The safest way to leave an all-in-one productivity app is to replace its jobs, not its feature list. Inventory what you actually do, set non-negotiable requirements, export and protect the original data, then pilot a smaller combination—usually a task manager, calendar, notes system and file or backup location. Import only what the new workflow can use, verify representative records, and keep the old workspace restorable until recurring work and important references operate normally.
Start with the work, not a shopping list
Large workspaces become difficult to replace because one application may be doing several unrelated jobs at once. A page that looks like a note may also contain a task, an attachment, a database row, a calendar date and an automation trigger. If you choose replacements before identifying those jobs, you either lose something important or rebuild the same complexity across several smaller applications.

Make a complete job inventory
Open the current workspace and record every category of information it holds. Use plain language rather than product feature names:
Recommended Free Tools
- Active tasks: one-off actions, projects, checklists and delegated work.
- Recurring obligations: renewals, reviews, routines and repeating deadlines.
- Calendar items: meetings, appointments, time blocks and reminders.
- Reference notes: procedures, research, meeting notes and material you consult but do not “complete.”
- Files and media: documents, scans, images, recordings and linked assets.
- Structured records: contacts, inventories, content databases or other rows with fields and relationships.
- Automations: rules that create, move, notify or update records.
- Collaboration: comments, assignments, permissions and activity history.
For each item, mark whether you used it in the last week, whether it is merely historical, and what would break if it disappeared. A five-year archive that nobody opens should not dictate the design of your daily system, but an old-looking page containing a current tax deadline should be treated as active work.

Map dependencies before deleting anything
Draw a simple chain for each critical workflow: trigger, information needed, action, owner and destination. For example, “an emailed invoice arrives; its due date goes on the calendar; the payment task is assigned; the PDF is stored with the accounting files.” This exposes hidden dependencies such as an attachment living inside a note, or an automation that depends on a custom status field. A replacement is acceptable only if every necessary link in that chain still has a dependable home.
Set requirements you can test
Do not compare tools by the number of buttons they advertise. Write requirements as pass-or-fail questions and test them with your own data. The following axes cover the risks that matter most when simplifying.
| Axis | Question to test | Evidence to record |
|---|---|---|
| Portability | Can you export information in a readable format and import it elsewhere? | Format, export scope, attachment handling and whether the export can be opened without the service. |
| Migration fidelity | Which fields, recurring items, attachments, links and relationships survive? | A before-and-after sample, including dates, status values and embedded media. |
| Calendar fit | Can events be exchanged or synchronized in a way your routine can use? | Supported connection or exchange format, time-zone behavior and recurrence handling. |
| Offline and storage | Can you work without a connection, and where do local records and media live? | Offline actions tested, local database or folder location, and recovery method. |
| Integrations | Which integrations are required now rather than merely available? | Named services, authentication owner and what happens when an integration fails. |
| Complexity | Does the tool preserve required workflows without recreating the structures you are leaving? | Number of places to check, rules to maintain and concepts users must learn. |
Separate must-haves from conveniences
Label each requirement as non-negotiable, useful or disposable. Reliable export, a usable calendar connection and access to active work may be non-negotiable. A particular visual layout or an elaborate property system may be a convenience. This ranking prevents one attractive feature from forcing you to keep an entire platform you no longer understand.

Repair Windows errors before they cause bigger problemsFix Now →Scan for outdated or missing drivers - takes under a minuteDriver Scan →Clear out junk files and repair common Windows errorsFree Scan →Design the smallest stack that covers recurring work
A small stack is not automatically four applications. If your work contains no scheduled commitments, you may need only tasks and notes. If you handle files elsewhere, do not add a second document repository. The target is the fewest tools that each have a clear primary responsibility.
Task manager
Use one task system for actions that require a future response. Define a small set of states such as next, waiting and done. Keep project grouping only where it changes what you do; a deep folder tree often recreates the old mental overhead. Store the task’s outcome, due date and a link to supporting material, while keeping the material itself in the notes or file system.
Calendar
Use the calendar for events that happen at a particular time or date, not as a second task list. Put hard deadlines on it when seeing them there changes your behavior. Decide which system owns recurring events, reminders and time zones. A two-way connection can be convenient, but it also creates the possibility of duplicate edits; document the authoritative calendar and test a new event in both directions.
Notes and reference
Use notes for information you may consult or revise. A simple hierarchy—an inbox, a small number of topic areas and an archive—usually survives tool changes better than elaborate databases. Productivities describes a local-first arrangement in which structured records live in a local database, pages use Markdown, and media is stored in folders you choose. It reports that core work can continue offline while external integrations require connectivity. That model can reduce dependence on a service, but it makes folder backups and device recovery your responsibility.

