How to set default sensitivity labels for Copilot-created audio files

By Freedom251 Team · · 12 min read

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

There is no documented Microsoft 365 administrator switch that assigns one default sensitivity label to every Copilot-created audio overview saved to OneDrive. The supported location-based method is a default sensitivity label on a specific SharePoint document library, and it works only when the generated file is actually stored in that library. Copilot audio saved to OneDrive, MP4 labeling, Teams meeting artifacts, and Copilot’s documented source-label inheritance are separate cases.

To configure the right control, first identify which Copilot audio experience created the file, where the saved artifact landed, and what file type it has. Then apply the SharePoint library procedure only when those facts match its scope.

What Microsoft currently supports

Microsoft documents several audio-overview experiences, but they do not share one documented labeling policy. Copilot Notebooks can create an audio overview in the Microsoft Copilot app or OneNote and offer a Save to OneDrive action. Copilot in SharePoint can create audio overviews for supported documents and News posts; its document experience also offers Save Audio Overview to OneDrive.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The official audio-overview documentation does not establish that every saved result is placed in a particular SharePoint library, nor does it identify a uniform file format for all generated audio. That matters because a SharePoint library default is location-based. It cannot be presumed to govern an item saved to OneDrive.

Microsoft’s documented controls break down as follows:

Scenario What the control covers Administrator control Important boundary
SharePoint library default New or edited eligible files in one configured SharePoint document library Library settings, configured by a SharePoint site admin Not retroactive; applies only if the audio file is in that library
MP4 sensitivity-label support MP4 files in SharePoint and OneDrive Set-SPOTenant -EnableSensitivityLabelForVideoFiles $true Microsoft says this feature does not label MP4 files automatically or by default
Teams meeting artifact inheritance Saved meeting recordings, transcripts and meeting notes Meeting label policy’s Apply meeting label to artifacts, plus MP4 support A later meeting-label change does not update an existing artifact automatically
Copilot source-label inheritance New content created in Copilot Word, PowerPoint and Outlook from labeled sources Inherited-label behavior from source items The cited documentation does not name audio overviews

Consequently, do not create or advertise a PowerShell command specifically for “Copilot audio defaults.” The documented SharePoint library setting is the closest supported default, but only for the location and file lifecycle it covers.

First identify the Copilot audio product and destination

Copilot Notebooks

In the Microsoft Copilot app or OneNote, a Copilot Notebook can generate an audio overview from its references. At least one reference file is required. The player provides Save to OneDrive.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Microsoft Support states that a Microsoft Copilot license is required to use Copilot Notebooks and an active SharePoint or OneDrive license is required to create notebooks. Although Notebooks are also available to Microsoft 365 Personal, Family and Premium subscribers, the audio-overview feature is currently described as available only to commercial Microsoft 365 users with work or school Entra ID accounts.

The currently listed Notebook audio-overview languages are English, Spanish, Japanese, French, German, Portuguese, Italian and Chinese. These are feature language choices, not labeling rules. A language selection does not determine a sensitivity label, encryption setting or storage location.

Copilot in SharePoint

SharePoint’s document audio-overview flow supports PDFs, Word documents and Teams meeting recordings. A separate experience creates audio overviews for SharePoint News posts. The document flow requires an English source file containing at least 200 words, and generation may take a few minutes. Saving is limited when the source file is encrypted.

After saving, inspect the item in OneDrive or SharePoint rather than assuming its destination. Record the exact site, library, folder and file extension. Those details determine whether a library default can apply and whether MP4-specific behavior is relevant.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Do not infer the destination from the page where the overview was generated. A SharePoint page can offer a OneDrive save action, while a user may later move or copy the result. A copied item may enter a different library with a different default, or remain in OneDrive where the library procedure does not apply. Capture the path immediately after saving and again after any move.

Configure a default label on a SharePoint document library

Use this procedure only after confirming that the audio artifact is stored in the SharePoint library you intend to govern.

Complete the prerequisites

  • Create and publish a sensitivity label with the Files & other data assets scope for the users who will create or edit the files.
  • Enable sensitivity-label support for Office files in SharePoint and OneDrive through Microsoft Purview or SharePoint Online PowerShell. In a Multi-Geo tenant, configure each geo separately.
  • Use a library without SharePoint Information Rights Management (IRM). The library-default option is unavailable when IRM is enabled.
  • Review the label’s encryption settings. User-defined permissions, expiring access and Double Key Encryption configurations are not suitable for this library-default scenario.
  • Ensure the generated item contains content. An empty file is labeled after content is added.
  • Confirm that the people creating or editing the files are included in the label’s published policy. A label that exists in Purview but is not published to those users is not a usable library default for them.

Set the library label

  1. Open the target SharePoint document library.
  2. Open Library settings.
  3. Find the sensitivity-label setting for the document library.
  4. Select the published label intended as the library’s default and save the setting.
  5. Do not select Extend protection on download, copy, or move for this default-library procedure. Microsoft documents that option as a separate scenario that is currently in preview.

The default applies to new and edited eligible files. In Office for the web, it can apply without delay when a file is created or edited. Uploads can take a few minutes. When a file is created in a Microsoft 365 desktop app and saved to SharePoint, the label is applied after the app closes.

