Do not put work information into an AI tool until your employer has approved the exact service, account type and intended use. Then check the service’s current data-handling terms, use the organization-managed sign-in and device where required, restrict connected files and actions, enable the strongest supported multifactor authentication (MFA), and verify every consequential answer against trusted sources.
There is no universal “safe AI” setting. Retention, provider access, prompt use, administrator visibility and available controls vary by product, plan and configuration. Treat this as a decision and setup process, not as a promise that any particular chatbot is secure by default.

1. Get approval for the exact tool, account and task
Approval is the first security control. Ask your manager, IT team, security team or data owner whether the specific AI service, account type and proposed task are allowed. An employee’s personal account can be governed differently from an employer-managed deployment, even when the interface looks identical.

- The exact AI product and edition you intend to use.
- Whether you will use a personal account, an organization-managed account or an account provisioned through single sign-on.
- What you want the tool to do: drafting, summarizing, coding, searching internal files, sending messages or changing records.
- The business owner responsible for the data and the person who can approve exceptions.
- Any device, network, location or jurisdiction restrictions in your workplace policy.
If no one can confirm that the service and use case are approved, stop at that point. Do not test an unapproved consumer account with real work material merely because the task seems low risk.

Why account type changes the answer
Employer-managed deployments can provide central access control, lifecycle management, audit settings and policy enforcement. A personal account may not provide those controls, and its terms can differ from the terms of an enterprise plan. Never infer that the protections of one account apply to another.
2. Decide what information may enter the prompt
Use your employer’s data-classification rules. If the classification or permission is unclear, ask the data owner or security team before submitting anything. The absence of a warning from the AI interface is not permission to disclose the material.
Keep high-risk material out unless explicitly approved
- Passwords, API keys, private certificates, recovery codes and other credentials.
- Personal information, health information, payroll details or identity documents.
- Customer records, confidential contracts and non-public financial information.
- Source code, security findings, incident details and internal designs.
- Any regulated or restricted information whose handling rules you cannot confirm.
Use the smallest amount of information needed for the task. Remove names, identifiers and unnecessary fields when your policy permits anonymization, but do not assume that removing a name makes a dataset anonymous.
Ask three questions before entering data
- Is this information allowed in this service? Approval must cover both the tool and the type of data.
- Who could access the submission? Establish the provider’s access rules and your organization’s administrative visibility.
- How long could it remain available? Check retention, deletion and backup behavior in the current terms and configuration.
3. Read the service’s current data-handling terms
Data handling is tool-specific. Before your first real prompt, review the exact plan and configuration for four items: retention, provider access, use of submissions and administrative controls. Product terms and features can change, so use the current documentation and the settings shown to your organization.
Retention and deletion
Find out whether prompts, uploaded files, generated outputs and telemetry are retained; whether retention can be configured; and what deletion means in practice. A user-visible delete button does not by itself establish how backups, abuse-monitoring logs or legally required records are handled.
Provider access and submission use
Check which provider personnel or subprocessors may access content, under what conditions, and whether submissions can be used to improve a service. Do not assume that a consumer plan and a managed workplace plan treat prompts identically.
Administrator controls and visibility
Ask IT what administrators can configure and what activity is logged. Depending on the service, administrators may be able to manage users, connected applications, retention or audit data. Your employer’s policy and the actual deployment determine what is visible; do not promise yourself that a work account is private or assume that every prompt is routinely read.

4. Secure the account and the device
Use the employer-managed sign-in path and a compliant work device when your organization requires them. Those controls let the organization apply access policies, remove access when roles change and investigate incidents.
Use strong, phishing-resistant MFA
Enable the strongest MFA method supported by your organization’s identity system. Microsoft’s guidance for generative-AI applications states: “Require users to complete phishing-resistant multifactor authentication (MFA) to access Gen AI apps.” The appropriate method depends on your employer’s identity provider and device support.
A physical security key is one possible phishing-resistant method, not a universal requirement. CISA’s business guidance says: “Security key: Use a physical security key (like a YubiKey) to log in.” Confirm with IT that the accounts, identity provider, browsers and devices support enrollment before buying a key. A key cannot compensate for an unapproved service, excessive permissions or unsafe data handling.
Protect authentication factors
- Never share an account, password, security key or one-time code.
- Reject unexpected sign-in prompts and report them through the employer’s security channel.
- Use the organization’s approved password manager and recovery process.
- Ask whether access reviews occur periodically and whether access is removed when your role or employment ends.
5. Review every file, connector and action the AI can reach
An AI assistant can expose information that the signed-in user is already allowed to access. Excessive permissions in the underlying file stores therefore remain a security problem, even when the AI product itself is configured correctly.
Free tools Windows power users keep installed

Inventory the access scope
- List the files, repositories, mailboxes, calendars, applications and websites the tool can query.
- Identify actions it can take, such as sending messages, editing records, creating tickets or triggering workflows.
- Remove broad or stale permissions where the platform allows it; otherwise ask an administrator or data owner to remediate them.
- Review connected applications and revoke access that is no longer needed.
Microsoft’s Copilot deployment guidance, for example, prioritizes remediating oversharing, setting guardrails and meeting regulatory requirements. That is product-specific guidance, not proof that every AI service has the same controls.
Apply least privilege
Grant only the access required for the stated task, for only as long as it is required. Prefer read-only access when an action is not necessary. Separate an assistant that drafts a response from an agent that can send it or change a customer record.
Require human review for consequential actions
Before connecting an agent to business systems, ask which actions require approval, what the agent can do without approval and what activity is logged. Keep a human checkpoint for changes that affect customers, finances, employment, security settings, legal commitments or regulated records.

