How to Review and Revoke Third-Party App Access to Your Personal Data

By Freedom251 Team · · 9 min read

To remove a third-party app’s access, open the account or device settings where you originally granted permission, inspect the data and actions listed, and use that provider’s revoke or remove-access control. Google Account connections, iPhone Privacy & Security, X Apps and sessions, and Microsoft My Apps are separate systems; revoking one does not remove permissions granted somewhere else.

Revocation blocks future access through that authorization. It does not guarantee that an app deleted information it already copied, so request deletion from the app or developer when necessary. For work or school accounts, an administrator may control some permissions that an individual user cannot remove.

What third-party access can mean

An app connection is a permission relationship between a provider account or device and an outside service. The scope depends on the consent you approved. A connection might let an app:

  • Read basic profile details such as your name or email address.
  • Copy information from services such as Gmail, Drive, Calendar, Photos, Contacts, or another account area.
  • Create, edit, or manage data, depending on the permissions shown in the consent screen.
  • Use an account’s sign-in function without receiving permission to read every other service.

“Sign in with Google,” an iPhone permission for Contacts, and an X connected app are not interchangeable. Each must be reviewed in the provider or device settings that issued it. A service can also have a separate account on the developer’s site; removing a sign-in connection does not automatically close that account.

Find the system that granted the permission

Start by identifying where you approved access. Use the matching route below rather than searching only for a general “connected apps” page.

Where access was granted Review route What you can inspect or change Important consequence
Google Account Google Account third-party connections or linked apps Sign-in links and requested access to services such as Gmail, Drive, Calendar, Photos, or Contacts Removing access stops the Google authorization path; data already copied may remain with the app
iPhone Settings > Privacy & Security, then an information category Per-app access to categories such as Calendars, Reminders, or Motion & Fitness This controls device-level information access, not an account-level OAuth link
X Settings and privacy > Apps and sessions Connected apps, their permissions, and active login sessions Revoking an app is separate from logging out a session
Microsoft work or school account My Apps portal Permissions personally consented to and administrator-consented permissions Administrator grants may require your organization’s administrator

Menu wording can change as providers update their interfaces. If a label has moved, search the named account or privacy settings for “connected apps,” “third-party access,” “permissions,” or “apps and sessions.”

Review and remove Google Account connections

1. Open the Google Account connections page

Open your Google Account’s third-party connections or linked apps page while signed in to the account you want to protect. The page lists services associated with the account and distinguishes a Sign in with Google link from additional access to Google data.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

2. Inspect the app’s exact scope

Select an app or service to see what it can access. Read each permission rather than assuming that a sign-in button granted broad access. A service may have permission to read or copy Gmail messages, files in Drive, Calendar events, Photos, or Contacts. Other grants can allow the service to manage information, which is materially broader than basic profile access.

Check whether the app is still needed and whether every listed permission matches a feature you actively use. A calendar integration that only needs event details should not be treated as equivalent to a grant that can manage calendar data.

3. Remove the authorization

  1. Choose the app or service in the connections list.
  2. Open its details and select the remove-access control.
  3. Confirm the removal when Google asks.

After confirmation, the app can no longer use Google Account data through that permission. If the connection was used for Sign in with Google, that authentication route also stops working. The separate account you created on the developer’s service may continue to exist, so use that service’s account or privacy settings if you want to close it.

4. Request deletion of previously copied data

Google’s removal control cuts off future access; it does not promise that the third party erased data it already received. Contact the app or developer through its privacy, support, or account-deletion process and ask what information it retains and how to delete it. Keep the request specific if you know which Google data was copied.

Control app permissions on an iPhone

Use Privacy & Security for device-level access

On the iPhone, open Settings > Privacy & Security. Choose a category such as Calendars, Reminders, or Motion & Fitness. The category page lists apps that requested that type of information, with a switch for each app.

  1. Open Settings.
  2. Tap Privacy & Security.
  3. Select the information category you want to review.
  4. Turn an app’s access on or off.

Repeat the check for every category relevant to your privacy concern. Turning off Calendar access, for example, does not revoke an account-level sign-in token that the same company may hold elsewhere.

Use App Privacy Report to see observed activity

For a record of permission use and network activity, open Settings > Privacy & Security > App Privacy Report. The report helps you see when apps accessed permitted information and which domains they contacted. It is an observation tool, not a replacement for the per-category switches. If an app no longer needs a category, disable the switch; if you also authorized the app through a separate online account, revoke that connection in the account provider’s settings.

Apple describes these controls as giving you control over whether third-party apps access information in Contacts, Photos, Calendar, and other apps. A disabled switch can interrupt a feature that depends on that category, so test the feature after changing it.

Revoke the app

  1. Open Settings and privacy on X.
  2. Select Apps and sessions.
  3. Choose the app in the Apps list.
  4. Review its permissions and select Revoke access.

Revoking disconnects that authorization. X recommends reviewing connected apps regularly, especially for services you no longer use or whose requested scope is broader than the feature requires.

Handle suspicious credentials and active sessions

X separates app authorization from active login sessions. Logging out a session can stop further actions from that session, but it may not erase data, such as Direct Messages, that was cached on a device. If you gave an app your X username and password directly, revoke its app access and change your X password. X’s OAuth process is designed to authorize an app without sharing your password; a request for the password itself is a warning sign.

