Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errorsThe safest way to free space on a Mac is to start in Apple’s built-in Storage view, identify files you recognize, and remove or relocate only what you no longer need. In macOS Ventura 13 and later, open Apple menu > System Settings > General > Storage. On earlier macOS versions, use Apple menu > About This Mac > Storage. Review the categories, move valuable large files to another drive or make them available on demand through iCloud, and empty the Bin only after checking it and confirming a backup.
This approach addresses warnings such as “startup disk is almost full” and “not enough storage space to download, install or copy” without treating every large or unfamiliar item as disposable.

Start with the Storage view, not a cleanup utility
Apple’s Storage pane is the safest map of what occupies the internal drive. It groups usage into categories and, depending on the category and macOS version, offers details or management controls. The figures can change while you remove or move files, so allow the panel to update before deciding what to do next.
- macOS Ventura 13 or later: choose Apple menu > System Settings > General > Storage.
- Earlier macOS versions: choose Apple menu > About This Mac > Storage.
- Wait for the categories to finish calculating. Select a category to see its available recommendations or file lists.
- Write down which category is unusually large before changing anything. That gives you a way to check whether your action actually released space.
Apple’s current walkthrough is Free up storage space on Mac. The labels and available recommendations can vary by macOS release, so use the wording shown on your Mac rather than following an old screenshot.

Decide what can be removed by identifying it first
A large file is not automatically a safe file to delete. Open the relevant folder or file list, check the name, date, application and contents, and ask whether you could recreate or download it again. Keep an untouched copy when the file is a work product, family photo, source recording, tax document, project library or anything you cannot replace.
Downloads and documents
Look in your Downloads folder for installers, duplicate archives, exported videos and documents you downloaded for a one-time task. Sort by size or date, then open anything whose purpose is unclear. Remove only items you recognize as obsolete; an old installer may be replaceable, while a downloaded contract or project archive may not be.
Photos, videos and music
Media often consumes more space than applications. You can remove a local copy when the same item is safely stored elsewhere or can be downloaded again, but verify that assumption first. A movie downloaded for offline viewing, an original camera file or an audio project may not exist in another location. Photos and iMovie libraries are examples Apple gives of large libraries that can be moved to another storage device.
Applications
Uninstall apps you no longer use through the method appropriate to that app. Before removing one, check whether it contains local projects, presets, plug-ins or libraries that are stored separately from the application. Deleting an application does not necessarily remove those personal files, and deleting a support folder just because it has the app’s name can remove data another app still needs.
iPhone and iPad backups
Review old device backups in the Storage management interface. Keep a recent backup if you still use the device or need the backup for recovery. Remove an older backup only after confirming that a newer one exists and that you do not need the older device state.
Use this pre-deletion check
- Can you name the file or folder and explain what it contains?
- Is there a verified copy on another drive, in a cloud service or on the original device?
- Could you obtain the same data again without losing work, settings or personal history?
- Is the item currently open in an application, syncing or being used for a backup?
- Have you checked the date and size so you are not deleting the current version instead of an obsolete duplicate?
If any answer is uncertain, do not delete the item yet. Move it to a clearly named holding folder on another drive or leave it in place while you verify the backup.
Choose between keeping files locally, moving them, and using iCloud
There are three fundamentally different ways to reduce internal-disk use. The right one depends on whether you need offline access, whether you own another storage device, and how much capacity remains in your iCloud plan.

| Approach | Local copy on the Mac | How you retrieve the file | Main dependency | Risk before permanent deletion |
|---|---|---|---|---|
| Keep locally | Yes | Immediate, including without an internet connection | Internal disk capacity | Reclaiming space requires deleting or relocating something later |
| Move to another storage device | Usually no, unless you keep a second copy | Connect the device and open the file or library | Drive capacity, connection, compatible formatting and a backup plan | A single external copy can be lost if the device fails; verify the copy before removing the original |
| Store in iCloud and optimize | macOS may keep a local copy or remove it when space is needed | Open it locally when available; macOS may download it on demand | Available iCloud plan storage and an internet connection for files not kept locally | Deleting or changing the cloud copy affects other devices using the same account |
These choices are not mutually exclusive. For example, you can keep active documents locally, move an archive or media library to a portable external SSD for Mac, and use iCloud optimization for files that you need across devices but rarely open. Apple supports the underlying external-storage option but does not specify a particular drive model, capacity or interface; match the device to your Mac’s ports, your library size and your backup requirements.
Move important large files to another drive safely
Moving is safer than deleting when you still need the data but do not need it on the internal disk. Common candidates include a completed video project, an older Photos library, an iMovie library, disk images and archived installers.
- Connect the external drive and confirm that it appears in Finder.
- Create a clearly named destination folder, such as
Photo Library Archive 2026orCompleted Projects. - Copy the file or library first rather than immediately dragging it away. Large libraries can take a long time; keep the Mac connected to power and do not disconnect the drive during the transfer.
- Open the copied item from the external drive. For a library, hold the appropriate application’s launch key if necessary and select the copied library; check several recent and older items.
- Compare the source and destination sizes and confirm that the copy opens without errors. If the application reports a repair, missing-media or permission problem, keep the original and resolve that issue first.
- Make a second backup of the external copy when the data is important. An external drive is a location, not automatically a backup.
- Only after verification, move the original to the Bin and empty the Bin using the procedure below.
For a Photos or iMovie library, quit the application before copying so its database is not changing during the transfer. Keep the external drive connected whenever you open a library stored there, and eject it in Finder before unplugging it.
Use iCloud optimization with the capacity trade-off in view
Apple’s built-in options can reduce local storage while keeping files associated with your Apple Account. They do not create unlimited space: files made available on demand use your iCloud storage, and an internet connection may be needed when a file is no longer stored locally.
Store files in iCloud
When you choose to store supported files in iCloud, they can be available across your Apple devices while macOS manages which copies remain on the Mac. Check the available capacity in your iCloud plan before moving a large collection. If the plan is full, syncing can stop or require a plan change; do not start a large migration without room for it.
Optimize Storage
In the Storage recommendations, Optimize Storage can remove watched Apple TV content and keep only recent Mail attachments on the Mac when space is needed. The original messages or content can remain available through the relevant service, but offline access changes. Review the recommendation’s description before enabling it on a Mac that is frequently used without an internet connection.
Automatic Bin emptying
The Storage recommendations may offer automatic emptying of the Bin after a configured period. This is convenient for disposable files, but it converts a delayed deletion into a permanent one without another review. Leave it off if you routinely use the Bin as a temporary holding area or if other people share the Mac.