Files and backups
Keep original files in a predictable folder structure or a dedicated file service, and link to them from tasks or notes. Maintain at least one separate backup copy of exports. A portable external SSD is one possible destination, not a requirement; encrypt or otherwise protect it when the export contains private work. A backup is useful only if you know how to restore it and have checked that the files can be opened.
Automation and collaboration
Add automation only after the manual routine is stable. For each rule, write its trigger, action, owner and failure symptom. If a team needs assignments, comments or permissions, make those capabilities an explicit requirement rather than assuming a personal tool can supply them. A smaller stack may intentionally leave advanced collaboration or rule-based automation out; that is a design decision, not a migration bug.
Export and protect the original workspace
Before changing the source, create a full export or backup and keep the original untouched. Super Productivity’s documentation warns that its normal export and backup JSON is plaintext and may contain private work content or credentials; it advises protecting the file and inspecting it before sharing. Treat any comparable export as sensitive until you know exactly what it contains.
- Choose the broadest available export. Include active and archived work, attachments, metadata and configuration when the source offers those options.
- Read the export. Confirm the file opens, identify the formats inside it, and check whether media is embedded or stored separately.
- Store two protected copies. Keep one in a location separate from the working device. Restrict access and use encryption appropriate to the sensitivity of the material.
- Record the date and scope. Note which workspace, account and categories the export covers so you do not confuse it with a later partial copy.
- Test a restore path. Import the backup into a spare profile or follow the documented recovery procedure far enough to prove that it is usable.
Do not send a raw JSON or database export to a contractor or support forum. Remove credentials and private records first, and retain the unredacted copy only in your protected backup location.

Build the destination with a small amount of new material first. Twos recommends trying the new approach on new material and importing reference material selectively rather than rebuilding the old system. That is the product’s guidance, not a universal rule, but it is a low-risk way to discover missing concepts before thousands of records are involved.
Run a two-week-like trial with real work
Use the destination for several normal work cycles, including at least one recurring obligation, one calendar event, one note with an attachment and one item that must be found quickly later. Do not create elaborate templates during the pilot. Note every moment when you reach for a feature from the old system, then decide whether the need is essential, a temporary learning issue or a habit worth dropping.
Keep the old system read-only if possible
During the pilot, stop adding new information to both systems. If the source cannot be made read-only, define a clear cutover time and record any changes made after the export. Keeping two systems live indefinitely creates conflicting due dates and duplicate reminders; the old workspace is a safety net, not a second daily inbox.

Move a representative sample, then verify it
Migration support is specific to the source and destination pair. A successful import message means only that the file was accepted; it does not prove that every field survived.
Choose a test set that exposes loss
Include a few simple and difficult records:
- a task with a due date, priority and completion state;
- a recurring task with several future occurrences;
- a note containing headings, links, tables or code;
- an item with one or more attachments;
- a record that links to another record;
- a calendar event spanning time zones or repeating on a schedule;
- a structured row with custom fields or relationships.
Compare the source and destination side by side. Check titles, dates, time zones, status, ordering, links, relationships, attachments and searchability. Record what changed rather than relying on memory.
Understand documented format examples
Zoho documents calendar transfer through ICS, contact imports in formats including CSV and VCF, and supported fields for task migration. Mirv documents imports from selected task applications, Markdown note transfer, JSON workspace export and two-way calendar connections with Google, Outlook and Apple calendars. These are examples of supported paths, not promises that another source or destination will preserve the same data.
Productivities says it reads and writes standard Markdown for notes but does not reproduce Obsidian plugins, themes or custom rendering. Twos states, in its own documentation, “Folder trees. There are none.” It also describes having no custom fields or properties, complex formatting or built-in rule-based automation, and explains that data from particular applications maps into its own model differently. A simpler destination may therefore omit advanced structures intentionally.
Plan for data that will not migrate cleanly
Formatting and plugins
Plain text and standard Markdown are generally more portable than proprietary blocks, but formatting can still change. Treat plugins, themes, custom rendering and embedded widgets as presentation layers that may need manual replacement. Preserve the original export when the exact appearance or behavior matters.
Recurring tasks and reminders
Recurrence rules are a common failure point. Verify the next several occurrences, the time zone and the behavior after completion. If the destination imports only a single task, recreate the rule deliberately and check that it does not create duplicate reminders.
Attachments and links
An import may copy a link without copying the file, or copy an attachment while losing its original path. Open every attachment in the sample, then test from another device or account if the workflow requires sharing. Replace links that point back to a workspace you plan to close.

