In vBulletin, mass email is sent from Admin Control Panel > Users > Send Email to Users. Choose the recipients or user groups, enter the From address, subject and message, set a conservative batch size, test the selection with Test Email Only, then send. For dependable delivery, configure SMTP and the mail queue first, because PHP mail and shared-host limits can cause failures.

What vBulletin’s mass-email tool does
The built-in tool sends one administrator-composed message to multiple registered users. It is intended for announcements, maintenance notices, policy changes and other forum communications. The tool can filter recipients using the criteria available in your installation, including user-group membership. It does not remove the need to configure a functioning mail system: vBulletin still has to hand each message to PHP mail or an SMTP server, and that server must accept and deliver it.

Configure email delivery before selecting recipients
Do this before composing a large message. A correctly configured sender and a controlled queue make it easier to distinguish a recipient-selection mistake from a mail-server problem.
#1 Best Overall
Open Email Options
- Sign in to the vBulletin Admin Control Panel with an account that can change site settings.
- Open Settings > Options > Email Options.
- Enable the email features your forum uses and save the settings.
Choose PHP mail or SMTP
vBulletin can use PHP’s internal mail() function or SMTP. PHP mail is simple when the host has a working local mail transfer agent, but it provides little control over authentication, provider policy and diagnostic detail. SMTP sends through a configured mail server and bypasses PHP’s internal mail function. The vBulletin documentation specifically identifies SMTP as a way to address PHP-mail configuration problems.
For SMTP, enter the values supplied by your mail provider:
- SMTP host: the provider’s server name.
- Port: the port required by that server.
- Username and password: the SMTP account credentials, if authentication is required.
- Secure connection: the TLS, SSL or other security mode required by the provider.
Do not guess these values. A wrong port or encryption mode can make every message fail even when the forum itself is working.
Enable the mail queue for larger lists
In Email Options, enable Use Mailqueue System when a send involves more than a small handful of users. Set Number of Emails to Send Per Batch to control how many messages vBulletin attempts in one batch. vBulletin describes the queue as a way to prevent bottlenecks during large-volume sending.
There is no universal safe batch number. The suitable value depends on your server’s CPU, memory, PHP execution limits, mail-transfer software and the receiving provider’s policy. Start conservatively, observe the server and mail logs, and increase only if batches complete reliably. A queue smooths bursts; it does not override a host’s hourly or daily allowance.

Send a mass email step by step
Once delivery settings are ready, use the dedicated user-email form.
- In the Admin Control Panel, open Users > Send Email to Users.
- Review the available recipient filters. Select the user groups or other criteria that should receive the message. Leave out groups that should not be contacted, such as inactive, unverified or staff-only groups, unless the message is specifically for them.
- Enter the From address. Prefer a valid address on the same domain as the forum when your mail provider permits it. The address should be monitored or configured to handle replies and bounces.
- Enter a specific Subject that tells recipients why the message matters. Avoid misleading urgency or a subject that could be confused with a password-reset or account-security message.
- Write the Message. Include the reason for the email, the relevant date or deadline, the forum URL or action users should take, and a way to contact the forum team.
- Set Email to send at once to a conservative value. Use the limit imposed by your host or SMTP provider as the upper bound, not as a target.
- Choose Test Email Only and run the form before the real send.
- Check the test result and recipient count. Correct filters, sender details or formatting if anything is unexpected.
- Clear Test Email Only, confirm the batch value and click Send.
- Watch the queue and mail logs until the first batches finish. Do not start another copy of the same campaign while the first one is still processing.
Use Test Email Only to prevent an accidental blast
The Test Email Only option is a safety control, not merely a preview. The vBulletin 4.2.5 manual documents it alongside the per-page batch count and the From, Subject and Message fields. Run the test after setting every recipient filter so you verify the actual selection rather than an earlier draft.
Before sending, verify all of the following:
- The displayed recipient groups match the intended audience.
- No test, banned, duplicate or internal accounts are included unintentionally.
- The From address is valid and belongs to a domain your mail system is authorized to use.
- The subject identifies the message without deceptive wording.
- Links, dates, times and support contact details are correct.
- The chosen batch size is within the host or provider’s current policy.
Email only one user group
Group targeting is performed in the recipient criteria on the Send Email to Users page. Select the desired user group and remove any other selected groups or broad criteria. If your installation allows multiple criteria, check whether they are combined as an intersection (users matching all conditions) or a union (users matching any condition); the interface’s wording and resulting count are the authority for that version.
Use the test mode to confirm the count before sending. If the count is larger than expected, inspect secondary filters such as user status, registration date or custom profile fields. Do not “fix” an uncertain selection by sending to everyone and asking the wrong recipients to ignore the message.
How many emails should be sent at once?
Set the batch to the smallest value that completes in a reasonable time without exhausting server resources. The cited vBulletin and hosting guidance does not publish a universal number, and no vBulletin-specific success rate or deliverability benchmark is established. A value that works on a dedicated server may exceed the limits of a shared host.

