How to Revoke an AI Agent’s Access to Your Email, Files, and Accounts

To cut off an AI agent safely, do two things: disconnect the account in the agent’s own settings, then revoke the agent’s authorization in the email, storage, code-hosting, or identity service it accessed. Those controls are separate. Also look for credentials that OAuth revocation does not remove, such as an app-specific password, API key, mailbox delegation, or an organization-level approval.

The exact button may be labelled Remove access, Disconnect, Revoke, or Authorized apps. Use the provider’s current account or administrator settings, confirm the grant disappears, and remember that work and school accounts may require an administrator and may not invalidate every token instantly.

What revoking an AI agent’s access actually does

An agent usually reaches your email, files, calendar, code, or other accounts through a provider authorization. In many setups, you approve a permission screen and the provider issues a token to the agent. The agent can then request the scopes you approved until the connection is disconnected, the grant is revoked, the token expires, or an administrator blocks it.

There are two separate control points:

  • Agent-side connection: Removing the account from the agent stops that product from using the connection according to its own implementation. The product may also stop scheduled jobs or workflows that depend on it.
  • Provider-side authorization: Removing the app from your Google, Apple, Dropbox, GitHub, or organizational account invalidates the provider’s grant. A product that still displays a connection cannot successfully obtain new data through that revoked authorization.

Disconnecting only inside the agent is not enough if the provider still lists an active authorization. Revoking only at the provider can leave a stale connection, failed automations, or another credential configured in the agent. Complete both checks.

Revocation prevents future access through that grant; it does not automatically prove that data already copied into an agent’s workspace, conversation history, logs, caches, exports, or backups has been deleted. Use the agent’s own deletion and retention controls separately, and ask an organization administrator about retention when the account is managed.

Before you revoke: identify every path into the account

Start by writing down the exact agent, user account, provider, and connection name. The visible brand of an agent may differ from the application name shown in your provider’s security page. Record the email address or tenant involved, the date you connected it if known, and any workflows that run on a schedule.

Use this quick inventory before clicking anything:

  • Which agent product and workspace contain the connection?
  • Which provider is involved: mail, cloud storage, code hosting, calendar, contacts, or an identity directory?
  • Does the provider show the agent’s brand, a developer name, or a separate integration name?
  • Did setup ask for an app-specific password, API key, personal access token, service account, or mailbox delegation in addition to an authorization screen?
  • Is the account personal, work, or school-owned?
  • Do shared automations, reports, inbox rules, or team workflows depend on this connection?

For a managed account, ask an administrator to identify the application registration and grant before you remove anything. An administrator may see organization-wide approvals that are invisible from your personal settings.

The safe revocation sequence

  1. Pause dependent workflows. Disable scheduled runs or shared automations that use the connection. This avoids repeated failures and gives you a chance to identify other users or services that depend on the same account.
  2. Disconnect the account in the AI agent. Open the agent’s connection, integrations, or account settings, select the linked provider account, and choose its disconnect or remove option. The labels and effects are product-specific; the agent’s documentation describes the product-side behavior at Connect and disconnect accounts.
  3. Open the provider’s authorization settings. Use the provider’s official security, connected-app, authorized-app, or account-sharing page rather than a link copied from an old guide. Find the exact application name and inspect its permission scope before removing it.
  4. Revoke the provider grant. Choose Remove access, Disconnect, Revoke, or the equivalent control. If the provider offers separate grants for mail, files, calendar, or contacts, remove every grant associated with the agent.
  5. Remove alternate credentials. Revoke an app-specific password, API key, personal access token, delegated mailbox permission, service-account key, or organization approval if one was used. These credentials are separate from an OAuth-style grant.
  6. Verify and monitor. Refresh the provider’s connected-app list and confirm the application is no longer listed or is marked revoked. Check the agent’s connection status, review recent sign-in or audit events where available, and watch for failed jobs or unexpected access attempts. Organization revocation may take time to propagate.

Provider-by-provider instructions

Google accounts

Google manages user authorizations through the Google Account’s security controls. Open your Google Account, go to the security area, find the section for third-party app access or connections, select the application used by the agent, review its permissions, and choose the remove-access control. The wording and page layout can change, so use Google’s current account navigation rather than relying on a deep link.

