What “replacing Office” actually involves
Microsoft Office files are not all the same. A simple letter, a workbook with linked calculations, and a presentation with embedded media can have very different compatibility risks. A replacement must handle both the file format and the features inside it.

Word files normally use .doc or .docx; Excel uses .xls or .xlsx; PowerPoint uses .ppt or .pptx. Your folder may also contain templates, macro-enabled files, linked workbooks, unusual fonts, comments, tracked changes, charts, or embedded objects. Inventorying those elements is more important than simply counting files.
There are three practical replacement models:
- Local editing: applications run on your computer and can work without an internet connection. This favors privacy and offline access.
- Browser editing: files live in a cloud drive and can be edited from a browser by several people. This favors collaboration and easy sharing.
- AI-oriented editing: an office application adds AI assistance while attempting to retain familiar Office formats. This favors an integrated workflow, but project-specific compatibility claims need testing.
Replacing the application does not require immediately converting every file. You can continue saving a working document as .docx, .xlsx, or .pptx while you evaluate an alternative. Conversion to another format is a separate decision.

These are different tools rather than three versions of the same product. LibreOffice is the sensible first trial when files must stay on a computer. Google’s editors are the sensible first trial when several people need to work in one browser document. GenOffice is worth testing when an integrated AI editor and native Office output are the priority.
Prepare your files before installing anything
1. Make a separate, read-only backup
Copy the entire Office-file collection to a different drive or a separately protected cloud location. Do not use the migration folder as the only backup, and do not let a conversion process overwrite the originals. Preserve the original names and folder structure so you can identify exactly which file produced a test result.
2. Build a file inventory
Record the extension and any feature that could affect fidelity. At minimum, mark these groups:

- Documents using tracked changes, comments, forms, protection, unusual fonts or embedded objects
Choose a small test set that represents the difficult cases, not just the easiest files. Include at least one ordinary document, one formula-heavy workbook, one presentation with graphics, and one file containing each high-risk feature you actually use.
3. Define the required output
Ask what the recipient needs. If the file will be edited by a Microsoft Office user, retaining .docx, .xlsx or .pptx may matter more than using a replacement suite’s native format. If the file is an internal working document, an OpenDocument format may be acceptable. If it must be printed, a PDF export can be an additional delivery copy, but it is not a substitute for preserving the editable original.
A staged migration that protects the originals
Stage 1: Trial the local path with LibreOffice
- Install LibreOffice on a test computer or user profile rather than removing Office from every machine.
- Open copies of the representative files in Writer, Calc and Impress. Leave the originals in the backup location.
- For a small set, use the application’s normal Save As command and keep the original extension when recipients require a Microsoft format.
- If you want OpenDocument copies, use the Document Converter Wizard to batch-copy and convert a folder. The wizard is useful for scale, but it does not remove the need for visual and functional checks.
- Open the converted outputs in the editor used by your recipients and compare them with the originals.
The Document Foundation describes LibreOffice as compatible with Microsoft Word, Excel, PowerPoint and Publisher formats. That is a compatibility goal, not a promise that every layout, formula, macro or embedded object will behave identically. Treat the converter as a way to create working copies, never as proof that a whole archive is safe.
Stage 2: Trial browser editing with Google’s editors
- Upload copies of the test files to the appropriate cloud drive.
- Open a Word, Excel or PowerPoint file in its corresponding Google editor’s Office-editing mode. Google documents a comparison workflow between a native Google document and a
.docxfile without first converting the Word file. - Check the file while it remains in Office format. Use this mode when you need ordinary editing and want to return the file to a Microsoft Office user.
- Convert a copy only when you need Google-specific functions. Google identifies add-ons, Apps Script, protected ranges and some translation options as examples of features for which conversion is required.
- Download a test result in the required Office format and inspect it in the recipient’s editor.
Conversion changes the editing model. A converted Google document can be excellent for collaboration, but it should not be assumed to preserve every Office-specific feature simply because the visible text looks correct.

