How to Set Up a New Laptop and Transfer Files From Your Old Computer

The safest approach is to keep the old computer intact, make a second copy of important data, choose a transfer method that matches your operating systems, reinstall applications separately, and verify the new laptop before you erase or recycle anything. Windows users can use the Windows Backup PC-to-PC transfer, OneDrive, or an external drive. Mac users can use Migration Assistant, including Windows Migration Assistant for a Windows-to-Mac move.

What to do before moving anything

A laptop migration is more than copying the contents of one folder. Your files may be spread across user folders, cloud-sync folders, browser profiles, mail archives, application libraries and removable media. Treat the old computer as the source of truth until the new one has passed a deliberate check.

Make an inventory

On the old computer, list the locations and types of data you actually use:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Documents: work files, PDFs, spreadsheets, tax records and personal documents.
  • Desktop: items saved there often get overlooked because they are not inside Documents.
  • Downloads: installers, reference files and attachments that you may still need.
  • Pictures and Videos: include phone-import folders and editing-project folders, not just the default library.
  • Music: check for locally stored tracks, playlists and any media-library database.
  • Browser data: bookmarks, saved reading lists, extensions and profiles. Passwords may require a separate export or the browser’s account sync.
  • Email: determine whether messages are stored on a server or in local archives such as an exported mailbox file.
  • Application-specific libraries: examples include photo catalogs, music projects, accounting data, virtual machines, game saves and custom templates.
  • Other locations: additional internal drives, SD cards, USB drives and folders outside your user profile.

Write down the applications you rely on and how each is licensed. A file transfer does not normally install the programs that open those files.

Protect the source computer

Keep the old laptop available, plugged in and unchanged until you have verified the new one. Before starting, make a separate backup of irreplaceable material if possible. A transfer is a move or copy operation, not proof that the destination is complete.

Prepare both laptops

  1. Install available operating-system updates. Restart both computers and finish any pending update before pairing or copying.
  2. Connect each laptop to power. Large transfers can take a long time, and a sleep or shutdown can interrupt them.
  3. Check destination storage. Compare the size of the data you intend to move with the new laptop’s free space. Leave room for the operating system, applications, updates and working files.
  4. Use the same network when required. Direct PC-to-PC and Migration Assistant transfers generally need both computers on the same local network. A wired connection, where supported, can be more stable than a distant wireless connection.
  5. Temporarily remove connection blockers only when the vendor requires it. Apple advises turning off antivirus, firewall or VPN software during Migration Assistant. Re-enable protection after the transfer. Do not leave security software disabled for unrelated browsing.
  6. Sign in only to the accounts you intend to use. For OneDrive, the same Microsoft account must be used on the new PC. For browsers and mail, confirm which account contains the data you expect.

Choose the right transfer method

The operating-system pair is the first decision. The table also shows what each method can and cannot move, because no single route copies every application, password and setting.

Method Compatible systems Account required Manual selection Applications and settings Storage and network Second copy created?
Windows Backup PC-to-PC transfer Source Windows 10 or 11; destination Windows 11 version 2024 or later Microsoft setup pairing; no cloud storage required for the transfer Select files and folders during setup Does not transfer installed applications, saved passwords, BitLocker-encrypted drives or OneDrive files Both PCs powered and updated; local connection; destination needs enough free space No independent backup unless you make one separately
OneDrive Windows and any computer that can sign in to the account Yes, the same Microsoft account on both PCs Upload or enable backup for Desktop, Documents and Pictures Files and selected folders sync; applications and most application settings must be reinstalled Cloud quota and internet connection determine what can be stored and downloaded Cloud copy exists, but it is not a substitute for an independent backup
External SSD, USB drive, SD card or external hard drive Most Windows and Mac combinations, provided the file system is readable by both No Copy source folders and choose destinations on the new laptop Files only unless you separately export an application’s library or installer Capacity must exceed the data set; no internet required Yes, the external copy can be inspected before the old laptop is retired
Mac Migration Assistant Mac to Mac, using a Mac, Time Machine or startup disk as the source No cloud account required Choose applications, user accounts, files, privacy/security settings and system/network settings Many items can transfer, but incompatible applications may not transfer or work Both Macs should be available and connected; large jobs can take hours Not automatically; keep the source or a Time Machine backup
Windows Migration Assistant Windows PC to Mac No cloud account required for the transfer Select categories after entering the displayed code Moves supported files and selected data, not Windows applications; compatibility of transferred data varies Destination Mac needs free space; same network; large transfers can take hours Not automatically

