How to Remove Sensitive Information From Prompts Before Using Third-Party AI

Short answer: classify the information, remove every field the task does not need, replace identifiers and secrets with consistent placeholders, generalize combinations that could identify someone, test the sanitized prompt, and check the AI provider’s current data terms before sending it. Authorization is necessary for sensitive or confidential material, but it does not by itself prevent logging, retention, human review, subprocessors, or reuse.

Why prompt sanitization matters

A prompt can disclose more than the words you deliberately paste. Names, timestamps, locations, job titles, invoice amounts, unusual events, attached files, filenames, comments, and metadata can combine into a recognizable profile. Removing a name is therefore not the same as making the content anonymous.

The Office of the Privacy Commissioner of Canada advises organizations to use anonymized or de-identified information in generative-AI prompts where possible and reasonable. It also says personal, especially sensitive or confidential, information should be entered only where authorized. The Federal Trade Commission warned in January 2024 that customers may reveal sensitive or confidential information, including internal documents and users’ data, when using company AI models. The Information Commissioner’s Office says organizations may need to remove features or apply privacy-enhancing technologies before sharing data with another organization.

Sanitization is a risk-reduction process, not a guarantee of anonymity. A provider may still log a sanitized prompt, retain it for a stated period, expose it to approved personnel or subprocessors, or process it in another country. Treat the prompt as an external disclosure unless the exact account, contract, and technical controls say otherwise.

Classify the prompt before editing it

Make a copy for local work and mark what the text contains. Classification determines how aggressively you must redact and whether you need approval before using an external service.

Personal and sensitive personal data

Look for names, email addresses, phone numbers, postal addresses, account or customer numbers, government identifiers, photographs, precise dates of birth, device identifiers, IP addresses, location history, employment details, and combinations that point to one person. Health, biometric, financial, identity, disciplinary, or family information generally deserves a higher protection level than ordinary contact details.

Confidential business information

Mark customer lists, non-public pricing, forecasts, acquisition or deal terms, incident reports, internal strategy, source code, unreleased product details, and information covered by a nondisclosure agreement or employment contract. A document can be confidential even when it contains no personal data.

Secrets and authentication material

Search specifically for passwords, private keys, API keys, access tokens, session cookies, recovery codes, database connection strings, signed URLs, and secret environment variables. These are not merely sensitive text to redact; they are credentials that may need immediate rotation if exposed.

Regulated or contract-bound records

Health, financial, legal, education, insurance, and government records can carry statutory or contractual restrictions. Identify the owner, permitted purpose, retention rule, and geographic requirements before deciding whether an external model is allowed at all.

The sanitization workflow

  1. Define the task. Write down the exact output you need: for example, “find logical errors in this function,” “summarize the contract’s termination clauses,” or “classify these support tickets.” This becomes the test for every later deletion.
  2. Minimize the input. Keep only fields required for that output. Remove greetings, email signatures, message history unrelated to the question, duplicate pages, full database exports, and attachments the model does not need. Replace a complete record with the smallest excerpt that preserves the relevant rule or pattern.
  3. Replace direct identifiers with stable placeholders. Use tokens such as [CLIENT_A], [DATE_1], [PRODUCT_X], and [AMOUNT_1]. Use the same token every time the same entity appears so the model can reason about relationships. Keep any mapping key in a separate local file; do not paste it into the prompt or upload it as an attachment.
  4. Preserve required formats without preserving real values. If code expects a UUID, use a clearly fake UUID with the same length and syntax. If a parser needs a date, use [DATE_1] or a synthetic date that preserves ordering. If a calculation needs amounts, use consistent sample amounts and state that they are synthetic.
  5. Generalize rare combinations. Broaden an exact age to an age band, an exact address to a region, a minute-level timestamp to a month, and an unusual job title or event to a broader category when the task permits. Several harmless-looking details can identify a person together, such as a rare role, a small town, an exact incident date, and a distinctive payment amount.
  6. Separate secrets from the task. Substitute dummy credentials such as API_KEY_REDACTED and DB_HOST_EXAMPLE. Never ask the model to inspect a live token. If a real credential has already been pasted into an external service, revoke or rotate it, review access logs where available, and remove copies from shared prompt histories and files.
  7. Check residual identifiability. Read the edited prompt as someone who knows the industry, project, or local area. Ask whether outside knowledge could reconstruct the person, customer, project, transaction, or negotiation. If the answer might be yes, remove another detail or generalize the combination.
  8. Validate usefulness locally. Run the sanitized prompt with synthetic examples or a local model when possible. Confirm that the answer still contains the fields, ordering, relationships, and edge cases needed for the task. If it fails, add structure or synthetic values—not the original sensitive data—until the task works.
  9. Review the provider immediately before submission. Record the exact service, account tier, region, date of review, logging and retention settings, training-use terms, human-review policy, subprocessors, deletion process, and contractual controls. Policies and defaults change, so an old screenshot or a general marketing statement is not sufficient.
  10. Document authorization and delete intermediates. Keep a short record of the approved purpose, data categories, responsible person, provider, retention setting, and deletion or access procedure. Delete unsanitized working files and temporary exports when they are no longer required, subject to your legal or records-retention obligations.

