How to Resize and Compress Screenshots on Windows and Mac

To make a screenshot fit an upload limit or use less storage, first reduce its pixel dimensions while preserving its proportions; then choose an appropriate file format and, if needed, lower lossy compression quality. Resizing can reduce file size, but it does not guarantee a particular result: dimensions, image content, format and encoder settings all matter. Keep the original and inspect the saved copy at its intended viewing size, especially if it contains small text.

Resize and compress: what changes?

Resizing changes an image’s dimensions—its width and height in pixels. Resampling creates new pixel data to make those dimensions smaller or larger. Compression affects how the image is encoded and stored. These are related but different controls: an image can have smaller dimensions without a particular compression setting, or keep the same dimensions while being saved with a different encoding.

If your screenshot must fit a pixel-dimension limit, resize it to those dimensions. If the constraint is a file-size limit, resizing may help, but you may also need to change the format or compression settings. There is no universal quality setting that guarantees the best-looking or smallest file for every screenshot.

Choose the right target before editing

Check whether the destination specifies maximum pixel dimensions, a maximum file size, an accepted file format, or some combination of these. If it gives pixel dimensions, use them as the target. If it only gives a file-size limit, make a copy and adjust it in small steps, checking the actual saved file after each change.

  • Keep the full image: preserve the aspect ratio and use a proportional fit. This avoids distortion and cropping.
  • Fit a fixed box: decide whether unused space, cropping or distortion is acceptable. These are different outcomes, not interchangeable resize methods.
  • Keep text readable: check the copy at normal viewing size. Small interface text and fine edges can become hard to read after downscaling or lossy compression.
  • Keep transparency: use an output format that supports it, and verify that transparency survives the save.

Resize screenshots on Windows with PowerToys

Resize one or more images in File Explorer

Microsoft PowerToys Image Resizer is a Windows shell extension for resizing images, including in bulk. Install PowerToys, then select one or more image files in File Explorer and choose Resize with Image Resizer. Configure the target size using pixels or another supported unit, then choose a sizing mode.

  1. In File Explorer, select the screenshot or screenshots you want to resize.
  2. Open the context menu and choose Resize with Image Resizer.
  3. Choose a preset or configure the target dimensions in the dialog.
  4. Select the sizing mode that matches the result you need, then run the resize.
  5. Open the saved copy and check its dimensions, appearance and file size.

PowerToys offers three modes. Fit scales proportionally to contain the whole image without cropping. Fill scales proportionally to cover the target dimensions but may crop part of the image. Stretch fills the target dimensions without cropping by distorting the image’s proportions. For an undistorted screenshot that must remain complete, choose Fit. If you leave one dimension blank, Image Resizer can calculate it proportionally.

Use the PowerToys command-line option for repeat jobs

PowerToys also documents an Image Resizer command-line interface. Its available controls include explicit width and height, JPEG quality, metadata removal and a shrink-only option. This can help when resizing is part of a repeatable workflow, but check the documentation for the PowerToys version installed on your PC before using exact command syntax or assuming a flag is available. Use a new output filename or directory if you need to preserve the original.

Metadata removal is a separate option from visual resizing. If it matters for privacy or file size, check whether the output has the metadata you expect rather than assuming a resize removed it.

Resize and reduce file size on Mac with Preview

Change dimensions without distorting the screenshot

  1. Open the screenshot in Preview.
  2. Choose Tools > Adjust Size.
  3. Enter the desired width and height, or enter a percentage.
  4. Leave Scale proportionally selected when you want to preserve the original proportions.
  5. Apply the change, save a copy, and inspect the result.

When proportional scaling is on, changing one dimension adjusts the other to preserve the shape of the screenshot. If you instead force both dimensions independently, the result can be distorted. Preview can also resize multiple images together: select them in the same window’s sidebar, then choose Tools > Adjust Size.

Use resampling to reduce the file size

Apple’s Preview instructions for reducing file size use the same Tools > Adjust Size dialog. Select Resample image, enter a smaller value in the Resolution field, and check the new size Preview displays. Save a copy and verify the saved file’s size. Resampling changes image data; it can also affect detail, so inspect small text and edges before replacing or sharing the original.

The Preview guide identifies itself as version 11.0 for macOS 26. Menu labels and behavior can change with software releases, so if your Mac’s interface differs, follow the current Apple Support guidance for your macOS version.

Pick a format and compression level

Format choice depends on the destination and what the screenshot contains. A screenshot with sharp text, interface edges or transparency may not tolerate the same treatment as a photograph. If you lower lossy quality, compare the saved version with the original before accepting it. If transparency is required, preserve it in a format that supports transparency.

Paint.NET documentation lists support for formats including PNG, JPEG, WebP, AVIF and TIFF, and notes that compression is used by most image formats. That list does not mean every application, website or recipient accepts every format. Check the destination’s requirements first.

Google’s WebP documentation says WebP images are about 30% smaller than PNG and JPEG at equivalent visual quality. That is a format-level comparison, not a guaranteed saving for a particular screenshot; check the actual output and confirm that the receiving service accepts WebP.

How to avoid quality loss and preserve the original

  • Work from a copy. Keep the original untouched so you can retry with different dimensions, formats or quality settings.
  • Preserve proportions. Use a proportional scale or fit mode unless cropping or distortion is intentional.
  • Do not over-compress text. Fine lettering and crisp edges make visual defects conspicuous. Inspect the final saved image at the size people will view it.
  • Measure the actual result. Check the output dimensions and file size after saving. A smaller image is not automatically small enough for the destination.
  • Check what the export retained. Verify format, transparency and any metadata that matters to your use.

Common problems and fixes

The resized image looks stretched

The width and height may have been changed independently, or a stretch mode may have been selected. Undo the change or return to the original, then preserve the aspect ratio. In PowerToys, use Fit for a proportional resize that keeps the full image; in Preview, keep Scale proportionally selected.

Part of the screenshot is missing

A fill or crop operation may have cut off content to cover the target box. Re-run the resize using a fit mode if the whole screenshot must remain visible. A fit may leave unused space in one dimension, which is preferable to losing content when the target shape does not match the original.

The file is still over the upload limit

Confirm the saved file’s actual size first. If the destination allows it, reduce the pixel dimensions further or choose a suitable format and compression setting. Make incremental changes and inspect text after each save; neither a particular format nor a particular resize guarantees that an upload limit will be met.

The file is small but text looks poor

The image may have been reduced too far or saved with too much lossy compression. Return to the original and try a larger pixel size or a less aggressive quality setting. Compare the final version at normal viewing size, not only when zoomed out.

The recipient cannot open the file

The destination may not support the format you selected. Re-export in a format the recipient or service accepts, then check that the file opens and that any required transparency remains intact.

A PowerToys command-line option does not work

Command-line options can depend on the installed PowerToys release. Check the official PowerToys Image Resizer documentation for the syntax and flags supported by that version rather than assuming an example from another release still applies.

Performance, reliability and cost considerations

For a single screenshot, the built-in Preview or File Explorer workflow is usually straightforward. PowerToys is useful when selecting several files for a batch, while a command-line workflow can suit repeated operations once its version-specific syntax is confirmed. Preview’s sidebar method also supports resizing multiple selected images. For either platform, saving a separate output makes retries safer.

File size depends on the image’s dimensions and content as well as its format and encoding settings. Treat any estimated reduction as a starting point, not a promise; inspect the saved file and test it with the actual destination.
