The executor or court-appointed administrator should start the process—not simply the next of kin—by using each bank’s bereavement channel, supplying the death documentation and proof of authority it accepts, and asking how that institution will protect, transfer, or close each account. Then work through recurring payments, incoming benefits, insurers, utilities, telecoms, subscriptions, and other contracts one by one. Notification is not the same as closure: some payments or services can continue until you instruct the provider.
Who is allowed to deal with the accounts?
Authority normally belongs to the deceased person’s personal representative: the executor named in a will or the administrator appointed when there is no will. In the UK, a personal representative is responsible for estate assets during administration, and probate may be needed for some assets. UK Finance’s February 2026 estate-banking protocol says firms generally accept instructions from personal representatives or a formally appointed regulated probate practitioner.
As an Amazon Associate I earn from qualifying purchases.
Being a spouse, child, joint resident, or other next of kin does not universally give you authority to close a sole-name account. A bank may accept limited information from someone reporting a death, but it can require the personal representative to give instructions. If there are co-executors or co-administrators, agree who will communicate with the bank and how estate money and bills will be controlled. Put that arrangement in writing so everyone knows who can approve a transfer, payment, or closure.

- Locate the will, grant of probate, letters of administration, or other court appointment, if available.
- Identify the personal representative and keep their current contact details together.
- Do not log in as the deceased or use their passwords. Use the provider’s authorized bereavement process and ask what access it can lawfully provide.
- Ask a solicitor, probate practitioner, or the relevant court if authority is disputed, there is no will, or the estate is insolvent.
- Decide where estate correspondence should go. A dedicated postal address or estate email account can prevent sensitive documents being mixed with ordinary household mail.
Gather the information a bank is likely to request
Requirements differ by institution, account type, and country. Before sending originals, ask whether the bank wants an original, a certified copy, a scanned copy, or an online verification. UK Finance’s protocol and MoneyHelper identify these commonly requested details:

- [Deep Bass with Clear Vocals] High-performance drivers produce punchy bass while keeping vocals clean and detailed for everyday listening.
- The official death certificate. During an inquest, some firms may accept an interim coroner certificate.
- The deceased’s full name, previous names and aliases, date of birth, and last address.
- Known account numbers, sort codes, savings or investment references, and loan or overdraft details.
- The reporter’s identification and contact details.
- The executor’s or administrator’s identification and evidence of authority, such as probate or letters of administration when required.
- A copy of the will or other estate documents if the bank requests them.
Make a secure inventory before the first call. Include sole accounts, joint accounts, credit cards, mortgages, investments, safe-deposit arrangements, overdrafts, and accounts held under a former name. Search paper statements, tax records, secure correspondence, and the deceased’s address book without attempting to bypass account security. A bank can tell you what it has found at that institution, but it may not know about accounts held elsewhere.
A useful inventory layout
For each product, note the institution, product type, last four digits or reference, ownership (sole or joint), approximate balance if known, linked card or payment account, named beneficiaries if shown, and the representative responsible for follow-up. Mark uncertain entries for verification rather than guessing. Keep a separate list of property-related services, because a utility or insurer may not appear on a bank statement if it was paid by card, cash, or another household member.
UK procedure: report the death and ask what happens to each account
1. Use the bank’s bereavement route
Use the bank’s official bereavement telephone line, online notification form, or branch process rather than an ordinary customer-service route where possible. Give the date of death and explain whether you are reporting the death, asking for information, or instructing the bank as the personal representative. Request a case or reference number and a written list of documents still needed. Ask how the bank will authenticate future instructions and whether all co-representatives must sign.
2. Get an account-by-account decision
Ask the bank to explain separately what will happen to:
- Sole-name current and savings accounts.
- Joint accounts and the surviving holder’s access.
- Investments, fixed-term deposits, individual savings products, and safe-deposit services.
- Credit cards, loans, overdrafts, and mortgage balances.
- Incoming pensions, benefits, salary, refunds, and other credits.
- Direct debits, standing orders, scheduled transfers, and card-on-file subscriptions.
Do not assume that every account is frozen, automatically transferred, or closed on the same day. Ask whether probate is required, how debts will be settled, how balances will be released, and whether the bank offers an estate or executorship account. A UK executorship account can keep estate money separate and allow authorized payments during administration; the bank will explain its own eligibility and controls.
Ask how the bank treats a joint account, rather than promising that the balance will always pass automatically to the survivor. The account mandate, ownership, and applicable law matter. Ask whether the surviving holder can continue ordinary use, whether a new account is needed, and how the deceased holder will be removed from records.
3. Ask about fees, thresholds, and timing without assuming a universal rule
Institutions set their own evidence requirements, balance limits, forms, and processing times. The available guidance does not establish one UK probate threshold or a universal closure timetable. Obtain the bank’s answer in writing, including where it will send the final statement, how it will pay the estate, and what happens if money arrives after closure.

