How to replace Windows apps with open-source alternatives safely

The safest way to replace a Windows application is to migrate in stages: inventory the work you actually do, make a recoverable backup, verify the alternative’s current Windows requirements and official download source, install it beside the existing program, test copies of representative files and complete workflows, then change file associations or uninstall the old app only after the replacement passes.

This process protects your data and gives you a way back when a format, macro, plug-in, printer, account or accessibility feature does not behave as expected. Replacing an application also does not replace or secure Windows itself; operating-system support must be handled separately.

What a safe app replacement involves

“Open source” describes how software is licensed and developed, not a guarantee that it is safer, more compatible or feature-identical to a commercial program. A safe migration manages four risks at once:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Data risk: files, mail archives, templates and settings can be damaged or become difficult to restore.
  • Workflow risk: a replacement may open a file but fail on a macro, plug-in, peripheral, export, print job or collaboration handoff.
  • Installation risk: an unofficial installer may be outdated, modified or bundled with unwanted software.
  • Lifecycle risk: an application can work on a Windows release that no longer receives normal security updates.

The practical answer is controlled overlap. Keep the incumbent application installed while you test the replacement, work on copies rather than originals, record what succeeds and fails, and remove the old program only when you can restore your data and complete every essential task.

1. Inventory the applications and workflows that matter

Do not begin with a list of popular alternatives. Begin with the jobs your computer must perform. A replacement that handles casual documents may still be unsuitable for a payroll workbook, a production design file or a regulated PDF-signing process.

Record each essential application

  • Application name, edition and version.
  • Windows version, processor architecture and whether the computer is managed by an employer or school.
  • Files you open and create, including extensions such as DOCX, XLSX, PPTX, PSD, PDF, CSV, image and video formats.
  • Macros, scripts, templates, add-ins, extensions, fonts, codecs and plug-ins.
  • Printers, scanners, cameras, audio interfaces, smart-card readers and other peripherals used through the application.
  • Cloud accounts, authentication methods, local mail archives, contacts and calendars.
  • Accessibility settings, keyboard shortcuts and export or print steps that cannot change.
  • Installer files, product keys, license records and configuration notes for the current application.

Classify the consequences of failure

Mark each workflow as critical, important or optional. Critical workflows should be tested first and should retain a working path in the old application until the new one has passed. For example, opening a document is only one test; editing it, saving it, sending it to a colleague, printing it and reopening the returned file are separate tests.

2. Back up before installing or removing anything

The Document Foundation states in its LibreOffice system requirements that “It is a recommended best practice to back up your system and data before you remove or install software.” Treat that as a migration requirement, not a suggestion to buy a particular device.

Protect the files you will test

  1. Close applications so their files are not still being written.
  2. Copy original documents, mail archives, templates, plug-in installers and license information to a separate backup location.
  3. Keep the originals unchanged; create a clearly named working copy for each test.
  4. Open several backed-up files from the backup location or restore a sample to confirm that the backup is readable.

Consider a recoverable system backup

A file copy protects documents but may not restore application settings or a bootable system. When the computer is business-critical, create a system image or use the organization’s approved recovery method before changing software. An external drive is one possible separate backup medium, but owning one does not prove that a backup completed. Check the backup log, browse the files and perform a test restore.

3. Choose a candidate without assuming feature parity

Use alternatives as candidates, not guarantees. The commonly cited Canonical Windows-to-Ubuntu migration guide is an older source of examples; it does not establish current Windows support or one-for-one compatibility. Check the project’s current requirements, download, support and license information before installing.

Windows task Candidate open-source application Tests that decide whether it fits
Office documents LibreOffice DOCX, XLSX and PPTX formatting; formulas; templates; collaboration handoff; macros; add-ins; PDF export and printing.
Desktop email Thunderbird Account setup and provider authentication; calendar and contact needs; local archive import; search; encryption or signing; attachment handling.
Media playback VLC Required codecs; playlists; subtitles; hardware acceleration; network streams; media-library habits and remote-control needs.
Image editing GIMP Required file types; layers; color management; fonts; plug-ins; export settings; and round-tripping files with collaborators.
PDF reading Evince or Okular Forms; annotations; signatures; accessibility; embedded media; page extraction; and print output.

These examples cover common categories, but the evidence does not establish a current feature-by-feature ranking or a universal compatibility guarantee for any of them. A project’s current Windows build, hardware requirements and release status are the deciding evidence for your computer.

