Reduce missed updates by tying customer messages to job events: confirm the booking, send a reminder, share an en-route notice with the best available ETA, update the customer when plans change, confirm arrival, and follow up after service. Let customers choose a channel and make it easy to confirm or reschedule. Automate routine messages, but promise live tracking only when the technician and system are providing current route data.
Build a communication sequence around each job
Customers need to know what is happening at the points when uncertainty is highest. Define a consistent message for each stage, then connect it to the work order so a missed manual step is less likely. Oracle’s Field Service documentation describes configurable customer-message scenarios for these stages; exact behavior depends on the deployment.

At booking: confirm the details
Send the appointment date and service window, the address, and the channel the customer can receive. Include a straightforward way to confirm, ask a question, or request a different time. A confirmation path that avoids requiring a phone call gives customers a practical way to correct a bad address or flag a schedule conflict before dispatch.

Send a reminder at an interval appropriate to the service and local operating hours. Oracle gives a day-before reminder as an example, not a universally optimal timing. Keep the message focused on the date, window, and any preparation the customer actually needs to make.
#1 Best Overall
- Compared to walkie-talkies with sharp and long antennas; the RT22 has a thumb-length antenna and a blunted antenna angle; which improves the safety of family members during use
- Compact and lightweight walkie-talkie; you can slip it into your pocket or clip it to your belt
- USB-C charging port; allows you to charge it at any time; lasts about 10 hours
- Separate clip design; when you wear the walkie-talkie around your waist; you only need to take out the walkie-talkie without removing the clip when talking
- Built-in 300 mW speaker; squelch function; enhances clear and loud audio
When dispatched: send an en-route update
Notify the customer when the technician is on the way, with the best available ETA. Add a tracking link only when location tracking is active and the ETA is being refreshed from current operational data. In Oracle’s documented workflow, the technician must take the “Start My Route” action (such as “On My Way”) for customers to see live position, map, ETA, and on-the-way status.
When the estimate changes: tell the customer promptly
Use an ETA change or schedule change as a trigger for an updated message rather than waiting for a customer to call. State what changed and give the revised estimate or next step. If the revised time no longer works, offer a way to reschedule where your operation can support it.
At arrival and after completion: close the loop
Send an arrival confirmation that matches the service workflow, so the customer knows the technician has reached the job. After the work, ask for feedback or confirm that the issue is resolved, and route any open problem for follow-up rather than treating the completed visit as the end of communication.

Automate routine messages without overstating what the system knows
Routine updates should be triggered by job status or meaningful ETA changes, not depend on technicians stopping work to compose each message. This reduces the number of manual steps while keeping the message connected to the work order. IFMA’s field-service guidance recommends integrating communication into a shared platform and offering customers channel options.
An automated message is only as reliable as the event and data behind it. A dispatch status can support an en-route notice; a stale schedule estimate cannot support a promise of live location. Make clear whether an ETA is an estimate, and ensure the team has a process for correcting it when conditions change. Do not label a link as live tracking unless the route has actually started and the platform is sharing current location data.
Offer channels customers can actually use
Let customers select a preferred reachable channel where possible. Depending on the system and customer, that may include SMS, email, phone, or an app. Oracle documents SMS and email options in its workflow, while IFMA recommends choices such as phone, email, chat, and SMS. Keep an accessible alternative for customers who cannot or do not use an app, and record the preference against the job so dispatch and customer service can see it.

Historical surveys can inform, but should not dictate, channel design. In J.D. Power’s 2019 US residential telecom technician study, scheduling-experience satisfaction scores by notification channel were 876 for app, 836 for email, 809 for text, 799 for a phone representative, and 795 for automated phone. These are scores from that study, not universal preferences or proof that one channel will work best for every service business. Test channel choices with your own customer base and retain a fallback when delivery fails.

Random freezes, missing sound and display glitches usually trace back to one bad driver. Find and replace yours safely.Free scan · under a minuteMake delay messages useful, not just frequent
A delay notification should answer three questions: what changed, what the current estimate is, and what the customer can do if the new timing does not work. Avoid sending repeated alerts that contain no new information. If the ETA is uncertain, say so plainly and offer the next update point or a rescheduling option rather than inventing precision.
Proactive contact has been associated with better reported experiences in specific historical studies, but those results do not prove that messaging alone causes punctuality or satisfaction. In a 2019 J.D. Power study of 4,391 people who had a US in-home telecom technician visit in the previous six months, 92% of customers who received a notification said the technician arrived on time, compared with 73% of those who did not receive one. The release also reported overall satisfaction was 86 points higher when the customer was contacted on appointment day before arrival. These findings are specific to that study and industry; they are not a current universal field-service benchmark.

Measure missed connections and fix the causes
Sending more messages is not itself proof that the process improved. Keep a record of communication attempts and outcomes so managers can identify where the handoff breaks down. Review patterns regularly with dispatch, field teams, and customer service.
- Messages sent, delivered, bounced, or otherwise failed.
- Missed connections, no-shows, and reschedules.
- Calls or chats asking where the technician is or whether the appointment is still on.
- Complaints and customer feedback after the visit.
- Jobs where the ETA changed but no update was sent, or the route never began despite an en-route promise.
Use recurring failures to adjust triggers, staffing, channel records, or escalation rules. For example, a high volume of ETA calls may point to a missing dispatch notification; failed SMS delivery may require collecting an alternate channel; repeated late changes may call for a clearer rescheduling path.

Evaluate field-service communication tools against the workflow
When comparing field-service systems, evaluate whether the product supports the process your team needs, not just whether it can send a text. Check the following before adopting or reconfiguring a platform:

- Channels: Does it support customer-preferred channels and a usable alternative for people without an app?
- Event triggers: Can reminders, dispatch notices, ETA changes, arrival confirmations, and completion follow-ups be tied to job events?
- ETA source and freshness: Where does location data come from, when does it refresh, and what happens if a technician has not started the route?
- Customer control: Can customers confirm or reschedule without navigating an unnecessary phone queue?
- Logs and escalation: Can staff see message delivery status and take action after a failed contact?
- Shared work-order context: Can dispatchers, technicians, and service agents see the same appointment, customer preference, and update history?
Oracle’s documentation describes configurable triggers and SMS/email options for its particular product workflow; it should not be taken as a guarantee that every field-service deployment behaves identically. IFMA’s recommendations are industry guidance, not the result of a controlled trial of one messaging design.
What the available evidence does—and does not—show
The cited figures are dated and come from particular survey populations. J.D. Power’s 2019 findings cover US residential telecom visits, and the CSG figures below came from a 2014 survey of 400 US consumers. They can help explain why customers value updates and schedule control, but they should not be presented as current preferences across every industry or geography. No current universal rate of missed field-service updates is established by these sources.
In CSG’s 2014 survey, 89% of respondents said they preferred a location/ETA tracking tool for a home-service visit; 56% preferred a mobile alert and 35% a text alert when a technician was late; and 97.5% wanted more scheduling control and alternatives to calling providers. The age and survey population matter: use these as historical context, not as a substitute for asking your own customers what they prefer.