Remove permissions from a Microsoft work or school account

Review permissions you personally granted

Open the Microsoft My Apps portal for your organization. Hover over an application and open its management view. Review the permissions listed as personally consented to, paying attention to whether the app can read, create, or modify organizational data.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Revoke a personal consent grant

  1. Open the My Apps portal and locate the application.
  2. Hover over it and open the management view.
  3. Inspect the permissions you personally consented to.
  4. Select Revoke Permissions and confirm.

Microsoft warns that revoking permissions or removing an app account can affect functionality. If a business process stops working, do not immediately reapprove every request. Ask your administrator or the app owner which specific permission is required, then reconnect only after reviewing the new consent prompt.

Understand administrator-consented access

The portal separately identifies permissions granted by an administrator. An individual user cannot revoke those grants from My Apps. Contact your organization’s administrator when an administrator-consented application should lose access or when the listed permissions do not match your role.

Administrator controls for managed accounts

Microsoft Entra ID

Authorized administrators can inspect permissions granted across an organization or to specific users and groups in Microsoft Entra ID. The portal can revoke organization-wide administrator consent. Microsoft’s administrator guidance distinguishes those grants from user-consent permissions: user-consent permissions cannot be revoked in that portal and require Microsoft Graph or PowerShell. Those are administrative procedures, not steps an ordinary personal-account user should run.

Before removing an organization-wide grant, identify the affected users, groups, and business workflows. Revocation can disable a production integration, so coordinate with the application owner and document the change.

Google Workspace

Workspace administrators can open a user’s security settings to view connected apps, the access level granted, and the authorization date. An administrator can remove the app’s current data access. That action alone does not stop the user from reconnecting later if the user still has the necessary permissions.

For a durable restriction, administrators must configure the appropriate access controls or allowlists in addition to removing the current grant. Review whether the app is authorized for one user, a group, or the wider organization before changing policy.

Revocation is not data deletion

Revoking an authorization closes the permission path. It does not prove that the app deleted copies already stored in its systems, backups, logs, or exports. Treat these as two separate tasks:

  1. Cut off future access: remove the connection in Google, iPhone privacy settings, X, Microsoft My Apps, or the relevant administrator console.
  2. Request erasure: use the app’s privacy or account settings, contact its developer, or follow the applicable data-deletion request process.

Describe the account and data involved in a deletion request, and ask the provider to confirm what was deleted and whether any information must be retained for legal or security reasons. Removing Sign in with Google, for example, does not by itself delete the separate account held by the third-party service.

Decide what to revoke first

Prioritize connections using the combination of scope, necessity, and risk:

  • Revoke immediately: apps you do not recognize, apps requesting management rights you cannot explain, and apps associated with credentials you may have shared.
  • Review carefully: apps you still use when the listed scope includes mail, files, contacts, calendars, messages, or the ability to edit data.
  • Leave in place for now: a known integration whose permissions match a current need, provided the developer and account are still trusted.

Record the app name, the account involved, the permissions shown, and the date you reviewed it. This prevents confusion when the same company has separate connections on a Google Account, an iPhone, and X.

What to expect after revocation

A feature stops working

Loss of a feature usually means the app depended on the permission you removed. Check the app’s settings and identify the smallest permission it needs. Reconnect only through the provider’s normal consent screen, and reject unrelated scopes. For an organization-managed account, ask an administrator whether the application requires an administrator grant.

The app still appears in a list

A listing can represent a separate sign-in relationship, a device permission, an active session, or an account that still exists on the developer’s service. Confirm which control you changed. For example, turning off an iPhone category does not remove an online OAuth connection, and logging out an X session is not the same as revoking a connected app.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

You cannot find a revoke control

Check that you are signed in to the correct account and that you are using the provider where consent was granted. Work or school permissions may be administrator-controlled. If a provider has changed its menu, search its account settings for the named sections in this article and consult its current help documentation.

You suspect a compromised credential

Revoke the suspect app, change the affected account password, and review active sessions and recent security events. On X, changing the password is especially important if you previously supplied it directly to an app. Do not reuse the old password on another service.

A practical review schedule

Do a full review when you retire an app, change jobs or schools, lose a device, or respond to a security alert. Between full reviews:

  • Remove integrations you have not used recently.
  • Check for permissions broader than the feature requires.
  • Review new consent prompts instead of accepting them automatically.
  • Separate account-level connections from device-level permissions.
  • For managed accounts, ask whether access was granted by you or an administrator.

A 2021 study of 214 Google users found that 67% of its in-the-wild sample had at least one third-party app authorized, while 86% used Google single sign-on on at least one service. These figures describe that study sample, not all Google users or the general population, but they illustrate why connected-app lists deserve periodic attention.

Bottom line

Review access in the system that issued it, read the exact data and action scope, and revoke connections that are unnecessary, unexplained, or too broad. Then pursue deletion separately for data already copied. Device permissions, account sign-ins, connected apps, active sessions, and administrator grants are different controls; treating them separately is the key to removing access without overlooking another authorization path.