Apple explains these options in Optimize storage space on your Mac. The exact iCloud plan capacity and regional pricing are account-specific, so check the plan shown in your Apple Account rather than relying on a generic figure.
Empty the Bin only after a final review
Dragging a file to the Bin does not immediately reclaim its disk space. As Apple states, “When you move a file to the Bin, its storage space doesn’t become available until you empty the Bin.” The file remains recoverable from the Bin until you empty it, so use that interval to check your decision.
- Open the Bin from the Dock.
- Switch to a view that shows names, dates and sizes. Inspect the contents for anything you still need.
- Restore an item if you changed your mind or cannot prove that another copy exists.
- Confirm that important files have a recent backup. Apple recommends keeping a backup copy when Time Machine is off or the files have not been backed up recently.
- Choose Empty Bin only when the remaining items are disposable, then wait for the Storage view to recalculate.
Apple’s deletion guidance, including the backup precaution, is at Delete files and folders on Mac. Emptying the Bin is permanent through normal Finder recovery, so treat it as the point of no return.
Do not blindly purge “System Data”
System Data (called Other in some macOS versions) is a broad, changing category, not one folder. Apple says it can include logs, caches, virtual-memory files, temporary files, fonts, application-support files and plug-ins. Its size changes with the Mac’s current state, and macOS manages much of its contents.
That is why deleting hidden folders from the system volume or running a cleaner that promises to erase System Data can remove files an application or macOS needs. It can also make troubleshooting harder without producing a lasting reduction, because caches and temporary data may be recreated. If the Storage panel offers a specific, identifiable item or recommendation, evaluate that item on its own; do not infer that every file in a system-related folder is disposable.

Safe Mode can clear certain caches that macOS automatically recreates. Apple notes that this may provide enough temporary space for an operation such as installing an update. It is not a permanent cleanup method: recreated caches can make the space usage return.

- Start it in the Safe Mode procedure appropriate to your Mac model and macOS version. The startup screen indicates when Safe Mode is active.
- Perform the space-critical task, such as downloading or installing the update.
- Restart normally when finished. Do not leave the Mac in Safe Mode as a substitute for ordinary operation.
If Safe Mode does not provide enough room, return to the Storage view and identify personal files or move a known large library. Do not promise yourself that Safe Mode will reduce the reported category permanently.
What to do when the warning will not go away
The Storage graph still shows the old amount
Storage calculations are not instantaneous. Close large applications, allow transfers and deletions to finish, then reopen the Storage pane. If a file is still in the Bin, its space is still occupied; empty the Bin only after the review described above.

You need space to install an update right now
First remove a clearly identified disposable download or move a verified large file to another drive. If the shortage appears to be temporary, Safe Mode may clear recreatable caches long enough to complete the installation. Restart normally afterward and make a longer-term plan for the files that actually occupy the disk.
iCloud says there is not enough capacity
Optimization cannot exceed the free space in your iCloud plan. Check which files and services are using that plan before enabling more synchronization. If the cloud is full, move an archive to a verified external drive or remove an unneeded cloud item only after checking the consequences for every device that uses the account.
An external library will not open
Keep the original on the Mac, reconnect the external drive, check that it is mounted and has enough free space, and open the library from its new location. If the application reports missing files or asks to repair the library, restore from the original or a backup rather than deleting more data.
The System Data category keeps growing
Do not respond by deleting random system folders. Identify whether a specific application, backup process, virtual machine or large local cache is responsible, and use that application’s documented management controls. If no identifiable personal data is responsible, leave macOS-managed files alone and maintain adequate working space through personal-file cleanup or relocation.
Build a repeatable, low-risk storage routine
A short review every few weeks is safer than an emergency purge when the startup disk is already full.
- Check the Storage view and note the categories that are growing.
- Review Downloads, large documents and old exports for recognizable, obsolete items.
- Check device backups and retain the current recovery copy you may need.
- Move completed media projects or libraries to a verified external location when local access is no longer essential.
- Review iCloud capacity before turning on another optimization or synchronization option.
- Inspect the Bin before emptying it; confirm a backup for anything important.
- Leave System Data and hidden system folders managed by macOS unless a specific Apple instruction identifies an item to remove.
- Use Safe Mode only as a temporary bridge for a space-critical operation, then restart normally.
This sequence preserves the ability to undo a decision for as long as possible: identify first, copy or move second, verify third, and permanently delete last.