Questions for the first bank call
- Has the death notification been recorded, and what is the case number?
- Which products are in the deceased’s name, including products at other branches or under a former name?
- What documents and certification format are required for each product?
- Is probate or another court document required, and can any low-value or joint product be handled through a different process?
- Which payments will stop, which may still be presented, and which must be cancelled with the merchant?
- Can the bank provide recent statements or a list of regular credits and debits to the representative?
- Can an estate or executorship account be opened, and what controls apply to withdrawals?
- How will the final balance, refunds, or residual credits be released to the estate?
US procedure: notify institutions and provide certified documents when required
USAGov advises families to report a death to financial institutions and service providers. It says certified death-certificate copies are needed for most government programs and agencies. Ask each bank, credit union, broker, lender, and card issuer which form of certificate and proof of authority it accepts; state probate rules and account ownership can change the result.

Identify the representative under the estate documents
Use the executor named in the will or the personal representative appointed by the probate court. A surviving joint owner or beneficiary may have rights under the account contract, but that does not automatically authorize instructions on every account. If no representative has been appointed, contact the probate court or a qualified estate attorney before moving money.
Make separate notifications
USAGov’s guidance covers government reporting, but it does not close private contracts for you. Notify banks, credit-card companies, credit bureaus, mortgage and auto lenders, insurers, utilities, landlords, memberships, and subscription providers individually. Keep certified copies secure; ask whether a provider will return them or accept a copy after initial verification.
Ask each US institution for its deceased-customer form, mailing address, secure upload method, and requirements for letters testamentary, letters of administration, or another court appointment. Record whether the account is being restricted, transferred to an estate account, or left available to a joint owner under the contract. Do not send the same original certificate to multiple companies without knowing when it will be returned; order or request additional certified copies only through the appropriate vital-records authority.
Recurring payments: stopping one method may not cancel the obligation
Build two lists: money coming in and money going out. Record the provider, amount, frequency, next date, account or card used, and whether the payment is essential to the property or estate. Review at least one recent statement for each account and update the list whenever the bank supplies additional transaction history.
| Payment or credit | What to check | Action |
|---|---|---|
| Pension, benefit, salary, refund | Whether payments continue, stop, or must be returned | Notify the payer and ask where legitimate post-death funds should be sent |
| Direct debit | Whether the bank stops it and whether the underlying contract remains | Confirm with both bank and provider; request cancellation or estate billing |
| Standing order or scheduled transfer | Whether future instructions remain queued | Ask the bank to cancel or amend it and document the result |
| Recurring card transaction | Whether the card authorization can still be presented | Contact the merchant directly; replacing or closing a card may not end the contract |
| Loan, mortgage, insurance premium | Whether missed payments affect coverage or the estate | Ask for a deceased-customer process and interim payment instructions |
Separate an instruction to stop a payment from a request to end the underlying agreement. A streaming plan, gym membership, insurance policy, equipment rental, or phone contract may have its own cancellation, refund, notice, or equipment-return terms. Ask the provider to confirm the effective end date and whether any amount is due from the estate.
Example: Santander UK policy
Santander UK states that its sole-name current accounts close when it is notified of a death and that direct debits and standing orders stop. Its guidance also warns that future-dated payments or pre-authorized recurring card transactions may still be taken while an account remains open unless the provider cancels or changes them. This is Santander’s policy, not a rule for every bank. Ask your own institution for its treatment of each payment type.
Handling incoming money
Tell pension administrators, employers, benefit agencies, insurers, and refund issuers about the death and ask whether a payment already issued is valid, must be returned, or should be redirected. Do not spend an uncertain credit. Record the amount, date, payer’s instructions, and the account into which it arrived so the representative can account for it accurately.

Notify government services and private providers separately
UK: Tell Us Once and the Death Notification Service
Tell Us Once can notify listed central and local government bodies and some public-sector pension schemes. It does not close bank accounts, insurance policies, mortgages, utilities, subscriptions, or other private contracts. MoneyHelper says the UK Death Notification Service can notify a number of financial institutions, including most major banks and building societies. Check which institutions participate and still confirm the action with each provider.

