Scheduling creates the event page; it does not play recordings by itself. For a standard encoder setup, start the feed, check the preview in Live Control Room, and select Go live at the planned time.
Before you schedule: confirm the channel, content and run of show
Check live-streaming access
YouTube’s live-streaming setup guidance requires channel verification and says the channel must not have a live-streaming restriction in the preceding 90 days. Check access before building the event; a scheduled page does not remove a channel restriction. See YouTube’s live-streaming overview.

Prepare the conference program
Finalize the recording files and their order, titles, transitions, breaks, opening and closing slates, and any host segments. These are production preparations, not YouTube requirements. Decide whether someone will manage chat or make live transitions: that affects your latency choice and whether an unattended playback setup suits the event.

Clear rights and choose visibility deliberately
Confirm that you have permission to rebroadcast each session, speaker presentation, slide, music track and other embedded material for the intended audience and territory. Technical readiness, ownership of the event recording, or a successful test does not establish those rights. YouTube provides visibility options including public, private and unlisted; verify the setting instead of relying on defaults, which can differ by age group. Monetization controls do not mean every channel or conference recording is eligible. Review YouTube’s live-stream setup guidance and the applicable agreements for your content.

Create the scheduled YouTube Live event
- In YouTube Studio, select Create > Go Live to open Live Control Room.
- Open Manage and choose Schedule stream.
- Reuse a previous stream’s settings or create a new event. Review the title, description, visibility, scheduled time and other metadata before saving.
- Share the scheduled event URL with attendees. YouTube says upcoming streams may appear in subscriber feeds, viewers can choose Notify me, and organizers can share the event page. Scheduling promotes the event; it does not queue or start your local recordings. See YouTube’s instructions for scheduling a stream.
Protect the stream key
The stream key connects your encoder’s outgoing feed to the YouTube event. YouTube describes stream keys as like a stream’s “password and address.” Keep it private and enter it only in the encoder or trusted playback system. If it is exposed, reset it in YouTube Studio; only channel owners or managers can reset stream keys. See YouTube’s stream-key guidance.
Send the recorded sessions as the live feed
Standard software or hardware encoder workflow
- In your encoder, enter YouTube’s stream URL and stream key, or select YouTube directly if the encoder offers that integration. YouTube’s encoder workflow explains how to connect the feed.
- Load the conference recordings in the intended order in the encoder or playback system. Verify that the session sequence, audio, transitions and any planned breaks are correct. The scheduled event itself does not make a playlist from files on your computer.
- Start sending the encoder feed early enough to check it. In Live Control Room, wait for the preview and confirm that it is receiving the intended video and audio.
- At the planned start, select Go live in Live Control Room. Keep monitoring the feed, audio and stream-health indicators through the program.
Appliance option: AJA HELO Plus
YouTube lists the AJA HELO Plus as an encoder and describes its optional PlayToStream functionality as a way to schedule prerecorded media to YouTube Live without a computer. It is an optional appliance path, not a YouTube requirement. Before buying or planning around it, confirm the current product configuration, feature availability, supported media and setup with the manufacturer or seller. See YouTube’s encoder information.

Choose encoding settings and latency for the program
Match resolution and bitrate to the source and uplink
Choose an output resolution and frame rate that make sense for the recordings and the available upload connection. YouTube’s current encoder guidance supports H.264, H.265/HEVC and AV1 for RTMP/RTMPS, recommends constant bitrate, and advises RTMPS where supported. Bitrate recommendations vary by codec, resolution and frame rate, so use the live table in YouTube’s encoder settings guide rather than treating one number as universal.
Recommended Free Tools
For context, YouTube’s table lists H.264 at 1080p30 as 5 Mbps minimum and 14 Mbps recommended; for H.264 at 1080p60, it lists 6 Mbps minimum and 17 Mbps recommended. These are platform recommendations, not guaranteed requirements. They apply to those specific codec and output combinations; choose settings for the actual stream and uplink.