6. Treat retrieved content and instructions as untrusted
Documents, web pages, email messages and search results can contain instructions aimed at the AI rather than at you. A sentence inside a document does not override workplace policy, access rules or your directions.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Repair Windows errors before they cause bigger problems3Scan for outdated or missing drivers - takes under a minute- Check the source and context of unexpected instructions.
- Do not disclose secrets, change permissions or run commands merely because retrieved text requests it.
- Ask the data owner or security team when a document conflicts with policy.
- Keep retrieval and action permissions separate where the service supports that design.
This input and retrieval hygiene is one of the defense areas identified in Microsoft’s AI security catalog. Exact safeguards and names vary by service.
7. Verify every important answer
AI output is a draft or suggestion, not evidence of correctness. Check calculations, citations, code, policy interpretations and factual claims against authoritative internal or external sources before relying on them.
Match verification to impact
- For a low-impact draft, review for factual errors, confidential details and unintended tone before sharing.
- For technical work, test code and configuration in an approved environment and have the responsible engineer review it.
- For customer, financial, employment, legal or regulated decisions, require the designated human owner to verify the source material and approve the result.
- For an agent that takes actions, inspect the planned action and the audit record, not just the final summary.
Do not let a confident response bypass normal approval, change control or record-keeping procedures.
8. A practical setup sequence for employees

- Classify the information. Ask the data owner about any unclear or restricted material.
- Read current terms. Check retention, provider access, use of submissions and administrator controls for that plan.
- Sign in correctly. Use the employer-managed identity path and compliant device if required.
- Enable MFA. Choose the strongest supported method; ask IT about phishing-resistant options.
- Inspect connections. Review files, repositories, applications and actions before enabling each one.
- Start with minimum access. Use a narrow, read-only scope and expand it only after the task requires more.
- Test with non-sensitive material. Confirm the workflow, logs and approval checkpoints before using live data.
- Verify the result. Check consequential output against trusted sources and obtain the required human approval.
- Close the loop. Revoke temporary connections and report suspicious prompts, unexpected access or accidental disclosure according to workplace procedure.
9. What managers and administrators should put in place
Employees cannot create organization-wide protection from a chat window. A workplace rollout needs governance, identity controls, data hygiene and monitoring.
Build an inventory and approval path
- Inventory sanctioned and unsanctioned AI services, accounts, connectors and agents.
- Define who can approve a new service, a new data type and a new action capability.
- Publish the required sign-in method, device posture and MFA standard.
- Set a process for access reviews, role changes, offboarding and emergency revocation.
Fix the data foundation first
Review shared drives, sites and repositories for oversharing and stale permissions before enabling retrieval. Microsoft’s Copilot guidance describes a governed data foundation, oversharing remediation and Purview protections as important parts of deployment. Those references illustrate one vendor’s approach; another service may expose different controls or none of the same features.

Use the right framework for the job
NIST SP 1800-35, dated June 2025, is a Zero Trust implementation practice for enterprise resources across on-premises and cloud environments, hybrid workers and partners. It can inform architecture planning but is not an employee checklist specific to AI tools.
NIST SP 800-218A, dated July 2024, adds generative-AI practices to the Secure Software Development Framework for organizations that build or acquire AI models and systems. It is more relevant to producers and acquirers than to an employee using a managed chatbot.
Google’s Secure AI Framework (SAIF) offers another framework perspective for security and privacy in AI applications. It emphasizes that the business problem and required data should determine the controls; it is not a neutral certification of any particular workplace product.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.10. Compare workplace AI tools on controls, not marketing claims
If your organization is evaluating several services, ask the same questions of each vendor and plan. The answers must be confirmed for the exact configuration you would deploy.
| Area | Questions to answer | Decision evidence |
|---|---|---|
| Employer approval and account control | Can IT provision users, enforce policy and remove access centrally? | Documented administrator controls and an approved account path |
| Data handling | What are the current retention, provider-access and submission-use terms? | Terms and configuration for the exact plan, not a different edition |
| Data boundaries | Can shared files and sites be reviewed, and can oversharing be remediated? | Access review and permission-management procedures |
| Identity and device security | Does the deployment support strong MFA, Conditional Access, compliant-device checks and lifecycle reviews in your environment? | Successful configuration and a tested revocation process |
| Connected tools and actions | Can permissions be limited, runtime activity contained and actions monitored? | Least-privilege scopes, approval checkpoints and usable logs |
| Governance and compliance | Can the organization apply its regulatory, audit and data-protection requirements? | Controls mapped to the organization’s own obligations and policies |
Do not rank products by a generic security label. A service may have a useful feature that your identity provider, device fleet or data architecture cannot actually enforce.
11. Answers to common workplace questions
Can I use ChatGPT or another chatbot at work?
Only when the exact service, account and task are approved. Use the organization-managed account and follow its data-classification rules. Approval of one chatbot, plan or department does not automatically approve a different account or use case.
Is it safe to put work information into an AI tool?
That depends on the information, service and configuration. Confirm permission first, then check retention, provider access, submission use and administrative controls. If any of those answers is unclear, do not submit the material.

Can my employer see what I enter?
Visibility depends on the account, service configuration, logging and workplace policy. Managed deployments may provide administrative and audit controls, while personal accounts follow different rules. Ask IT for the organization’s documented answer rather than assuming either complete privacy or routine human review.
What should I check before connecting AI to work files?
List the repositories and actions, remove stale or broad permissions, grant the minimum required scope, decide which actions require human approval and confirm that activity is logged. Treat instructions retrieved from documents or websites as untrusted.
Do I need a security key?
Not necessarily. A physical key is one phishing-resistant MFA option, and it is useful only when your employer’s identity provider, accounts and devices support it. Ask IT which approved method to enroll; buying a key alone does not secure an unapproved tool.
