To keep new material out of an AI provider’s model-training pipeline, change that service’s training or model-improvement setting before you submit the material. The switch normally affects future prompts, uploads, voice interactions, or coding sessions; it does not automatically erase earlier chats or stop every form of processing. Feedback can create an exception, and work or school accounts may be governed by an administrator rather than your personal preference.
This guide covers personal accounts for ChatGPT, Claude, Gemini Apps and Microsoft Copilot. Interfaces and policies can change by account, region, app version and administrator configuration, so confirm the label you see immediately before uploading sensitive research.

What a training control actually changes
A training opt-out is one data-use choice, not a promise of complete confidentiality. Providers still need to process prompts to generate replies, operate safety systems, prevent abuse and maintain the service. Some content may also be retained for a period specified by the provider. Read the switch as “do not use eligible future content to improve or train models,” not as “this content is never seen, stored or processed.”
The Tool Desk
Outbyte PC Repair FREEClear out junk files and repair common Windows errorsFree Scan →Outbyte Driver Updater FREEFix the driver behind crashes, sound loss and screen glitchesFind Drivers →- Future direction: Most controls apply to conversations or sessions created after you opt out. Changing a setting generally does not retroactively remove material already handled under the previous setting.
- History and deletion: A training switch is separate from deleting chats, clearing activity or changing retention. ChatGPT, for example, says opting out does not require deleting your existing chat history.
- Feedback: A thumbs-up, thumbs-down or similar report can attach the conversation to a model-improvement review even after you opted out, depending on the provider’s terms.
- Account authority: Personal settings may not apply to business, school or organization-managed deployments. An administrator’s contract and controls can take precedence.
- Scope: Text prompts, file uploads, voice conversations, coding sessions and connected-app context may have separate treatment.
Because these controls are policy and interface features rather than technical encryption, do not submit confidential source documents, personal identifiers or legally restricted material unless your organization has approved the specific service and account.

Do this before submitting sensitive research
- Sign in to the exact account and app you will use. A personal web account and a work-managed account can expose different controls.
- Open the provider’s privacy, data-control or activity page and locate the training or model-improvement switch.
- Turn the switch off, save if required, and capture the resulting state or confirmation for your records.
- Check separate controls for voice, live video, screensharing, coding sessions or connected applications.
- Start a new conversation after opting out. Treat older conversations as having the settings that applied when they were created.
- Do not submit feedback on a conversation you want excluded when the provider says feedback may return that conversation to improvement workflows.
- When changing browser, phone, account or organization, repeat the check. Settings can be account-level, app-specific or administrator-controlled.
ChatGPT: turn off “Improve the model for everyone”
For a personal Free, Plus or Pro account, use the account-level control in ChatGPT:
- Open ChatGPT and select Settings.
- Open Data Controls.
- Turn off Improve the model for everyone.
- Confirm that the switch remains off, then begin a new conversation before submitting your material.
OpenAI’s Data Controls FAQ says new conversations and tasks after opting out are not used to train OpenAI models. The account-level change does not require deleting existing chat history, so it should not be confused with a deletion request.
The feedback exception
OpenAI separately explains in its model-improvement data guidance that when a personal Free, Plus or Pro user submits feedback on a response, such as a thumbs-up or thumbs-down, the conversation associated with that feedback may be used to improve models even after the user has opted out. Avoid feedback on a conversation containing material you are trying to exclude.

What the switch does not establish
The setting addresses model training, not every form of processing, retention, safety review or service operation. Do not describe it as a guarantee that no person or automated system can access content. Business and school workspaces can have different terms and administrative controls; use the approved organizational account and ask its administrator which policy applies.
Claude: disable Model Improvement or use Incognito chats
Anthropic provides a privacy setting for consumer Claude accounts. The exact placement and wording can change, so open Claude’s current privacy settings and look for Model Improvement or equivalent data-use controls.

- Sign in to your consumer Claude account.
- Open the account or profile menu and enter Privacy settings.
- Turn Model Improvement off.
- Verify the saved state before starting a new chat or coding session.
Anthropic’s model-improvement settings instructions say that turning off Model Improvement means new chats and coding sessions are not used for future model training. The related training-use FAQ describes the consumer-account policy and should be checked if the label in your interface differs.
Incognito as a separate choice
Anthropic says Incognito chats are not used to improve Claude even when the main Model Improvement setting is enabled. Incognito is therefore an additional session-level option, not evidence that your account-wide setting is off. Confirm which mode you are using before pasting material, and do not assume that an Incognito session has the same retention or organizational terms as a managed business deployment.

Consumer versus managed accounts
The instructions above concern consumer accounts. Team, enterprise, education or other managed arrangements can have different contractual terms and administrator controls. If an organization supplied the account, follow its approved workflow instead of relying on a personal privacy toggle.
Gemini Apps: switch off Keep Activity
For a personal Google account using Gemini Apps, Google directs users to Gemini Apps Activity in the Google Account. The relevant control is Keep Activity.
- Open your Google Account and go to Gemini Apps Activity.
- Turn Keep Activity off.
- Read the confirmation and verify that the status shows the setting is disabled.
- Start a new Gemini conversation only after the change is active.
Google’s Gemini Apps Privacy Hub says turning Keep Activity off stops future chats from appearing in Activity and from being used to train Google’s AI models, unless you submit feedback. This setting is separate from other Google services and account settings.

