When a PR team says your reporting is wrong, separate the specific allegation from the pressure surrounding it. Preserve the exact claim, compare it with your published work and reporting record, involve an editor, and correct any verified material error through your newsroom’s process. If the work is accurate, answer briefly with checkable facts, offer a fair opportunity to address significant inaccuracies when appropriate, and avoid turning the dispute into a personal exchange. Defamation exposure or other legal consequences cannot be assessed from the accusation alone; they depend on the jurisdiction, wording, publication and circumstances.
Start with the exact claim, not the tone
PR complaints often arrive as broad assertions: a reporter is biased, a story is unfair, or a publication has damaged someone’s reputation. Those assertions may be unpleasant, but they do not identify an error by themselves. Your first task is to convert the complaint into a testable question.

Ask which sentence, quotation, figure, date, attribution or characterization the team disputes. Save the message exactly as received, including the date, time, sender, subject line, attachments, links and any public post in which the accusation appeared. Keep a copy of the relevant published version and the records behind the contested passages. This preservation step is practical advice based on accuracy and accountability principles; the standards cited below do not prescribe one universal evidence-retention protocol.

Classify what is being challenged
| Type of challenge | What to test | Likely response |
|---|---|---|
| Checkable factual error | Is a verifiable detail false, misstated or wrongly attributed? | Recheck the record and use the correction process if the error is material. |
| Material omission or misleading impression | Does the presentation leave out context that changes a reasonable reader’s understanding? | Consider a clarification or another adequate remedy after editorial review. |
| Dispute over framing or emphasis | Is the underlying fact accepted but the prominence, wording or angle contested? | Explain the factual basis and editorial rationale without changing accurate work merely to appease pressure. |
| Comment, conjecture or opinion | Is the passage clearly presented as analysis, comment or an attributed view rather than fact? | Make the distinction clear; do not recast a disagreement as a factual correction. |
| Personal attack on the reporter | Does the complaint identify evidence, or only allege bias, incompetence or bad faith? | Request the precise passage and supporting evidence; do not debate motives. |
The Society of Editors’ Editors’ Code requires fact to be distinguished from comment, conjecture and opinion. That distinction is the foundation for deciding whether a complaint calls for a correction, a clarification, a reply or no change.

Check the work against the reporting record
Do not decide the outcome from memory or from the confidence of the PR team’s wording. Reconstruct what you knew, what you sought to verify and what the published story actually says.
- Freeze the relevant version. Save the article, headline, standfirst, captions, embedded material and correction history as they appeared when the complaint was made. Note later edits separately.
- Mark the disputed passage. Copy the exact sentence or element identified by the PR team. If they have not identified one, ask them to do so rather than trying to rebut a general accusation.
- Separate evidence types. Label each relevant point as a direct quotation, documentable fact, source account, interpretation, comment or opinion. Check that the wording does not present an interpretation as an established fact.
- Trace every material assertion. Return to notes, recordings, documents, emails, data, public filings and source confirmations that support the passage. Check names, titles, dates, numbers, locations, chronology and attribution.
- Test the new material. If the PR team supplies a document or explanation, verify its authenticity, scope and relevance independently. A new document can expose an error, but an unsupported assertion does not become evidence because it is official-sounding.
- Look for misleading incompleteness. A sentence can be technically true yet misleading if a material qualification was omitted. Ask whether adding context would change the reasonable meaning of the story.
- Record the result. Write a short internal note identifying what is supported, what is uncertain, what is disputed interpretation and what, if anything, needs correction or clarification.
This review should be constructive. A complaint may contain useful evidence even when its description of your work is overstated. Conversely, accurate reporting should not be materially altered solely because an outside interest objects to it.
Bring an editor or standards contact into the decision
Tell your assigning editor, line editor, managing editor or newsroom standards contact what was alleged and provide the underlying records. Editors’ review protects both the reporter and the publication: it creates a second assessment of materiality, wording, sourcing and remedy.
Ask the editor to answer four separate questions:
- Is there a factual error, and is it significant enough to affect the story’s meaning?
- Is the passage incomplete or misleading even if each isolated fact is technically correct?
- Is the dispute actually about interpretation, emphasis or opinion?
- What remedy does the publication’s own correction and complaints process provide?
The practical escalation step is editorial guidance, not a universal workflow imposed by the codes cited here. Reuters’ journalistic standards state that accuracy takes precedence over speed and emphasize fair comment, transparent corrections and prompt, clear rectification of errors. The Society of Editors’ code similarly treats correction and reply as accountability duties. Follow your outlet’s named process, including any required correction log, standards review or legal consultation.
Choose a remedy proportionate to what you found
| Finding | Action | What to say |
|---|---|---|
| Verified significant factual error | Correct promptly and with due prominence; explain the change transparently and consider an apology where appropriate. | Identify the inaccurate point, state the corrected fact and avoid implying that unrelated parts of the story were wrong. |
| Material omission or misleading presentation | Ask the editor whether a clarification, update, note, amended headline or other adequate remedy is warranted. | Describe the missing context and how the remedy addresses the misleading impression. |
| Accurate reporting, disputed interpretation | Leave the factual work intact; explain the basis briefly and consider a fair reply when reasonably called for. | Point to the evidence and distinguish reported fact from analysis or comment. |
| New, independently verified evidence | Reassess the relevant passage and update it if the evidence changes a material conclusion. | Say that the material was checked and explain any resulting change. |
| No identified error or supporting evidence | Request the precise passage and records, then close the review through the normal process. | Do not promise a correction before verification or argue about motives. |
The Editors’ Code states: “A significant inaccuracy, misleading statement or distortion must be corrected, promptly and with due prominence, and — where appropriate — an apology published.” It also says: “A fair opportunity to reply to significant inaccuracies should be given, when reasonably called for.” These provisions support proportionate correction and reply; they do not create an automatic right to dictate wording, remove an accurate story or obtain a platform for unrelated promotion.