Google’s developer documentation describes token revocation as the mechanism for removing permissions previously granted to an application. That explanation is useful when an agent still appears connected after you remove it from the product: the provider-side grant is the authoritative control for future API calls. See Google’s OAuth 2.0 documentation.

If you find more than one entry for the same agent, inspect each application name and remove grants that belong to the integration. A separate API key or service account is not necessarily represented by the user-facing connected-app entry, so check the agent’s setup and any organization controls as well.

Apple Account and iCloud

Apple’s current instructions place third-party sharing controls at account.apple.com. Sign in, choose Sign-In and Security, open Account Data Sharing, find the app, and select Remove access. Apple states that after removal the app cannot access the shared data until you authorize it again. The complete procedure is in Apple’s support article for third-party access to iCloud Mail, Calendar, and Contacts.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Check whether the integration used an Apple app-specific password for mail, calendar, or contacts. Removing account-data sharing does not substitute for revoking that password. In Apple’s account security controls, revoke the app-specific password as a separate action, then remove the connection in the agent.

Dropbox

Dropbox exposes both the app connection and the amount of storage the app can reach. Sign in at dropbox.com, open Settings, choose Apps, select the agent’s app to inspect its permissions, open the arrow beside the app, and choose Disconnect. Dropbox documents this path in How To Manage Third-Party Apps On Dropbox.

Use the permission display to determine what was exposed:

Dropbox access pattern What it means What to check next
Selected files The app can work with specifically chosen files or folders. Review those files for copies, exports, or links created by the agent.
App folder The app is limited to a folder created for its integration. Inspect and clean that folder after disconnecting if it contains sensitive data.
Full Dropbox The app may reach the entire Dropbox within the granted account scope. Treat the event as a broad file-access change and review audit activity where available.

Disconnecting the Dropbox app removes its provider authorization. It does not by itself delete files the agent previously read or generated elsewhere, so handle those copies through the agent’s data controls.

GitHub personal accounts

For a personal GitHub account, open Settings, choose Applications, select the Authorized GitHub Apps tab, review the list, and choose Revoke for the agent’s app. GitHub describes the current controls in Reviewing and revoking authorization of GitHub Apps.

Personal authorization and organization approval are different controls. If the agent accessed repositories or other resources through an organization, revoking your personal authorization may not remove an organization owner’s approval or an installation on the organization.

GitHub organization resources

An organization owner can uninstall the app from the organization’s account. Owners can also deny a previously approved OAuth app through the organization’s OAuth app policy. Follow GitHub’s organization procedure in Denying access to a previously approved OAuth app for your organization.

Ask the owner to check both the installed app and the organization policy. A repository collaborator, team member, or individual user may not have permission to remove an organization-level grant.

Microsoft 365 and other managed Microsoft Entra accounts

Work and school accounts often use Microsoft Entra (formerly Azure Active Directory) application grants controlled by an administrator. If you cannot see the app, remove consent, or revoke sessions yourself, contact your identity or security administrator with the application name, user account, and approximate connection time.

Microsoft’s emergency guidance warns that a period can exist between starting revocation and its taking effect. The delay depends on environment complexity and token behavior. Do not treat the moment an administrator clicks revoke as proof that every previously issued token has already stopped working. See Microsoft’s Microsoft Entra emergency revocation guidance.

Security products may present additional app-governance actions, but those actions are not interchangeable. Microsoft Defender for Cloud Apps documentation distinguishes Google Workspace and Salesforce revocation from Microsoft 365 app controls; one Defender action should not be assumed to revoke every Microsoft 365 application permission. Administrators should follow the tenant’s documented procedure and verify the grant directly. See Microsoft’s app-governance alert documentation.

Separate credentials that OAuth revocation may not touch

A provider authorization is only one possible route into an account. Inspect the agent’s connection setup and the provider’s security pages for these alternatives:

What’s actually slowing this PC down?

App-specific passwords

An app-specific password is a separate secret created for a particular mail, calendar, or contacts client. Apple explicitly advises revoking one when it was used for a supported third-party setup. Delete the secret in the provider’s password-management area; do not assume removing account-data sharing invalidates it.