Those timing differences are important when validating the result. A user may see an unlabeled item briefly after an upload, while an Office desktop file may not show the label until the application closes and the service processes the save. Record when the file was created, uploaded or edited before declaring the default unsuccessful.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Understand what “default” does not mean

The setting is not retroactive. Files already in the library can remain unlabeled after you configure the default. Existing manually applied labels are not replaced.

If existing files at rest must receive the library label, Microsoft points administrators to a separate service-side auto-labeling policy for eligible existing files. That follow-up process is distinct from configuring the library default. Plan it separately, because changing the library setting alone will not sweep through historical content.

Check label precedence before testing

Label priority determines how the library default interacts with other labeling methods:

  • A manually applied label is not overridden, regardless of its priority.
  • An automatically applied lower-priority label can be replaced by the library default.
  • An automatically applied higher-priority label remains.
  • A lower-priority default label from a policy can be replaced by the library default.
  • A higher-priority policy default remains.

For a reliable test, use a newly generated or newly uploaded file with no manual label, then test a file that already has a manually applied label. This shows whether the setting is active without confusing precedence behavior with a failed configuration.

Use a controlled matrix when several policies are present: one new file with no label, one file manually labeled before upload, one file that receives an automatic lower-priority label, and one file subject to a higher-priority policy. Compare the final label and the recorded label source. A result that differs across the four cases can be correct precedence behavior rather than inconsistent service operation.

Why OneDrive saves need separate treatment

The SharePoint procedure is explicitly for a document library. A Copilot audio overview saved to OneDrive is not automatically covered merely because the user has a Microsoft 365 account or because OneDrive and SharePoint sensitivity-label integration is enabled.

Microsoft’s general Purview documentation describes default-label policies and other automatic labeling features, but the cited audio-overview documentation does not establish which policy feature, if any, automatically labels every Copilot-generated audio file in OneDrive. Do not promise a tenant-wide OneDrive default until you have verified the behavior for the exact Copilot surface, account type and resulting file.

A practical OneDrive validation

  1. Create one audio overview in the relevant Copilot product.
  2. Use its Save to OneDrive command.
  3. Open the saved item’s details and record its path, extension and current sensitivity label.
  4. Repeat with a newly created test item after any policy or library change.
  5. Check the item from both the user interface and the compliance or labeling view available to your administrators.
  6. Document whether the label was inherited, applied by policy, applied manually or left blank. Treat that observation as tenant-specific behavior, not as a documented universal rule.

Run this validation separately for Copilot Notebook audio and Copilot in SharePoint audio. The products, user licensing and save flows differ, so a result in one surface does not establish a result in the other. Also test a move from OneDrive into the target SharePoint library if that is part of the business process; the item’s behavior after the move may differ from its behavior at creation.

MP4 support is not a default-label switch

Microsoft documents a separate SharePoint Online tenant setting for MP4 files:

Set-SPOTenant -EnableSensitivityLabelForVideoFiles $true

In a Multi-Geo tenant, connect to each geo and run the command separately. This setting enables MP4 sensitivity-label support in SharePoint and OneDrive. Microsoft says MP4 files can be labeled manually, but cannot be labeled automatically or by default through this MP4 feature.

MP4 files may automatically inherit a sensitivity label from a Teams meeting. If an MP4 has a label that applies encryption, it cannot be downloaded, although labeled MP4 files support playback in SharePoint, Teams and Clipchamp.

The reviewed audio-overview help pages do not establish that Copilot-generated audio overviews are MP4. Therefore, do not turn on MP4 support and describe it as a default-label solution for all Copilot audio. First confirm the saved file’s extension and the workflow that created it.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Enabling the setting also does not convert a non-MP4 audio file into an MP4 or add a label by itself. It addresses the tenant’s ability to work with sensitivity labels on MP4 content. The file still needs a supported labeling path, and encryption can change download behavior even when playback remains available.

Teams meeting recordings and notes follow their own rule

A Teams meeting sensitivity label can be applied automatically to saved recordings and transcripts (.mp4) and meeting notes (.loop) when the meeting-label policy’s Apply meeting label to artifacts setting is enabled. MP4 label support is required for the recording and transcript path.

This inheritance belongs to the labeled Teams meeting. If the meeting label changes later, the label inherited by an existing artifact does not change automatically. A Copilot audio overview generated from a meeting is not thereby proven to inherit the meeting label; verify the resulting artifact separately.

Meeting artifacts and Copilot audio can coexist in one workflow without sharing the same label event. For example, the Teams recording may inherit the meeting label while an audio overview saved through a Copilot surface is created as a separate file with an independent labeling result. Audit each artifact, not just the meeting record.

Do not generalize Copilot source-label inheritance

Microsoft Purview documents inheritance when Copilot in Word, PowerPoint or Outlook creates new content from labeled source files. When multiple sources are used, the highest-priority source label is inherited.

That documentation does not name Copilot Notebook audio overviews or Copilot in SharePoint generated audio. Source documents having labels is therefore not enough to claim that a saved audio overview will receive one. Until Microsoft documents that output type, or your controlled tenant test confirms it, treat source-label inheritance as limited to the named Copilot apps.

