Start by asking suppliers for an approved product feed, API, portal export, or data-pool connection; scrape product pages only when no suitable structured route is available and the intended access is permitted. A reliable catalog workflow defines the fields it needs, preserves product identifiers and source provenance, validates records, monitors meaningful changes, and exports a documented dataset with retrieval times.

Choose a data source before building a scraper

Supplier product information may be available through a synchronized data pool, supplier API, portal export, or website pages. Compare candidates by product and supplier coverage, field completeness, update latency, identifier quality, allowed use and redistribution, integration work, and total cost. No route is a universal winner; availability and access conditions vary by supplier and provider.

Route Useful when Verify before relying on it
Supplier feed or GS1 GDSN data pool The supplier participates and recurring synchronization matters. Supplier and item coverage, schema and attributes, update behavior, subscription, and use terms. GS1 GDSN supports exchange through interoperable data pools and supplier subscriptions, but participation is not universal. GS1 GDSN
Supplier or registry API You need structured queries, system integration, or repeatable ingestion. Authentication, rate limits, available fields, bulk support, price, licensing, geography, and storage or redistribution rights. GS1 US documents subscription-dependent API workflows for product, location, and company data. GS1 US Data Hub
Portal export A one-time or periodic catalog download is sufficient. Export format, field selection, record limits, refresh process, and terms. GS1 US describes filtered export workflows with options that depend on subscription. GS1 US Data Hub
Website scraping No suitable approved structured source is available and the website permits the intended access. Current terms, robots.txt rules, technical restrictions, request volume, content rights, and applicable law. RFC 9309 standardizes crawler rules, not authorization. IETF RFC 9309

Ask suppliers for the practical details

Request the feed, API, export, or applicable data-pool connection along with its schema, covered products, refresh cadence, use conditions, and change-notification behavior. GS1 GDSN is designed for synchronization between participating trading partners; it does not mean every supplier or product participates. GS1 Netherlands describes GS1 Data Link as an API connection to data-pool label information, subject to conditions including keeping data current. GS1 Netherlands: GS1 Data Link

Define fields and a stable record model

Write down what downstream users actually need before collecting anything. Common fields include an identifier, brand, product title, description, dimensions, images, availability, and source update time, but no source should be assumed to expose all of them.

  • Preserve GTIN and supplier SKU when available; retain the supplier’s original identifier rather than replacing it with a name-derived key.
  • Store supplier name, source identifier, source URL or feed name, retrieval timestamp, schema or version, and field-level validation status.
  • Keep raw source evidence or a permitted snapshot separately from normalized values so later reviewers can distinguish what the source said from what your pipeline transformed.
  • Document which source is authoritative for each field when multiple sources contribute to one catalog record.

This is a practical data-management approach, not a universal GS1-mandated record format. GS1 describes its Global Data Model as defining a globally consistent set of foundational attributes needed to list, store, move, and sell products. GS1 Global Data Model

Collect and validate records

  1. Inventory candidate sources. Record supplier coverage, format, update cadence, access requirements, and allowed uses before integrating a source.
  2. Prefer the approved structured route. Use the supplier feed, API, portal export, or data-pool connection when its coverage and terms meet the need. Confirm whether data may be stored, transformed, or redistributed.
  3. Map source fields to your schema. Preserve original values and identifiers; normalize into canonical fields without discarding the source representation.
  4. Validate identity and structure. Check required fields, identifier format, data types, units, image links, and supplier-specific constraints. Verified by GS1 can help check whether an identifier is structured correctly and which company it is associated with; an identifier lookup is not a complete product catalog. Its service frames the question as: “Is this the product that I think it is?” Verified by GS1
  5. Quarantine uncertain records. Keep incomplete or conflicting entries out of trusted downstream exports until a person or a reliable source resolves them.
  6. Save retrieval context. Record when and where each value was obtained, plus the schema version and validation result, so consumers can assess freshness and provenance.

Match products carefully

Prefer a stable product identifier such as a GTIN or supplier SKU when available, and preserve packaging-level distinctions. Matching on names alone can merge variants or confuse different packaging levels. Identifier verification can improve confidence in identity, but it does not establish that every attribute is complete or current.

Scrape pages only when the route is appropriate

Before crawling a supplier site, review its current terms and robots.txt, confirm the intended use is permitted, identify yourself clearly, and keep request rates conservative. Stop if access is blocked or requires credentials you do not have. Do not bypass authentication, CAPTCHAs, or other access controls.

