Connect the printer to power, join it to the office network (or plug in USB), then add it in Windows 11 or macOS and print a test page. Windows usually supplies a compatible driver automatically; macOS normally uses AirPrint. The detailed steps below cover USB, Wi-Fi, Ethernet, direct-IP setup, shared office printers and Microsoft Universal Print.
Keep the printer and computer on the same local network for ordinary wireless discovery, and verify paper size, color, duplex and tray settings before sending real work.

Choose the connection before you install anything
Most office printers can be connected in one of two basic ways: directly to one computer with USB, or to the office network with Wi-Fi or Ethernet. Network printing lets several computers use the same device; USB is simpler when one workstation is the only user or when the printer cannot join the office network.

USB connection
USB is a local connection between the computer and printer. For Windows, connect the cable and turn on the printer before opening the add-printer settings. Many printers use a square USB-B device socket, so a USB-A-to-USB-B cable may be required. Newer computers may have only USB-C ports; use a compatible USB-C cable or adapter that matches the printer and computer ports.

USB avoids Wi-Fi passwords, IP addresses and network discovery. Its limitation is reach: the printer is available to the connected computer unless the organization deliberately shares it through a print server or another approved method.
Wi-Fi or Ethernet
Use the printer’s own display, buttons or setup instructions to join the office Wi-Fi, or connect its Ethernet port to the office network. The computer and wireless printer must be on the same network for Windows discovery. Ethernet normally provides a stable wired connection, while Wi-Fi is easier to place but depends on signal quality and the office’s wireless policy.
AirPrint, ordinary network printing and Universal Print
These terms describe how the operating system communicates with a network printer, not different kinds of paper or hardware.

Prepare the printer and office network
- Unpack and inspect it. Remove shipping tape, install the toner, ink or other consumables, and load paper in the tray.
- Power it on. Complete any first-run prompts on the printer’s control panel.
- Choose Wi-Fi or Ethernet if it is a shared office device. Use the printer’s control panel or the manufacturer’s documented procedure to select the correct Wi-Fi SSID and enter its password, or plug in Ethernet. A guest Wi-Fi network may isolate devices, so use the network approved for printers.
- Record the printer’s network name or IP address. The address is useful if automatic discovery fails. Network details are usually shown on the printer’s information page or network settings screen.
- Decide whether the printer is personal or shared. Shared printers may require a print server, access-control approval or a queue supplied by your IT team. Do not bypass an organization’s authentication or network policy.
Leave the printer powered on while adding it. If you are using USB, connect the cable directly to the computer rather than through an unpowered hub when possible.
Add a printer in Windows 11
Windows 11’s current path is Settings > Bluetooth & devices > Printers & scanners > Add device. Microsoft says Windows supports most printers out of the box, so in most cases special printer drivers or software do not need to be installed.

Install a USB printer
- Turn on the printer and wait until it is ready.
- Connect the printer to the PC with the correct USB cable. If the printer has a USB-B device port, use a USB-A-to-USB-B cable or the appropriate USB-C equivalent for your computer.
- Open Settings > Bluetooth & devices > Printers & scanners.
- Select Add device. Windows normally detects a directly connected printer and installs a compatible driver.
- When the printer appears, select it and complete the prompts. If Windows offers a Windows Update driver, allow it to retrieve the newer or fuller package.
- Open the printer’s settings and print a test page before using it for office work.
Install a Wi-Fi or Ethernet printer
- Confirm the printer is connected to the intended office Wi-Fi SSID or Ethernet network.
- Connect the Windows 11 PC to that same network. A computer on a guest, isolated or different VLAN may not discover the printer.
- Go to Settings > Bluetooth & devices > Printers & scanners and select Add device.
- Choose the discovered printer and select Add device again if Windows presents a confirmation.
- Print a test page, then set paper size, color or monochrome, duplex and the correct input tray in Printing preferences.
If Windows does not list the printer
Use the manual-add option shown in the Add device window. The wizard can search again or let you select a printer by its details. Have the printer’s IP address or network name ready. If the printer is connected by USB, reseat both ends, try another USB port and make sure the printer is on before repeating the search.
Windows Update may provide a newer or more complete driver after the printer has been added. If a manufacturer installer behaves badly on an ARM-based Windows PC, Microsoft recommends using Windows’ built-in add-printer flow and following the manufacturer’s guidance when it differs. Avoid installing random driver packages from third-party download sites.

Windows 10 qualification
Microsoft ended Windows 10 support on October 14, 2025. The menus and behavior may differ on an organization-maintained Windows 10 installation, but new deployments should use a supported Windows release and the current instructions supplied by the employer.
Add a printer in macOS
Open Apple menu > System Settings > Printers & Scanners, select Add Printer, Scanner, or Fax, and choose the printer that appears. Apple states that when you add a printer, macOS uses AirPrint to connect to it.
Add a discovered AirPrint printer
- Turn on the printer and connect it to Wi-Fi or Ethernet, or attach it by USB if the model supports AirPrint over that connection.
- On the Mac, open Apple menu > System Settings > Printers & Scanners.
- Select Add Printer, Scanner, or Fax.
- Choose the printer from the list. Check the displayed connection or “Use” option and select AirPrint when it is offered.
- Select Add, then print a test page from a document or the printer’s options.
AirPrint-capable printers can use Wi-Fi, USB or Ethernet. If printing works but scanning, finishing, color management or other model-specific controls are missing, check the manufacturer’s current macOS software and updates.