How to remove data without breaking the answer

Redaction should preserve the relationships the model must analyze while removing facts that identify a real person, organization, or secret. Use this decision table while editing:

If the task needs… Keep or substitute Remove or generalize
Order of events Relative labels such as [DATE_1] and [DATE_2], plus “before” and “after” relationships Exact calendar dates, times, and time zones unless essential
A calculation Synthetic values with the same units, ranges, and relationships Real account numbers, invoice IDs, and unique transaction amounts
Code debugging Function signatures, error text, data types, and a minimal reproducible example Secrets, production URLs, customer records, proprietary comments, and unrelated modules
Document summarization Only the clauses or paragraphs needed for the requested summary Names, signatures, addresses, exhibit files, and identifying deal terms not relevant to the question
Classification Labels, categories, and synthetic examples that represent the real edge cases Free-text details that uniquely identify a person or incident
Comparing entities Stable labels such as [VENDOR_A] and relative attributes Real names, rare locations, and combinations that reveal the entities

Do not replace every value with the same generic word. If three customers become “customer,” the model cannot distinguish them. Stable, meaningless tokens preserve structure without exposing the originals.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Testing for re-identification

After redaction, perform a deliberate attack on your own prompt. Try to identify the subject using information that could be available to a colleague, customer, journalist, data broker, or specialist in the field.

  • Could the exact date, small geographic area, and unusual event point to one person?
  • Does the combination of age band, rare occupation, employer size, and payment amount identify someone?
  • Does a product defect, launch window, or contract value reveal a confidential project?
  • Could a filename, document title, spreadsheet tab, tracked comment, or embedded image contain the original identity?
  • Do pasted error messages contain hostnames, usernames, repository paths, tenant IDs, or tokens?
  • Would a recipient who already knows one detail be able to infer the rest?

Rare combinations are the key warning sign. Generalizing one field may not be enough if the remaining fields still form a unique fingerprint. Remove or broaden the least necessary detail first, then repeat the test.

Special handling by information type

Customer and support data

Keep the issue category, product version, sequence of actions, and error text needed for diagnosis. Replace names, email addresses, order numbers, loyalty identifiers, exact locations, and free-text narratives that contain personal history. Use several synthetic tickets to preserve the range of outcomes rather than uploading an entire queue.

Health information

Strip direct identifiers and review dates, rare conditions, treatment combinations, and locations for indirect identification. Use age bands and broader time periods when clinically acceptable. Confirm that the intended use is authorized and that the provider’s processing terms match the applicable obligations; de-identification does not remove every legal or contractual requirement.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Financial records

Keep the fields required for the calculation or anomaly pattern, but replace account, card, tax, and transaction identifiers. Preserve currency and approximate magnitude only when necessary. Round or bucket values if exact amounts are not needed, and remove counterparty names and precise timestamps that could reveal a deal.

Legal material

Send only the clauses relevant to the question. Replace party names, addresses, matter numbers, signatures, and negotiation history. Check confidentiality duties and client instructions before using any external system; an authorization to analyze a document does not automatically authorize disclosure to a third-party provider.

Proprietary source code

Create a minimal reproducible example with fake variable names, sample data, and dummy endpoints. Remove credentials from source, comments, configuration files, stack traces, and pasted terminal output. Preserve the language version and dependency behavior needed to reproduce the bug, but do not upload an entire private repository when a small isolated function is sufficient.

Provider checks: a no-training promise is only one control

“Not used for training” addresses one possible use of prompts. It does not answer whether the service logs requests, stores them, permits human review, sends data to subprocessors, transfers it across borders, or can actually delete it. Review each control for the exact account and geography you will use.

