Ask a person who has directly observed work relevant to the scholarship, and ask several weeks before the earliest applicable deadline. First read the scholarship’s rules, then request permission before entering the recommender’s contact details, provide a concise packet of criteria and evidence, explain exactly how and when the letter must be submitted, check the status before the deadline, and thank the writer afterward.
There is no universal recommender or submission method. A named scholarship’s current instructions control who may write, what the letter should address, whether the applicant or recommender submits it, and which date counts as on time.

Read the scholarship instructions before contacting anyone
Start with the application’s current directions, not with a favorite professor or a generic email template. Record the requirements in a checklist:
Free tools Windows power users keep installed
One-click scans. No signup required.
- How many letters are required and whether each must come from a different person.
- Permitted recommender roles, such as faculty, teacher, counselor, supervisor, employer, coach, community leader, or another role named by the funder.
- The qualities or evidence the letter must evaluate: academic ability, leadership, service, research, character, project readiness, or specific criteria.
- Who submits the letter: you, the recommender, or an institution.
- The permitted channel: a portal invitation, an application form, direct email, a sealed paper letter, or another expressly listed method.
- The controlling deadline and its type: an internal campus deadline, an upload deadline, a receipt or arrival date, a postmark date, or your own assembly deadline.
- Any required format, such as letterhead, signature, sealed envelope, online attestation, file type, size limit, or time-zone cutoff.
Do not assume that a procedure used for one scholarship applies to another. Guidance from the University of Illinois Chicago describes an online invitation workflow, while San Francisco State University includes paper-letter details; these are examples, not interchangeable rules. Review the named scholarship’s page again shortly before submission in case its instructions or portal labels have changed.

For a portal-based application, note whether the system sends an invitation immediately after you enter an email address. UIC specifically tells applicants to ask politely and professionally whether a person is willing and available before submitting that person’s information in SnAP: UIC’s recommender instructions.
Choose a recommender for first-hand, relevant knowledge
The strongest choice is not automatically the person with the most prestigious title. Select someone who has seen you perform work that matches the scholarship’s criteria and can describe concrete examples. UC Davis advises that a recommender should know the student well enough to make informed comments, and Yale says the writer should be able to cite specific examples rather than offer general praise.
Match the person to what the scholarship evaluates
- Academic ability or research: a professor, teacher, research supervisor, or adviser who can discuss your work, methods, improvement, or intellectual contribution.
- Leadership or service: a faculty member, community leader, coach, or project supervisor who observed you organize people, solve a problem, or sustain service.
- Employment or practical achievement: a supervisor or employer who can verify responsibilities, initiative, reliability, and results.
- Creative, athletic, or project readiness: a coach, instructor, director, or project mentor who has directly evaluated the relevant skill.
Some programs restrict the category. A scholarship may require faculty, prohibit relatives, or ask for a counselor instead of an employer. If the rules are unclear, ask the scholarship administrator before nominating someone.
Test whether the person can write a strong, specific letter
Before asking, consider what the person actually observed: a named project, a difficult problem you handled, a measurable contribution, or a change in your performance. If you are uncertain, make the question easy to decline: ask whether they know your work well enough to write a strong recommendation. A reluctant “yes” is less useful than a prompt referral to someone with better evidence.

UC Davis notes that letters may come from professors or nonacademic individuals who can write about significant contributions outside the classroom. That does not make every nonacademic contact suitable; the person still needs relevant first-hand knowledge and must satisfy the scholarship’s eligibility rules. See UC Davis guidance on requesting a recommendation and Yale’s explanation of what recommenders should address at Yale Fellowships and Funding.
Ask early enough for a thoughtful response
Use the earliest deadline that applies to your application, not merely the date you plan to press “submit.” The following are institutional planning recommendations:
| Situation | Planning guidance | Source and qualification |
|---|---|---|
| General scholarship request | Ask three to four weeks ahead | UC Davis recommendation; a planning guideline, not a guarantee |
| Prestigious scholarship | Ideally ask four to six weeks ahead | UC Davis recommendation; allow more time for intensive applications |
| San Francisco State guidance | Allow at least three weeks | SFSU planning guidance; the scholarship’s own deadline still controls |
These ranges are not measured evidence that a particular lead time produces a better letter or a scholarship award. They are practical institutional recommendations. Ask earlier when the recommender is likely to be busy, the program requires multiple letters, the deadline falls during a break, or a portal may need technical support.

