How to Scrape Website Data into Excel in 2026 (Power Query Guide)

Use Excel’s Power Query web connector. In desktop Excel, choose Data > From Web (or Get Data > From Other Sources > From Web), enter the page address, select a detected table in Navigator, clean it with Transform Data, and choose Load. The resulting query can be refreshed, although a refresh may fail when the site changes, requires authentication, or renders content only in a browser.

This guide covers ordinary HTML tables, pages without tables, APIs and downloadable files, JavaScript-rendered pages, authentication, refresh reliability, and practical checks for a 2026 workbook.

1. Check the source before you connect

Identify what the URL actually serves. Your choice of connector and expectations depends on the source.

Confirm that collecting the information is allowed by the target site’s terms and access rules in your jurisdiction. A successful request does not, by itself, grant permission to reuse a site’s data.

2. Import a normal HTML table

  1. Open a desktop Excel workbook and select the Data tab.
  2. Choose From Web. In some builds the route is Get Data > From Other Sources > From Web.
  3. Paste the page URL and select OK. Choose the authentication method if Excel asks for one.
  4. In Navigator, inspect the previews. Select the table that contains the required rows and columns.
  5. Choose Load to place the result in a worksheet, or Transform Data to open Power Query Editor first.

Do not trust a preview solely because it looks plausible. Compare several values and the apparent row count with the page in a browser. A page can contain multiple tables, navigation tables or an incomplete first result.

Transform before loading

In Power Query Editor, set data types, remove unwanted columns, filter rows, promote the first row to headers when necessary, split columns, and replace inconsistent values. Give the query a meaningful name. Select Home > Close & Load when the shape is correct.

Refresh the workbook

After loading, use Data > Refresh All to request current values from the source. You can also open Data > Queries & Connections, right-click a query and choose Refresh. Refresh is a new request, not a guarantee that the website will return the same structure or permit the request.

3. When Navigator finds no useful table

Some pages show lists, labels or cards rather than a semantic HTML table. In Navigator, choose Add table using examples. Enter a value from the field you want—such as a product name, date or price—in the example column. Power Query searches the page for matching patterns and proposes additional values.

Microsoft documents this method for both table and non-table content, but it is an extraction aid, not a promise that every visual element can be recovered accurately. Suggested example values are limited to 128 characters. Use short, distinctive samples and add more examples when the inferred column is wrong.

  1. Open Add table using examples in Navigator.
  2. Choose the output column and type one or more values copied from the page.
  3. Review the proposed results and correct any examples that match the wrong element.
  4. Select Load or Transform Data.

After extraction, inspect the query in Power Query Editor. Remove duplicate records, normalize dates and numbers, and check that missing values are genuinely absent rather than failed matches.

4. Handle JavaScript-rendered pages

A page may arrive as a mostly empty HTML shell and populate its data only after browser-side scripts run. If the standard connector returns no rows while a browser shows content, use Power Query’s browser-based functions, such as Web.BrowserContents, with a wait condition.

Wait for a selector or a delay

Configure a WaitFor selector for an element that appears only after the data loads, or use a time wait when no stable selector exists. Then test the returned preview and refresh it. Rendered pages can change, and an example that worked once may later capture a different component.

Runtime prerequisites

Microsoft’s connector documentation notes that Web.BrowserContents requires the Microsoft Edge WebView2 runtime. Some documented Web.Page scenarios have an Internet Explorer 10 prerequisite. These requirements vary by Excel product and connector version, so verify the prerequisites on the computer that will run the refresh.

5. Choose the right connector for APIs and files

APIs

If the address is an API, use its documented parameters and response format rather than treating the response as a visual web page. In the connector’s advanced options, URL parts can be composed separately. Web.Contents supports request headers. Microsoft states that POST requests made through Web.Contents can be made only anonymously, so an authenticated POST may require a different integration design or an intermediary you are authorized to use.

CSV, JSON, XML and PDF

For a web-hosted CSV, JSON, XML or PDF, use the corresponding file-oriented option where available. Confirm that redirects, authentication and content type return the file. If Excel displays an HTML sign-in page instead, fix authentication before attempting to parse it.

Authentication choices

The desktop Web connector documents Anonymous, Windows, Basic, Web API and Organizational Account methods. Select the method required by the site, and avoid embedding secrets in a worksheet or query step that other people can read. Authentication behavior and available options can differ between Excel products.

6. Make refresh dependable

  • Record a baseline: save the source URL, retrieval date, expected columns and an approximate row count.
  • Validate after every structural change: compare headings, several sample values and totals after loading.
  • Keep transformations resilient: reference stable column names, remove cosmetic steps and handle missing columns deliberately.
  • Test a manual refresh: use Refresh All before distributing the workbook or scheduling a process.
  • Separate credentials: use Excel’s credential manager and the least-privileged account permitted by the source.

A cloud-published workbook may have different requirements from desktop Excel. Microsoft’s troubleshooting guidance notes that some Web Page connector publishing scenarios require an on-premises data gateway. Confirm the gateway and data-source configuration for the exact service you use.

7. Troubleshoot common failures

9. Cost, performance and responsible operation

Power Query itself is part of the Excel workflow; the practical costs are Excel licensing, source access and the time required to maintain transformations. Reduce unnecessary load by importing only required columns, filtering early and avoiding repeated refreshes while developing. Respect rate limits and access rules published by the target site, and do not parallelize requests merely to speed up a collection.

For large or frequently changing datasets, an API or downloadable file is generally more stable than scraping presentation markup. Keep a dated copy of important outputs when reproducibility matters, because a later refresh can reflect source edits or a changed layout.

10. A repeatable 2026 checklist

  1. Confirm permission, URL type and authentication requirements.
  2. Connect with Data > From Web.
  3. Choose the correct Navigator table, or use Add table using examples.
  4. Use Transform Data to set types, remove noise and handle missing values.
  5. Load to a worksheet and record expected columns and sample values.
  6. Run Refresh All and compare the result with the live source.
  7. If content is dynamic, configure browser contents and a wait condition, then retest.
  8. For cloud publishing, verify gateway and credential requirements separately.

Frequently Asked Questions

Can Excel scrape any website?

No. Excel can retrieve only what the site exposes to the connector and what your account is allowed to access. JavaScript rendering, authentication, pagination, robots or terms may prevent a complete import.

Should I use Power Query or an API?

Use Power Query for a page or file that already exposes the fields you need. Prefer a documented API when you need stable schemas, parameters, pagination or frequent refreshes.

Why is my worksheet different after refresh?

The source markup, rows, headings, authentication response or rendered content may have changed. Compare the refreshed preview with your saved baseline and update the affected query steps.

Does a screenshot contain usable Excel data?

A screenshot is a visual record, not a structured table. Use it for evidence or archiving and use Power Query or an authorized API for rows and columns.