Add a network printer by IP address
When discovery fails, select the IP tab in the Add Printer dialog. Enter the printer’s address and choose the protocol supported by the device:
- AirPrint for an AirPrint-capable printer.
- HP Jetdirect (Socket) for printers configured for that socket protocol.
- LPD when the print server or printer provides an LPD queue.
- IPP when the printer or print server is configured for Internet Printing Protocol.
Enter a queue name if your office administrator supplied one, choose the appropriate AirPrint or vendor software option, then select Add. An incorrect protocol or IP address can create a printer that appears installed but never accepts jobs, so confirm those values with the network or print-server administrator.
Use Microsoft Universal Print on a Mac
Universal Print is an organization-managed workflow, not the ordinary AirPrint dialog. Install the Universal Print Mac app from the App Store, sign in with your Microsoft Entra ID, and discover printers assigned to your account. Microsoft requires an eligible Universal Print license. If no printers appear, the likely causes are an account that has not been assigned a queue, a missing license or an administrator policy that limits access.
For a conventional shared printer, follow the company’s print-server instructions instead. You may need permission, a server queue name or an access-control prompt before the printer can be added.
Verify the installation before printing real work
- Print a test page. Use the printer’s operating-system options or the printer’s own control panel.
- Check paper size. Confirm that the document and tray agree on Letter, A4 or the office’s required size.
- Check color mode. Select color only when needed if the office has a monochrome default or usage policy.
- Check duplex. Enable two-sided printing only when the printer supports it and the document layout permits it.
- Check the tray. Select the tray containing the correct paper, envelopes or labels.
- Choose the default printer carefully. In Windows or macOS, set the new device as default only if it should receive ordinary print jobs. Leave the existing default unchanged when the new unit is for a specialist queue.
- Confirm the queue clears. A test job should leave the queue and produce a page. If it remains pending, stop and troubleshoot before sending a large batch.
Troubleshoot a printer the computer cannot find
Start with power and physical connections
- Check that the printer is powered on, not asleep with an error displayed and not paused by a cover, paper or consumable warning.
- For USB, reseat the cable at the computer and printer, try another port and avoid an unpowered hub.
- For Ethernet, check that the cable is seated and the printer shows a network link.
- For Wi-Fi, open the printer’s network screen and verify the selected SSID. Re-enter the password if the printer joined a different network.
Confirm network reachability
For ordinary wireless printing, the computer and printer must be on the same local network. A guest SSID, VPN, firewall rule or segmented office VLAN can prevent discovery even when both devices have internet access. Ask the network administrator whether printer traffic is allowed between the workstation and the printer. If discovery remains unavailable, use the printer’s IP address with the Windows manual-add flow or macOS IP tab.

Windows discovery, drivers and queues
- Return to Settings > Bluetooth & devices > Printers & scanners > Add device and use the manual-add option.
- Run Windows Update and check for an updated or fuller printer driver.
- Open the printer’s queue and clear jobs that are paused, offline or stuck.
- If the queue repeatedly freezes or jobs remain stuck, inspect the Windows Print Spooler service and restart it according to your organization’s support procedure.
- Re-add the printer after correcting the network, cable or driver issue, then print a small test page.
Microsoft identifies printer-not-found errors, stuck queues, spooler crashes and “Printer in error state” as common problems. A driver update can help when the built-in package lacks a feature, but installing a full manufacturer suite is not automatically necessary for basic printing.
macOS discovery, protocol and feature problems
- In System Settings > Printers & Scanners, select the problem printer and remove it.
- Select Add Printer, Scanner, or Fax and try discovery again.
- If it still does not appear, select the IP tab, verify the current printer address and choose the protocol supplied by the administrator or supported by the printer.
- Choose AirPrint for an AirPrint-capable model, or install the manufacturer’s current macOS software when scanning or advanced features require it.
- Print a test page and verify that the queue finishes.
If the printer’s IP address changes regularly, ask the administrator about a reserved address or print-server queue. Repeatedly adding a changing address can leave several stale printer entries on the Mac.
Do you need a printer driver?
Usually, no separate download is needed for basic printing. Windows supports most printers out of the box and can obtain updated or fuller drivers through Windows Update. macOS normally uses AirPrint when a compatible printer is added. A vendor package may still be appropriate when you need scanning, finishing controls, color-management options, firmware tools or a model-specific feature that the built-in driver does not expose.
Use the printer maker’s current support software for the exact model and operating-system version, and remove obsolete packages when your organization’s support team instructs you to. On managed office computers, let IT approve drivers because a package can require administrator rights or alter print-server behavior.
When to involve the office administrator
Escalate instead of repeatedly reinstalling when the printer is on a restricted VLAN, requires a print-server queue, uses Universal Print, prompts for credentials, or is assigned by department. Provide the printer model, connection type, displayed IP address, computer operating system, exact error text and whether a test page reached the queue. That information lets an administrator distinguish a local cable problem from an access-control, licensing or network-policy issue.
A successful setup ends with one clearly named printer, a verified test page and settings that match the paper and workflow you actually use. Keep the printer’s network details and approved support procedure with the office equipment so the next user can reconnect it without creating duplicate queues.