Make the request clear and considerate
- Choose the channel. Ask in person when that is natural, then send a written summary. Otherwise use a concise, professional email from an address you check regularly.
- Name the scholarship and purpose. Explain in one or two sentences what the award supports and why you are applying.
- Identify your connection. Mention the class, project, job, team, or activity in which the person observed your work.
- Ask explicitly about willingness and availability. Request a “strong recommendation,” not merely a letter, and give the person a comfortable way to decline.
- State the deadline and submission method. Include the date, time zone if specified, and whether the writer uploads, emails, signs, seals, or returns the letter to you.
- Offer the context packet. Tell them what you will send and invite questions.
- Wait for agreement before entering contact details. In a system that triggers an invitation, verify the email address carefully after the person says yes.
Email template
Subject: Scholarship recommendation request — [scholarship name], due [date]
Dear [name],
I’m applying for [scholarship], which supports [brief purpose or criteria]. Because you know my work in [class, project, job, or activity], would you be willing and available to write a strong recommendation for me? The letter is due [date, time zone if given], and the scholarship asks recommenders to [submission procedure].
I’ve attached the scholarship description, my résumé, [relevant work/transcript], and a short summary of my recent work and goals. Please let me know if you need anything else, or if your schedule does not allow enough time. I understand either way.
Thank you for considering it,
[Your name]
This wording is a practical template, not a quotation from a scholarship office. Adapt it to your relationship and the program’s terminology. If you ask in person, send the same factual details afterward so there is no confusion about the date or process.
Send one organized information packet after they agree
A recommender should not have to reconstruct your application from scattered messages. Put the materials in one clearly named folder or document, and identify which items are final.
- Official criteria or a concise summary: include the scholarship’s purpose, selection criteria, and any questions the letter must answer.
- Submission instructions: provide the portal link or exact email/address, the deadline type, the time zone if given, and whether the system sends an invitation.
- Résumé or CV: list education, employment, activities, honors, service, projects, and relevant skills.
- Relevant transcript: include it when academic preparation or course performance matters, following the scholarship’s privacy and file rules.
- Activities and honors list: add dates, roles, scope, and outcomes so the writer can distinguish sustained work from a one-time item.
- Essays, statement, or work samples: share the versions that show your goals and the context for the award.
- Personal reminder: write a short list of recent accomplishments, challenges you overcame, and the qualities the scholarship evaluates.
- Your contact details: make it easy to resolve a question without searching through an old thread.
Explain which examples are especially relevant, but do not script the writer’s conclusion or ask for claims you cannot support. The recommendation should remain the recommender’s independent assessment. Yale’s guidance emphasizes specific examples rather than undifferentiated praise.
Handle online invitations and paper letters correctly
Submission mechanics can determine whether a complete letter counts as received. Use the scholarship’s exact workflow.

| Procedure question | What to verify before the letter is sent |
|---|---|
| Who qualifies? | The permitted role and any exclusions, such as a required faculty member or prohibited relative |
| What should be evaluated? | The named criteria, prompt questions, word or character limits, and any required rating or attestation |
| Who submits? | Whether the recommender, applicant, or institution must complete the final submission |
| How is it submitted? | Portal invitation, application form, direct email, sealed paper letter, or another expressly permitted channel |
| Which date controls? | Upload, receipt, postmark, campus, or applicant assembly deadline |
| What format is required? | Letterhead, signature, sealed envelope, file format, or online confirmation only when the instructions require it |
Portal invitations
Enter the recommender’s details only after consent. Check every character of the email address; a typo can send the invitation to the wrong person or prevent delivery. Tell the recommender to watch for the message, including spam or filtered folders, and confirm whether the system shows an “invited,” “started,” or “submitted” status. Ask whether they can open the link before the deadline leaves no time for a reset.
UIC and Western Washington University describe online invitation-style processes. Their examples show why you should follow the named scholarship’s labels rather than copy another institution’s steps. Western Washington’s scholarship FAQ is at https://financialaid.wwu.edu/Scholarship-FAQ.
Paper or direct-delivery letters
If paper is allowed, confirm whether the letter must be signed, printed on letterhead, sealed, mailed directly, postmarked by a date, or returned to you in a sealed envelope. Do not open a sealed letter if the scholarship requires confidentiality. San Francisco State’s guidance discusses thank-you letters and paper-oriented procedures; consult its current instructions at SFSU Financial Aid, then follow your scholarship’s own requirements.