API keys and personal access tokens

API keys and personal access tokens can grant access without appearing as an authorized application. Revoke the key or token at the service that issued it, then create a replacement only if a legitimate workflow still needs one. Update or disable the agent workflow so it cannot continue using a copied secret.

Mailbox delegation and shared mailboxes

A delegated mailbox permission is an account-level relationship, not necessarily an app authorization. Remove the delegate or shared-mailbox membership in the mail administration console. In a workplace, an administrator may need to remove both the delegation and any application permission that allowed the agent to use it.

Organization consent and app installations

An administrator-approved application can remain usable for other users even after one person removes a personal connection. Ask the owner to review tenant consent, enterprise-app assignments, GitHub organization installations, and group-based access. Removing only your user connection may leave the organization grant intact.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Saved sessions and refresh tokens

Some services maintain sessions or refresh tokens after an application is disconnected. Use the provider’s sign-out-all-sessions or token-reset control when the account supports it, especially after a suspected compromise. Administrators should follow their incident-response procedure instead of relying on a single app-removal click.

How to confirm the agent is really cut off

  1. Refresh the provider’s connected-app or authorized-app page and search for the exact application name, not just the agent’s marketing name.
  2. Open the agent’s connection settings and confirm the account is disconnected or requires authorization again.
  3. Run no new data-fetching task. If a harmless test is necessary, use a test account or non-sensitive file and verify that the agent receives an authorization error rather than data.
  4. Review provider sign-in, audit, or application activity logs for access attempts after the revocation time.
  5. Search the agent’s workspace, conversation history, exports, and shared folders for data that was already copied, then delete it using the product’s documented retention controls.
  6. For work or school accounts, obtain confirmation from the administrator and record when the application grant, token, or session was revoked.

No provider offers an identical confirmation screen. A missing app entry is strong evidence that the listed grant was removed, but it is not proof that an API key, delegated permission, cached copy, or organization-level approval also disappeared.

Troubleshooting common failures

The app is not visible in the provider list

Check whether you are signed into the same account that authorized the agent. Search for the developer or integration name shown on the authorization screen, not only the agent’s familiar name. If the account is managed, ask an administrator to inspect enterprise applications, consent records, or organization installations. Also look for a direct API key, app password, service account, or delegated mailbox.

The agent still says “connected”

Refresh the agent, sign out and back in, and inspect its connection status after revoking the provider grant. A stale label can remain until the product checks the provider again. If a scheduled workflow still runs, disable it and remove its stored credential; the provider-side revocation should cause future authorization requests to fail.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Revocation appears delayed

For managed Microsoft environments, allow for propagation and token behavior described in Microsoft’s emergency guidance. Ask the administrator to verify the grant and active sessions rather than assuming an immediate cutoff. If you suspect active misuse, follow the organization’s incident-response process, reset affected credentials, and preserve relevant audit records.

Removing access breaks a shared workflow

Identify every automation, report, inbox rule, or team process that used the account before revoking it. Replace the connection with a deliberately scoped service account or another approved identity only after the original access is removed and the new permissions are reviewed. Do not reconnect the same broad personal account merely to restore convenience.

You revoked access but sensitive data remains

Revocation controls future provider requests; it is not a universal data-erasure command. Delete imported files, conversation attachments, generated exports, and workspace copies from the agent, and check shared links or folders it created. For an organization account, ask the administrator how backups, retention policies, and legal holds affect deletion.

Choosing the right response for personal versus organization accounts

Situation Who controls removal Important qualification
Personal Google, Apple, Dropbox, or GitHub account The account holder usually removes the connected app in provider settings. Alternate credentials and previously copied data still require separate checks.
GitHub organization resource An organization owner controls installation and approved OAuth policy. Personal revocation and organization denial are separate actions.
Microsoft 365 or other managed identity tenant An administrator may control consent, app assignment, sessions, and tokens. Propagation can take time; one security-product action may not cover every app permission.
Shared agent workspace The workspace owner or administrator may control the connection. Disconnecting can affect other users and scheduled workflows.

When you cannot remove the grant yourself, provide the administrator with the application name, account or tenant, requested scopes, connection time, and any evidence of unexpected access. That information lets the administrator distinguish a user authorization from an organization-wide installation or credential.
