobile punches arrive late or without a location
Check offline synchronization, battery restrictions, location permission and geofence settings. Do not reject payable time solely because a signal failed; route the punch to an exception review and record the explanation.
Payroll totals do not match
Compare the same employee, pay period, time category and timezone on both systems. Look for duplicate imports, unapproved edits, overtime-code mapping, leave exclusions and rounding. Re-run the parallel process until each difference has an owner and documented resolution.
Employees object to monitoring
Show the policy, reduce collection to the stated purpose, demonstrate the correction process and explain who can see raw data. Remove signals that do not produce a necessary business outcome. If the objection concerns biometrics or location, pause deployment in that jurisdiction while obtaining local advice.
An AI agent made an unwanted change
Revoke its token or integration access, restore the approved record from the audit trail, identify the permission that allowed the change and narrow the agent’s scope. Re-authorize only after testing read-only or approval-gated behavior.
10. Product patterns for different small-business teams
| Team situation | Reasonable starting pattern | What to verify before rollout |
|---|---|---|
| Office or remote team that spends most of the day at computers | Desktop capture with AI project suggestions, employee review and manager approval. TimeCamp is documented for passive background tracking and AI-assisted descriptions, task suggestions and gap filling. | Operating-system permissions, treatment of meetings and non-computer work, project mapping and correction history. |
| Agency, consultancy or SaaS business billing clients | Automatic desktop capture with client and project allocation. Timely is documented for AutoSheet proposals and client/project time workflows. | Billable versus non-billable categories, proposal accuracy and invoice export controls. |
| Field or multi-site workforce | Mobile punches with GPS verification and offline synchronization, as described by AiTIME. | Location notice, offline fallback, battery and connectivity failures, and local rules for location collection. |
| Fixed workplace with shared shifts | Internet-connected kiosk or compatible biometric terminal. AiTIME lists the ZKTeco F18 among compatible attendance devices. | Biometric notice and retention, shared-device security, alternative punch method and hardware support. |
| US hourly team seeking a simple payroll path | Payroll-native tracking that sends approved hours to payroll; Gusto documents this workflow. | Pay-code mapping, overtime and leave handling, approval locks and the exact payroll edition or region supported. |
| Sage Intacct user needing accounting integration | Sage Intelligent Time, which is documented as building timesheets from calendars, email and work activity and routing time to payroll, billing and project accounting. | Source-system permissions, accounting dimensions, approval workflow and reconciliation reports. |
11. Ongoing governance after launch
Review the system at least each pay period during the first month, then on a schedule appropriate to your payroll risk. Track correction rates, late approvals, unresolved exceptions, sync failures and employee complaints. A high correction rate is evidence that capture or project setup needs work, not evidence that employees are misusing the system.
Reconcile payroll and billing totals every period, review administrator and AI-agent access, test deletion jobs, and remove departed employees and obsolete projects promptly. Revisit the policy whenever you add a signal, change a vendor, expand to a new jurisdiction or alter who can see raw activity.
