You can scan a paper document on an iPhone with Apple’s built-in Notes or Files apps—no separate scanner app is required. Use Notes when you want the resulting PDF attached to a note, or Files when you want to choose a folder and save the PDF there. Both workflows support automatic or manual capture, corner adjustment, and multi-page documents.
Which built-in iPhone scanner should you use?
The best route depends on where you want the finished document to live. Notes is the shortest path if the scan belongs with meeting notes, a receipt record, or another note. Files is better when you already know the folder in which you want to store the PDF. Apple also documents a scanning workflow in Preview, which is useful if you prefer to create a PDF from that app.

Apple’s support instructions are labeled for iOS 26 in some places, while another article describes the general camera options. The wording or availability of a control can differ with your iOS version, device, language, and region. If a label is not exactly where described, look for the same Scan Documents command in the app’s attachment or More menu.

Scan a document in Notes
Notes is the simplest choice when the scan should remain attached to written context. The scan is not stored as a loose image in the note: Apple saves it as a PDF. Apple’s wording is precise: “The document is saved as a PDF in the note.”

1. Open or create the note
- Open the Notes app.
- Open an existing note, or create a new note for the document.
Choose the note before scanning so the PDF is placed with the information you want to keep alongside it.
2. Start the document scanner
- Tap the Attachments button.
- Tap Scan Documents.
Apple also documents a second route when a note is open: tap More, then choose Scan. If you do not see the command under Attachments, check the More menu rather than installing another app.
3. Frame the page
Hold the iPhone camera over the paper and keep the entire page in view. The scanner looks for the page boundaries. You can use available controls such as the flash or filters when the lighting or page appearance calls for them. Not every iPhone shows every control, and the available options can vary by software version.

4. Let Auto mode capture, or switch to Manual
In Auto mode, hold the phone steady while the camera detects the page edges and captures the scan. Auto mode is convenient when the page is flat and its edges are easy to distinguish from the background.
For direct control, switch to Manual mode and tap the shutter yourself. Apple’s newer general support article also says a volume button can trigger capture. Manual capture is useful when the scanner is waiting for a boundary it cannot recognize, or when you want to decide the exact moment of capture.

5. Check and correct the crop
After capture, inspect the preview. Drag the corner handles so they line up with the actual page, not with a nearby table edge or shadow. If the framing is wrong or the page was blurred, retake the scan. Keep the scan only after the page boundary and readability look right.
6. Add every page before finishing
Continue capturing pages in the same scanning session. You can repeat the capture for additional pages before finishing, which keeps a multi-page document together rather than creating a separate note attachment for each sheet.
7. Tap Done
Tap Done when all pages have been captured and checked. Notes places the completed document in the note as a PDF. Open the PDF attachment from the note whenever you need to review the pages or use the document from that note.
Scan directly to Files
Use Files when the destination matters more than the surrounding note. This workflow asks you to choose where the PDF will be saved instead of attaching it to a note.
- Open Files.
- Tap More.
- Choose Scan Documents.
- Position the iPhone over the page and capture it automatically, or switch to Manual and capture it yourself.
- Review the preview and adjust the crop if necessary. Retake the page if the result is not correct.
- Scan additional pages if the document has more than one page.
- Tap Done.
- Choose the save location, then tap Save.
The important difference from Notes appears at the last step: Files asks you to select a location. That makes it appropriate when you already have a folder structure for documents and want the PDF stored there immediately.

Use Preview as another built-in option
Apple’s iPhone guide also documents scanning from Preview. The command creates a PDF and provides additional page controls from the scan thumbnails.

