Capture only the part of the page someone needs, then cover private information with a solid, opaque shape in a separate copy. Save or export that copy and reopen the exact file you plan to share; inspect it at full size. A screenshot can reveal more than the page itself, including browser tabs, account menus, notifications and desktop background.
Choose a small capture area
First decide what the recipient needs to understand. If a selected portion preserves that context, avoid capturing the full screen. Before taking the screenshot, close unrelated menus and notifications where practical, and move away from private content that does not belong in the image.

Check the edges of the intended capture area. Look for the address bar and URL, tabs, bookmarks, profile image, account menu, side navigation, notification text, and any visible desktop or background. Names or account identifiers may appear in more than one place.
Capture on Windows
Press Windows+Shift+S to open Snipping Tool. Choose a rectangular, window, full-screen or freeform snip; for most support images, select only the relevant area. Crop or annotate if needed, then save the snip. Microsoft’s documentation notes that some features vary by device and Windows feature context.

Snipping Tool’s Text actions use OCR and can quick-redact detected email addresses and phone numbers. Microsoft says text recognition is performed locally on the device. This is a limited convenience, not a guarantee that the tool will find account names, balances, recovery codes, IDs, access links or every occurrence of an email or phone number. Review the image yourself and manually cover anything else that should not be visible. Microsoft’s page also notes that a browser capture saved as an HTML file may display the URL below the snip, so inspect the saved result.
If you press Print Screen, Microsoft’s Microsoft 365 support page says it captures the whole screen into the clipboard. When you do not need the whole screen, use Snipping Tool to select an area and edit or crop it before saving.

Capture on Mac, iPhone or iPad

Press Shift-Command-5 to open Screenshot controls. Choose full-screen, window or selected-portion capture, and use the controls to set where the file is saved. For a private logged-in page, use the smallest selection that retains the necessary context.
iPhone or iPad
Take a screenshot using the device’s capture controls; Apple’s guide says screenshots save to Photos by default. The cited Apple instructions document capture and storage controls, not a complete redaction workflow. Edit a copy in an image editor that lets you cover sensitive areas, save the edited image and inspect that final file.

Redact sensitive details in a separate copy
- Keep the original private. Make a copy of the screenshot before editing if you may need an unaltered record.
- Use an opaque cover. Place a solid shape over each private value, slightly larger than the text. Cover passwords, recovery codes, identifiers, balances, messages and access links rather than relying on blur. Blur can leave recognizable shapes or short values.
- Export or save a flattened copy. Share the edited output, not an editable project or the unredacted original. A drawn annotation or blur is not automatically proof that the original pixels have been removed; the saved output should be a flattened image with the covered content no longer visible.
- Inspect the exact file you will send. Reopen it and check at full size. Look for text repeated elsewhere, QR codes, barcodes, faces, addresses, notification text and contextual clues. Automatic detection can miss information that matters in a particular account or page.
This reduces visible exposure; it does not establish that an image is anonymous or that every hidden detail has been irreversibly removed. Share through a destination appropriate for the audience and sensitivity. Whether a particular site, employer or workplace policy permits capturing or distributing the page depends on its rules.
Should you use a screenshot service?
For an occasional support screenshot, built-in capture and image editing are generally sufficient. A documentation service may be useful if you repeatedly create guides and want a dedicated redaction workflow. For example, Scribe says its editor supports manual redaction and its browser extension offers Smart Blur while capturing. Its support article says these features are on Pro and Enterprise plans and describes saved redaction as permanent and not removable. Check Scribe’s current plan details before relying on availability; this is a vendor-described feature, not a general privacy guarantee.

When evaluating any repeat workflow, consider whether it supports selected-area capture and manual opaque redaction, what automatic detection does and can miss, whether content is processed locally or uploaded, whether the saved redaction is flattened, and how files are saved and shared. - Capturing the whole display by habit: choose a region or window when it shows the needed context, and check what remains at the edges.
- Trusting automatic redaction to catch everything: Windows quick-redact documents detection for email addresses and phone numbers, not every kind of account detail.
- Using blur for secrets: cover high-risk text with an opaque shape and export a flattened copy.
- Checking only the editor canvas: reopen the exact saved image and inspect it full size before sharing.