RFC 9309, the IETF Robots Exclusion Protocol standard published in September 2022, formalizes crawler-facing robots.txt rules, including Allow and Disallow matching. It explicitly states: “These rules are not a form of access authorization.” A robots.txt file is a crawler instruction source, not proof that a scrape is legally or contractually allowed, and it is not a security control. Applicable permission can depend on the target site, jurisdiction, contract, authentication, and the data collected; seek supplier permission or legal review when unclear. RFC 9309

RFC 9309 says crawlers should not use a cached robots.txt version for more than 24 hours unless the file is unreachable. That recommendation concerns crawler behavior, not how often supplier product data should be refreshed.

Monitor changes and control refreshes

Compare each incoming record with the last accepted version. Separate changes made by the source from changes caused by your own normalization rules, and route ambiguous or high-impact differences for review. A changed price, availability value, package size, or identifier may require a different response than a corrected punctuation mark.

  • Refresh according to the supplier’s stated update cadence and the business cost of stale data; there is no universal polling schedule supported across suppliers.
  • Use source notifications or incremental API/feed features if available, and verify their behavior rather than assuming they report every change.
  • Retain the prior accepted values and retrieval timestamps needed for audit, rollback, and comparison.
  • Alert on missing required fields, sudden record-count changes, invalid identifiers, repeated fetch failures, and changes that would materially affect listings or procurement.

Export a usable catalog

Export a documented schema rather than a bare spreadsheet of values. Include stable identifiers, supplier, source, retrieval timestamp, units, and validation status so the receiving system can distinguish current values from stale or unverified ones. Confirm that the source terms allow the intended storage and redistribution, and preserve enough provenance to trace a record back to its feed or page.

If a permitted supplier product page is the source you need, ScreenshotNeo can return a screenshot with one GET request. It is a website screenshot API and MCP server for developers; screenshots can help capture a page as visual evidence, but they do not turn page images into structured product records or replace an approved product feed or API. See the ScreenshotNeo website and API documentation.

cURL:

curl -G "https://api.screenshotneo.com/v1/shot" -d access_key=YOUR_API_KEY --data-urlencode url=https://supplier.example/product -o shot.webp

Python:

import requests
r = requests.get("https://api.screenshotneo.com/v1/shot", params={"access_key": "YOUR_API_KEY", "url": "https://supplier.example/product"}, timeout=90)
open("shot.webp", "wb").write(r.content)

Node.js:

const q = new URLSearchParams({ access_key: 'YOUR_API_KEY', url: 'https://supplier.example/product' });
const res = await fetch(`https://api.screenshotneo.com/v1/shot?${q}`);

ScreenshotNeo accepts cookie and consent banners before capture and removes more than 60 known consent platforms, newsletter popups, and chat widgets; each step can be turned off. Bot checks, blank pages, failed loads, timeouts, and cache hits are not billed, and response headers report the page verdict and billing status. Its MCP server provides take_screenshot, get_page_info, and capture_pdf for AI agents and MCP clients. The Free plan includes 1,000 screenshots a month with no card; paid plans start at $5 for 3,000 screenshots.

Troubleshoot common data-pipeline failures

Symptom Likely cause What to do
Supplier product is missing from a feed or data pool The supplier or item may not participate, or the connection may not cover it. Confirm supplier and item coverage with the provider; request a direct feed, API, or export if needed.
API calls fail or return fewer fields than expected Authentication, subscription, permissions, schema, or rate limits may constrain access. Check the provider’s current documentation and account terms; verify credentials, endpoint, response schema, and allowed request volume.
Records merge different variants or package sizes Name-based matching is ambiguous. Match on stable identifiers where possible and retain packaging-level distinctions; send unresolved conflicts to review.
Data appears stale despite regular downloads The supplier’s update cadence or your refresh process may not match business needs. Check source timestamps and notification behavior, then set refresh timing from the supplier’s cadence and the impact of stale data.
A crawler is blocked or robots.txt disallows paths The site has provided a restriction or another technical control is in effect. Do not bypass it. Ask the supplier for an approved route or obtain clarification before proceeding.
Export users cannot tell which values are current Retrieval timestamps, source identity, or validation state are missing. Add provenance and validation fields to the export schema and document the authoritative source for each field.

Frequently Asked Questions

Does Verified by GS1 provide a complete product catalog?

No. It helps verify identifier structure and associated company information; availability of that identity data is not the same as a complete record of product attributes.

Does robots.txt permission make scraping legally authorized?

No. RFC 9309 says robots.txt rules are not access authorization. Review the site’s terms and applicable access conditions separately.
