Preview is better when you want to assemble, edit, and manage a PDF directly. Both apps can capture multiple pages and create a PDF. Treat “searchable” carefully: Apple documents text searching in scanned documents inside Notes, but its guides do not establish that every PDF exported from either app contains portable OCR text that will work in every other PDF reader.
The short answer
For most people, Notes is the quickest workflow:
- Open Notes and create a new note or open an existing one.
- Tap Attachments, then choose Scan Documents.
- Let the camera capture each page automatically, or switch to manual capture and tap the shutter.
- Correct the corners, review the image, and keep or retake the page.
- Repeat for every page and tap Done.
The scan is saved as a PDF in the note. Apple also documents searching text in scanned documents from Notes. If you need a PDF file managed directly in a PDF workspace, use Preview instead; it scans pages into a PDF that can be combined, saved, and edited.

When the PDF must be searchable in another app, do not assume that a successful scan automatically means a universal OCR text layer. Export or share the actual file, open it in the reader your recipient will use, and test its Find or search command.
Choose Notes or Preview first

The decision is therefore about destination as much as scanning. Pick Notes for note-centered storage and in-Notes search. Pick Preview for a PDF-centered workflow. Pick either one for camera capture, because both support automatic and manual page capture plus page adjustments.

Prepare the page and iPhone
Put the document on a flat, stable surface and position the iPhone so the entire page is visible. Keep the camera parallel to the page rather than viewing it from a steep angle; that makes the detected boundary easier to review and reduces the amount of corner correction needed. Avoid placing fingers, clips, or other objects over the page edge.
Have all pages ready before starting. A multi-page scan stays together more reliably when you capture the pages in order and finish the document in one session. If a page is double-sided, decide whether both sides belong in the final PDF and capture each side as its own page when appropriate.
Apple’s scanning interfaces provide controls for lighting and appearance while you work. If the first preview is too dark, washed out, or difficult to read, adjust the available flash or filter settings before accepting the page. A sharp, evenly lit original gives the best chance of readable text later; no documented Apple figure in the cited guides promises a particular OCR accuracy rate.

Scan a document in Notes
1. Start a note and open the scanner
- Open Notes.
- Create a new note or open the note where you want the document stored.
- Tap Attachments.
- Tap Scan Documents.
The camera view opens. Keep the first page inside the frame and wait for the page boundary to be recognized.
2. Choose automatic or manual capture
Notes can capture automatically when it detects the page boundaries. This is convenient when pages are flat and the edges are clear: hold the iPhone steady and let the scan occur.
For a page whose edges are hard to detect, turn off automatic capture and tap the shutter yourself. Manual capture is also useful when you want to control exactly when a page is recorded, such as when the document is under glass or you are repositioning it between pages.

3. Inspect the thumbnail before moving on
After capture, review the page thumbnail. Check that all four corners are included, text is not cut off, and the image is readable. Use the available scan controls to change flash or filters if necessary. Correct the detected corners, then keep the scan or retake it.

4. Add every remaining page
Return the next page to the camera view and repeat the capture process. Continue until the document is complete. Keep pages in their intended reading order; the sequence of captured thumbnails becomes the sequence of pages in the PDF.
5. Finish and save
Tap Done when all pages have been captured and checked. Apple’s wording is explicit: “The document is saved as a PDF in the note.” The PDF remains associated with that note, alongside any text or other content you placed there.
Scan a document in Preview
1. Open the scanner
- Open Preview on the iPhone.
- Tap Scan Documents.
- Position the camera over the page.
Preview captures automatically when it recognizes the page. Keep the phone steady until the capture is complete.

2. Switch to manual capture when needed
To capture a page yourself, tap Auto so it changes to Manual, then tap the shutter. Manual mode gives you control when automatic boundary detection is unreliable or when you need to coordinate the capture with how the page is positioned.