Windows to Windows: use Windows Backup PC-to-PC transfer

Microsoft’s PC-to-PC experience is designed to run while setting up a new Windows 11 computer. The source can run Windows 10 or Windows 11; the new PC must run Windows 11 version 2024 or later. Both PCs must be powered and updated.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Step-by-step

  1. Start the new PC’s Windows setup and choose the option to transfer from another PC when it appears.
  2. On the old PC, open the transfer experience indicated by the setup process. Keep both computers on the same network and close applications that are editing files.
  3. Confirm the pairing code displayed by the new PC. Do not approve a code you cannot match on both screens.
  4. Review the categories and select the files and folders to copy. Include locations outside the standard profile only if you inventoried them.
  5. Start the transfer and keep both computers connected to power. Do not shut a lid or allow either device to sleep.
  6. After setup completes, open the destination folders on the new PC and check representative files before changing anything on the old PC.

Important exclusions

This route is not a full system clone. Microsoft explicitly states that system files, installed applications, saved passwords, BitLocker-encrypted drives and OneDrive files are excluded; “OneDrive files won’t be transferred.” OneDrive content must be available through the account or copied by another method. Reinstall applications from their official vendors, sign in again and restore any app-specific libraries.

Windows cloud transfer: OneDrive

OneDrive is useful when both computers can reach the internet and the data set fits the account’s available storage. A personal Microsoft account includes 5 GB of free OneDrive storage according to Microsoft’s current support guidance, accessed in 2026. Quotas and paid-plan terms can change, so check the account’s current allowance before uploading a large library.

Upload and verify on the old PC

  1. Sign in to OneDrive on the old PC with the Microsoft account you will use on the new computer.
  2. Review the OneDrive folder and identify files that are not already there. Copy or move the selected folders into OneDrive, or use OneDrive’s folder-backup controls for Desktop, Documents and Pictures if that matches your filing system.
  3. Wait for synchronization to finish. A file that is still pending, marked with an error, or available only locally has not been safely represented in the cloud.
  4. Open OneDrive on the web and browse the folders. Open several documents and images from the web interface to verify that the uploaded versions are readable.

Bring the files to the new PC

  1. During or after Windows setup, sign in to OneDrive with the same Microsoft account.
  2. Allow the folder list to appear, then choose which folders should remain online-only and which should be downloaded for offline use. Make sure the new laptop has room before selecting a large video or photo collection for download.
  3. If you did not enable folder backup earlier, copy the required files from OneDrive into the destination folders, or enable backup for Desktop, Documents and Pictures after checking for duplicate folders.
  4. Open files locally and through the web interface. This catches incomplete synchronization and accidental copies into the wrong account.

OneDrive synchronization is not the same as an independent backup: deletion or corruption can propagate to synchronized locations. Keep another copy of irreplaceable data until the migration is complete.

Offline transfer with an external SSD or USB drive

An external SSD is the most direct method when you prefer not to upload files, have a slow connection, or want a reusable copy for verification. A USB flash drive, SD card or external hard drive can also work. Choose a drive whose usable capacity exceeds the data you plan to copy; leave additional room for folders you discover during the inventory.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Copy from the old computer

  1. Connect the external drive and wait for it to appear in the file manager.
  2. Create a clearly named top-level folder such as Old-Laptop-Transfer. Inside it, create folders for Documents, Desktop, Pictures, Videos, Music, Downloads and any application-specific exports.
  3. Copy, rather than move, the source folders. If the operating system asks whether to merge folders, inspect the destination first so an existing folder is not overwritten unintentionally.
  4. For large libraries, copy one major folder at a time. This makes it easier to identify a failed or interrupted operation.
  5. Browse the external drive before disconnecting. Open sample documents, photos and videos, and compare folder sizes or item counts with the source where practical.
  6. Use the operating system’s safe-eject command and wait for confirmation before unplugging the drive.

