Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Repair Windows errors before they cause bigger problemsFix Now →A safer everyday Mac setup uses three controls together: do routine work in a standard user account, turn on every relevant automatic-update option, and protect the account with a long, unique login password. Keep one administrator account available for tasks that genuinely need elevated privileges, but do not use it as your normal workspace. These measures reduce the damage a compromised session could cause and help close known security holes; they do not make a Mac immune to malware, phishing, theft, or other compromise.
Apple’s own guidance says an administrator should create a standard account for work that does not need administrator privileges. You can follow the setup below using controls already included in macOS.

What this configuration changes
macOS accounts have different authority. An administrator can create and manage users, install software that requires elevated permission, and change system-wide settings. A standard user can install applications and change that user’s own settings, but cannot add users or alter other users’ settings. If malware or a malicious installer gains control of a standard session, the attacker normally has fewer immediate opportunities to change the whole Mac than it would from an administrator session. Apple describes this as a limitation of potential harm, not a guarantee that compromise is impossible.
| Account context | Suitable use | What it can do | What it cannot do |
|---|---|---|---|
| Standard user | Web browsing, email, documents, media and other daily work | Install apps that do not require administrator authorization; change the user’s own settings and files | Add users or change other users’ settings; perform some system-wide changes without administrator credentials |
| Administrator | User management, system-wide configuration and software that requires elevation | Create and manage accounts, authorize privileged installations and change system settings | It is not a separate security boundary from everything the account owner does; using it for daily work exposes administrator privileges to every process running in that session |
Apple’s explanation and account controls are documented in Set up your Mac to be secure and Change Users & Groups settings on Mac.

Prepare before changing the account
- Make sure you know the current administrator username and password. You will need administrator authorization to create the daily account and to approve some later changes.
- Save open work and keep a current backup. Account changes normally preserve existing files, but a backup gives you a recovery path if you select the wrong account or encounter a disk problem.
- Decide which account will remain the administrator. Keep the number of administrator accounts as small as practical, and do not delete the only administrator account.
- Have a password ready that you can type accurately. A password manager can help you create and store a unique value, but the Mac login password must still be available when you unlock the computer.
1. Create and use a standard account for daily work
Create the account
- Sign in to an existing administrator account.
- Open the Apple menu and choose System Settings.
- Select Users & Groups.
- Choose Add User (the wording can vary slightly by macOS release) and authenticate if macOS asks for the administrator password.
- When macOS asks for the account type, select Standard, then enter the person’s name, account name and a strong password. Complete the on-screen prompts.
- Sign out of the administrator account and sign in to the new standard account. Use this account for ordinary work.
The standard account is not a restricted guest profile. It can install many applications and customize its own environment. When an installer or setting needs administrator authority, macOS will request an administrator name and password. Stop and verify the request before approving it; an unexpected elevation prompt can indicate an untrusted installer or a suspicious process.
Know when to use the administrator account
Return to the administrator account, or provide its credentials at a legitimate authorization prompt, for tasks such as creating or removing users, changing settings that apply to the entire Mac, managing some security controls, or installing software that explicitly requires elevation. After the task, resume work in the standard account rather than leaving the administrator session open.
Do not make the daily account an administrator merely because an application requests approval. First check whether the app can be installed for the current user, whether its publisher is trusted, and whether the requested change is necessary. Granting temporary authorization is safer than permanently broadening the account’s role.
Turn off automatic login
Automatic login defeats the benefit of a password at startup: anyone who restarts the Mac can enter the configured account without first proving its identity. Apple specifically warns about this risk. In System Settings > Users & Groups, locate the automatic-login setting and choose Off or require a password at login, following the label shown by your macOS release. If FileVault is enabled, macOS disables automatic login because the disk must be unlocked first.

Test the change by signing out or restarting and confirming that macOS displays the login window. If you cannot find the setting, use System Settings search for “automatic login”; Apple moves labels between releases.
2. Enable every relevant automatic-update setting
Current Software Update path
- Open the Apple menu and choose System Settings.
- Select General, then Software Update.
- Open the information control beside Automatic Updates (it may appear as an info button or an adjacent control).
- Enable Download new updates when available.
- Enable Install macOS updates.
- Enable Install Security Responses and system files, or the equivalent wording shown on your release.
Apple’s general update instructions are at Keep your Mac up to date. A portable Mac must be connected to its power adapter for automatic downloading, so leave it powered when you expect updates to arrive.
Labels differ by macOS version
Apple’s background-update controls are not identical across releases. Use the row that matches your system instead of assuming that one label applies everywhere.
| macOS release | Relevant control | Where to look |
|---|---|---|
| macOS Tahoe 26 or later | Check Install system data files and security updates under Automatic Updates. Also enable Automatically Install for Background Security Improvements under Privacy & Security. | System Settings > General > Software Update, plus System Settings > Privacy & Security for Background Security Improvements |
| macOS Sequoia 15, Sonoma 14 and Ventura 13 | Enable Install Security Responses and system files. | System Settings > General > Software Update > Automatic Updates |
| Earlier macOS versions | The equivalent security-response or system-file option is generally under the Software Update pane’s Advanced settings. | Apple menu > System Preferences or System Settings > Software Update > Advanced, depending on release |
Apple explains these version differences in About background updates in macOS. If a checkbox is absent, do not treat that as a failure: the release may combine it with another control or apply the feature by default.