Notify separately:
- Banks, building societies, brokers, credit-card issuers, and lenders.
- Private pension schemes and insurers not covered by a government notification service.
- Mortgage providers, landlords, housing associations, and property managers.
- Energy, water, council-tax, waste, and other household providers.
- Employers, professional bodies, clubs, memberships, and subscription services.
When using a notification service, save the submission confirmation and the list of organizations included. A service can transmit notice, but it may not complete a closure, change a policyholder, release funds, or answer a question about a contract. Follow up directly where the estate needs a decision.
US: government agencies and private contracts
Report the death through the relevant US government channels and provide certified certificates where requested. Then contact each private provider. Include the deceased’s full name, former names, account or policy number, date of death, representative’s details, and the address for estate correspondence.
Ask government programs how they handle payments issued around the date of death and whether any overpayment must be returned. Keep copies of every submission and note whether a provider requires a separate notification for each account, card, or policy.
Compare the available choices for each account or service
There is no single route that fits every product. For each item, compare the choices below with the representative, co-representatives, and provider:
| Choice | When it may help | Points to confirm |
|---|---|---|
| Close | The product is no longer needed and all pending transactions are resolved | Final statement, residual credits, refunds, debt settlement, and confirmation of closure |
| Transfer or retitle | A surviving joint holder or successor needs continuity | Authority, new account or policyholder, number retention, contract terms, and identity checks |
| Temporarily maintain | The property or estate needs insurance, utilities, communications, or controlled payments | Who pays, how long it remains active, unoccupied-property rules, and review date |
| Use an estate or executorship account | Estate money and administration expenses need separation from personal funds | Eligibility, signatories, statements, fees, and controls on withdrawals |
Evaluate each option by the authority the provider accepts, service continuity, payment risk, documents, fees or contract terms, and how estate funds will be controlled. Ask for a written answer instead of relying on a general web page when the decision affects insurance, a loan, or a substantial balance.
Decide what to keep, transfer, or cancel at the home
Not every service should be terminated immediately. Use a keep/change/cancel decision for each one, based on legal authority, safety, cost, contract terms, and whether the estate needs continuity.
Insurance and utilities
If the property will be empty, Citizens Advice recommends keeping appropriate home insurance and maintaining basic utilities such as electricity and water. Tell the insurer that the policyholder has died and ask whether an unoccupied-property condition, new policyholder, inspection, or payment arrangement applies. Take meter readings on the date of death or handover and send them to the utility providers.
Recommended Free Tools
Ask who is responsible for council-tax or other local charges while the estate is administered, and keep the provider’s account reference with the property records. Do not cancel a policy simply because the house is empty: the insurer may require a different form of cover or specific inspections. Conversely, do not assume existing cover continues unchanged after notification of death.

Phone and broadband
Ofcom says some phone and broadband services can be transferred or replaced with a new account, and a joint telecom account can be placed in a surviving person’s name on request. Ask whether the line, broadband service, or number can remain active while the estate is handled. Before closing a mobile account, ask about preserving the number because an unused number may later be recycled.
Confirm whether a router, handset, or other equipment must be returned, whether a contract has a minimum term, and whether a surviving household member can take responsibility without losing service. Save voicemails or important contact information lawfully before a number is disconnected, and ask the provider what process it offers rather than accessing the deceased’s account credentials.
Subscriptions and memberships
Contact the merchant rather than relying only on a bank cancellation. Request the end date, any refund, return-of-equipment instructions, and written confirmation. Services needed to protect or maintain the property may be kept temporarily with the representative’s approval. Check memberships, storage units, software subscriptions, newspapers, meal deliveries, and vehicle services as well as obvious household bills.