Compare the dimensions that can break a migration

  • Platform and hardware: supported Windows edition, 32-bit or 64-bit architecture, processor instructions, memory, graphics and available storage.
  • Workflow features: the exact commands, automation, extensions and peripheral actions you use.
  • Import and export fidelity: whether files survive a round trip through the replacement and back to the original application.
  • Account dependency: whether the application is local, web-based or dependent on a continuing online account.
  • Update route: the publisher’s release channel, security notices and ability to roll back a problematic update.
  • License obligations: permissions and notices required for personal, commercial, modified or redistributed use.

4. Verify requirements and obtain a genuine installer

Compatibility can change with Windows architecture, security features and system requirements. Confirm the candidate supports your exact Windows version and hardware immediately before installation; requirements can change between releases.

Use the publisher’s current channel

  1. Start at the project’s official website or the distribution path that project explicitly recommends.
  2. Check that the page identifies the current stable release, supported Windows versions and installation prerequisites.
  3. Read release notes for known issues affecting your file formats, peripherals or Windows build.
  4. Download the installer from that channel, verify the publisher and digital signature when Windows provides one, and keep a copy of the installer and version number.
  5. Decline unexpected bundled offers, browser changes or “download managers.” An open-source label does not make an unofficial mirror trustworthy.

The Document Foundation directs people seeking the official LibreOffice version to download it from the organization’s own website. Apply the same sourcing discipline to every project.

5. Install beside the existing application

Do not uninstall the incumbent program to make room for the test. Side-by-side installation preserves your fallback while you discover incompatibilities.

Installation sequence

  1. Finish the backup and close the old application.
  2. Run the downloaded installer with an account that has the required permission. LibreOffice’s requirements specify administrator rights for installation.
  3. Read each setup screen instead of accepting optional components automatically.
  4. When the installer asks whether the new program should open Microsoft Office file types, leave the association unchanged until testing is complete. LibreOffice provides this choice during installation.
  5. Record the installed version, installation path and update setting.
  6. Launch the program once, create a harmless test file and close it before touching important data.

If installation fails, stop rather than repeatedly running unknown installers. Check the current requirements and release notes, confirm available storage and permissions, and use the project’s documented support route. Do not delete the old application or its data while diagnosing the new one.

  • This USB drive provides plug and play simplicity with the included 18 inch USB 3.0 cable
  • The available storage capacity may vary.

6. Test real files and complete workflows

Testing a blank file proves almost nothing. Use sanitized copies that represent the complexity and volume of your real work. Keep a simple pass, fail or needs-review record for every test.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Documents and spreadsheets

  1. Open a copy of each important format.
  2. Compare page breaks, fonts, margins, tables, charts, formulas, named ranges, conditional formatting and embedded objects with the original.
  3. Edit the copy, save it in the working format and export it to the format your recipients require.
  4. Reopen the exported file in the incumbent application or ask a collaborator to verify it.
  5. Print or create the required PDF and compare pagination, symbols, images and accessibility tags where those matter.

Macros and automation

LibreOffice can open and save Word, Excel and PowerPoint formats, but its help warns that Microsoft Office and LibreOffice generally cannot run the same macro code. Some Visual Basic for Applications support does not mean that every VBA workflow will work. Treat a macro as a separate software project: run it on a copy, verify every output and plan a rewrite or continued use of the old application if it fails.

Email and personal data

For a mail client, test the provider’s authentication method, incoming and outgoing mail, folders, search, attachments, calendar synchronization, contacts, local archives and offline behavior. Never experiment first on the only copy of a local archive. Export or duplicate it according to the provider and application’s documented process.

Media, graphics and PDF work

  • For video and audio, test every required codec, subtitle format, playlist, stream and output device.
  • For image editing, test layers, masks, color profiles, fonts, plug-ins, non-destructive edits and the file formats used by collaborators.
  • For PDFs, test interactive forms, annotations, signatures, assistive-technology reading order, embedded files and the exact printer or plotter.

7. Change file associations deliberately

Once representative tests pass, change only the extensions you want the replacement to handle. Keeping some formats with the old application can be sensible when compatibility is mixed.

  1. In File Explorer, right-click a file of the desired type and choose Open with.
  2. Select the replacement application.
  3. Enable the option to always use that application for the file type, if shown.
  4. Open several files from different folders to confirm the association.
  5. Repeat separately for each extension; associating DOCX does not automatically decide what should open XLSX, PPTX or CSV.

LibreOffice Help documents this File Explorer “Open with” method. Associations affect launching files; they do not convert formats or repair compatibility problems.

