The safest way to restore Outlook contacts depends on where the last good copy exists. If you recently deleted a contact, recover it from Outlook’s People > Deleted or Recover deleted views. If the contact is not recoverable online, open or import the Outlook Data File (.pst) that contains your backup. A damaged PST may need Microsoft’s Inbox Repair tool (SCANPST), while organizations using Microsoft 365 Backup can restore a user’s contacts to a selected point in time.
Work from the least invasive option to the most involved one: check the recovery folders first, then use a PST, repair a copy if necessary, and finally ask an administrator about Microsoft 365 Backup. The instructions below cover new Outlook, classic Outlook for Windows, Outlook on the web and Outlook.com.

Choose the recovery method that matches your situation
First decide whether the contact was deleted, is merely missing from the view, or exists only in an older backup. The correct path also depends on which Outlook client you use and whether your organization controls retention or backup services.
| Last known copy | Best first action | Client or requirement | Important limitation |
|---|---|---|---|
| Deleted or Recoverable folder | Restore from People > Deleted, then use Recover deleted if needed | New Outlook, Outlook on the web or Outlook.com | Retention is policy-dependent; Microsoft gives an example of 30 days in Deleted Items plus another 14 days in Recoverable Items, but an administrator can set different periods. |
| Healthy PST backup | Open it and copy individual contacts, or import the Contacts folder | Classic Outlook for Windows; new Outlook has separate data-file controls | A PST is a copy of Outlook data. Importing copies records and does not delete the originals. |
| Damaged or unreadable PST | Make a duplicate, run SCANPST on the copy, then import the repaired file | Windows Inbox Repair tool | Items permanently deleted or corrupted beyond repair may not be recoverable. |
| Organization’s Microsoft 365 Backup | Ask an administrator to restore the user scope to a selected date and time | Only organizations that use the service | This is an administrator or service capability, not a normal consumer Outlook command. |
If you are unsure whether a contact was deleted, start with the recovery folders. If it is not there, look for the PST or ask your Microsoft 365 administrator about an available point-in-time backup.

Prepare before restoring anything
Identify the Outlook edition
Menu names differ. Classic Outlook for Windows uses the full ribbon and the File > Open & Export > Import/Export wizard. New Outlook has Settings > Data files controls. Outlook on the web and Outlook.com use the People area in a browser. If a menu in this guide is missing, confirm which client is open before changing settings.
Preserve the source
Do not overwrite or move the only PST backup while troubleshooting. Work from a duplicate when possible, especially before running a repair. Keep the original file unchanged so you can try another destination or duplicate-handling choice later.
Decide where the restored records should go
Choose the destination mailbox and Contacts folder before importing. A PST can contain multiple mailboxes, folders or historical Contacts folders. Selecting the wrong source or destination can make a successful restore appear to have failed because the records are in a different folder.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Repair Windows errors before they cause bigger problems3Scan for outdated or missing drivers - takes under a minutePause unnecessary changes
Until you find the last good copy, avoid deleting, moving or editing contacts in the target account. This makes it easier to compare the restored records and handle duplicates deliberately.
Restore a deleted contact from Outlook’s recovery folders
New Outlook for Windows
- Open Outlook and select People.
- Open the Deleted folder.
- Select the contact you want to return.
- Choose Restore.
- Return to the original Contacts folder, or the default Contacts folder if the original location is no longer available, and verify the record.
Microsoft says a recovered contact returns to its original folder when possible. If Outlook cannot restore that location, it places the contact in the default Contacts folder.
Use Recover deleted when the contact is no longer in Deleted
- In People, open Deleted.
- Choose Recover deleted.
- Select the contact in the Recoverable list.
- Choose Restore and check the destination Contacts folder.
The Recoverable view is still governed by your mailbox’s retention policy. Microsoft’s commonly cited example is 30 days in Deleted Items followed by another 14 days in Recoverable Items; that is an example, not a universal promise. Your organization or service administrator may configure different limits.
Outlook on the web and Outlook.com
The browser workflow follows the same pattern: open People, choose Deleted, select the contact and choose Restore. If it is absent, choose Recover deleted, select it in the Recoverable list and restore it. Check the default Contacts folder if Outlook cannot recreate the original folder.

If no recovery entry appears
Possible explanations include an expired retention period, permanent deletion, a different account being open, or a contact that was never stored in that mailbox. Confirm the account shown in Outlook, search other Contacts folders, and then move to a PST or organization backup.
Import contacts from a PST in classic Outlook
Microsoft describes PST files as files created when you export or back up email, contacts and calendar information. The import process makes a copy; “Nothing is deleted from Outlook.”
Import the Contacts folder
- Open classic Outlook for Windows.
- Choose File > Open & Export > Import/Export.
- Select Import from another program or file, then choose Next.
- Select Outlook Data File (.pst), then choose Next.
- Browse to the backup PST and open it.
- Choose how Outlook should handle duplicates. Select the option that matches your goal: retain existing records, replace them, or allow duplicates.
- Expand the PST tree and select the folder that contains the contacts. Select the Contacts folder itself rather than a similarly named mail folder.
- Choose the mailbox or Contacts folder that should receive the records.
- Review the source and destination, then select Finish.
After the wizard completes, open the destination Contacts folder and search for a distinctive name or email address. If the records are not there, inspect the other folders in the destination mailbox before importing again.

Open the PST and copy only selected contacts
Importing an entire folder is unnecessary when you need only a few records. In classic Outlook, open the data file, browse to its Contacts folder, select the individual contacts and drag them into the existing Contacts folder. This selective method copies only the chosen records and leaves the PST available as an untouched reference.