Copy to the new laptop

  1. Connect the drive to the new laptop and open it in the file manager.
  2. Copy the contents of Old-Laptop-Transfer into the appropriate user folders. Keep the transfer folder until verification is finished instead of scattering the only copy immediately.
  3. Resolve duplicate names deliberately. Keep both versions when you are unsure; you can compare dates and contents after the migration.
  4. Open representative files from their final locations. Test files created by the applications you will reinstall, not just plain text or images.
  5. Safely eject the drive and store it separately until the old computer is no longer needed.

Microsoft describes this workflow as copying files to external storage and then transferring them onto the new Windows PC. It is also practical for Windows-to-Mac moves, but a drive formatted with a file system that one platform cannot write may require a compatible format or a different transfer route.

Mac to Mac: Migration Assistant

Migration Assistant can bring selected applications, user accounts, files, privacy and security settings, and system and network settings from another Mac, a Time Machine backup or a startup disk. It does not guarantee that every older application will run on the destination: incompatible applications may not transfer or may fail after transfer.

On the new Mac

  1. During setup, choose From a Mac, Time Machine or startup disk when asked how to transfer information. If setup is already complete, open Migration Assistant from the Mac’s Utilities folder.
  2. Follow the prompts until the Mac displays a code for pairing.
  3. On the old Mac, open Migration Assistant, choose to transfer information to another Mac and confirm the same code.
  4. Select the user accounts, applications, files and settings you actually need. Check the destination’s available storage before selecting a large account or media library.
  5. Start the transfer and leave both Macs connected to power. Apple warns that large transfers may take hours and may appear to pause occasionally.

After Migration Assistant finishes

Sign in to each transferred account, check permissions and open representative files. Download current versions of applications that are incompatible or missing, then sign in and reconnect their libraries. Do not assume that a transferred preference means the application itself is licensed or current.

Windows to Mac: Windows Migration Assistant

For a Windows-to-Mac move, download the Windows Migration Assistant version that matches the macOS version on the destination Mac. The assistant transfers selected categories over a local connection; it does not convert Windows applications into Mac applications.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Transfer procedure

  1. On the Mac, open Migration Assistant and select From a Windows PC.
  2. On Windows, install and open the matching Windows Migration Assistant version.
  3. Enter the code shown on the Mac into the Windows assistant and confirm that the codes match.
  4. Choose the categories to transfer, such as user folders and other supported data.
  5. Start the transfer and keep both computers powered and connected. Apple says large transfers may need hours and can seem to pause occasionally.
  6. When the Mac reports completion, inspect the resulting user account and folders before deleting anything on Windows.

Plan to install Mac versions of your applications separately. Check whether each application’s library format is cross-platform and whether an export or conversion step is required.

Reinstall applications and restore account data

Files and programs are different migration objects. Once personal data is in place:

  • Install current versions from the application’s official vendor or the operating system’s trusted store.
  • Sign in and confirm licenses, subscriptions, activation limits and two-factor authentication.
  • Import browser bookmarks or enable the browser’s sync using the correct account. Do not assume that a file copy includes saved passwords.
  • Configure mail accounts again. If mail was stored in a local archive, import that archive using the mail application’s documented import command.
  • Reconnect photo, music, video, design, development and accounting libraries. Verify the library path before allowing an application to rebuild or overwrite it.
  • Restore custom templates, plug-ins, fonts and printer or scanner profiles only from trusted sources.

Verify the new laptop before retiring the old one

Verification should be an explicit checklist, not a quick glance at one folder.

