Restrict a delegated MarkLogic manager by designing a purpose-built role around the exact tasks and resources that person must administer—not by assigning the built-in admin or security role. Inventory the manager’s duties, choose the narrowest administrative privilege scope available for each duty, assign those privileges through a custom role, inspect every inherited role, and test both permitted and prohibited operations. Keep document permissions separate from administrative privileges, and verify privilege identifiers against the MarkLogic version and deployment type in use.
Why delegated administration needs a least-privilege design
A job title such as “database manager” does not identify the authority a person needs in MarkLogic Server. One manager may only need to restart a forest; another may need to configure indexes in one database; a third may administer hosts and App Servers across a cluster. Those are different security requirements and should produce different roles.

Least privilege means granting only the authority required for identified tasks, on identified resources, for the period in which it is required. In MarkLogic, that authority is assembled from roles, privileges, and permissions. A safe delegation therefore starts with an operational inventory rather than a role name copied from another installation.

The built-in admin role has authority to perform any action on a MarkLogic system, including deleting data. It is unsuitable when a manager should be limited to a database, forest, host, App Server, or particular administrative function.

The built-in security role is also sensitive. It enables security-related actions and can enable use or assignment of admin, depending on the configuration and version. Giving a delegated manager security merely because they need to change one security setting can therefore defeat the intended restriction.
What a restriction must account for
- Privileges granted directly by the manager’s assigned roles.
- Privileges and permissions inherited through the complete role-inheritance chain.
- The resources named by each privilege, such as a database, forest, host, or App Server.
- Whether the manager also needs to read or modify documents in a database.
- The MarkLogic Server version and whether the deployment is ordinary Server or Data Hub.
Model the manager’s duties and resources first
Write down each operation the manager must perform and the resource it affects. Do not infer this from the person’s department or seniority. The same verb—“manage,” “maintain,” or “support”—can imply very different permissions.
Build a task-to-resource inventory
| Task description | Resource to name | Questions to resolve |
|---|---|---|
| Maintain a database | The specific database or database set | Does maintenance include indexes, backups, configuration changes, or only monitoring? |
| Operate forests | Each forest, or a defined forest set | Can the manager create, delete, attach, detach, or only restart forests? |
| Administer cluster machines | Specific hosts or all hosts | Are host-level changes actually required, or is a database-level role enough? |
| Configure an App Server | The named App Server or App Servers | Can the manager change every setting or only a particular aspect? |
| Change security | Users, groups, roles, privileges, or other security objects | Which security operations are necessary, and could they indirectly grant administrative access? |
| Work with data | Databases and documents | Does the person need document read, insert, update, or execute capability in addition to administration? |
Record the expected frequency and business reason for each task. A one-time migration operation may justify a temporary role, while routine support may justify a permanent role with a narrower scope.
Separate “can administer” from “can use data”
A manager who configures a database may not need to read its documents. Conversely, an operations manager may need to query documents but have no authority to change database configuration. Treat these as separate access decisions rather than adding broad permissions to one role.
Choose the narrowest administrative privilege scope
MarkLogic administrative privileges can be scoped to a set of resources, to one specific resource, or to a specific aspect of a resource. Select the smallest scope that still supports the task.
| Scope choice | Use when | Risk and review question |
|---|---|---|
| Resource set | The manager has the same duty across a defined group of databases, forests, hosts, or App Servers. | A newly added resource may enter the set or the set definition may be broader than intended. Review membership regularly. |
| Specific resource | The duty applies to one named database, forest, host, or App Server. | This is usually easier to reason about, but every additional resource requires an explicit change. |
| Resource aspect | The manager needs only one function, such as a database index or backup aspect. | Confirm that the aspect privilege does not imply other administrative operations in the installed version. |
Examples of administrative areas documented by MarkLogic include database-, forest-, host-, and App-Server-related privileges, along with database index and backup aspects. The exact privilege identifiers, scope semantics, and side effects vary by MarkLogic version. Confirm them in the security documentation for the deployed release before assigning anything.

