Quick wins for a faster PC:
Clear out junk files and repair common Windows errorsFree Scan →Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Start by choosing the right PDF export preset in desktop Word: use Minimum size (publishing online) for a PDF mainly viewed on screens, or Standard (publishing online and printing) if readers may print it. If the PDF is still too large, compress the pictures in Word, then inspect the exported PDF at the size people will actually view or print. No preset guarantees a smaller file with no loss of detail.
1. Keep an editable copy before changing images
Duplicate your Word document before compressing pictures or removing image data. Deleting cropped picture areas or discarding editing data can prevent you from restoring the removed image content from that file. Keep the original as a fallback. Microsoft’s Word document size guidance explains these controls and their consequences.

2. Choose a PDF export preset for its intended use
In desktop Word, save or export the document as a PDF and select the option that matches how it will be used. Microsoft distinguishes the two presets by their intended balance:
| Word PDF option | Use it when | Trade-off |
|---|---|---|
| Minimum size (publishing online) | The PDF is mainly for online viewing and keeping it small matters most. | It prioritizes smaller size over print quality; it is not a no-quality-loss guarantee. |
| Standard (publishing online and printing) | Recipients may print the PDF as well as view it online. | It is the distribution choice for print as well as online use, rather than the size-first option. |
Use the export workflow documented for Office desktop apps. Labels and menus can differ across platforms or versions.

3. If the PDF remains large, compress pictures in desktop Word
Picture compression is the next useful lever when a document contains large photographs, scans, or graphics. In desktop Word, select a picture and open Picture Format > Compress Pictures. Depending on the controls shown in your version, you can apply compression to all pictures and choose whether to delete cropped picture areas. Microsoft notes that compression can change how a picture looks because detail may be lost. Its Office picture-compression guidance describes the quality and file-size trade-off.
Set Word’s image resolution thoughtfully
In Word desktop, check File > Options > Advanced > Image Size and Quality. Microsoft says to clear Do not compress images in file if you want Word to compress images, and describes 150 ppi or lower as often sufficient for many documents. That is guidance, not a universal target: photographs, fine diagrams, and print needs can call for more detail. Microsoft’s broader Office article gives 220 ppi as the stated default for Microsoft 365 picture resolution, but that figure should not be assumed to apply to every Word installation or document. See Word’s document-size instructions and Office’s picture guidance.

Only remove image data you no longer need
The Discard editing data setting can reduce the Word document’s size, but it removes data used to restore an edited image. Deleting cropped areas has a similar recovery cost. Make either change only in a copy if you may later need to revise or restore the image. These controls affect the Word source; export a fresh PDF afterward to assess the result.

4. Check the PDF at its real viewing or print size
Open the exported PDF and examine photographs, small labels, diagrams, and fine text at a representative screen size. If recipients need hard copies, inspect a sample at print size too. If detail is no longer acceptable, return to the Word copy and use a less aggressive image setting or choose Standard export instead of Minimum size. The right result is the smallest PDF that remains readable for its intended use—not a particular compression setting or promised percentage reduction.

5. Word for the web has a different boundary
Word for the web can export a document as a PDF, and Microsoft documents an option related to including comments. Its export instructions are separate from desktop Word’s picture-compression controls; use desktop Word for the Picture Format > Compress Pictures steps above. See Microsoft’s Word for the web PDF export instructions.

Microsoft describes High fidelity in Word as applying minimal compression unless an image exceeds the document canvas, and presents it as an option for addressing image quality or pixelation. Turning compression off can also preserve picture quality, but Microsoft warns that it can produce much larger files. These settings are trade-offs, not guarantees of a particular PDF size or sharpness. Details are in Microsoft’s default-resolution guidance and its page on turning off picture compression.
