For the most complete record, download the application or drawing from the planning portal first. A browser screenshot is useful when you need to show exactly how the page looked, while print-to-PDF is usually better for searching, pagination and printing. For drawings, retain the original PDF whenever possible so sheet size, scale bar, dimensions and revision information remain intact.
This guide explains the three capture methods, how to prepare a dynamic planning page, how to name and verify files, and how to automate clean captures when you have many application URLs.

Choose the record you actually need
Planning pages contain two different kinds of evidence: the portal’s underlying application documents and the visual presentation of the web page. They are not interchangeable. A direct document download normally preserves more source information; a screenshot preserves the rendered interface; a PDF made through the print dialog creates a searchable, paginated record but may use different print styling.

Download the application from Planning Portal first
For a submitted 1App application, the official help workflow is:
- Sign in to Planning Portal.
- Open Applications.
- Filter the list for Submitted or Transferred.
- Open the relevant application.
- Choose Application Actions.
- Use the available download or print command to save the full copy.
This route is preferable when your objective is a record of the application contents rather than a picture of the portal interface. Save every original drawing and supporting document offered by the portal, not just the summary page.
Check the downloaded files before closing the session
- Confirm that the application number and address match the case you intended to archive.
- Open each PDF and check that all pages render, including appendices and drawing sheets.
- Look for the drawing reference, revision, page count, sheet size, scale statement and dimensions.
- Keep the source file unchanged; make a separate working copy if you need annotations.
Capture the entire rendered page in Firefox
Firefox’s built-in screenshot tool can save a visible area or the whole page. Mozilla describes it as a way to capture “visible parts of web pages, or even full web pages” and save the image.
- Open the application page and wait for the document list, drawing thumbnails and status information to finish loading.
- Right-click an empty area of the page.
- Select Take Screenshot.
- Choose Save full page, rather than the visible-area option.
- Save the resulting image with a filename that identifies the application and capture date.
The result is one image containing the full rendered page. It is ideal for showing layout, headings, status badges and the relationship between sections. It does not replace the original drawing file: scaling a tall screenshot cannot restore vector detail or selectable text.
Prepare a long or dynamic portal page
- Expand accordions and “show more” sections before taking the capture.
- Select the correct application, document revision or tab before you start.
- Scroll through the page once to trigger lazy-loaded images and thumbnails.
- Wait for document lists and previews to finish loading.
- Dismiss a consent banner or popup if it obscures content; if the banner is relevant evidence, capture it separately instead of hiding it.
- Take a second capture of any modal window or document preview that cannot appear in the full-page image.
Use Firefox Developer Tools when you need capture controls
Developer Tools exposes the full-page screenshot command and additional controls documented by Mozilla’s Firefox source documentation.
- Open Developer Tools with
Ctrl+Shift+Ion Windows/Linux orCmd+Option+Ion macOS. - Open the Developer Tools settings menu and enable the screenshot button if it is not already visible.
- Use the screenshot button and select the full-page option.
- Set a delay when content appears only after a pause.
- Choose the device-pixel-ratio setting appropriate for the readability you need.
- Enter a deliberate filename before saving.
A delay helps with portals that populate status text or thumbnails shortly after load. A higher device-pixel ratio can make labels clearer but also produces a larger file, so check the result on the screen where it will be reviewed.

Save a planning page as PDF
Use the browser’s print command when the record must be searchable, paginated or easy to print. In the print preview, inspect every page before saving:

- Select Save to PDF (or the equivalent PDF destination).
- Review the preview for missing screen-only elements, clipped tables, changed margins and unexpected page breaks.
- Check orientation, paper size, scale and background-graphics settings where available.
- Save the PDF and reopen it to verify the page count and text search.
Print CSS can deliberately hide navigation, controls or other screen-only elements, and it can reflow a page differently from the browser view. Keep the original screenshot as well when the exact rendered appearance matters.
When PDF is the better primary record
- Colleagues need to search for an application number, address or drawing reference.
- The record will be printed or inserted into a paginated case file.
- You need stable page numbers for review comments.
- The portal’s print preview shows every required section without clipping.
Keep design drawings readable and defensible
A screenshot proves what was visible; it is not a substitute for the submitted drawing. Planning Portal describes PDF as a trusted, reliable open format and notes that converting or scanning original drawing files to PDF can reduce file size while preserving information. Keep the portal’s original PDF whenever one is available.
Verify the information that affects interpretation
- Sheet size and orientation: retain the original A-series or other stated size and whether the sheet is portrait or landscape.
- Scale bar and stated scale: ensure both remain visible. Do not rely on the browser’s zoom percentage as a drawing scale.
- Key dimensions: check that dimension strings and annotations are legible at normal viewing size.
- Revision context: record the revision letter or number and date shown on the sheet.
- Reference and description: preserve the drawing number and description so it is clear which proposal element the sheet addresses.
Planning Portal guidance recommends submitting documents at their original sizes and keeping scale and dimensions visible. Those same checks make an archive copy useful later. If a portal offers only a low-resolution preview, download the full document or contact the authority rather than treating the preview as the measured drawing.
Create an auditable filename and companion note
Use a consistent filename that identifies the case, document, revision and capture date. For example:

- Application number and site address.
- Document or drawing reference and revision.
- Page count and original sheet size, when stated.
- Source URL.
- Capture date and time, including the time zone if people in different regions will review it.
- Browser and version used for a screenshot or print capture.
- Any action needed to reveal content, such as expanding a document list.
Clear names and numbering make it easier to identify which plan relates to each part of a proposal. Local-authority document standards also commonly expect the scale and print size to be stated, so retain those fields in your note even when the portal displays them only inside the PDF.

Check file size and format before sharing
Planning Portal lists PDF and common image formats as accepted and warns that some local-authority systems cannot accept files larger than 10 MB. Before uploading or emailing an archive:
- Check the file extension and that the file opens on another device.
- Check the size against the receiving authority’s limit.
- For a large image, export a quality-controlled copy for sharing but retain the untouched original.
- Do not downsample a drawing until you have confirmed that its scale bar and dimensions remain readable.
- Use a secure, access-controlled location for the original files if they contain personal information.

The screenshot stops before the document list
Cause: the list is lazy-loaded or appears after an asynchronous request. Fix: scroll through the page once, wait for the final row or thumbnail, then use Firefox’s full-page command. In an automated capture, wait for a selector or network idle and set a delay if the portal needs extra time.
A consent banner or chat widget covers the drawing
Cause: an overlay has focus or remains fixed while you scroll. Fix: accept or dismiss it when appropriate, or record it separately if it is part of the evidence. For an automated clean capture, enable consent handling and popup or chat removal, then verify the result in the returned image.
The PDF has missing controls or a different layout
Cause: print CSS hides screen-only elements or changes the page flow. Fix: inspect the complete print preview, adjust orientation and scale, and retain a Firefox screenshot when the on-screen appearance is material.
Drawing text is too small to read
Cause: the page is a preview or the screenshot was resized. Fix: download the original drawing PDF, preserve its sheet size, and share that file alongside the visual capture. Do not infer a real-world measurement from a resized screenshot.
The file is rejected for being too large
Cause: the authority’s upload system has a size limit; Planning Portal notes that some systems cannot accept files over 10 MB. Fix: keep the original in your archive, create a quality-controlled PDF or image copy within the stated limit, and verify that scale, dimensions and labels remain legible.
A capture shows the wrong application or revision
Cause: a portal filter, tab or revision selector was left on a previous item. Fix: record the application number and revision before capture, clear filters, open the intended item, and compare the filename and page heading with your companion note.