Control Question to verify Why it matters
Logging Are prompts, uploaded files, search queries, and responses recorded? Logs can create a second copy of the disclosure even when training use is disabled.
Retention How long are content, abuse records, backups, and audit logs kept? A short user-facing history may not equal immediate deletion from all systems.
Training and product improvement Is content excluded by default, by account setting, or only by contract? The answer can differ between consumer, team, education, and enterprise tiers.
Human access Can staff or reviewers inspect prompts, and under what circumstances? Human review expands the group that could see confidential material.
Subprocessors Which vendors handle storage, moderation, analytics, or support? Your disclosure may reach organizations other than the interface you selected.
Encryption and isolation Is data encrypted in transit and at rest, and is tenant isolation documented? These controls reduce unauthorized access but do not replace minimization.
Geography Where are prompts processed and stored, and can the region be selected? Cross-border processing may conflict with contracts or local requirements.
Deletion and access Can you retrieve, correct, export, or delete prompts and backups? A usable deletion process is part of the data lifecycle, not an optional extra.
Auditability Can administrators see usage, export records, and investigate access? Audit trails help demonstrate authorized use and respond to incidents.
Account scope Do the stated protections apply to this login, workspace, API project, and region? Enterprise protections do not automatically cover a personal or differently configured account.

Microsoft’s work and school Copilot documentation, accessed October 16, 2026, states that prompts, Bing queries triggered by prompts, and responses are logged even when qualifying accounts receive enterprise data protection. That illustrates why logging must be checked separately from training use. Treat every provider’s documentation as time-sensitive and verify it immediately before submission.

Authorization, purpose, and accountability

Before sending sensitive or confidential content, identify who authorized the disclosure, for what purpose, and under which account. The authorization should cover the category of data and the named provider or processing arrangement, not merely a broad permission to use AI.

Keep a lightweight record containing:

  • the business or service purpose;
  • the data categories included and excluded;
  • the person or team approving the use;
  • the provider, account tier, region, and policy date checked;
  • the retention, deletion, and access settings selected; and
  • the location of the sanitized prompt and the date unsanitized files were deleted.

If no real values are needed, use synthetic examples or a local processing path instead. If the task requires real values and no authorized provider arrangement exists, stop rather than treating a checkbox, a personal account, or a no-training statement as permission.

Common mistakes and how to recover

Only the name was removed

Symptom: The prompt still contains an exact date, small town, rare role, and unusual event. Fix: broaden at least one of those fields and repeat the outside-knowledge test.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Placeholders are inconsistent

Symptom: The same customer appears as three different labels, so the model merges or separates records incorrectly. Fix: create a local mapping table and apply one stable token per entity throughout the sanitized copy.

The prompt still contains a secret

Symptom: A stack trace, screenshot, comment, or environment file includes a key or cookie. Fix: stop using the credential, revoke or rotate it, remove it from prompt history and shared files where possible, and investigate access.

Redaction destroyed the task

Symptom: The model cannot calculate, compare, or reproduce the issue. Fix: restore structure with synthetic values, relative dates, data types, and a minimal example. Do not restore the original identifier merely because it is convenient.

The provider policy is unclear

Symptom: A sales page says “private,” but retention, review, geography, or deletion terms are missing for your account. Fix: do not submit sensitive material until the exact contractual and technical controls are documented; use synthetic data or local processing meanwhile.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

A practical go/no-go checklist

  • The prompt contains only the fields required for the stated output.
  • Direct identifiers, rare combinations, attachments, filenames, comments, and metadata have been reviewed.
  • Every secret has been removed, and any previously exposed credential has been rotated.
  • Stable placeholders preserve relationships without revealing original values.
  • A local or synthetic test shows that the sanitized version still works.
  • Residual identifiability has been assessed using outside knowledge.
  • The exact account’s logging, retention, training, human-access, subprocessor, encryption, geography, deletion, and audit controls are known.
  • Authorization covers the data category, purpose, provider, and account.
  • The decision and deletion steps are documented.

The decision rule

Send the prompt only when the minimized, de-identified version still accomplishes the task, the remaining risk is understood, the disclosure is authorized, and the provider’s current controls fit the data. Otherwise, redesign the task around synthetic values, a local model, or an approved internal workflow.
