How to Search Digitized Excavation Archives and Historical Correspondence

Start with the repository catalog and the collection-level finding aid, not with an assumption that every letter or notebook is full-text searchable. Search the collection description for the site, expedition, archaeologist, institution, correspondent and date; then move down the collection hierarchy, inspect digitized page images, and verify OCR against the scan. If the finding aid describes material that is not online, ask the repository’s reference staff about access.

Understand the three levels of archival access

Archive websites usually expose several descriptive levels. They are related, but they are not interchangeable.

As an Amazon Associate I earn from qualifying purchases.

Level What it tells you What it may not provide
Catalog record Identifies a collection, record group or digital object and gives basic scope, dates and access information. The text of every letter, notebook page or report in the collection.
Finding aid Explains the creator, provenance, arrangement and contents of series, boxes, folders or file units. Scans of the described material, or a name-level index for every document.
Digitized item Provides a page image, transcription or machine-extracted text for a specific file unit or object. All related material in the same collection, especially nondigitized records.

A finding aid can therefore solve a discovery problem even when no document text appears in search results. Conversely, a search hit on a digitized page may be difficult to interpret unless you know the page’s series, folder and collection context.

Use this eight-step workflow

1. Identify repositories likely to hold the records

Begin with the institution connected to the work. For an excavation, that might be the sponsoring museum, university, government agency, archaeological institute or expedition leader’s employer. For correspondence, consider the repository that holds the writer’s papers, the recipient’s papers or the organization that administered the project.

  • [Deep Bass with Clear Vocals] High-performance drivers produce punchy bass while keeping vocals clean and detailed for everyday listening.

Search the institution’s own catalog and finding-aid site before relying on a general web search. Repository coverage and descriptive practices differ. The Smithsonian Archives, for example, offers searchable collections, finding aids, expedition records and field books; that is a useful model, not a universal directory of archaeological records.

2. Search collection descriptions before item text

Run broad searches using the names and terms most likely to appear in an archivist’s description:

  • the excavation site, settlement or monument;
  • the expedition name or sponsoring institution;
  • the expedition leader, archaeologist, architect or field director;
  • the correspondent or recipient;
  • the country, region or administrative district;
  • an approximate date range; and
  • terms such as papers, correspondence, field books, notebooks, reports or excavation records.

A catalog description may cover an entire series and mention only the principal creator. It may not name every assistant, correspondent or site represented in individual folders. A result that looks too broad can still be the correct path to the material.

3. Open the collection-level finding aid

Read the finding aid before jumping to a scan. Record the collection title, creator, date span, provenance and scope note. Then examine the arrangement statement and the inventory of series, boxes, folders or file units.

Look for sections labeled “Scope and contents,” “Administrative history,” “Biographical note,” “Arrangement,” “Series description” or “Container list.” These sections explain how the records were created and how the repository organized them. A series called “Field operations,” for example, may contain daily notebooks, stratigraphic drawings and correspondence even if the catalog’s headline mentions only the expedition.

4. Search names flexibly

Use several forms of every personal name. Test the full name in both orders, an exact quoted phrase, the surname alone, spelling variants and alternate first-name forms or initials. Historical records can use titles, middle names, transliteration variants, married names or abbreviated signatures.

Once you have identified a likely collection, use its internal search or browse controls for names, subjects, dates and series. A surname-only search can reveal folders whose descriptions omit the person’s given name. An exact-phrase search is useful for a distinctive site or expedition title, but it should not replace broader variants.

5. Filter and inspect each result

Use filters when the catalog provides them. Date, material type, description level, collection or record group, location and digital-object availability are particularly useful. Open the full record rather than relying on a result-list snippet.

For each promising record, note:

  • the collection or record-group title;
  • series and subseries, if shown;
  • box, folder or file-unit identifiers;
  • the item’s date and physical format;
  • whether a digital object is attached; and
  • any access, reproduction or copyright statement.

Inspect the item image and its navigation context. Adjacent pages, folders or volumes may contain the missing date, continuation or enclosure that a keyword result does not reveal.