Send a calm holding response while the review is open
If you need time to check the record, acknowledge the complaint without conceding it. Keep the message factual and procedural.
“Thanks for raising this. I’ve shared your concern and the material you provided with my editor. Please point us to the exact passage you believe is inaccurate and the records you believe support that view. We’ll check it against our reporting and follow our correction process if we find a material error.”

Use the template only as a starting point. Adjust it to your newsroom’s policy, attribution agreements and the actual status of the review. Do not say that the publication has accepted the allegation, promised a correction or agreed to remove material unless an editor has made that decision.
If the complaint is missing specifics
Reply once with a narrow request: identify the exact words, explain whether the objection concerns fact, context or characterization, and provide the records that support the requested change. A general demand to “fix the story” is not enough to evaluate accuracy.
If the team supplies evidence
Thank them for the material, log when it arrived and verify it independently. Check whether it covers the relevant date, entity, product, transaction or statement, and whether it is complete. Treat a press release, prepared statement or legal letter as a source to evaluate, not as conclusive proof.

Decide whether a public response is necessary
Most complaints do not require a public argument. A private editorial review and a transparent correction, if needed, usually address the substantive issue more effectively than a thread about the PR team.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errorsKeep the response private when
- The allegation was sent privately and no meaningful audience has seen it.
- The issue is still being verified.
- The complaint concerns a minor wording preference rather than a material error.
- A public reply would reveal confidential sources, unpublished reporting or personal information.
Consider a public clarification when
- The PR team has publicly made a specific, significant and misleading claim about the published work.
- Readers could reasonably be left with a false impression about what the article said or how it was produced.
- Your editor agrees that a concise factual clarification serves readers better than silence.
A public response should quote only the necessary part of the allegation, link or refer to the relevant published correction where your outlet permits, and state what was checked. Avoid reposting defamatory or inflammatory language merely to amplify it. Do not disclose confidential sources or private correspondence without editorial approval.
Keep fact, interpretation and opinion visibly separate
Many reputation disputes arise because a source treats an interpretation as if it were a factual assertion. Make the category clear in both the article and your response.
Fact
A fact is a proposition that can be checked against records or reliable first-hand evidence: a date, vote, contract term, quoted sentence or measured result. If it is wrong, correct it.
Interpretation
An interpretation explains what verified facts may mean or how events fit together. It should be supported by the evidence and written so readers can see that it is analysis rather than a disguised certainty.

Comment or opinion
Comment and opinion belong to an identified speaker, columnist or clearly signposted analytical voice. An organization’s objection to an opinion is not automatically an accuracy complaint, though wording can still misattribute or misrepresent the opinion.
The Society of Professional Journalists’ Code of Ethics advises journalists to “Take special care not to misrepresent or oversimplify in promoting, previewing or summarizing a story.” Apply that principle to headlines, social posts, newsletters and pitches as well as the article body. A condensed promotion can create a new misleading impression even when the full story is accurate.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. What to do when the PR team attacks your reputation
Separate criticism of the work from criticism of you. A claim that you are biased or incompetent is not rebutted by listing your credentials, and it is not proved by the team’s confidence. Ask whether the allegation identifies a checkable defect.
- Save the exact wording and its audience.
- Ask for the passage and evidence if they are not specified.
- Share the complaint with your editor rather than responding alone.
- Answer the factual issue, not the alleged motive.
- Keep the tone neutral and stop when the review is complete.
Avoid personal attacks, speculation about why the team complained, sarcasm, threats and promises about publication outcomes. Do not reveal confidential sources to prove that you did the work. If the exchange becomes harassing or raises a safety concern, route it through your editor and the publication’s established support or security process.
When a correction is warranted, make it transparent
A correction should let a reader understand what was wrong and what is now accurate. State the original error plainly, provide the corrected information and identify the date or location of the change when your policy requires it. Do not silently rewrite a significant error in a way that erases the record.
Best Value
Use the same standard for headlines, captions, social copy and summaries. A corrected body text does not cure a false headline that remains visible elsewhere. Coordinate updates across channels with the editor responsible for the publication’s correction process.
Reuters’ standards describe the goal as getting the work right rather than merely getting it first, and call for errors to be rectified promptly, clearly and comprehensively. That approach favors a visible, proportionate remedy over a defensive explanation of why the mistake happened.
Legal limits: do not promise an outcome you cannot assess
Whether a PR team’s statement is defamatory, actionable or otherwise unlawful depends on the jurisdiction, the exact words, who received them, whether they concern a person or organization, available defenses and the harm alleged. The standards discussed in this article are editorial codes, not jurisdiction-specific legal advice.

A compact decision checklist
- Have you saved the exact complaint and the version of the work it addresses?
- Can you name the disputed sentence, quotation, fact or characterization?
- Have you separated fact from interpretation, comment and opinion?
- Did you check the underlying records and independently verify any new evidence?
- Has an editor or standards contact reviewed the complaint?
- Is the issue a significant error, misleading omission, fair-interpretation dispute or unsupported attack?
- Does the proposed remedy match the materiality of the problem?
- Are you avoiding personal attacks, source disclosure and promises made before verification?
- Could the response create a separate misleading impression in a headline or social post?
- Does any legal question require jurisdiction-specific advice?
The most defensible response is usually the least theatrical one: preserve the record, test the specific allegation, involve the newsroom, correct what is materially wrong and explain accurate work without escalating a personal dispute.