Do not substitute a familiar role name for a verified privilege
MarkLogic does not provide a universally safe “database manager” role for every installation. A role that is appropriate in one release or topology may grant more authority than expected in another. Treat names as labels for your design; treat the version-specific privilege definition as the source of truth.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Fix the driver behind crashes, sound loss and screen glitches3Clear out junk files and repair common Windows errorsCompare the three scope choices in practice
Suppose a manager supports two named reporting databases. A resource-set privilege may be efficient if both databases are governed identically, but its membership must be reviewed whenever another database is added. A specific-resource privilege is clearer when only one database is in scope, although adding the second requires a deliberate role change. An aspect-specific privilege is preferable when the manager only rebuilds indexes or runs backups and must not change unrelated database settings. The narrowest option is not always the shortest configuration; it is the one whose boundary can be explained and tested.
Create a purpose-built role
After the inventory and scope decisions, create or adapt a role whose name describes the controlled duty, such as an operations function or an environment-specific responsibility. The name is for administration and auditing; the attached privileges determine authority.
- List the manager’s required operations and the exact target resources.
- For each operation, identify the narrowest applicable administrative privilege category: set-wide, specific-resource, or aspect-specific.
- Check the installed MarkLogic version’s definition of each candidate privilege, including any implied operations.
- Create the custom role and grant only the selected privileges.
- Assign the role to the manager’s account through the supported security administration surface for that version.
- Document why each privilege exists, which resources it covers, who approved it, and when it should be reviewed.
A role should not receive a privilege “just in case.” If a future task appears, add a separately reviewed privilege rather than broadening the role pre-emptively.
Audit role inheritance before declaring the design restricted
MarkLogic roles inherit the privileges and permissions of roles in their inheritance chain. A custom role can therefore look narrow while an inherited parent supplies broad database, host, or security authority.
- Inspect every role assigned directly to the manager.
- For each role, follow its inherited roles until the chain ends.
- Record the effective privileges and permissions contributed by each role.
- Look specifically for inherited
admin, security, or other broad operational roles. - Remove unnecessary parent roles or redesign the hierarchy so the delegated role does not inherit unwanted authority.
- Repeat the review whenever a parent role changes, because an inherited privilege can widen the manager’s access without any change to the manager’s account.
Inheritance is useful for avoiding duplicated definitions, but it creates a dependency: changing a parent role changes every child role’s effective authority. Keep parent roles stable, narrowly defined, and subject to change review.

Worked delegation patterns
An index-support manager might receive only the verified database-index aspect privilege for one reporting database, while a backup operator might receive the corresponding backup authority for a defined database set. Neither assignment automatically authorizes host changes or role administration. A forest operator may need privileges on named forests but not on every forest in the cluster. These examples illustrate why the operation and resource must be recorded together; a label such as “operations” is not a security boundary.
Keep document permissions separate from administrative privileges
Document permissions protect documents through role-capability pairs. Common capabilities include read, insert, update, and execute. These permissions answer whether a role can use a document; administrative privileges answer whether an account can perform management operations on MarkLogic resources.
| Control | Protects | Typical question |
|---|---|---|
| Administrative privilege | Server resources and management operations | Can this account configure a database index or change an App Server? |
| Document permission | Individual documents and their capabilities | Can this role read or update this document? |
Changing document permissions does not narrow an administrative privilege. A manager with a broad administrative role may still alter configuration or security even if they cannot read a particular document. Likewise, granting a document role does not give that person authority to administer a database.

If the manager needs both forms of access, design and review them independently. Grant only the document capabilities required by the data workflow, and keep those roles distinct from the administrative role where practical.
Apply the design through a supported administration surface
MarkLogic security administration is available through the Admin Interface, the REST Management API, and server-side security functions. Choose one surface that fits your change-management process and the installed version; the authorization model remains the same.
| Surface | When it fits | Controls to preserve |
|---|---|---|
| Admin Interface | Interactive, carefully reviewed changes by an authorized administrator. | Verify the selected role, privilege, inheritance, and resource scope before saving. |
| REST Management API | Repeatable or automated administration integrated with deployment workflows. | Use an appropriately restricted automation identity, review payloads, and log responses. |
| Server-side security functions | Administration performed through supported code running in MarkLogic. | Control who can invoke the functions and prevent the invoking role from inheriting broad security authority. |
Use the labels and endpoints documented for your MarkLogic release. Do not copy an API request or interface path from a different major version without checking its current security model.