3. Adjust pages from the thumbnails
Preview lets you work from the captured-page thumbnails. Use the available controls to correct the crop, rotate a page, or change its coloring. Inspect each thumbnail before continuing, especially when the original has a colored background, faint print, or an unusual orientation.
4. Build and finish the PDF
Repeat the capture for additional pages. When the set is complete, tap Done. Apple says the scan creates a PDF, and its Preview overview describes combining pages into a single PDF that can be saved and edited. This makes Preview the more direct choice when your next task is arranging or editing a PDF rather than keeping a document inside a note.
How to make the scan searchable
What Apple confirms for Notes
Apple documents that Notes can search text in scanned documents. In Notes, use the app’s search facility to look for a word or phrase. Apple also documents Find in Note and an Include Attachments option for searching PDFs and other attachments. These features are useful when the scan is still being managed in Notes: you can search the note and include its attached PDF in the search scope.
Search results depend on what is visible and legible in the captured page. A skewed, cropped, or blurry scan can make a word difficult to locate even when the page looks acceptable at a glance. Correcting the page during capture is therefore part of making the eventual document usable, not merely a cosmetic step.
Why “searchable in Notes” is not the same as “searchable everywhere”
Notes search is a documented behavior of the Notes app. It does not establish that every PDF saved or shared from Notes or Preview contains an OCR text layer that another PDF application can read. The cited Apple instructions do not answer the export-specific question for every destination, reader, or iOS version.
If another person must search the file in a particular PDF reader, verify the real output rather than relying on the app name. Save or share the PDF, open that file in the target reader, and run its search or Find command against a distinctive word that is clearly printed on the page. If the word cannot be found, the file may need an OCR process designed for portable text recognition; the built-in scanning instructions alone do not promise that result.

Review and correct a multi-page scan
A scanned document is only as useful as its page set. Before you finish, work through the thumbnails in order:
- Completeness: confirm that every intended page is present.
- Order: make sure pages appear in reading order, including front and back sides when both were captured.
- Edges: check that no heading, signature, table column, or page number was clipped.
- Orientation: rotate pages that were captured sideways or upside down.
- Appearance: adjust coloring, flash, or filters when the text is hard to distinguish from the background.
- Legibility: zoom the thumbnail or preview enough to catch blur, glare, and shadows before discarding the original paper.
Retake a page when a correction cannot recover missing content. Cropping can straighten an edge, but it cannot restore text that was outside the camera frame.
Save, share, and manage the resulting PDF
With Notes, the finished document is stored as a PDF in the note. Keep it there when the note itself is the useful organizational unit—for example, when the scan belongs with instructions, a checklist, or other context. Use the note’s standard iPhone sharing or file actions when you need to send or save a copy elsewhere.
With Preview, the scan is created as a PDF in the PDF-oriented app. Preview’s documented overview supports combining pages and saving and editing the resulting PDF. That workflow is useful when page order, rotation, crop, or coloring needs attention before the file is delivered.

- Page check: open the file and verify the page count, order, orientation, and crop.
- Search check: test the file in the exact reader where searching matters.
Troubleshooting common failures
The camera does not capture automatically
Move the iPhone so the full page and its edges are visible, improve the evenness of the lighting, and hold the phone steadier. If detection still fails, use manual capture: in Notes, turn off automatic capture and tap the shutter; in Preview, tap Auto to change it to Manual, then tap the shutter.
The corners are wrong
Review the page thumbnail before proceeding and correct the corners using the scan controls. If the correction would cut into content or leave a large background area, retake the page with the document flatter and more fully inside the frame.
A page is missing from the final PDF
Return to the scan before tapping Done and capture the missing page. If you have already finished, reopen the saved document and use the app’s documented editing or page-management controls where available. For a long document, compare the thumbnails with the original pages before putting the paper away.
Text cannot be found in Notes
Make sure the search includes attachments when using Notes search. Then try a word that is large, dark, and clearly visible in the scan. If the page is blurred, cropped, rotated incorrectly, or affected by glare, retake it and check the new thumbnail. Notes search is documented for scanned-document text, but a poor image can still prevent a useful match.

Do not infer portable OCR support from the fact that Notes found text internally. Test the saved or shared file in the reader your audience uses. Apple’s cited guides do not establish universal OCR behavior across exports and third-party readers, so a different OCR workflow may be required when cross-application searching is essential.
Which workflow should you use?
- Choose Notes when the scan belongs with a note and you want Apple-documented text searching while it remains in Notes.
- Choose Preview when the primary object is a PDF that you need to combine, save, edit, rotate, crop, or recolor in Preview.
- Verify the file elsewhere when a client, school, archive, or colleague will search the PDF in another application.
- Retake instead of accepting a bad page whenever content is clipped, unreadable, or out of order; later editing cannot restore missing pixels.
Neither documented workflow requires a separate scanner, stand, or paid OCR application for the basic act of capturing pages to PDF. The iPhone camera plus Notes or Preview is sufficient for the scan itself. A separate OCR solution becomes a consideration only if your required destination needs a portable text layer that the built-in workflow has not been shown to provide.