Stage 3: Trial GenOffice on disposable copies
- Obtain GenOffice from its official project documentation and follow the version-specific installation instructions there.
- Use copies of the representative files, including one file with the most important formatting and embedded content.
- Open and save the files in native
.docx,.xlsxand.pptxformats if the project version supports those operations. - Compare the saved files with the originals and open them in Microsoft Office or the required recipient application.
- Pay particular attention to content that was not edited. The project says untouched parts are copied byte-for-byte; verify that claim on your own files before relying on it for regulated, contractual or archival work.
GenOffice is an AI-oriented open-source project, not an established universal compatibility standard. Its documentation is evidence of the project’s design and claim, not an independent guarantee for every file.
How to test whether files survived the switch
A file that opens is not necessarily a file that survived intact. Use a written checklist and record the result for every test file.
Word documents
- Compare page count, page breaks, margins, headers, footers and section breaks.
- Check fonts, line wrapping, numbered lists, tables, captions and images.
- Review comments and tracked changes, including whether they remain editable.
- Test fields, forms, hyperlinks and any embedded spreadsheet or chart.
- Print or export a sample page if the layout is used for invoices, forms or formal submissions.
Excel workbooks
- Recalculate formulas and compare key totals with the original.
- Check named ranges, cross-sheet references, external links and linked workbooks.
- Inspect charts, conditional formatting, pivot-style summaries, data validation and hidden rows or columns.
- Test protection and any workbook that depends on macros or automation.
- Look for changed date, currency, decimal and regional settings.
PowerPoint presentations
- Compare slide dimensions, theme fonts, text wrapping and object alignment.
- Play embedded video and audio and check image resolution.
- Review transitions, animations, speaker notes, hyperlinks and presenter views.
- Run the slide show on the device and display used for the real presentation.
Binary and package-level checks
For high-value files, keep both the original and the output and record the date, application and operation used to create the output. A byte-level comparison is meaningful only when a tool claims to preserve untouched parts; a normal Save As operation can legitimately rewrite a package even when the visible result is unchanged. Visual inspection and functional testing remain necessary.
High-risk features and what to do about them
Macros and automation
Macro-enabled files deserve their own migration decision. A replacement may open the worksheet or document while disabling, rewriting or ignoring the automation. Do not enable unfamiliar macros merely to make a test pass. Run the original and replacement versions with non-production data, document what the macro is supposed to do, and retain Office for any automation that has not been revalidated.

A substitute application cannot reproduce a line break with a font that is missing from the computer or cloud environment. Install licensed fonts where permitted, identify documents that depend on uncommon typefaces, and compare page breaks after opening the file on the recipient’s system.
Linked workbooks and external data
Links can refer to a path that exists only on one computer or inside a specific cloud service. Test whether links update, whether prompts appear, and whether the recipient can access the source. If a report must remain stable, save a verified snapshot and document the date of the underlying data.
Protected ranges, forms and tracked changes
Protection and review features often depend on the editor rather than just the file extension. Confirm who can edit, whether passwords or permissions still apply, and whether the review history remains visible. Google specifically lists protected ranges among features that require conversion to its native format, so do not convert a sensitive test file until you understand that change.

Embedded objects and media
Embedded spreadsheets, diagrams, audio and video can be represented differently by each editor. Open the object, edit it, save the host file, close it, and reopen it. For presentations, test playback on the actual presentation equipment.
Choosing between local, browser and AI workflows
Choose LibreOffice first when privacy and offline work dominate
A local application keeps the normal editing session on your computer and does not require browser collaboration for everyday work. It is a strong fit for travel, restricted networks and files that should not be uploaded. Its Document Converter Wizard is useful when a folder needs batch processing, while the ability to open and save Microsoft formats makes a gradual transition possible.
Choose Google’s editors first when collaboration dominates
Browser editing reduces the need to email successive copies and makes simultaneous review straightforward. It also introduces account, sharing and cloud-storage decisions. Keep files in Office-editing mode when preserving the Office format is the priority; convert deliberately when add-ons, Apps Script, protected ranges or translation options justify the change.
Choose GenOffice first when integrated AI assistance is the experiment
GenOffice’s documented aim is to combine AI-oriented editing with native Office files. That is attractive if you want to ask for drafting or transformation help without moving the final file into a different format. Because the project’s byte-preservation statement is a claim to validate, start with copies and keep a known-good editor available.
Use a hybrid setup when one tool cannot meet every requirement
Many households and small teams can use LibreOffice for private or offline work, Google’s editors for collaborative review, and a retained Office installation for exceptions. The important control is not forcing every file through one application; it is defining which tool is authoritative for each class of document and testing the handoff between tools.
Returning files to Microsoft Office users
Before sending a file externally, open the final copy in the recipient’s required editor. Check the same elements that matter to that recipient: page breaks for a contract, formulas for a financial model, comments for a review cycle, or animations for a presentation.
Send the requested extension rather than assuming that an OpenDocument file will be accepted. If the recipient needs to edit, provide the editable Office-format copy. If the recipient only needs to read or print, provide a verified PDF as an additional fixed-layout copy while retaining the editable source.