The 72-hour retention limit
Turning Keep Activity off does not mean immediate deletion. Google says those chats are retained with the account for 72 hours so it can provide the service, process feedback and protect Google, users and the public. That is a stated Gemini Apps period, not a general rule for every AI provider.
What happens when Keep Activity is on
With Keep Activity enabled, saved chats and shared files may be used to improve services, including training models. Google also says that activity reviewed by service providers is disconnected from the account and retained for three years. These periods and uses apply to the circumstances described in the Privacy Hub; they should not be generalized to other products or settings.
Connected Google content is more nuanced
Google says Gemini does not train generative models directly on an entire Gmail inbox, Drive, Contacts, Calendar or Photos library. However, summaries, excerpts, generated media and inferences from relevant connected content can help answer a prompt and can be used to train models when activity settings permit. Turning off Keep Activity also does not control processing performed by all other Google services.
Separate audio and live controls
Audio and Gemini Live video or screenshare improvement settings are distinct from Keep Activity. Review those controls separately if your submission includes voice, camera or screen content. Some connected apps may become unavailable when Keep Activity is off, so check the effect before relying on an integration.
Microsoft Copilot: check both conversation and voice training controls
Microsoft documents two relevant controls for individual Copilot accounts: Training on conversation activity and Training on voice conversations. The path and available switches can differ across web, mobile, desktop and app versions.

- Verify the actual switch state in the version you are using, then start a new conversation.
Use Microsoft’s Copilot privacy controls page for the current interface. Microsoft notes that opting out of training can leave personalization enabled, so a training opt-out is not necessarily an opt-out from every personalized feature.
Do not apply individual-account instructions to Microsoft 365 automatically
These controls are for individual Copilot use. Microsoft 365 Copilot, work or school accounts and organization-managed deployments can operate under different terms and administrator policies. Confirm the applicable organizational documentation before sending company, student or client research.
How the four services differ
| Service and account | Primary control | Future-use effect | Retention or processing limits stated by the provider | Important exception or authority |
|---|---|---|---|---|
| ChatGPT personal Free, Plus or Pro | Settings → Data Controls → Improve the model for everyone | New conversations and tasks after opting out are not used to train OpenAI models. | Training opt-out does not itself delete chat history or prevent all processing. | Feedback on a response may make the associated conversation eligible for model improvement; managed accounts can differ. |
| Claude consumer | Privacy settings → Model Improvement off | New chats and coding sessions are not used for future model training. | Specific retention period not stated in the cited setting instructions. | Incognito chats are not used to improve Claude even if Model Improvement is enabled; managed accounts may differ. |
| Gemini Apps personal Google account | Google Account → Gemini Apps Activity → Keep Activity off | Future chats do not appear in Activity or train Google’s AI models unless feedback is submitted. | Chats remain with the account for 72 hours when Keep Activity is off; activity reviewed by service providers is disconnected and retained for three years when the stated conditions apply. | Connected-app, audio and Live controls are separate; some integrations may be unavailable; other Google services have their own processing. |
| Microsoft Copilot individual account | Profile → Privacy; check Training on conversation activity and Training on voice conversations | Depends on the switches available in your current app or device version. | Specific retention period not stated on the cited control page. | Personalization may remain on; Microsoft 365 and organization-managed accounts are not covered by these individual instructions. |
The useful comparison is not which provider has a toggle. Evaluate scope (prompts, uploads, voice and connected context), time direction (future content versus prior chats), retention, human or safety handling, feedback exceptions and who controls the account.

Minimize what you submit
- Remove names, email addresses, unpublished identifiers, access tokens, contract numbers and other direct identifiers.
- Replace a full source document with the smallest excerpt needed for the task.
- Summarize confidential findings locally before asking an AI tool for structure or editing.
- Do not paste material covered by a nondisclosure agreement, legal hold, patient or student privacy rule unless your approved policy explicitly permits it.
Keep the account boundary clear
Use the account your organization approved for organizational research. A personal account with a training switch off may still be the wrong place for client or employer data. Ask the administrator whether the deployment has contractual no-training terms, retention limits, human-review rules and logging requirements.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problemsRecheck after every change
Switching accounts, reinstalling an app, using a different device or joining a workspace can expose a different control set. Before each sensitive submission, open the live settings page, confirm the relevant text and note the date. If a setting is missing, assume you do not have authority to change it and use the approved alternative.

Troubleshooting when a privacy switch is missing or ineffective
The menu label is different
Interfaces change. Search the provider’s current help page for the stable concept—data controls, model improvement, training on conversation activity or Gemini Apps Activity—rather than relying on an old screenshot. Check that you are signed into the intended account and app version.
The switch is off but a feature still works
A training opt-out can leave personalization, service operation, safety processing or connected-app functionality active. Review the provider’s explanation of each separate control instead of treating continued personalization as proof that the opt-out failed.
You already submitted the material
Turn the setting off immediately for future content, then follow the provider’s available deletion or account-support process if you need action on the earlier conversation. Do not assume that changing the switch retroactively changes how the earlier submission was handled.
You submitted feedback by mistake
Because feedback can be an exception for some providers, stop sending further feedback on that conversation and consult the provider’s current privacy or support guidance for any available request. The training toggle alone may not undo feedback-associated handling.
You are using a work or school account
Stop and ask the administrator which policy governs the deployment. Personal-account instructions cannot establish the terms for a managed workspace, Microsoft 365 Copilot tenant or other organization-controlled service.
When to choose a different workflow
If the material is highly confidential, regulated, identifiable or commercially sensitive, the safest choice may be not to upload it to a consumer AI service at all. Use an organization-approved environment with documented retention and training terms, or perform redaction and analysis locally. A visible “training off” switch is useful for reducing future model-improvement use, but it is only one part of a data-governance decision.
For ordinary, non-sensitive research, the practical sequence is straightforward: disable the relevant control, verify it in the account you will use, submit only the minimum necessary content, avoid feedback on that conversation when an exception applies, and recheck settings whenever the account, app or administrator changes.