Preserve an audit trail
For each delegated role, retain the task inventory, approved resource list, privilege definitions, inheritance map, approver, implementation surface, and review date. Record whether the role is permanent or temporary and what event removes it. This documentation makes later access reviews meaningful and helps distinguish an intentional privilege from an accidental inheritance change.
Verify the restriction before production use
Authorization is not complete when the role saves successfully. Test the effective behavior with an account that has the proposed role and no unrelated privileges.
- Use a non-production system or a controlled maintenance window.
- Test every operation the manager is expected to perform on each approved resource.
- Test the same operations against a resource that is outside the approved scope.
- Attempt sensitive operations that should be denied, including security changes and actions associated with broad roles.
- Check document access separately: test the required capabilities and confirm that unapproved documents remain inaccessible.
- Capture the result, the account used, the MarkLogic version, and the resource names for the access review.
A successful positive test proves only that one task works. A negative test is equally important because it demonstrates that the boundary is real. Re-run both kinds of tests after changing a parent role, adding a resource to a set, upgrading MarkLogic, or changing deployment topology.
Symptoms of an over-broad role
- The manager can administer resources not listed in the inventory.
- A role appears narrow, but its inherited parent includes a broad operational or security role.
- The manager can assign roles, alter privileges, or perform security actions unrelated to the delegated task.
- Document access is broader than the data workflow requires.
When a test exposes excess authority, remove the inherited or directly assigned source of that authority, then repeat the complete test matrix. Do not attempt to “fix” administrative overreach by changing document permissions.
Symptoms of an under-scoped role
- A required operation fails even though the target resource was listed.
- The role grants an aspect privilege, but the task requires a different administrative aspect.
- A set-wide scope excludes a resource the manager legitimately owns.
- An API or interface operation differs between MarkLogic versions.
Resolve these failures by identifying the exact denied operation and its target, then adding the smallest verified privilege or adjusting the resource scope. Avoid responding with admin or security; that masks the design problem and creates a larger one.

Best Value
Data Hub has its own documented role patterns, including a constrained security-admin role with defined limits. Those patterns are not automatically appropriate for general MarkLogic Server administration. First determine whether the manager is operating a Data Hub deployment; then follow the role guidance for that product and version rather than transplanting it into an ordinary Server cluster.
Review triggers
- MarkLogic Server or Data Hub upgrade.
- New database, forest, host, or App Server added to a resource set.
- Change to a parent role or inherited role.
- New manager duties or removal of old duties.
- Migration from the Admin Interface to an API or server-side function.
- Security incident, failed authorization test, or unexplained successful operation.
A practical approval checklist
- Every required task has a named target resource.
- The selected privilege is the narrowest verified category for that task.
- No built-in
adminorsecurityassignment is present unless the person is intentionally a full administrator. - Direct and inherited roles have been expanded and reviewed.
- Document capabilities are designed separately from administrative privileges.
- The implementation surface and version-specific identifiers are documented.
- Positive and negative tests have passed in a controlled environment.
- An owner and review date are recorded for the delegated role.
Bottom line
Delegated MarkLogic administration is safest when it is treated as a resource-and-task design exercise. Start with what the manager must do, scope each administrative privilege to the smallest valid resource or aspect, place those privileges in a purpose-built role, and inspect inheritance for hidden authority. Handle document permissions as a separate layer, verify the implementation against the installed version, and prove the boundary with both allowed and denied-operation tests.
Frequently Asked Questions
Can I let a manager administer one database without giving them admin?
Yes. Inventory the exact operations, select privileges scoped to that database or to the required database aspect, place them in a purpose-built role, and verify that no directly assigned or inherited role supplies broader authority.
Recommended Free Tools
Why is assigning the security role risky?
The security role enables security-related actions and may enable use or assignment of admin, depending on the release and configuration. Grant it only when the required security duties have been explicitly identified and reviewed.
Does changing document permissions restrict database administration?
No. Document permissions govern capabilities such as read, insert, update, and execute on documents. Administrative privileges govern management operations on resources, so the two controls must be designed separately.
How do I find hidden authority in a custom role?
Expand every role assigned to the account and follow each inheritance chain to its end. Record the effective privileges and permissions, looking especially for inherited admin, security, or broad operational roles.
Should I use a resource set, a specific resource, or an aspect privilege?
Use a resource set for the same duty across a deliberately maintained group, a specific-resource privilege for one named target, and an aspect privilege when only one function—such as indexing or backup—is required. Verify the exact behavior in the deployed version.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Are Data Hub roles interchangeable with ordinary MarkLogic Server roles?
No. Data Hub documents its own role patterns, including a constrained security-admin role. Confirm the deployment type and follow the guidance for that product and version instead of copying a Data Hub role into a general Server cluster.
The Bottom Line
Use a custom, least-privilege role tied to named tasks and resources. Audit inherited roles, keep document permissions separate, verify version-specific privilege behavior, and test both allowed and denied operations before delegating access.