- Tap Scan Documents.
- Capture pages automatically, or switch to Manual and capture each page yourself.
- Use the thumbnails to crop or rotate a page if needed.
- Adjust the scan coloring from the thumbnail controls when that option is available.
- Tap Done to create the PDF.
Preview is a third built-in route, not a requirement. Notes and Files are usually easier to remember because Apple’s dedicated scanning instructions place the command directly in those apps.
How automatic and manual capture differ
Both modes produce a document scan; they differ only in who decides when the picture is taken.
- Automatic capture: the camera watches for the page boundary and captures when it detects the sheet. Keep the iPhone steady and leave the whole page visible.
- Manual capture: you tap the shutter when the page is positioned correctly. A volume button may also trigger capture according to Apple’s newer general camera instructions.
- Corner adjustment: after either type of capture, move the corners to correct the detected page outline.
- Retake: discard a preview and capture it again when the crop, focus, or framing is wrong.
Changing to Manual does not remove the crop check. You still need to inspect each preview before keeping it.
Scan several pages into one document
For a multi-page form, contract, handout, or receipt packet, keep scanning pages during the same session. After each capture, check the preview and continue with the next sheet. Finish only after the final page is included, then tap Done.

In Notes, this produces one PDF attached to the note. In Files, it produces one PDF that you save to the location selected after the last page. Keeping the pages in one session avoids having to manage a separate scan for every sheet.
“Scan Documents” is not the same as “Scan Text”
Choose Scan Documents when you need a visual copy of the page as a PDF. This preserves the page as a document scan, including its layout.
Notes also offers Scan Text. That command recognizes text and inserts the selected text into a note. Apple says Scan Text works in supported languages. It is intended for extracting words you can edit in the note, not for saving a complete page image as a PDF.
- Need the whole page, its formatting, or a signed form? Use Scan Documents.
- Need recognized words inserted into a note? Use Scan Text, provided the language is supported.
If your goal is “scan to PDF on iPhone,” Scan Documents is the relevant command.

The built-in scanner can correct the page outline after capture, but the initial camera position still affects the result. Use these checks before accepting a page:
- Show all four edges: keep the entire sheet in the camera view so the boundary detector has a clear outline.
- Hold steady: movement while the camera captures can make text less clear and can cause an incorrect boundary.
- Use the flash when appropriate: Apple exposes flash controls in the scanning view on supported devices. Use them when the page is too dark, while checking that glare is not obscuring the words.
- Try an available filter: filters can change the appearance of the scan. The exact choices depend on the iPhone and iOS version.
- Check the corners every time: automatic detection can include part of the table or cut off a margin. Adjust the handles before moving to the next page.
- Retake instead of accepting a bad preview: correcting a page while it is still on the table is easier than discovering the problem after the document is saved.
Troubleshoot the common failure points
The Scan Documents command is not visible
In Notes, open a note and check Attachments for Scan Documents. If it is not there, open the note’s More menu and look for Scan. In Files, open the app and tap More; the scan command is listed there. Menu labels can vary by iOS version, language, region, and device.
Auto mode will not capture
Make the page boundary easier to detect: place the sheet flat, include all its edges in the frame, and hold the iPhone steady. If detection still does not trigger, switch to Manual mode and tap the shutter. A volume button can also serve as the capture control in the newer general camera workflow documented by Apple.
The crop is wrong
Use the preview’s corner handles to trace the paper’s actual corners. If the page is skewed, a corner is missing, or the crop includes the background, retake the page and keep the phone more directly above it. Do not finish the session until every page’s preview is acceptable.

Additional pages must be captured before you tap Done. Continue scanning in the same session, then finish once the last page appears in the set. If you already ended the session, start another scan and save the missing page according to the app’s normal workflow.
You need editable words, not a page image
Use Notes’ Scan Text feature instead of Scan Documents. Scan Text inserts recognized text into the note and is limited to supported languages. It does not replace the PDF-oriented document scanner when you need the page itself.
Choose the workflow by destination

All three document-scanning routes are built into Apple’s iPhone software. You do not need to download a separate scanner app for these workflows, and the documented steps do not require a purchase.
What to expect on different iPhones and iOS versions
The Apple instructions used for this workflow include pages labeled for iOS 26 and a general article describing iOS 26 camera options. Apple notes that controls can differ by device and software context. A flash button, filter control, Manual toggle, volume-button capture, or thumbnail adjustment may not appear identically on every iPhone.

The core sequence is stable: open the built-in app, choose Scan Documents, capture automatically or manually, correct the corners, add pages if needed, and finish. If your screen uses a slightly different arrangement, follow the equivalent command in Attachments, More, or the scanning view rather than looking for a third-party app.
