To run a merch giveaway smoothly, publish the rules before inviting entries, use a free and clearly explained entry method, draw and contact the winner exactly as promised, and collect shipping details privately. The platform does not take over those responsibilities: you, the promoter, must handle eligibility, compliance, selection, prize delivery, and data use.
Plan the giveaway before you announce it
Choose a prize you can deliver
Decide the exact item, design, available sizes and colors, eligible shipping regions, and who pays postage. For apparel, specify what happens if the winner’s preferred size or color is unavailable. Do not promise a prize you cannot supply.

Set eligibility and entry details
Write down who may enter, any age or geographic limits, the opening and closing times, the number of entries allowed, and any account requirements. If you exclude employees or family members, say so. Choose whether the winner will be selected at random or judged, and state how duplicate or ineligible entries will be treated.
Publish official rules first
Make the rules available before entries open. They should identify the promoter, prize, eligibility, entry period and method, selection process, notification channel, claim deadline, alternate-winner procedure, and fulfillment plan. Explain how entrant and winner information will be used. Rules depend on location and mechanics. The legal guidance cited here is U.S.-oriented; YouTube also says creators remain responsible for applicable federal, state, and local laws. State requirements can include disclosures, licensing, or bonds. If the prize, audience, or entry mechanics make the legal position unclear, get jurisdiction-specific advice before launch.
Choose an entry method that fits the platform

YouTube requires contests to be free to enter. Do not require a purchase, and do not use the giveaway to manipulate views, likes, dislikes, or subscribers. You also cannot run a contest through YouTube ad units. Run the livestream in a clear sequence
- Before opening entries: Put the rules somewhere viewers can reach before entering. State the prize, eligibility, entry method, opening and closing times, winner-selection method, and rules location aloud or on screen.
- Open entries: Start only at the announced time. Keep the entry process free wherever platform policy or applicable sweepstakes rules require it. Do not ask entrants to give up ownership or full rights to a submission as a condition of entry on YouTube.
- Close on time: Stop accepting entries at the announced cutoff. Apply the duplicate and eligibility rules you published; do not quietly extend the window or change the method.
- Choose and announce the winner: Use the selection process in the rules. Tell viewers how and where the selected person should respond, without exposing private information.
- Handle sponsor disclosures: If the merch or promotion is sponsored, gifted, or otherwise tied to a commercial relationship, make that relationship clear during the stream. The FTC advises that livestream endorsement disclosures be repeated periodically so viewers who join partway through can see them. Contact the winner and ship the merch
- Contact privately through the announced channel. Verify only the eligibility details your rules said you would check.
- Apply the published claim deadline. If the winner does not respond in time, follow the alternate-winner process you disclosed. A 48-hour response window appears in one StreamYard promotion’s rules, but it is an example, not a universal deadline. StreamYard promotion rules example
- Collect only fulfillment details. For apparel, you may need a size, color, and shipping address. Use a private form or direct message, never public chat, and explain how the information will be used and retained.
- Send the prize and close the loop. Keep an administration record consistent with your rules. You can announce that the prize was sent, but do not reveal the winner’s address or other private details.
Keep entrant information and platform boundaries in mind
Use entry data only as your privacy notice describes, and collect no more than you need to administer the giveaway and deliver the prize.