Fields, relationships and automation
Custom fields, linked records and rule-based actions often have no direct equivalent. Export them as readable text or a separate CSV when they contain information you must retain. Recreate only the relationships that affect current work; archive historical structure instead of forcing it into a weaker model.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Use a cutover checklist and keep a rollback route
Do not cancel a subscription or delete the source immediately after the first successful import. Super Productivity notes that importing replaces the current application state, which is another reason to keep an earlier backup.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
- Confirm that every active project has an owner, next action and due-date home.
- Check the next occurrence of every recurring obligation.
- Open a sample of notes, links, files and structured records.
- Search for several known terms and verify that results are complete enough for daily use.
- Run the calendar connection in both directions if you rely on two-way sync.
- Perform one offline session if offline work is a requirement, then reconnect and confirm synchronization.
- Review automations and notifications for duplicates or missing triggers.
- Tell collaborators where new work belongs and how to report a missing item.
- Save the final pre-cutover export and document the restore steps.
After the checklist passes, make the new stack the only place for new work. Keep the old account or a restorable export available for the retention period your work requires. Then archive or cancel unused services and write down where tasks, notes, files and calendar events now live.
Operate the stack without rebuilding the old one
Assign one home to each type of information
Decide where an item goes before it arrives: actions in the task manager, time-specific commitments in the calendar, reference in notes, and source files in the file location. A link can connect these homes, but a single item should not have competing “master” copies.
Limit capture and review points
Use one capture inbox for tasks and one for notes unless your work genuinely needs more. Schedule a short review to empty each inbox, check upcoming calendar commitments and verify that waiting items have an owner. The point of the review is to maintain the workflow, not to reorganize it for its own sake.
Review portability periodically
Export a small sample on a regular schedule and open it outside the application. Product formats and integrations change, so a backup that worked at cutover may not include newly added media or fields. Update your documentation when you change the stack.
Common failure modes and practical fixes
“Everything imported, but I cannot find anything”
Check whether titles, tags, folders or dates were flattened during import. Rebuild only the indexes needed for active work, and keep a searchable export of the historical archive rather than recreating every old category.

“Calendar events are duplicated”
Stop one synchronization path, identify the authoritative calendar, remove duplicates from the destination and reconnect with a small test event. Do not enable multiple two-way connections until ownership is clear.
“The destination cannot represent a critical record”
Return to the requirement list. If a field or relationship is truly necessary, retain a tool that supports it or store the record in a portable format such as Markdown or CSV alongside a clear link. Do not hide essential data in a workaround nobody will maintain.
“Offline edits conflict after reconnecting”
Find out which side wins when two devices change the same item. Before relying on offline work, test simultaneous edits with non-critical records and establish a manual conflict-resolution rule.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Repair Windows errors before they cause bigger problems3Scan for outdated or missing drivers - takes under a minute“The archive is too large to manage”
Separate active work from history. Migrate current projects and frequently consulted references; preserve the rest in a dated, protected export that you can search or restore when needed. A smaller daily system does not require destroying the archive.
Choose by evidence, not by the promise of simplicity
There is no universally best replacement stack. A local-first design can offer offline access and direct control over folders, while a connected service may provide easier collaboration and synchronization. A Markdown workflow can make notes readable elsewhere, while a structured database may be better for records with relationships. Evaluate the trade-offs against your own requirements, test the exact source-and-destination path, and retain a restorable backup until the new routine has proved itself in ordinary work.
The Bottom Line
Replace an all-in-one app only after you can name every job it performs and give each essential job a simpler, tested home. Export first, pilot with new work, verify a representative migration, and keep the original restorable until the small stack is reliable.