Review after the provider responds
When a bank or service says an action is complete, check the next statement or bill. Look for residual card transactions, refunds, interest, benefit payments, returned direct debits, or a final utility adjustment. If something is wrong, quote the case number, attach the prior confirmation, and ask for escalation through the bereavement or complaints route.
Common mistakes and how to avoid them
- Assuming next of kin can close everything: Ask the bank what authority it requires and have the executor or administrator give instructions.
- Sending documents before checking the format: Confirm whether originals, certified copies, scans, or verification forms are accepted.
- Using ordinary login credentials: Do not log in as the deceased or share passwords; use the provider’s authorized process.
- Stopping a bank payment instead of ending the contract: Contact the merchant, insurer, lender, or utility as well as the bank.
- Closing household services too soon: Keep required insurance and basic utilities while the property is secured and inspected.
- Missing incoming money: Track pensions, benefits, payroll, refunds, and overpayments and ask where each should be redirected.
- Assuming a notification service covers private providers: Tell Us Once and US government reporting have defined scopes; banks and contractual providers still need direct contact.
- Expecting every bank to follow one timetable: Get institution-specific requirements, balances, probate decisions, and release arrangements in writing.
- Failing to plan for co-representatives: Agree who may instruct the provider and how estate payments will be approved.
- Ignoring a phone number or equipment: Ask about number retention and return instructions before cancelling telecom service.
A practical closure checklist
- Confirm the executor or administrator and locate the will or court appointment.
- Secure the death certificate and ask each institution what copies it accepts.
- Inventory sole and joint accounts, cards, investments, loans, overdrafts, and incoming payments.
- Notify each bank through its bereavement route and obtain a case number.
- Ask what happens to every account, payment type, debt, and balance; establish an estate account if useful.
- Use the applicable UK or US government notification service, understanding its limits.
- Contact private financial providers, insurers, lenders, utilities, telecoms, landlords, memberships, and subscriptions.
- Choose keep, transfer, or cancel for each home service; preserve essential insurance, utilities, and communications where needed.
- Record every conversation, document, confirmation, refund, and follow-up date.
- Review statements after closure or transfer to catch residual card transactions, refunds, or payments that require further action.
When professional help is sensible
Get jurisdiction-specific legal or tax advice if the will is contested, beneficiaries disagree, there are overseas assets, the estate may be insolvent, business accounts are involved, a bank refuses a representative’s authority, or a payment dispute cannot be resolved. A probate professional can clarify which documents and court orders apply; the bank or service provider remains the authority on its own operational requirements.

Can the next of kin close a deceased person’s bank account?
Not necessarily. The executor or court-appointed administrator normally gives instructions for a sole-name account. A bank may accept a death report from next of kin, but it can require proof of the personal representative’s authority before releasing information or funds.
Best Value
Do I need an original death certificate?
Ask each institution first. Requirements vary: a provider may request an original, a certified copy, a scan, or an online verification. During a UK inquest, some firms may accept an interim coroner certificate.
Will notifying the bank stop every recurring payment?
No. Treatment differs by bank and payment type. Direct debits, standing orders, scheduled transfers, and recurring card transactions can be handled differently, and stopping a payment does not necessarily cancel the underlying contract. Contact both the bank and the merchant.
What is the UK Death Notification Service?
MoneyHelper says it can notify a number of financial institutions, including most major banks and building societies. It does not replace direct instructions about closure, balances, insurance, utilities, mortgages, or other private contracts.
Does Tell Us Once close bank accounts?
No. Tell Us Once covers listed government bodies and certain public-sector pension schemes. Banks, insurers, lenders, utilities, subscriptions, and other private providers still need separate notification.
Should utilities and insurance be cancelled when a house is empty?
Not automatically. Citizens Advice recommends keeping appropriate home insurance and basic utilities such as electricity and water while the property is managed. Tell the insurer about the death and vacancy and ask what cover, inspections, or payment arrangements apply.
Can a surviving family member keep the deceased person’s phone number?
Possibly. Ofcom says some phone and broadband services can be transferred or replaced with a new account, and joint telecom accounts can be put in a surviving person’s name on request. Ask about number retention before closing service because an unused mobile number may later be recycled.
How long does it take to close an account?
There is no universal timetable. The institution’s evidence requirements, probate status, account type, pending payments, debts, and balance-release process determine the work. Obtain the bank’s expected steps and follow-up date in writing.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Repair Windows errors before they cause bigger problems3Scan for outdated or missing drivers - takes under a minuteThe Bottom Line
Use the executor’s or administrator’s authority, not a relative’s assumption, and start with each institution’s bereavement team. Confirm the accepted death and authority documents, obtain an account-by-account plan, and treat incoming money, direct debits, standing orders, card subscriptions, loans, and household services separately. UK notification services have defined limits, and US providers commonly require certified death-certificate copies. Keep essential insurance, utilities, and communications when the estate needs them, document every contact, and verify the next statement after each closure or transfer.