This distinction matters in communications and policy design. Do not tell users that labeling every notebook reference file guarantees a labeled audio output. Explain that the documented inheritance rule names Word, PowerPoint and Outlook, while audio-overview outputs require their own location and artifact validation.

Administrator troubleshooting checklist

The label option is missing from Library settings

  • Confirm you are a SharePoint site administrator for the target library.
  • Check that the library does not have SharePoint IRM enabled.
  • Verify that sensitivity-label support for Office files in SharePoint and OneDrive is enabled.
  • Confirm that the label is published and includes the Files & other data assets scope.
  • In a Multi-Geo tenant, verify the configuration in the geo that hosts the library.
  • Check that you are configuring a document library, not a personal OneDrive location or another SharePoint list.

The new audio file remains unlabeled

  • Confirm the file is in the configured SharePoint library, not only in a user’s OneDrive.
  • Wait for upload processing; Microsoft notes that uploads can take a few minutes.
  • Add content if the file was initially empty.
  • Check whether a higher-priority policy or a manually applied label controls the result.
  • Verify that the file was created or edited after the library default was configured.
  • Confirm the label is available to the account that created or edited the file.
  • Check the extension before troubleshooting MP4 behavior.

An existing file did not change

This is expected for a library default. It is not retroactive, and manually applied labels are not overwritten. Use a separate service-side auto-labeling policy when eligible existing files must be processed.

An encrypted audio file cannot be downloaded

Check whether the file is an MP4 with a sensitivity label that applies encryption. Microsoft documents that encrypted labeled MP4 files cannot be downloaded, even though playback in SharePoint, Teams and Clipchamp is supported.

The source document is encrypted or the overview will not save

For Copilot in SharePoint’s document audio-overview flow, saving is limited when the source file is encrypted. Confirm the source protection and test with an eligible, non-encrypted document that meets the documented English-language and 200-word requirement.

The test worked in one Copilot surface but not another

Repeat the test with the same account, destination type and file inspection steps. Copilot Notebook and SharePoint document overviews are separate experiences, and Microsoft does not document a single labeling contract for both. A difference is a reason to document the workflow, not to extend the successful result to every Copilot audio file.

Recommended decision path

  1. Identify the product: Copilot Notebook, Copilot in SharePoint document overview, SharePoint News overview or a Teams meeting workflow.
  2. Inspect the artifact: determine whether it is in a SharePoint library or OneDrive and record its file extension.
  3. Match the control: use a library default only for a configured SharePoint library; use MP4 support only for MP4 labeling capability; use meeting-artifact inheritance only for labeled Teams meetings.
  4. Test precedence: compare a new unlabeled item with items carrying manual or policy labels.
  5. Test timing: allow for upload processing and, for desktop Office saves, close the application before checking.
  6. Document the result: record the tenant, geo, Copilot surface, destination, extension, label source and timing so users are not given a broader promise than the tested workflow supports.

The defensible administrative answer today is therefore conditional: configure a default label on the SharePoint library when the Copilot audio artifact is actually stored there. For audio saved to OneDrive, Microsoft’s cited documentation does not establish a dedicated default-label setting. MP4 support, Teams inheritance and source-label inheritance address different workflows and should not be substituted for that missing OneDrive-specific guarantee.

Frequently Asked Questions

Can I set one tenant-wide default sensitivity label for all Copilot audio overviews?

Microsoft does not document a dedicated tenant switch that labels every Copilot-created audio overview saved to OneDrive. The supported default is configured per SharePoint document library and applies only to eligible files in that library.

Will a SharePoint library default label an audio overview saved to OneDrive?

Not automatically. Confirm the item’s actual path. A library default is location-based and does not govern a personal OneDrive item merely because SharePoint and OneDrive label integration is enabled.

Does EnableSensitivityLabelForVideoFiles assign a default label to Copilot audio?

No. The setting enables sensitivity-label support for MP4 files. Microsoft says MP4 files can be labeled manually but cannot be labeled automatically or by default through that MP4 feature.

Do labels on Copilot Notebook reference files transfer to the generated audio?

Microsoft’s documented Copilot inheritance rule names Word, PowerPoint and Outlook content creation, not Copilot Notebook or SharePoint audio overviews. Test the exact workflow rather than promising inheritance.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Why did an existing file remain unlabeled after I configured the library?

The library default is not retroactive. Existing manual labels are not overwritten. Use a separate service-side auto-labeling policy when eligible files already at rest must be processed.

Why can an MP4 play but not download?

Microsoft documents that an MP4 with a sensitivity label that applies encryption cannot be downloaded, although labeled MP4 playback is supported in SharePoint, Teams and Clipchamp.

The Bottom Line

Use a SharePoint library default only when the Copilot audio file is actually stored in that configured library. There is no documented universal OneDrive default for Copilot-created audio overviews. Verify the Copilot surface, destination, extension, timing and label precedence in your tenant; treat MP4 support, Teams artifact inheritance and source-label inheritance as separate controls.
