Reduce respiratory-virus spread at work with a tailored, layered plan: improve shared indoor air, make it practical for sick workers to stay home, encourage vaccination and hygiene, and use masks or respirators where appropriate. No single measure eliminates risk. Employers should assess the tasks, people, building, and exposure conditions before choosing controls; general office advice may not meet the needs of healthcare or other high-exposure settings.
Start with a workplace-specific prevention plan
OSHA recommends assessing workplace hazards and applying the hierarchy of controls: eliminate or substitute an exposure where possible, use engineering controls, adopt administrative controls and safe work practices, and add personal protective equipment (PPE) where appropriate. In an office, that can mean replacing avoidable in-person meetings with video calls, improving ventilation, supporting workers who are sick, and using masks as an additional layer.

Improve the air people share
Respiratory viruses can spread through infectious particles in the air, and indoor concentrations can build up. CDC/NIOSH explains that ventilation can lower airborne particle concentrations and exposure. Its ventilation guidance includes bringing in outdoor air, moving and diluting indoor air, using central HVAC or in-room filtration, and germicidal ultraviolet systems (GUV/UVGI). CDC also recommends bringing in fresh air, purifying indoor air, or meeting outdoors when feasible in its cleaner-air guidance.

What facilities teams can do
- Confirm HVAC equipment is operating as intended and keep supply and return vents unobstructed.
- Ask a qualified HVAC professional to assess whether the building system can be optimized for the space and its use.
- Consider portable air cleaners or compatible HVAC filtration as supplements; room size, air delivery, placement, maintenance, and system compatibility matter.
- Do not treat an air cleaner as a replacement for minimum outdoor-air requirements in applicable building codes. CDC/NIOSH explicitly says air-cleaning techniques do not replace those requirements.
CDC/NIOSH summarizes the goal this way: “Improving building ventilation can reduce risk of exposure to respiratory viruses and reduce the spread of respiratory infections.” The agency describes reduced risk, not risk elimination; an air-cleaning device alone cannot establish that a room is safe.
Make it workable to stay home when sick
OSHA recommends encouraging employees to stay home when ill and considering telework flexibility when workplace or community transmission is high. Leave and flexible-work policies help workers follow that advice rather than feeling pressured to come in sick.

For the general public, CDC’s guidance on preventing spread when sick says people with respiratory symptoms should stay home and away from others until symptoms are improving overall and they have been fever-free for at least 24 hours without fever-reducing medicine. After returning to normal activities, CDC recommends taking added precautions for five days, such as improving cleaner-air measures, practicing hygiene, wearing a well-fitting mask, keeping distance, or testing when around others. Employers should also account for applicable workplace rules, accommodations, and guidance for their setting.
Support vaccination, hygiene, and routine cleaning
OSHA recommends encouraging vaccination against influenza and COVID-19, and RSV where appropriate. Employers can make vaccination easier by offering workplace clinics or time to attend an appointment, and by allowing leave for side effects. Vaccination is one layer of a plan, not a guarantee that someone will not become infected or spread a virus.

Promote hand and respiratory hygiene, and routinely clean and disinfect workplace facilities and frequently touched fixtures and equipment. CDC/NIOSH’s workplace prevention guidance also includes cleaning and disinfection and employer promotion of flu vaccination.
Use masks and respirators as an additional layer
A well-fitting mask can add protection alongside ventilation, especially when people are crowded together or spending time indoors. Employers should support workers who choose face coverings, while considering job hazards and whether a higher level of respiratory protection is needed. No face covering guarantees prevention.

OSHA distinguishes NIOSH-approved N95 respirators from products made to international standards, such as KN95 and KF94 models. A workplace that requires respirator use may have to meet OSHA respiratory-protection program requirements; that is a workplace safety obligation, not simply a decision about which product to buy. The applicable requirements depend on the circumstances, so employers should consult OSHA guidance and assess the job hazards.

Risk varies with the job, number of people, time spent indoors, interactions, and building conditions. CDC/NIOSH notes that work-related risk varies widely with the nature of the job and points employers to respiratory-virus surveillance resources. OSHA likewise recommends a hazard assessment and a plan suited to the workplace.

Healthcare employers may need additional transmission-based precautions, PPE, training, and respiratory-protection programs. OSHA cautions that general workplace recommendations may represent only baseline action for healthcare workers. Do not assume ordinary office measures meet clinical or other high-exposure requirements, and do not apply healthcare rules wholesale to a standard office without considering the setting.