Understand what background updates do
Apple says background security improvements, security-configuration updates and system-data files are applied automatically by default. They do not restart the Mac, although some changes become active only after a restart. macOS updates that require a restart can also wait for a suitable time or ask for confirmation. Restart occasionally when macOS indicates that one is pending; otherwise an update may be downloaded but not fully active.
Automatic updates are not a substitute for checking status. Return periodically to System Settings > General > Software Update and confirm that macOS reports it is up to date. If downloads do not start, connect a laptop to power, verify a reliable internet connection and free storage, and check whether a restart is waiting. Do not interrupt an installation after macOS has begun applying it.
3. Choose a strong local login password
What “strong” means on a Mac
Apple’s security checklist says to choose a password that cannot be easily guessed, and Apple’s platform-security documentation states that longer passwords are stronger. For a Mac login, use a long, unique password or passphrase that you can enter reliably. Avoid names, birthdays, keyboard patterns, short dictionary words, well-known phrases and any password reused on another service. A password that is unique to this Mac limits the damage if a different website or service is breached.

Apple’s six-character illustration is not a recommendation
Apple’s Platform Security page, published December 19, 2024, gives an example involving a six-character alphanumeric passcode made from lowercase letters and numbers. Under the attack timing described there, trying every combination would take “more than five and one-half years.” That is a platform-specific illustration, not a promise about every attack, a universal benchmark, or advice to use a six-character password. Longer and unique credentials remain the safer choice. See Passcodes and passwords for Apple’s technical context.
Change or test the password safely
- Open System Settings from the Apple menu and select Users & Groups.
- Select your standard account and choose the password-change control. Authenticate with the current password when prompted.
- Enter the new password twice and add a hint only if it does not reveal the answer. A hint visible at the login window should never contain the password or an obvious fragment of it.
- Sign out and sign back in before closing the old password record. Confirm that you can unlock the account and that saved credentials or password-manager records are updated.
If you forget the password, use the recovery options presented at the login window or the administrator-assisted reset process for your macOS version. Reset procedures can affect stored login-keychain access, so follow Apple’s prompts carefully rather than repeatedly guessing.

Protect stored data with FileVault
Apple says Macs with Apple silicon or a T2 chip encrypt data automatically. FileVault adds a further requirement for the login password before the encrypted data can be viewed. This is particularly important if the computer is lost or stolen: account separation controls what a running session can do, while disk encryption protects data at rest. FileVault does not replace updates, a standard daily account or a strong password. Review its status in System Settings > Privacy & Security > FileVault where that panel is available, and keep the recovery key in a secure, recoverable place.

Require a password after sleep or the screen saver
In System Settings > Lock Screen, set the option that requires a password after the screen saver begins or the display is turned off. Choose a short delay that fits your environment. This protects an unattended, already-unlocked session; it does not affect the initial login password itself.
Best Value
Consider automatic logout and administrator authorization
Apple provides an automatic-logout option after a period of inactivity. It can be useful for shared or unattended Macs, but it may interrupt long-running work, so choose a period appropriate to the user. Privacy & Security advanced settings also include an option to require an administrator password when changing system-wide settings. These are optional layers, not replacements for the three baseline controls.
Apple documents the advanced controls in Change Privacy & Security Advanced settings on Mac.
Maintenance checklist
- Use the standard account for browsing, mail, documents and routine applications.
- Keep administrator access limited to people and tasks that need it.
- Leave automatic login off and verify that restart displays the login window.
- Keep all automatic-update categories enabled for your macOS release.
- Connect a Mac laptop to power so automatic downloads can occur.
- Restart when macOS says an update or background security change requires it.
- Use a long, unique password and never reuse it on another service.
- Keep FileVault and its recovery information available when appropriate.
- Lock the screen whenever you leave the Mac, even when automatic password-after-sleep protection is enabled.
Troubleshooting common setup problems
“I cannot create a standard account.”
You are probably signed in without administrator authority, or the Mac is managed by an organization that restricts account changes. Sign in with an authorized administrator or contact the organization’s administrator. Do not remove the existing administrator account to work around the prompt.
The Tool Desk
Outbyte Driver Updater FREEScan for outdated or missing drivers - takes under a minuteDriver Scan →Outbyte PC Repair FREERepair Windows errors before they cause bigger problemsFix Now →“An app keeps asking for an administrator password.”
Some software changes system-wide components and legitimately needs elevation. Confirm the app’s source and the reason for the request, then provide administrator credentials only when you intended to install or update it. If the prompt appears while you are doing unrelated work, cancel it and investigate instead of converting the standard account to administrator.
“Automatic updates are enabled, but nothing downloaded.”
Check that a laptop is connected to power, the internet is working and enough storage is available. Open Software Update to see whether a restart or manual approval is pending. Compare the wording with your macOS release because Tahoe 26 and later use different Background Security Improvements controls from Sequoia 15, Sonoma 14 and Ventura 13.
“The Mac still starts without asking for a password.”
Return to System Settings > Users & Groups and verify that automatic login is off. If FileVault is enabled, the first screen may be the disk-unlock screen rather than the ordinary login window; that still requires authentication. Also check that you are not merely waking an already-unlocked Mac from sleep.
How the three controls fit together
The standard account limits routine privilege, automatic updates reduce the time known security weaknesses remain unpatched, and the login password prevents casual access to the account. FileVault, screen locking and carefully limited administrator access address different failure points. Treat the setup as layered risk reduction: each control has a different job, and none should be described as a guarantee against compromise.