8. Keep the old app until the replacement passes

Use the new application for a realistic trial period that includes the busiest work cycle, a collaborator exchange and any unusual quarterly or annual task. Keep the original installer, license details and untouched files available during that period.

Remove the old application only after these checks

  • Every critical workflow has a recorded successful test.
  • Important files have been opened, edited, saved and restored from backup.
  • Macros, plug-ins, templates, peripherals and export steps are either working or have an accepted replacement.
  • Another person or system that receives your files has confirmed the output when collaboration matters.
  • Your backup has been verified and you know how to reinstall or restore the previous application if a late problem appears.

Then use Windows Settings or the old application’s documented uninstaller. Do not manually delete program folders, shared libraries or profile directories unless the publisher specifically instructs you to do so; that can remove data needed by the replacement or make rollback harder.

9. Keep applications and Windows supported

Install updates through the project’s official channel, read security and compatibility notes, and retest a critical workflow after major updates. Pinning an old version forever can leave known vulnerabilities unpatched, while blindly accepting every update can introduce a workflow change; maintain a backup and a rollback plan for important systems.

Application replacement does not extend Windows support. Microsoft states that Windows 10 support ended on October 14, 2025. Windows 10 computers can continue to run, but they no longer receive normal security updates and face greater risk without them. Decide separately whether to move to a supported Windows release or another supported operating system. A new media player, office suite or PDF reader cannot provide operating-system security fixes.

10. Understand open-source licensing

Open-source projects can combine several licenses. LibreOffice is made available under the Mozilla Public License 2.0 and includes components under other open-source licenses. Therefore, “open source” does not mean that every component has identical terms.

When license review matters most

  • You redistribute the application or a modified version.
  • You bundle it with a product, service or device.
  • You publish plug-ins, extensions or linked code.
  • You use the software in a business with compliance, procurement or notice requirements.

Read the project’s license and notices for the specific release and use case. If your obligations are consequential, obtain qualified legal advice; a general description of open-source licensing is not a substitute for reviewing the actual terms.

Common failure modes and recoveries

The installer says Windows is unsupported

Stop and verify the exact Windows edition, architecture, hardware and release being installed. Check whether a newer or older supported build exists from the publisher. Do not bypass a requirement with an untrusted repackaged installer.

The replacement opens a file but the layout changes

Compare fonts, page settings, embedded objects and export options. Install only fonts from legitimate sources, adjust the document in a copy and have the recipient verify the result. Keep the incumbent application for files whose fidelity cannot be preserved.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

A macro or plug-in fails

Capture the error and identify the dependency. Look for a documented port or replacement, but do not assume that similar menu commands provide equivalent automation. If the workflow is critical, continue using the old application or maintain a controlled machine for it.

Mail, calendar or cloud authentication fails

Check the provider’s current authentication requirements and the client’s supported method. Avoid disabling security controls merely to force a connection. Export or preserve local data before changing account settings.

The new program becomes the default too soon

Use File Explorer’s Open with setting to restore individual extensions to the previous application, then retest. Default associations can be changed without uninstalling either program.

The old application was removed and a problem appeared

Do not overwrite the affected files. Restore from the verified backup, reinstall the original application using its retained installer or license information, and repeat the migration with a smaller test set. If no tested backup exists, stop writing to the affected storage and seek qualified data-recovery help.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

A reusable migration checklist

  1. List essential applications, file types, automations, peripherals and collaboration requirements.
  2. Classify workflows by consequence if they fail.
  3. Preserve installers, licenses, templates and configuration details for the incumbent application.
  4. Back up documents and, where appropriate, create a recoverable system backup.
  5. Verify the candidate’s current Windows and hardware requirements.
  6. Download only from the project’s official website or publisher-recommended channel.
  7. Install beside the incumbent with administrator rights when required.
  8. Test copies of representative files and complete end-to-end workflows.
  9. Check macros, extensions, plug-ins, fonts, peripherals, accessibility and print or export output.
  10. Change only the file associations you intend to change.
  11. Keep the old application until the backup and all critical tests are satisfactory.
  12. Review the project’s license, update route and support status.
  13. Handle Windows lifecycle support as a separate decision.

Bottom line

Safe replacement is a staged migration, not a one-click uninstall. Back up first, source the installer from the publisher, test real copies and workflows beside the existing application, switch defaults selectively, and remove the old program only when your evidence—not optimism—shows that the open-source alternative meets your needs. Keep both the application and Windows on supported update paths, and review the actual license terms whenever your use involves business distribution or modification.