6. Treat OCR as a discovery aid

Optical character recognition can make typed reports and printed letters searchable, but it is not a reliable transcript. Recognition errors increase with faded ink, unusual typefaces, marginal notes, skewed pages, stamps, maps and mixed languages. Handwriting is especially difficult.

Use an OCR hit to locate a page, then compare the extracted words with the page image. Verify names, dates, place names, measurements and quotations character by character. If a search returns no hit, do not conclude that the word is absent: a page may be digitized without OCR, or the recognition may have failed.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

7. Check what is missing from the online view

Compare the digital collection with the finding aid. A repository can describe boxes that have not been scanned, scan only selected folders, or attach images at a series level without exposing every page. Restricted, fragile, oversized or rights-sensitive material may also be unavailable online.

When the finding aid points to relevant records that you cannot open, contact the repository’s reference service. Give staff the collection title, series, box or folder identifier, date range and the research question. Ask whether the material is nondigitized, temporarily unavailable, misfiled in the online interface or accessible through a reading room, reproduction request or partner project.

8. Preserve provenance in your notes

Save enough information for another researcher to relocate the record. Record the repository, collection or record-group name, series, subseries, item or file-unit identifier, date, box and folder data, and the digital-object identifier if one is supplied. Follow the repository’s citation policy for scans and transcriptions.

Keep your own search notes separate from quoted text. Mark uncertain readings with a question mark in your working notes, but do not silently “correct” an archival spelling in a quotation. Retain the page number or image sequence so you can recheck the reading later.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Build search terms that match archival language

Search engines and catalogs index the words used in descriptions, not necessarily the words used by modern researchers. Start with literal formulations such as:

  • "[archaeologist name] papers"
  • "[expedition or site name] correspondence"
  • "[institution] field books"
  • "[site] excavation notebooks"
  • "[person surname] letters"
  • "[repository] finding aid"

Replace the bracketed terms with real names; the brackets above indicate variables, not text to search literally. Add historical terminology when appropriate: campaign, season, survey, architectural drawings, stratigraphy, provenance, diary, memoranda or administrative files.

Search dates in more than one format. A catalog may use a year range, a season, a fiscal year or a full day-month-year date. If the expedition operated over several seasons, search each season separately and then browse neighboring years in the same series.

Read the hierarchy instead of treating results as a flat list

Archival description is hierarchical. At the National Archives and Records Administration (NARA), record groups or collections contain series, and series contain file units or items; digital objects can be attached at the lower levels. Other repositories use different labels, but the principle is similar.

NARA states that more than 95% of its holdings are described at the series level. That figure describes the level of description, not the percentage digitized and not the percentage searchable by item or full text. A series-level record can therefore be the best available pointer to a folder that has no individual online record.

When browsing, move down the hierarchy in order:

  1. Confirm that the collection or record group covers the right creator, agency or period.
  2. Identify the series whose function matches your question, such as field operations, correspondence or reports.
  3. Open the container list or file-unit descriptions and scan neighboring entries, not only the first keyword hit.
  4. Follow digital-object links at the item or page level.
  5. Return upward when necessary to understand restrictions, provenance or related series.

Use institutional examples without assuming universal coverage

National Archives and Records Administration

NARA’s Catalog and help materials illustrate why series-level searching matters. Its 2022–2026 strategic plan committed to making 500 million pages available through the Catalog by September 30, 2026. The digitization guidance was last reviewed October 8, 2024, and the commitment should not be presented as a verified completion total. Treat the Catalog as NARA’s system, not as a complete index to archives held elsewhere.

Library and museum catalogs

Library and museum systems often separate collection records, finding aids and image viewers. A museum may describe an expedition archive while a university library holds the archaeologist’s personal letters. Search both the institutional collection and the individual’s papers, then compare dates and provenance before assuming that two similarly named collections are the same.

Smithsonian expedition and field-book collections

The Smithsonian provides a concrete example of an institution holding expedition records and field books as archival collections. Use its catalog and finding aids when the Smithsonian is plausibly connected to the work. Do not infer that a similarly titled excavation is held there, or that another repository follows the same arrangement or digitization policy.