An agreement is not proof that the letter has been submitted. Keep a simple status list for every recommender: consent received, invitation accepted, draft or form in progress if the system shows it, and final submission confirmed.
Best Value
- Immediately after agreement: send the packet and ask the writer to tell you if the deadline is unrealistic.
- About one week before the due date: send a brief, courteous reminder with the submission link and deadline. UC Davis specifically recommends checking in at least one week before the due date.
- After the reminder: verify completion through the permitted application mechanism. Do not ask the writer to forward a confidential letter if the program requires direct submission.
- After submission: thank the recommender promptly and, when appropriate, share the application result.
UCLA’s application guidance also recommends reminders and a thank-you note; its current process information is available at the UCLA Scholarship Center. Keep the reminder shorter than the original request: identify the scholarship, repeat the exact deadline, and offer help with a portal problem.
A practical reminder
Subject: Reminder — [scholarship name] recommendation due [date]
Dear [name],
Thank you again for agreeing to recommend me for [scholarship]. The recommendation is due [date and time zone, if stated] through [portal or method]. I wanted to check that the invitation and instructions reached you. Please tell me if the system is not working or if you need another document.
I appreciate your time,
[Your name]
If a recommender declines or the process breaks
When someone says no
Thank the person and ask, only if appropriate, whether they can suggest someone who has closer knowledge of the relevant work. Do not argue or ask for a less enthusiastic letter. Return to the eligibility rules and contact an alternate who can provide specific evidence.
When there is no response
Send one clear follow-up after a reasonable interval, then switch to an eligible backup if the deadline allows. If the portal invitation was never received, confirm the address and ask the scholarship office whether it can resend the invitation. Do not create a second account or submit through an unapproved channel without permission.
Recommended Free Tools
When the deadline is close
Contact the scholarship administrator using the official address or portal help route. Explain the factual status—such as an invitation error or a failed upload—and ask what remedy is permitted. Keep records of messages and timestamps. An extension, replacement recommender, or alternate submission is available only if that program authorizes it.
Common mistakes that weaken a request
- Choosing a famous or senior person who barely knows your work instead of a person with relevant first-hand evidence.
- Asking at the last minute without checking whether the writer is available.
- Entering an email address into a portal before obtaining permission.
- Sending a résumé without the scholarship criteria, prompt, deadline type, or submission instructions.
- Asking the recommender to repeat unsupported claims or to copy your essay as the letter.
- Assuming “submitted” means “received” when the program requires a separate confirmation.
- Using a letterhead, signature, sealed envelope, or direct-email method that the scholarship does not permit.
- Failing to tell the writer about an earlier campus deadline or a time-zone cutoff.
- Never confirming completion or thanking the person.
Use a deadline-based checklist
Before the request
- Read the current scholarship rules and record every letter requirement.
- Identify the earliest controlling deadline and its type.
- List eligible people who have observed relevant work.
When asking
- Explain the scholarship, your connection, the criteria, deadline, and submission method.
- Ask whether the person is willing and available to write a strong recommendation.
- Wait for consent before entering contact details.
After agreement
- Send one organized packet with criteria, instructions, résumé or CV, transcript when relevant, activities and honors, essays or work samples, and a short accomplishments note.
- Confirm the correct email address and whether the invitation arrived.
- Clarify whether the writer or applicant performs the final submission.
Before and after submission
- Send a courteous reminder about one week before the due date.
- Verify completion through the approved system or delivery method.
- Thank the recommender and provide an outcome update when appropriate.
What official guidance says about quality
University guidance converges on relevance, specificity, and clear logistics. UC Davis recommends professors or nonacademic individuals who can discuss significant contributions, while Yale stresses examples instead of generic praise. UIC’s instruction to ask before entering a recommender’s information protects the person’s availability and helps prevent portal errors. These principles improve the request’s clarity, but no cited guidance establishes a statistic or guarantees that any particular strategy will produce an award.
