The keyboard shortcut depends on whether your computer runs Windows, macOS, or ChromeOS; the attachment buttons depend on your email service. The steps below cover each platform and use Gmail as a concrete example.
Before you capture: choose the right area
Decide what the recipient must see:
- Full screen: useful when context across several windows matters, but it can reveal unrelated or sensitive information.
- One window: best for an application error or document when the desktop is irrelevant.
- Selected region: usually the clearest and safest option because it excludes other windows, notifications, account names, and private data.
Close or hide confidential material first. If the screenshot contains passwords, access tokens, personal addresses, customer data, or private messages, crop or redact it before emailing.
How to screenshot on Windows 10 or Windows 11
Use Snipping Tool for a selected area, window, or full screen
- Press Windows logo key + Shift + S. A screenshot overlay appears.
- Choose a mode: rectangular snip, freeform snip, window snip, or full-screen snip.
- Capture the area or window. The result opens in Snipping Tool.
- Use the available annotation tools if you need to mark an error or obscure information.
- Save the image. Note the filename and folder so you can find it when attaching the email.
Microsoft Support explains that “When you capture a snip, it’s automatically copied to the Snipping Tool window where you make changes, save, and share.” If the shortcut does not behave as expected on your Windows edition or settings, open Start, search for Snipping Tool, select New, and choose the capture mode there.
Copy the whole screen with Print Screen
Press Print Screen (sometimes labeled PrtSc or PrtScn) to copy a full-screen image to the clipboard. Open an image editor or your email compose window and press Ctrl + V. Because this method may not create a file automatically, save the image if you need to edit it, keep it for later, or attach it as a conventional file.

How to screenshot on a Mac
Capture the entire display
Press Shift + Command + 3. macOS normally saves the image to the Desktop. Look for a file whose name begins with “Screenshot” and includes the date and time.
Capture a selected area
Press Shift + Command + 4, drag over the required area, and release. The capture is saved to the Desktop by default. A selected region avoids sending the rest of your desktop.
Capture a window or menu
Press Shift + Command + 4, press Space, then click the window or menu. This produces a focused capture without surrounding desktop content. If you need a different save location or additional options, use macOS’s screenshot controls from the same keyboard shortcut family and move the resulting file before attaching it.
How to screenshot on a Chromebook
Capture the whole screen
Press Ctrl + Show windows. The Show windows key usually looks like a rectangle with two vertical lines beside it. ChromeOS saves the screenshot as an image file; open the Files app or the notification that appears to locate it.

Capture part of the screen
Press Shift + Ctrl + Show windows, then drag over the region you want. ChromeOS saves the selection as an image file.
Open the screen-capture controls
Press Ctrl + Shift + Show windows for additional screen-capture features. Keyboard labels can differ on external keyboards: Google notes that a Windows key or Command key may substitute for the Search/Launcher key where applicable.
Clipboard capture or saved file: know which you have
A capture can be in one of two states:
- Clipboard image: nothing is visible in a folder yet. Click in the email body and press Ctrl + V on Windows or Chromebook, or Command + V on Mac, if your mail service supports inline pasting.
- Saved image file: use the email service’s attachment control to select the file. Windows Snipping Tool can save a snip; macOS normally saves screenshots to the Desktop; ChromeOS stores captures as files that you can find in Files.
If you need to crop, highlight, or redact, edit the image before composing the message. Save the edited version with a clear name such as checkout-error-redacted.png so you do not accidentally attach the original.
Send the screenshot with Gmail on a computer
- Open Gmail and click Compose.
- Enter the recipient, a specific subject, and a short explanation of what the image shows. For example: “Checkout error at payment step — screenshot attached.”
- Click the Attach files (paperclip) button.
- Select the saved screenshot and click Open.
- Wait for the upload to finish. Confirm the filename or thumbnail appears in the draft.
- Read the message once more, verify the recipient address, and click Send.
Gmail also allows you to drag an image file directly into the compose window. Pasting a clipboard capture into the message can place it inline, but an attached file is easier for a recipient to download and retain. If your provider uses different labels, look for controls named Attach, Insert file, or a paperclip icon; the exact interface is not universal.

When the screenshot is too large
For personal Gmail accounts, Google documents a 25 MB total attachment limit. Work and school Gmail limits are set by the Workspace administrator. If the total is over the applicable limit, Gmail may replace the attachment with a Google Drive link.
To use Drive, upload the image, start a Gmail message, choose the Drive insertion control, select the file, and decide whether to insert a Drive link or an attachment when Gmail offers that choice. Gmail checks whether recipients can access the file and may ask you to change sharing. For a sensitive screenshot, do not choose broad access simply to make delivery easier: select the narrowest permission that lets the intended recipient open it, then remove or change access when the work is complete.
Other mail providers have their own size limits and cloud-storage integrations. Check the provider’s current help page if the attachment is rejected; do not assume Gmail’s 25 MB rule applies elsewhere.
Quality, privacy, and reliability checks
Make the important detail readable
- Capture at the display’s native scale instead of photographing the monitor.
- Include the complete error message, URL, timestamp, or status indicator needed for diagnosis.
- Use a selected region or window when a full display would make text too small.
- Annotate with arrows or boxes, but keep an unedited copy if the original may be needed later.
Prevent accidental disclosure
- Check browser tabs, notification banners, bookmarks, taskbar icons, and chat previews.
- Remove passwords, API keys, authentication codes, payment details, and personal records.
- Check the recipient and any CC or BCC fields before sending.
- For Drive links, verify the sharing scope in the draft and after delivery.
Confirm the recipient can use it
Open the draft attachment or inline image before sending. If the image is an unfamiliar format, use PNG or JPEG for broad compatibility. A screenshot that looks correct locally can still be missing if the upload did not finish, so wait for the attachment chip or thumbnail to appear.

Troubleshooting common problems
The shortcut does nothing
On Windows, open Snipping Tool from Start and use New. On a Chromebook, confirm that you are pressing the key labeled Show windows; an external keyboard may use a Windows or Command key for Search/Launcher functions. On a Mac, hold all keys in the shortcut together and release them after the capture.
I cannot find the image
Check whether you made a clipboard capture rather than a saved file. Try pasting into an image editor or the email body. For saved captures, check the Windows folder chosen by Snipping Tool, the Mac Desktop, or the Chromebook Files app and its recent files.
The email has no image
For a file attachment, confirm the upload completed and that the filename appears in the draft. For a clipboard capture, click inside the message body before pasting. If inline images are blocked by the provider or browser, save the capture and use the paperclip attachment control instead.
Gmail refuses the attachment
Check the combined size of every attachment against the personal Gmail 25 MB limit. Remove unnecessary files, compress or resize the screenshot, or use Drive with deliberate recipient permissions. A Workspace account may have a different administrator-set limit.

The recipient sees a Drive permission error
Open the file’s sharing settings, add the recipient’s account or choose an appropriate restricted link setting, and resend the link. Avoid “anyone with the link” for confidential images unless that exposure is acceptable.

Frequently Asked Questions
Can I email a screenshot without saving it first?
Yes. If the capture is on the clipboard, paste it into the email body with Ctrl+V on Windows or Chromebook, or Command+V on Mac. Save a file instead when you need an attachment, editing, or a copy for your records.
Should I send PNG or JPEG?
PNG is generally preferable for interface text and sharp edges; JPEG can produce a smaller file for photographic content. If your mail service rejects the file, resize it or use its cloud-drive option.
Why is a cropped screenshot usually better than a full-screen capture?
It focuses the recipient on the relevant control or error and reduces the chance of exposing unrelated desktop content or confidential notifications.