  • Open several recent and older documents from the final destination folders.
  • Play representative videos and inspect full-resolution photos.
  • Compare folder sizes or item counts for large collections where the operating system provides those figures.
  • Check Desktop, Documents, Downloads, Pictures, Videos and Music separately.
  • Open browser bookmarks, reading lists and required extensions.
  • Send and receive a test email, then confirm that required historical mail or local archives are present.
  • Launch every application you need for work and open a real project file.
  • Confirm that cloud files are either online-only by design or downloaded for offline use as intended.
  • Check that external drives, printers, displays and other peripherals are recognized.
  • Make a fresh backup of the new laptop after the migration, using a destination separate from the old computer.

Keep the old laptop and its backup untouched until these checks pass. Only then should you securely erase the old machine before disposal, resale or reassignment.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Troubleshooting common migration problems

The transfer cannot find the other computer

  • Confirm both computers are on the same network and that Wi-Fi has not switched to a guest network.
  • Connect both to power, install pending updates and restart them.
  • Temporarily disable the antivirus, firewall or VPN only when the Apple migration instructions require it, then restore protection.
  • Use an external drive instead if the local network remains unreliable.

The destination reports insufficient space

  • Check the actual size of the selected folders, including hidden application libraries and videos.
  • Leave room for the operating system, updates and applications rather than filling the drive completely.
  • Transfer large archives or media to an external drive, or select fewer folders and migrate the rest in a second pass.

Files are missing after a Windows PC-to-PC transfer

Check whether the missing items were in OneDrive, on a BitLocker-encrypted drive, outside the selected folders, or part of an application library. Windows PC-to-PC transfer excludes OneDrive files, installed applications, saved passwords, BitLocker-encrypted drives and system files. Retrieve those items from OneDrive, unlock and copy the encrypted drive, or use an external-drive copy.

OneDrive shows empty or outdated folders

  • Verify that the new PC uses the same Microsoft account as the old PC.
  • Open OneDrive on the web to determine whether the files ever finished uploading.
  • Resolve sync errors before deleting local copies.
  • Check whether files are online-only and download them when offline access is required.

An application opens but cannot find its projects

Use the application’s own Open, Import or Library-location command to point it to the migrated folder. Some programs store a catalog database separately from the media files; copying only the media will not reproduce the catalog. If the vendor documents an export/import process, use it rather than manually editing configuration files.

Migration Assistant appears to stop

Large transfers can take hours and may appear to pause. Keep both Macs powered and wait before interrupting. If the process genuinely fails, note which category was being transferred, restart both Macs, retry with fewer categories, or use a separately verified external-drive copy.

Which route should you choose?

  • Choose Windows Backup PC-to-PC when both machines are Windows, the destination is Windows 11 version 2024 or later, and you want guided folder selection during setup.
  • Choose OneDrive when your files fit the available cloud quota, you have a reliable internet connection and you want access from more than one device. Verify the online copy before retiring the old PC.
  • Choose an external SSD or USB drive when privacy, speed independent of internet service or a reusable verification copy matters. It is also the fallback for mixed-platform transfers.
  • Choose Mac Migration Assistant for Mac-to-Mac moves when you want to select accounts, applications and settings together.
  • Choose Windows Migration Assistant for Windows-to-Mac moves, while budgeting time to reinstall Mac applications and test compatibility.

Frequently Asked Questions

Can I transfer files without moving the entire old user account?

Yes. Use Windows Backup’s folder selection, copy only chosen folders to external storage, or select individual categories in Migration Assistant. This is useful when the new laptop has less storage or the old account contains obsolete data.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Do saved passwords move automatically?

Not reliably. Windows PC-to-PC transfer excludes saved passwords. Use the password manager or browser’s supported sync or export process, and protect any export file until it has been imported and deleted.

Should I erase the old laptop immediately after a successful transfer?

No. Keep it and the migration backup until you have opened representative files, tested applications, checked mail and confirmed cloud synchronization. Then perform a secure erase before disposal or resale.

What if my old laptop will not start?

A normal software transfer cannot run without access to the source data. Remove the storage only if you understand the hardware and encryption implications, or use a qualified repair or data-recovery service. Do not discard the machine until you have confirmed that no needed data remains elsewhere.