Set keyframes and test the feed
YouTube recommends a two-second keyframe interval and says it should not exceed four seconds. Test the actual mix of motion and audio before the event, then check the preview and stream-health messages. Full settings are in YouTube’s encoder guidance.
Pick latency based on interaction
For a one-way marathon of recorded sessions, low latency is usually less important than stable playback. If a host will answer chat in real time, lower latency can make interaction more immediate, but YouTube warns it can increase playback buffering. Compare the modes in YouTube’s latency guidance.

Rehearse the connection, failover and session transitions
- Test the real program: Use similar audio and motion to the final sessions, inspect the preview and watch stream-health messages.
- Leave upload headroom: YouTube’s streaming tips recommend 20% upload-capacity headroom and say to account for both primary and backup streams. This is platform guidance, not a guarantee against congestion. See YouTube’s streaming tips.
- Set up early: YouTube advises setting up encoders at least two hours before and starting them at least 15 minutes before the scheduled start. Use that time to preview, check audio and confirm the event page is receiving the intended feed. See YouTube’s streaming tips.
- Test backup recovery: If you have a backup encoder, test failover rather than assuming it will take over correctly. Check local recording or playback-file integrity and growth where applicable.
- Plan transitions: Confirm the playlist moves between sessions as intended and that breaks, slate cards and host segments behave as rehearsed.
- Monitor during the marathon: Keep an operator able to notice audio, picture or feed problems. YouTube recommends testing and monitoring but does not set a universal staffing level or promise uninterrupted service.
Choose a playback approach
| Consideration | Software or hardware encoder with operator | AJA HELO Plus with optional PlayToStream |
|---|---|---|
| Playback control | Operator configures the session sequence in compatible software and starts the encoder feed. | YouTube describes scheduling prerecorded media to YouTube Live through optional PlayToStream functionality. |
| Computer dependence | Requires an encoder computer during the stream. | The cited YouTube description says scheduled prerecorded streaming can run without a computer; verify the current device requirements and setup. |
| What to rehearse | Software, playlist, key, preview, transitions and any backup encoder. | Current playback features, supported files, scheduled workflow, monitoring and recovery. |
| Useful decision factors | Equipment already available, playlist control, operator familiarity and staffing. | Automation needs, appliance cost, file compatibility, storage, monitoring and support. YouTube’s documentation does not establish comparative price or reliability. |
For either path, check resolution and frame rate against the source material and uplink, then select latency according to whether anyone will interact live. Confirm an appliance’s current capabilities with its manufacturer; the YouTube listing alone does not establish current stock or every configuration’s features.
Quick wins for a faster PC:
Clear out junk files and repair common Windows errorsFree Scan →Scan for outdated or missing drivers - takes under a minuteDriver Scan →End the stream and verify the archive
- At the end of the program, end the stream in Live Control Room and stop sending content from the encoder. The documented workflow treats these as separate actions. See YouTube’s encoder workflow.
- Check the resulting recording and confirm session transitions and audio in the archive. YouTube says streams under 12 hours are automatically archived; do not rely on that rule for a marathon lasting 12 hours or longer.
Troubleshooting common problems
- The event is scheduled, but no video appears: Scheduling only creates the upcoming event. Start the encoder or playback system, verify the stream URL and key, and wait for the preview in Live Control Room.
- The preview does not arrive: Check that the encoder is sending to the intended event, the stream key is current, and the network can sustain the selected output. Review Live Control Room’s stream-health messages and retest before the audience arrives.
- The feed buffers or drops: Compare the encoder bitrate with real upload capacity, reduce output demands if needed, and leave the 20% headroom YouTube recommends. Account for the primary and backup feeds when both are active.
- The picture or audio changes unexpectedly between sessions: Recheck playlist order, file playback, transitions and audio levels in a full rehearsal. Ensure the preview represents the actual program, not only a test slate.
- The stream key may be exposed: Reset it in YouTube Studio if you are a channel owner or manager, then update the encoder before the event.
- The archive is missing or incomplete: Confirm the stream duration and inspect the recording after the event. YouTube’s automatic archive statement applies to streams under 12 hours.
