How to Scan Documents with Your Phone and Save Them as PDFs

You can turn paper pages into a PDF with apps already on an iPhone, iPad, or Android phone. iPhone users can scan in Notes, Preview, or Files; Android users can use Google Drive; and Google Drive also offers a scan workflow on iPhone and iPad. The important steps are choosing the right app, checking every page and corner, adding all pages before saving, and confirming where the PDF went. A PDF scan is not automatically searchable text, so verify the result if you need to copy or search its words.

Choose the scanning route that matches your phone

The best workflow is usually the one connected to the place where you already keep documents. Notes is convenient when the scan belongs with other notes, Files is better when you want a normal folder and filename, and Google Drive is practical when you need the document available across devices. Preview is designed around creating and editing a PDF on an iPhone.

Option Where the PDF is saved Documented controls Best fit
iPhone Notes Inside the note containing the scan Automatic or manual capture, corner adjustment, multiple pages, document actions such as sharing and renaming Keeping a scan with related notes
iPhone Preview Where you save the resulting PDF Multiple pages, crop, rotation, color adjustment, PDF saving and editing A PDF-focused workflow on iPhone
iPhone Files A Files location you choose Scan, adjust page corners, choose a location, save Placing the document directly in a folder
Google Drive on Android The Drive folder you select Crop, rotate, filters, cleanup, retake, delete-page, add-page, PDF or JPG output, filename and folder selection Saving to Drive with format and folder control
Google Drive on iPhone or iPad The Drive folder you select Capture, page adjustments, adding pages and folder selection People who already organize documents in Drive

These are workflow differences, not quality rankings. The documented instructions do not provide comparative accuracy or image-quality measurements for the apps.

Before you capture the first page

  • Put the page on a flat, contrasting surface so its corners are easy to distinguish.
  • Keep the phone parallel to the page when possible. A steady phone gives automatic capture a better chance of finding all four corners.
  • Decide whether the finished file should live in a note, a Files folder, or a Drive folder before you start.
  • If the document has several pages, plan to add every page in the same scan session so the result is one multi-page PDF.
  • Have a short, recognizable filename in mind, such as Insurance-policy-2026 or Meeting-notes-15-Oct.

You do not need a separate scanner or paid accessory for any of these built-in workflows. A phone document scanning stand can be useful if you scan many pages or have difficulty holding the camera steady, but it is optional.

Yojaro 4Pack Silicone Suction Phone Case Mount, Silicon Adhesive Smartphones Stand Sticky, Hands-Free Phone Accessories Holder for Selfies and Videos (Black & White & Translucent & Light Pink)
  • 【Strong Adsorption】The inspiration of the silicone phone suction case comes from the adhesive force of the octopus. Each suction cup phone mount is 3.15 inches long and 2.17 inches wide, with 24 independent suction cups providing a stronger and more stable suction force, so you don't have to worry about your phone falling during use.
  • 【Back of Phone Suction Grip】Remove the adhesive film on the phone suction cup and stick it on the phone case. You can then fix the phone on any smooth surface, which is very convenient. (The phone suction cup cannot be removed and reused after being attached to the phone case. It is recommended to attach it to a regular phone case, not a valuable one.)
  • 【Widely Used】Our non-slip silicone phone sticky grip mount attaches to almost any flat phone case and make it compatible with common mobile phones such as iPhone and Android. You can shoot, watch videos or video calls in the kitchen, gym, dance studio, bathroom and other places.
  • 【Capture the Wonderful Picture】Whether you are a TikTok creator or just like to share videos and photos, this phone suction cup can help you hands-free capture wonderful videos and photos for sharing with friends.
  • 【Note】You can fix the phone suction cup on a smooth surface such as a mirror or glass. If necessary, wipe the suction cup with a damp cloth to obtain stronger suction. Before releasing your hand, make sure the phone is firmly fixed. (Not applicable to rough walls, wooden surfaces, and other uneven surfaces)

Scan documents on an iPhone with Notes

Notes is the quickest iPhone route when you want the scan attached to a note. Apple’s documented result is a PDF stored in that note.

  1. Open Notes and create a new note or open the note that should contain the document.
  2. Tap the attachment control and choose Scan Documents.
  3. Place the page in view. Notes can capture automatically when it detects the page; you can also use manual capture if automatic detection does not behave as expected.
  4. Check the detected corners. Adjust them before keeping the scan if any edge is outside the page or includes too much background.
  5. Continue capturing pages. Add every page that belongs in the same file before finishing.
  6. Tap Done. The scanned document is saved as a PDF in the note.

