When a boss adds another assignment, do not frame the response as a simple refusal. Make your existing commitments visible and ask the manager to decide what should move. A useful boundary is: “I can take this on. Which current priority should I pause or move, and what deadline should I reset?”
That question turns an unlimited to-do list into a management decision about priority, timing, scope or resources. Prepare a short workload list, describe the conflict in concrete terms, agree the trade-off, and record the decision. If raising the issue with your manager feels unsafe or the pattern continues, use another workplace support route.

What a work boundary is—and what it is not
A boundary at work is a clear statement about what you can complete within agreed hours and what decision is needed when new work conflicts with existing commitments. It is not a promise to work faster indefinitely, a demand that every task be rejected, or a substitute for staffing and prioritisation decisions by management.

The UK Health and Safety Executive (HSE) places workload, work patterns and the working environment in its “demands” area. Its Management Standards say demands should be adequate and achievable in relation to agreed hours. Acas identifies too many or conflicting demands, combined with little control over work, as possible causes of work-related stress.

Boundaries are therefore most effective when they expose a trade-off:
- Which deliverable is most important?
- What should be paused, reassigned or reduced?
- Which deadline can move?
- What support, training or additional capacity is available?
You are asking the person who controls priorities to resolve the conflict, rather than silently accepting an impossible combination.
Prepare before you raise the issue
A calm conversation is easier when you can show the work rather than describe a general feeling of being busy. Preparation does not need to be elaborate. A one-page list is usually enough.

Record each significant task, its deliverable, due date, estimated remaining effort and any dependency. Include recurring work such as customer support, meetings, approvals or maintenance that consumes working time. Use the hours you actually have under your agreed schedule, not an assumption that evenings or weekends are automatically available.
| Record | What to include |
|---|---|
| Task or deliverable | A specific outcome, not a vague project name |
| Deadline | The committed date and whether it is fixed or negotiable |
| Remaining effort | A realistic estimate, including review, coordination and interruptions |
| Dependencies | People, data, approvals or systems you need |
| Consequence of delay | What customer, compliance, revenue or team impact follows |
| Current status | Not started, in progress, blocked or ready for review |
Mark the collision
Add the new request to the same list. Identify exactly what it displaces. “I have too much work” is difficult to act on; “The new analysis needs two days, which overlaps with the report due Friday” gives your manager a decision to make.
Keep a neutral assignment log
For repeated additions, note the date a task was assigned, the requested deadline, the time-sensitive work already in progress and any trade-off discussed. Keep the wording factual. This record is preparation for an accurate workload conversation, not a threat or a legal-evidence exercise.

HSE warns that workload can “drift” as activities are gradually added. Reassessing work when tasks, systems, roles or responsibilities change helps prevent an old job description from quietly becoming several jobs.

Respond promptly, before accepting a deadline you cannot meet. Use a neutral description of the conflict, then ask for a choice.
The core script
“I can take this on. I’m currently committed to A by Tuesday and B by Friday. Which priority should I pause or move, and what deadline should I reset?”
Adapt the wording to your workplace, but keep the structure:
- Name the new request and confirm what you understand the deliverable to be.
- State the existing commitment it affects and the realistic capacity or deadline conflict.
- Ask the manager to choose the priority and the trade-off.
- Confirm the revised scope, owner or date.
If the priority is unclear
Ask, “Which outcome matters most if we cannot complete all three this week?” You can also ask what “done” means, whether a first phase is sufficient, or which quality checks are essential. Clarifying scope may solve the conflict without extending hours.
If the deadline is the problem
Say, “With the current commitments, I can deliver this on Thursday rather than Tuesday. Is Thursday acceptable, or should another task move?” Give a realistic date based on your available hours and dependencies.

If another person could take it
Ask, “Would you like this reassigned, or should I hand over one of my existing tasks so I can do it?” Do not promise a colleague’s capacity; ask the manager to confirm ownership.
If you receive an instruction in writing
Reply in the same channel with the trade-off: “I’ve noted the new request. It overlaps with X due on Wednesday. Please confirm whether X moves to Friday or whether the new request should be assigned elsewhere.” This creates a shared record without sounding accusatory.
Hold a structured workload conversation
If additions are becoming a pattern, request a dedicated meeting rather than negotiating every task in isolation. Acas recommends a supportive conversation that uses open questions, listening, identification of causes, collaborative solutions and an action plan.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problems- Open with the purpose. Say that you want to agree realistic priorities and deadlines, not complain about being busy.
- Show the current workload. Use your task list, including recurring duties and fixed deadlines.
- Describe the pattern. Give a few dated examples of new assignments and the work they displaced. Avoid labels such as “you always” or assumptions about intent.
- Ask workload questions. HSE’s prompts include: Does the workload feel achievable? Are the priorities and deadlines realistic? Do conflicting priorities occur? What support or improvements would help?
- Resolve each conflict. For every collision, agree a priority, revised date, reduced scope, reassignment or additional support.
- Set a review date. Acas advises an action plan that records the problem, proposed solution, actions, dates and review date. Put the follow-up on the calendar.
Listen for constraints you cannot see, such as a regulatory deadline or another team’s dependency. Listening does not require accepting every request; it helps you negotiate the actual constraint instead of arguing about whose work is more important.
Turn the decision into a workable plan
After the meeting, send a short confirmation if that fits normal practice in your workplace. Include:
- the priority order agreed;
- the task that is paused, reassigned or reduced;
- new deadlines and who owns each action;
- any support, training, approval or resource required;
- the date for reviewing whether the arrangement is working.
Use plain language: “We agreed that the client report remains first priority, the dashboard moves to 18 June, and Sam will provide the data by Wednesday. We will review the workload on 25 June.” Invite correction if your understanding is wrong. The purpose is shared clarity, not creating a gotcha document.