Choose duplicate handling deliberately
Duplicates are common when a current mailbox already contains some of the same people. Before using the wizard, decide whether the backup is older, newer or complementary. Retaining existing items avoids overwriting current edits; replacing items favors the backup; allowing duplicates preserves both versions for manual review. For a small recovery, selective drag-and-drop is usually easier to control than importing the complete folder.
Use PST controls in new Outlook
New Outlook does not use exactly the same import wizard as classic Outlook. Open Settings > Data files and choose Import, or add the PST through Settings > Data files > Outlook Data Files so that you can browse it and move items.
Requirements for opening a PST in new Outlook
Microsoft documents additional requirements for opening a PST in new Outlook:
- Classic Outlook must also be installed.
- Classic and new Outlook must use the same 32-bit or 64-bit architecture.
- The account must have a Microsoft 365 subscription.
- New Outlook on ARM does not support Outlook data files.
- Outlook must not be running in Safe mode or Recovery mode.
If any requirement is missing, use classic Outlook for the import or ask your administrator about another recovery route. Do not assume that a PST problem is caused by corruption until these compatibility conditions have been checked.
Repair a damaged PST with SCANPST
If Outlook cannot open the PST, reports errors, or shows an incomplete folder tree, the file may be damaged. Microsoft’s Inbox Repair tool, commonly called SCANPST, can examine and repair certain PST problems.
- Make a copy of the damaged PST and keep the original in a safe location.
- Close Outlook.
- Run Microsoft’s Inbox Repair tool (SCANPST) against the copied PST.
- Allow the tool to scan the file and apply the repair it offers.
- Open the repaired copy in Outlook.
- Import the Contacts folder or open it and drag selected contacts into the destination mailbox.
Repair is not the same as restoring every historical item. Microsoft warns that some items cannot be recovered when they were permanently deleted or corrupted beyond repair. If SCANPST produces a repaired file but the Contacts folder is empty, inspect every folder in the repaired data file and compare it with the original backup.
Restore contacts through Microsoft 365 Backup
Microsoft 365 Backup can restore a user scope containing contacts to a selected date and time when the organization has the service configured. This is intended for administrators or service operators rather than ordinary consumer Outlook commands.
- Contact the organization’s Microsoft 365 administrator or backup operator.
- Explain the user account, approximate deletion or loss time, and the Contacts data that must be restored.
- Ask which restore points are available and select the date and time that contains the last good copy.
- Confirm the restore scope and destination with the administrator before the operation begins.
- After the restore, check the user’s Contacts folders and resolve any duplicates or missing-folder placement.
Availability, restore points and retention depend on the organization’s configuration. A consumer Outlook account will not gain this capability simply by installing a desktop client.

The contacts were restored but are not visible
- Search every Contacts folder in the destination mailbox, including folders nested under the imported PST.
- Check the default Contacts folder; Outlook may use it when the original folder no longer exists.
- Confirm that you imported into the intended account rather than another mailbox profile.
- Refresh Outlook or reopen the folder after an import completes.
The wizard shows the wrong folders
Expand the PST’s folder tree and select the folder that actually contains contact cards. A PST can contain several folders with similar names. Open the PST first and inspect its contents when the correct source is unclear.
You now have duplicates
Stop importing and review the duplicate-handling setting you selected. Keep the most complete record, then remove extra copies manually. For a small number of contacts, restore from the PST one contact at a time so that you can compare fields before copying.
The Deleted or Recoverable folders are empty
Verify the account and client, then consider whether the retention period has expired or an administrator policy differs from Microsoft’s 30-day-plus-14-day example. If the contact was permanently deleted, online recovery may no longer be possible; use a PST or Microsoft 365 Backup if one exists.
The PST cannot be opened
Check the new Outlook compatibility requirements, then try classic Outlook for Windows. If the file remains unreadable, run SCANPST on a copy. Do not repeatedly repair the only original file.

Only some contacts returned
Partial recovery can indicate that the backup was made before the missing contacts were added, that the wrong Contacts folder was selected, or that some records are corrupted. Inspect all folders in the PST and compare the restored records with another available copy.
Verify the restored address book
Verification prevents a technically successful import from becoming a practical failure.
- Search for several known contacts by name and email address.
- Open individual records and check phone numbers, notes and other fields that matter to you.
- Confirm the records are in the intended mailbox and Contacts folder.
- Check for duplicates created by the import.
- If the restore came from a PST, keep the source file until you have confirmed that the destination contains everything required.
Remember that importing copies data. The original mailbox content remains in place, and the PST remains a separate source unless you explicitly move or delete items.
Which recovery path should you use?
| Question | Recommended decision |
|---|---|
| Was the contact deleted recently? | Use People > Deleted, then Recover deleted if necessary. |
| Is it missing but not shown as deleted? | Search all Contacts folders and verify the account before importing anything. |
| Do you have a PST that opens normally? | Open it and copy selected contacts, or import the correct Contacts folder. |
| Does the PST produce errors? | Work on a copy with SCANPST, then import the repaired copy. |
| Is this a managed Microsoft 365 organization? | Ask an administrator whether Microsoft 365 Backup has a suitable restore point. |
| Are you using new Outlook? | Use Settings > Data files and check the classic Outlook, architecture, subscription and ARM requirements. |
Following this order minimizes unnecessary changes: online recovery is quickest, a healthy PST gives you a local copy, SCANPST is for a damaged file, and Microsoft 365 Backup is available only where the organization has enabled it.