Share or move the Notes PDF

Open the scanned item in the note and use the document actions shown by Notes. Depending on the current iOS version, those actions can include viewing the PDF, copying it, sharing it, renaming it, or deleting it. After choosing Share or another destination, check the destination app or folder to make sure the transfer completed; the original scan remains in the note unless you remove it.

If Notes captures the page incorrectly

Use manual capture rather than waiting for automatic detection, then drag the corner handles onto the actual page edges. A page that looks complete in the preview can still have a clipped signature, table, or footnote, so inspect all four corners before moving on.

Scan and combine pages with Preview on iPhone

Preview provides a more PDF-oriented path. Apple documents scanning additional pages, adjusting the crop, changing rotation and color treatment, and combining the pages into one PDF that can then be saved and edited.

Apple EarPods Headphones with USB-C Plug, Wired Ear Buds with Built-in Remote to Control Music, Phone Calls, and Volume
  • SUPERIOR COMFORT — Unlike traditional circular ear buds, the design of EarPods is defined by the geometry of the ear. Which makes them more comfortable for more people than any other ear bud–style headphones.
  • HIGH-QUALITY AUDIO — The speakers inside EarPods have been engineered to maximize sound output and minimize sound loss, which means you get high-quality audio.
  • BUILT-IN REMOTE — EarPods with USB-C plug also include a built-in remote that lets you adjust the volume, control the playback of music and video, and answer or end calls with a pinch of the cord.
  • COMPATIBILITY — Works with all devices that have a USB-C port.
  • INTEGRATED MICROPHONE — A built-in microphone precisely captures your voice while you’re on the phone, taking a FaceTime call, or summoning Siri — so you’re always heard loud and clear.
  1. Open Preview and start its document-scanning command.
  2. Capture the first page, using automatic capture when the page is detected reliably or manual capture when it is not.
  3. Review the crop and correct the page boundary. Use the rotation and color controls when the page orientation or appearance needs correction.
  4. Scan each additional page and keep the pages in the intended order.
  5. Finish the scan so Preview combines the pages into one PDF.
  6. Save the PDF to the location you want, then use Preview’s editing or sharing actions if further changes are needed.

Button names and placement can vary with the iOS version. If your iPhone does not show Preview, use Notes or Files instead; do not assume every iPhone has an identical app layout.

Scan directly into a folder with iPhone Files

Files is useful when you want to choose the destination before you finish. This avoids having to export a document from a note later.

  1. Open the Files app and open the location in which you want the PDF to live.
  2. Open the More menu and choose Scan Documents.
  3. Capture the page. Use automatic capture when the phone detects the page cleanly; switch to manual capture when needed.
  4. Adjust the page corners and review the result. Continue scanning until all pages are included.
  5. Tap Done.
  6. Choose the destination location in Files and tap Save.

The resulting PDF is in the location you selected. If you started inside a particular folder, confirm that folder rather than assuming the file went to a default location.

Scan documents on Android with Google Drive

Google Drive’s Android workflow captures pages with the camera, lets you correct them, and gives you a choice of PDF or JPG before saving. To create a document PDF, select the PDF format at the end.

  1. Open Google Drive and tap its camera or scan control.
  2. Point the camera at the page and capture it. Drive can propose the crop automatically, and manual capture is available when automatic capture misses the page.
  3. Review the proposed crop. Correct the corners and rotate the page if necessary.
  4. Use the available controls for filters or cleanup when they improve legibility. If the capture is unusable, choose retake; if a page should not be included, delete that page.
  5. Use Add page for every additional sheet that belongs in the same PDF. Check the order before finishing.
  6. Tap Done, enter a filename, and select .pdf as the format.
  7. Choose the Drive folder if you do not want the default location, then tap Save.

Google also documents a Drive scan widget for a home-screen shortcut. The widget changes how you start a scan, not the need to inspect the pages and choose the output before saving.

When JPG is the better output

Android Drive documents JPG as an alternative format. Choose JPG only when you need an image of the page rather than a document PDF; a multi-page document intended for emailing, filing, or printing is generally better kept as one PDF.