Prevent repeated workload drift
A single trade-off conversation will not fix a process that continually adds work. Build a small control point into the way assignments are made.
Use a priority check for every new request
Ask where the request sits relative to current priorities before beginning it. If your team uses a ticketing, project or planning system, add the agreed priority and due date there. A tool can make work visible, but it cannot decide competing priorities; that remains a management decision.
Schedule regular capacity reviews
For a team with frequent changes, propose a brief weekly or fortnightly review of commitments, deadlines and blockers. Revisit the list when a new system, customer, process or responsibility is introduced. HSE specifically recommends reassessing workload when work changes.
Clarify role boundaries
Ask which activities are core, occasional or outside the role. Clear roles and priorities help staff focus on key activities. If “temporary” work has become routine, raise the change in responsibilities explicitly rather than continuing to absorb it silently.
Choose the adjustment that actually solves the conflict
Different problems require different decisions. Use the option that addresses the bottleneck rather than merely recording more tasks.

| Problem | Possible decision | Question to ask |
|---|---|---|
| Two fixed deadlines overlap | Set a priority and move one date | “Which deadline is fixed, and what date should replace the other?” |
| The new task is urgent but short | Pause a lower-priority task temporarily | “What should I stop until this urgent item is complete?” |
| The scope is too broad | Deliver a smaller first phase | “What is the minimum useful version for this deadline?” |
| Work requires unavailable expertise or access | Reassign, add support or provide training | “Who can supply the missing input, and by when?” |
| The volume has permanently increased | Review responsibilities, staffing or ongoing priorities | “Which recurring duties should be removed or formally added to the role?” |
| You are experiencing stress or reduced capacity | Discuss support or workplace adjustments | “What temporary or ongoing adjustment would make the workload achievable?” |
If you do not feel safe speaking to your manager
HSE advises workers who feel signs of work-related stress to talk to someone. If the line manager is the source of the pressure, possible alternatives include a trade union or worker representative, HR, an employee assistance or counselling service, a trained workplace first aider, or a GP. Acas also lists another line manager, a trusted colleague, a mental health champion or an employee support network where available.
Best Value
Use the route that matches your workplace and circumstances. If the conduct involves bullying, retaliation, discrimination or threats, follow the relevant workplace policy and seek advice from an appropriate local employment adviser or union. The general workload approach cannot determine the legal position in an individual case, and employment rules differ by jurisdiction.
Stress, health and reasonable adjustments
HSE defines work-related stress as “the adverse reaction people have to excessive pressures or other types of demand placed on them.” Treat persistent sleep problems, anxiety, exhaustion, difficulty concentrating or other health changes as reasons to seek support, not as proof that you have failed to manage time.
HSE says employers must assess work-related risks and act to protect workers. Acas says that where someone is disabled, the employer must make reasonable adjustments. It also recommends discussing adjustments that may help someone experiencing stress even when they are not disabled. Examples include flexible hours, different responsibilities, breaks, workload prioritisation or training. The appropriate adjustment depends on the person, job and local law; agree it with the relevant workplace contact and obtain individual advice where necessary.
A historical UK figure reported by Acas on 1 April 2022 recorded 822,000 workers experiencing work-related stress, depression or anxiety in 2020–21. That is a past UK statistic, not a current estimate, and should not be used to measure your own situation.
Common boundary-setting mistakes
- Only saying “I’m overwhelmed.” Replace a general statement with tasks, dates and the specific conflict.
- Accepting first and negotiating later. Ask for the trade-off before confirming the new deadline.
- Offering overtime as the default solution. State what fits within agreed hours and ask what management decision is needed.
- Listing every frustration at once. Start with the highest-impact collisions and the decisions required.
- Keeping the decision verbal when details matter. Send a concise confirmation in the normal workplace channel.
- Using the log as ammunition. Keep it factual and use it to improve planning, not to score points.
- Trying to solve a staffing problem alone. A planner can show capacity; only management can change priorities, resources or role expectations.
Worked example
Suppose you are preparing a regulatory report due Wednesday, supporting a customer launch on Thursday and handling routine tickets. On Monday your manager adds a presentation for Tuesday afternoon.
A weak response is, “I’ll try to fit it in,” followed by late work and missed deadlines. A boundary-setting response is: “The presentation will take about six hours including review. I have the regulatory report due Wednesday and the launch support on Thursday. Which of those should move, or should the presentation be a shorter five-slide version by Tuesday with the full deck later?”
The manager may choose the shorter scope, move the report review, reassign part of the launch support or provide another person. You then confirm the choice and the new dates. If similar requests arrive each week, bring the assignment log to a workload review and discuss the recurring capacity gap.
Quick checklist
- Have I listed current tasks, realistic effort and committed dates?
- Can I identify exactly what the new request would displace?
- Have I asked which priority should win?
- Have we agreed a changed deadline, scope, owner or resource?
- Did I record the decision and review date?
- Is the pattern showing workload drift or a change in my role?
- Do I need a union, HR, employee-support, health or local employment-advice route?
Bottom line
Set the boundary by making the conflict visible and returning the priority decision to the person responsible for it. Calm facts, a specific trade-off and a recorded agreement protect delivery better than either silent overwork or a vague refusal. When the additions continue, treat that as a workload and role-clarity problem requiring management support, not as a personal productivity failure.
