If you want visitors to watch a post-event recording through a YouTube Live watch page, create a stream in YouTube Studio, connect an encoder using the stream URL and key, test the feed on the booth’s actual network and display, then start the broadcast. If visitors only need to see the video on the booth screen, local playback may be simpler and avoids the extra encoder and streaming-network dependencies.
Choose between local playback and YouTube Live
First decide whether the replay needs to reach a remote audience or have a YouTube Live watch page. If not, playing an approved video file directly on a display-connected device may be the simpler booth setup. YouTube Live is useful when you want a link to share, remote viewers, or live chat; it also requires an encoder feed, a working uplink, and someone to manage the broadcast.

- Choose local playback when the goal is simply to show the recording on the booth screen.
- Choose YouTube Live when visitors or remote viewers need to watch through YouTube during the broadcast.
- Plan around the total run time if you need a complete YouTube archive. YouTube says a stream longer than 12 hours may not be captured, so use planned shorter sessions and keep a local recording backup when archive completeness matters.
Prepare the recording, rights, and booth setup
Clear the recording for rebroadcast
Confirm that the exhibitor has permission to rebroadcast the video and every included audio track. Permission to show a recording at an event does not by itself establish permission to send it back through a live stream. Resolve rights with the relevant owners before you go live.
Check the screen and playback route
The right display connection depends on whether the booth uses a smart TV, monitor, projector, or screen driven by a computer. Confirm with the venue or AV provider that the planned device can access YouTube or play the local file, and verify network access, audio output, power, and required cabling. Test the actual screen and equipment before the booth opens.

Choose an encoder workflow
YouTube Live needs an encoder to send the replay to YouTube. An existing computer and encoder setup may be suitable; a dedicated hardware encoder is an optional production choice, not a universal requirement. If you are considering one, verify its supported input formats, resolution and frame rate, recovery features, compatibility with your source and display, and total setup burden against the manufacturer’s current documentation.
Create and configure the YouTube Live stream
- Open YouTube Studio’s Live Control Room and create a new stream or schedule one. Set a clear title and description, then choose the visibility that fits your audience: public, unlisted, or private. An unlisted stream is not broadly discoverable, but anyone with its link may be able to view it. See YouTube’s live-stream setup guidance.
- Copy the stream URL and stream key from the Live Control Room into the encoder. Treat the key like a password: anyone who obtains it may be able to send a feed to your stream. If it is exposed, reset it in Live Control Room and update the encoder.
- Use a connection protocol and settings the venue can sustain. YouTube recommends RTMPS, recommends testing upload bitrate, and provides guidance by codec, resolution, and frame rate. For example, its recommendation for H.264 at 1080p30 is 5 Mbps. This is YouTube’s recommended bitrate, not a guarantee that a venue’s network can sustain it. Leave uplink headroom and test from the booth on the network you will use.
- Start the replay feed from the encoder and wait for the preview in Live Control Room. Check that the picture and sound are correct before starting the public broadcast. YouTube recommends testing with audio and video motion similar to the actual stream.
- Go live in Live Control Room once the preview is ready. During the loop, monitor stream health and the YouTube watch page as well as the local playback source; a video can keep playing locally even if the network uplink fails.
Set viewer controls and protect the archive
Decide whether viewers can pause or rewind
DVR lets viewers pause, rewind, and continue during a live stream. For very long streams, rewind may be limited or unavailable, and viewers cannot seek to a point before the stream began. If DVR is disabled, viewers cannot seek backward during the live broadcast, though they can still watch the complete recording after an archive is available. Choose based on whether booth visitors should control playback or simply watch the current point in the loop. YouTube explains these controls in its DVR guidance.

Plan the broadcast end time
YouTube says live streams under 12 hours can be automatically archived and warns that a stream exceeding 12 hours may not be captured at all. If a booth needs to run longer and you care about the archive, schedule shorter sessions that are intentionally ended, and retain a local recording backup. The 12-hour threshold is YouTube’s stated platform guidance; the Help page does not display a publication year. See YouTube’s live-stream archiving guidance.
End and inspect the stream
When the session ends, end the broadcast in YouTube Studio and stop the encoder feed. YouTube says live archives are uploaded by default and can be managed in Studio. Check the resulting archive’s visibility and playback, then organize it as needed. See YouTube’s archive management guidance.

Pre-opening checklist and troubleshooting
- Rights: confirm permission covers both video and audio in the rebroadcast.
- Visibility: confirm public, unlisted, or private is intentional; test the intended viewing route.
- Credentials: confirm the encoder has the correct stream URL and key, and replace the key if it was exposed.
- Network: test upload capacity at the booth and leave headroom beyond the target bitrate.
- Preview and sound: verify moving video, audio levels, framing, and playback on the actual display.
- Archive: set a session plan that stays within YouTube’s stated 12-hour archive threshold if a complete archive matters, and preserve a local backup.
- Venue equipment: verify the display’s YouTube playback route or local-file route, network access, power, sound, and cabling with the venue or AV provider.
| Symptom | Likely cause | What to check |
|---|---|---|
| No preview in Live Control Room | The encoder is not sending to the configured stream. | Check that the stream URL and key match the selected stream, then confirm the encoder is actually sending. |
| Preview appears, but the booth screen has no sound or picture | The display’s playback route, sound output, or connection differs from the encoder’s working feed. | Test the actual display and its audio path; confirm whether it is meant to show the YouTube watch page or a local file. |
| Video plays locally but YouTube stream health suffers | The venue uplink may not sustain the sending bitrate. | Check stream health and upload capacity at the booth; lower the encoder’s target to a level the connection can support and test again. |
| The archive is incomplete or absent after a long loop | The stream exceeded YouTube’s stated 12-hour archive threshold. | Use shorter, deliberately ended streams when the archive matters, and keep a local recording backup. |
| The link works for some viewers but not others | The selected visibility may restrict who can find or watch the stream. | Recheck public, unlisted, or private visibility and share the link only with the intended audience. |
Or let it run in the cloud
If the goal is to keep an uploaded replay running as a YouTube Live stream without leaving a booth computer on, StreamNeo runs the loop from the cloud. Upload the recording, add your YouTube stream key, and go live. Nothing has to stay on at home or at the booth; it streams the uploaded file as made, up to 4K 60fps, at one flat price per slot. It can recover automatically if YouTube drops the stream. The first day is free with no card, and the monthly option is $9.99 per month. StreamNeo is for YouTube streams of uploaded videos, not camera broadcasts. Start your free day with StreamNeo.