Scan to Google Drive on an iPhone or iPad

Google Drive also provides a scan path on iPhone and iPad. This is useful if your documents already live in Drive or need to be available to people using different devices.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Open Google Drive and start Scan from the add control or scan icon.
  2. Capture the page and inspect the detected boundary.
  3. Adjust the page as needed and add more pages before saving.
  4. Choose the Drive folder for the finished document.
  5. Save the scan. Drive stores the finished document in Drive as a PDF.

The exact icon and placement can change with the Drive app version. Look for the scan action in the add menu rather than expecting it to appear in the same place as on Android.

Review every page before saving or sharing

A scan is finished only after its content is readable and complete. Use this checklist while the pages are still open in the scanning app:

  • Edges: Make sure no corner, margin, signature, table column, or footnote is clipped by the crop.
  • Order: Compare the page sequence with the paper document, especially when scanning a packet or a double-sided set.
  • Legibility: Zoom in on small type, faint marks, and handwritten areas. Retake a page that is blurred or too dark instead of hoping the saved PDF will improve it.
  • Orientation: Rotate pages that appear sideways or upside down before saving.
  • Completeness: Use the add-page control for every sheet that should be in the same file. Do not save page one and assume later pages can be merged automatically.
  • Destination: Confirm the filename and folder or note. A correct scan is still difficult to use if it is saved somewhere you cannot find.

Automatic capture is convenient, but it is not mandatory. If the phone repeatedly selects the wrong boundary, hold it steady for a moment and then switch to manual capture so you can set the corners yourself.

Where the PDF goes and how to find it later

Workflow How to locate the result Typical next action
Notes Open the note that contains the scanned item Open the item and use its document actions to share, copy, or rename it
Preview Open the location selected during PDF saving Open the PDF in Preview for edits or sharing
Files Browse to the location chosen before tapping Save Use the file’s share action or move it to another folder
Drive on Android Open the selected Drive folder and look for the filename you entered Open the file or use Drive’s sharing controls
Drive on iPhone or iPad Open the Drive folder selected during the scan Open or share the saved PDF from Drive

If you cannot find a file, first check the app in which you scanned it, then the exact folder or note you selected. Search for the filename only after confirming that the save action completed; a search in the wrong app will not find a PDF stored elsewhere.

Troubleshoot common scan problems

The phone does not detect the page

Keep the phone steady and ensure the entire page is visible. If automatic capture still fails, use manual capture. You can then position each corner yourself before keeping the page.

To maintain the grip and prevent accidental falls, it's a good practice to periodically reapply pressure to the suction cup.

A page is cut off or includes too much background

Open the crop adjustment and move each corner to the actual paper edge. Do this before adding the next page. If the page content is already clipped in the captured image, retake it rather than relying on a crop change to restore missing pixels.

The PDF has the wrong number of pages

Return to the scan session or rescan the document and use Add page for every sheet. Inspect the page thumbnails or sequence before tapping Done or Save.

The scan is sideways, dull, or hard to read

Rotate the page, apply the available color or cleanup control, or retake it with the phone steadier. Review small text at full size before saving the final file.

The file was saved as an image instead of a PDF

On Android Drive, choose .pdf in the format step. JPG is a separate documented output option. On iPhone, use Notes, Preview, Files, or the iOS Drive scan workflow that saves the document as a PDF.

The app looks different from these instructions

App and operating-system versions can move controls or use slightly different labels. Follow the equivalent scan, add-page, crop, save, and share labels shown on your device. The underlying sequence remains capture, adjust, add pages, choose a destination, and save.

Are phone scans searchable?

Saving a camera capture as a PDF does not by itself establish that the words are selectable or searchable. The workflows described here document capture, page adjustment, and PDF saving; they do not guarantee identical optical character recognition behavior on every phone, app version, or document. If search or copy is essential, open the saved PDF and test a distinctive word by selecting or searching for it. If no text can be selected, treat the file as image-only unless you use a separate OCR-capable tool whose current behavior you have verified.

Which workflow should you choose?

  • Choose iPhone Notes when the scan belongs with a note and you want the simplest built-in capture.
  • Choose iPhone Preview when your priority is combining pages and making PDF-oriented adjustments.
  • Choose iPhone Files when you already know the folder where the document should be stored.
  • Choose Google Drive on Android when you need explicit filename, folder, and PDF-versus-JPG choices.
  • Choose Google Drive on iPhone or iPad when Drive is your existing document system across devices.

Whichever route you use, the dependable habit is the same: capture every page, correct the corners and orientation, check readability, select the destination, and verify the saved PDF before sharing it.