Compare repositories before choosing where to spend time

Comparison question Why it matters What to record
What does the search index? Some systems index collection descriptions only; others index item text or OCR. Collection, item, OCR, transcript or finding-aid coverage.
How deep is the description? Box and folder inventories can expose records hidden by a broad collection title. Collection, series, box, folder and item levels available.
Are digital objects linked? A description is useful even when no scan is attached, but a linked image changes what you can verify remotely. Viewer availability, page sequence and download or reproduction options.
How much is online? Online holdings may represent only a fraction of the physical collection. Digitization notes, sampling statements and gaps in the inventory.
Which filters work? Date, material, collection and location filters reduce noise in large catalogs. Available filters and the fields they search.
What help is offered? Reference staff may identify nondigitized or incorrectly described material. Contact method, citation guidance, access rules and response requirements.

Diagnose common search failures

Symptom Likely cause Next move
No result for a famous archaeologist The papers may be filed under an institution, expedition or alternate name. Search the surname, initials, name in reverse order, employer, site and “papers” or “correspondence.”
A site name returns only modern publications The catalog description may use a historical spelling, administrative district or ancient name. Try variant spellings, former place names, country and expedition leader.
A finding aid lists the right folder but no scan appears The folder may not be digitized, may be restricted or may require a separate viewer. Check the digital-object indicator and ask reference staff about the exact box and folder.
OCR finds a wrong name Letters, punctuation or diacritics were misrecognized. Read the page image and inspect surrounding pages for a clearer occurrence.
OCR finds nothing on a visible page The image may have no OCR layer or the handwriting defeated recognition. Search catalog metadata and browse page images manually.
Several collections have the same title Different creators or accessions may have been combined in search results. Compare provenance, date span, repository, series and creator before citing.

Plan for material that requires direct contact

Reference staff can often clarify whether a record is merely undescribed online, described but not digitized, restricted, on deposit, or available under a different identifier. A useful inquiry is specific and easy to answer. Include the collection title, creator, series, box or folder, relevant dates, names and the question you want resolved.

Ask targeted questions: Is the described folder extant? Has it been digitized but not indexed? Is there a transcription or surrogate? Can staff confirm a spelling or page sequence? What citation should be used for a scan supplied by the repository? Do not send a broad request for “everything about” a site when the finding aid can narrow the request first.

Handle images, transcriptions and quotations carefully

Always distinguish your transcription from the repository’s own transcript. Compare a quotation with the page image, preserve line breaks when they affect meaning, and indicate illegible or missing text according to the repository’s conventions. A typed transcript can omit marginal notes, enclosures, verso pages or changes made after the original was written.

Record the image sequence or page number alongside every quotation. If the viewer’s page count differs from the physical pagination, preserve both when possible. This makes your citation auditable even if the interface changes.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Use this field checklist

  • Define the site, people, institution and date range before searching.
  • Search the repository whose holdings are most plausibly connected to the work.
  • Run broad catalog searches before attempting full-text searches.
  • Open the collection-level finding aid and read scope, provenance and arrangement notes.
  • Test name order, surname-only, quoted, spelling and first-name variants.
  • Use date, material, collection, location and digital-object filters when available.
  • Browse adjacent series, boxes and folders around each promising hit.
  • Check every OCR match against the page image.
  • Do not treat a missed OCR hit as proof that a word is absent.
  • Compare online results with the full finding aid to identify nondigitized material.
  • Ask reference staff about unclear, restricted or missing records.
  • Save repository, collection, series, item, date and box/folder information with your notes.

What a successful search produces

The goal is not merely a page image or a keyword hit. A defensible result connects the image or quotation to its creator, collection, series and file unit, explains how you found it, and states whether the surrounding records are digitized. That chain of context lets you distinguish an isolated letter from a complete correspondence run, a single notebook page from an entire field season, and an OCR suggestion from a verified reading.

Start at the catalog, descend through the finding aid, verify the scan and document what remains offline. This sequence is slower than typing a phrase into a search box, but it is the reliable way to uncover excavation archives and historical correspondence that catalogs describe without exposing as searchable text.
