How to Schedule Meetings Across Time Zones Without Confusion

To schedule a meeting across time zones, compare candidate times on the actual meeting date, create one calendar event with the correct time zone, and check how the invitation appears for attendees. The event represents one instant; each participant’s calendar should display that instant in their own local time.

Use the meeting date, not today’s time difference

First ask each participant for a city or named time zone. Avoid relying on abbreviations such as “CST” in messages: they can be ambiguous. Then choose the meeting date before comparing hours. Places can change their clocks on different dates, and a government can change its time-zone rules.

For a quick comparison, enter the date and locations in the timeanddate Meeting Planner. It says it adjusts for daylight-saving time. For UK participants, the planner advises selecting a UK city rather than UTC or GMT.

Compare a few candidate times and look for a reasonable overlap in working hours. If no slot is convenient for everyone, rotate inconvenient meeting times across participants rather than repeatedly asking the same person or region to take the early or late slot.

Choose a calendar workflow that fits the group

Check four things when choosing how to coordinate: whether the tool shows participants’ locations together, uses the meeting date for seasonal clock changes, incorporates attendee availability, and works with the calendar that will send the invitation.

Tool Useful for What it does Consider
Google Calendar Comparing locations and creating a time-zone-specific event Google says invitees see events in their local times. Its guidance covers event time zones and showing secondary and tertiary time zones alongside the primary one. Google Calendar Help Google announced a web time-zone picker improvement that lets users search for a city or country. The announcement includes a rollout schedule; availability may vary by account or surface. Google Workspace announcement
Microsoft Outlook Organizations that use Outlook and need attendee availability or a poll Outlook stores event start and end times in UTC and displays them in recipients’ local time zones. Outlook time-zone guidance Use Scheduling Poll when you need attendees to choose among candidate times. Scheduling Poll guidance
timeanddate Meeting Planner Checking cross-city times before sending an invitation Enter the meeting date and locations to compare local times; the service says it adjusts for daylight-saving time. Meeting Planner Use it as a comparison aid, then create and send the event in the group’s calendar system.

Create one event and verify what attendees receive

Once you have chosen a slot, make one calendar event rather than separate events at different local times. A correctly time-zoned event is a single moment, converted for each invitee’s location. Microsoft’s example shows 2 p.m. Pacific as 3 p.m. Mountain while retaining the same UTC time.

  1. Set the event date and start and end times. Use the organizer’s intended local time for the meeting.
  2. Select the event’s time zone. In Google Calendar, use the event’s time-zone control and choose the appropriate zone; Google supports a distinct time zone for an event. In Outlook, time-zone settings govern how the event is stored and displayed. See Google’s instructions or Microsoft’s Outlook guidance.
  3. Invite all participants through that event. Their calendars should show the same meeting instant in their local time zones.
  4. Write the date and a labeled reference city or time zone in the invitation or accompanying message. For example, give the date and say “10:00 a.m. New York time” rather than sending an unlabeled clock time.
  5. Ask attendees to check the local time displayed in their own invitation. This can reveal a mismatch before the meeting begins, especially when people use different calendar systems.

Use a poll when availability is the hard part

If you do not know when participants are free, Outlook Scheduling Poll can recommend candidate times based on attendee availability. External attendees can vote using a secure link. The poll places temporary holds, which are removed when the organizer selects a final time. After choosing, confirm the final event and make sure the temporary holds are resolved. Microsoft’s Scheduling Poll guidance describes the feature.

Recheck long-range meetings when clock rules change

A familiar offset from a previous meeting is not a guarantee for a future date. Different jurisdictions may change their clocks on different dates. Google also warns that daylight-saving rule changes can affect future event displays, including existing events created before a region’s change was known. If a participant’s jurisdiction announces a change, recheck the event and ask attendees to confirm their displayed local time. Google Calendar Help explains this limitation.