Do not overwrite your working source with an export. Give each delivery a clear name and keep the tested source beside it until the recipient confirms that the file opens and behaves as expected.

Keep Office installed, or retain access to a trusted Office-capable computer, until the representative test set passes and external recipients confirm the results. Exceptions commonly include macro-heavy workbooks, legally formatted documents, files with complex tracked changes, presentations with embedded media, and templates whose layout is part of the business process.

A user can submit the source file, describe the required behavior, and receive a validated output from the person responsible for migration.
Troubleshooting a failed migration
The file opens but the layout changed
Check fonts, page size, margins and section breaks first. Compare the same file on the recipient’s computer, then export a PDF to determine whether the change is visual-only or reflects altered content. Reopen the original and use it as the source for another test rather than repeatedly resaving the damaged copy.
Formulas or totals differ
Recalculate in the original editor, record the expected totals, and inspect external links, named ranges, date systems and regional number formats. Isolate the worksheet that changed and keep the original workbook as the calculation authority until the replacement reproduces the result.
Comments or tracked changes disappeared
Stop converting additional copies. Confirm whether the feature is supported in the chosen editing mode and whether conversion was involved. Return to the original and create a new test with review data before using the replacement for an active approval cycle.

Do not treat a warning prompt as a fix. Determine whether the macro language, permissions, referenced files and security settings are supported. If the automation is essential and unvalidated, keep that workflow in Office and use the replacement only for non-automated editing.
Collaboration created conflicting copies
Choose one authoritative file, stop parallel edits, and record the latest approved version. In future, use a single shared working copy for collaboration and create named delivery copies only after review.
Support and training for teams
Individual users can usually run a small pilot themselves. Teams with hundreds of templates, macros, linked workbooks or compliance requirements need ownership, training and a rollback plan. The Document Foundation identifies certified partners that provide enterprise support, custom features and integrations, migration assistance and user training. Those services are relevant when the cost of a failed conversion is greater than the cost of structured rollout.
A team migration plan should name the file owner, the test set, the approved editor for each file type, the person who handles exceptions, and the point at which Office access can be reduced. Training should cover opening, saving, sharing, exporting and recovering a previous version—not just where the toolbar buttons moved.
A practical decision checklist
- Are originals stored separately and protected from overwrite?
- Have you inventoried extensions, macros, links, fonts, embedded objects and review features?
- Is offline work or browser collaboration the primary requirement?
- Must the final file remain in
.docx,.xlsxor.pptx? - Have you tested a representative document, workbook and presentation rather than a blank file?
- Were page breaks, fonts, formulas, charts, comments, tracked changes, media and macros checked?
- Was every important output opened in the recipient’s required editor?
- Is a trusted Office-capable fallback still available for exceptions?
What “free” does and does not mean
LibreOffice describes its office productivity tools as available at no cost. Google’s editors can be used without buying a desktop Office license, but cloud storage, account administration and organization policies still matter. GenOffice is described as free and open source by its project documentation, while installation, support and the maturity of a particular release should be evaluated from the project itself.
The financial saving is only one part of the decision. Time spent repairing a broken template, recalculating a workbook or reconstructing review comments can outweigh a license fee. A staged pilot limits that risk and tells you which files can move safely.
The safest end state
Do not aim for the slogan “every file works everywhere.” Aim for a documented workflow: originals remain recoverable, each file class has a primary editor, conversions happen on copies, important outputs are checked in the recipient’s application, and exceptions have a fallback. That approach lets you replace most everyday Office work with free tools without gambling the files that matter.