Use this decision process:
- Find the host’s simultaneous, hourly and daily email limits in its current terms or support documentation.
- Check the SMTP provider’s sending and rate limits for your account and recipient region.
- Start with a low batch value and send a test or very small internal group.
- Inspect queue progress, PHP errors, mail-transfer logs and provider responses.
- Keep the value if batches complete cleanly; lower it if requests time out, the queue stalls or the provider throttles messages.
- For a high-volume announcement, schedule several controlled batches rather than forcing one burst.
Changing the batch value cannot make an account compliant with a provider that prohibits bulk mail. If the intended volume exceeds the host’s policy, obtain written approval, move delivery to an SMTP service that permits that volume under its current terms, or reduce the audience and send in approved stages.
PHP mail versus SMTP
| Consideration | PHP internal mail | SMTP |
|---|---|---|
| How vBulletin hands off mail | Uses the server’s PHP mail function and local mail configuration. | Connects to the configured SMTP host, port and security settings. |
| Authentication | Depends on the hosting server; authentication controls may be limited. | Can use an authenticated account when the provider requires it. |
| Deliverability controls | Mostly controlled by the host’s mail-transfer setup and reputation. | Controlled by the SMTP provider’s authentication, policy and reputation systems. |
| Diagnostics | Failures may appear only in local PHP or mail-transfer logs. | Connection, authentication and provider responses can be inspected in SMTP and provider logs. |
| Sending limits | Subject to the web host’s local and account limits. | Subject to the SMTP provider’s account and rate limits, plus the host’s network rules. |
| When to try it | When the host explicitly supports it and small sends work reliably. | When PHP mail is unreliable, authentication is needed or clearer delivery diagnostics are important. |
Neither method guarantees inbox placement. Authentication, sender-domain alignment, recipient engagement, message content and provider reputation all affect whether a message is accepted or filtered. The vBulletin documentation’s practical recommendation is to try SMTP when PHP mail is not working correctly.
Troubleshoot messages that are not delivered
Separate the problem into three stages: vBulletin selection, server handoff and recipient delivery. A message can pass one stage and fail at the next.
1. Run Email Diagnostics
- Open Admin Control Panel > Maintenance > Diagnostics > Email Diagnostics.
- Run the diagnostic checks available in your version.
- Record any PHP, SMTP or mail-transfer error exactly as shown before changing settings.
This confirms whether the forum can create and hand off a message. It does not prove that every receiving provider will accept it.
2. Check the mailer daemon logs
Review the mail-transfer agent or SMTP provider logs for rejected connections, authentication failures, invalid recipients, rate limiting and DNS or TLS errors. Match the timestamp and recipient with the vBulletin queue entry. If the queue shows completion but the provider reports rejection, fix the provider-side issue rather than repeating the send.
3. Validate the webmaster and From addresses
Confirm that the forum’s webmaster address is valid. The official troubleshooting guidance recommends using an address that belongs to the forum’s domain where possible. A nonexistent or unrelated sender can cause rejection, confuse replies and make bounce handling impossible.
4. Test SMTP when PHP mail is unreliable
Configure the provider’s exact host, port, credentials and secure-connection mode in Email Options, save, and rerun Email Diagnostics. If SMTP succeeds while PHP mail fails, keep SMTP and investigate the host’s local mail configuration only if you need it for another application.
5. Reduce pressure on a constrained host
On shared hosting, lower Email to send at once and use the mail queue. Contact the hosting provider or check its terms for the allowed number of messages sent at once; the limit is a host-policy issue, not a vBulletin setting. If the permitted volume is below your legitimate requirement, use an SMTP provider whose current policy allows the intended traffic.
6. Distinguish acceptance from inbox placement
A successful handoff means the next mail server accepted the message. It does not guarantee that the user’s inbox displays it. Ask a recipient to check spam or quarantine folders and inspect provider response codes before resending. Repeatedly sending the same campaign can worsen throttling and create duplicate messages.

Mass mail is easier to manage when the content and audience are prepared separately from the send operation.
Best Value
- Audience: define the exact user groups and exclusions in writing.
- Purpose: state one action or piece of information per message.
- Timing: account for maintenance windows, regional time zones and the queue’s processing speed.
- Sender: use a monitored, domain-appropriate address.
- Testing: use Test Email Only, then send to a small internal group if available.
- Monitoring: watch queue status, server logs and provider responses during the first batches.
- Records: retain the subject, audience criteria, send time and error information so support staff can answer delivery questions.
Use the forum’s normal account and privacy rules when deciding who should receive an announcement. A user’s registration in a group does not automatically answer every legal or consent question that may apply to your jurisdiction or message type; follow your organization’s policy and applicable law.
Version-specific cautions
The explicit Users > Send Email to Users form, including Test Email Only and the per-page batch count, is documented for vBulletin 4.2.5. The current one-page vBulletin manual confirms the Email Options, SMTP and mail-queue concepts, but menu labels can change between major versions. Before documenting the process for staff or publishing screenshots, compare these labels with the installed release.

Pick the symptom - the matching free tool is one click away.
If a control is absent, first confirm that you are in the Admin Control Panel rather than the front-end moderator area and that your administrator account has the required permissions. Do not assume that a renamed option has been removed; inspect the version’s Email Options and user-management documentation.
Operational checklist
- Confirm the installed vBulletin version and administrator permissions.
- Configure and test PHP mail or SMTP under Settings > Options > Email Options.
- Enable Use Mailqueue System for a substantial list.
- Set a batch value below the strictest current host or provider limit.
- Open Users > Send Email to Users.
- Select the intended groups and exclusions.
- Enter a valid domain-appropriate From address, clear subject and complete message.
- Run Test Email Only and verify the recipient count.
- Send once, monitor the queue and review diagnostics and mailer logs.
- Investigate rejections before attempting another send.
Frequently asked questions
Can I send to just one user?
The mass-email form is designed for filtered sets of users. If your version does not provide a single-user filter, use the forum’s individual contact or account-notification function instead of creating a one-person mass-mail campaign.
Why does the queue finish but a user still see nothing?
Queue completion indicates that vBulletin processed the job, not that the recipient’s inbox displayed it. Check the SMTP or mail-transfer response, then ask the recipient to inspect spam and quarantine folders. A provider rejection, invalid address or filtering decision requires a different fix than a stalled vBulletin queue.
Is a large batch automatically faster?
No. A larger batch can increase timeouts, trigger shared-host restrictions or cause provider throttling. Use the smallest value that processes reliably under the limits of your actual server and mail provider.
