Outbyte Driver Updater FREEScan for outdated or missing drivers - takes under a minuteDriver Scan →Outbyte PC Repair FREERepair Windows errors before they cause bigger problemsFix Now →The most reliable way to lower an all-in-one printer’s running cost is to combine several modest changes: use Draft or economy quality for work where appearance is unimportant, select a true black-only mode when the printer offers one, print suitable documents on both sides of the paper, and buy cartridges by cost per published page rather than sticker price. A page subscription can help only when its allowance, rollover rules and overage charges fit your real monthly volume.
No single setting produces the same saving on every inkjet or laser model. Driver names, cartridge yields, maintenance cycles, subscription eligibility and regional terms vary. Use the printer’s manual or manufacturer support page to confirm the exact behavior of your model before changing a default.

1. Change print settings for low-stakes jobs
Print quality is usually the quickest cost lever because many printers offer a lower-coverage mode that deposits less ink or toner. Use it for drafts, internal copies, proofs and documents that will not be distributed. Keep the highest-quality setting for photographs, presentations, labels and anything where fine detail or smooth color matters.
Inkjet: choose Draft or Normal instead of Best
In an inkjet driver, look under a label such as Print Quality, Quality or Media and Quality. Draft normally uses the lowest resolution or dot density; Normal is a useful middle setting when Draft text looks too light. The exact names and available levels differ by model and operating system.

- Set quality to Draft or Normal for routine pages.
- Print one representative page. If small text, thin lines or graphics are unacceptable, move up one level rather than defaulting to the maximum setting for every job.
- If the driver supports presets, save a “routine documents” preset and retain a separate high-quality preset.
Draft is not a promise of a fixed percentage reduction. Coverage, paper type, image content and the printer’s own processing affect consumption. A manufacturer’s warning or manual takes precedence over general advice.
Laser: use EconoMode selectively
Many laser drivers call their lower-toner option EconoMode or Toner Save. HP describes EconoMode as using less toner per page while reducing print quality. It can suit temporary copies and internal text, but pale output may be unsuitable for forms, fine graphics or records.
Do not assume that leaving economy mode on permanently is harmless. For certain LaserJet Pro MFP families, HP Support states: “HP does not recommend full-time use of EconoMode.” The explanation is specific to those models: toner may outlast mechanical parts in the toner cartridge when EconoMode is used all the time. That warning does not establish a universal rule for every laser printer; check your own model’s documentation.

2. Prevent unnecessary color use
Use black-and-white or grayscale when color adds nothing
For contracts, receipts, code, meeting notes and other monochrome material, select Black & White, Monochrome or Grayscale in the print dialog. This avoids intentionally adding color to the page and can make a meaningful difference when color cartridges are expensive.
Grayscale does not guarantee black-cartridge-only printing on an inkjet. HP explains that some printers blend black and color inks to reduce grain in gray areas, and some draw ink from cartridges during periodic servicing. If the driver offers a separate Black Ink Only, Black Cartridge Only or equivalent option, use that for jobs that truly need only black. Confirm the result with your model’s manual or a controlled test: print a page with gray graphics, then check which cartridge levels changed.

Separate documents by purpose
Do not force every page in a mixed document into one mode. A color chart may need color, while the surrounding text does not. Print the color page separately at the appropriate quality and keep routine pages monochrome when the software allows page-range control. This avoids sacrificing legibility or repeatedly reprinting an entire document.
3. Cut paper cost with duplex printing
Two-sided printing reduces paper use; it does not directly reduce the ink or toner deposited on each side. It nevertheless lowers the total cost of a print job, especially for long documents.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Clear out junk files and repair common Windows errors3Fix the driver behind crashes, sound loss and screen glitches- Open Printer Properties or Preferences from the print dialog.
- Enable Print on Both Sides, Duplex or Two-Sided.
- Choose Flip on long edge for normal portrait pages or Flip on short edge when the page should turn like a notepad or calendar.
- Print a short test and check margins, page order and binding direction before sending a large job.
Automatic duplexing requires a printer that supports it. On models with manual duplex, follow the driver’s re-feed instructions carefully; an incorrect re-feed can waste paper and toner through misordered or repeated pages.
4. Compare cartridges by cost per published page
High-yield or XL cartridges normally contain enough ink or toner for more pages than standard cartridges, but a higher yield alone does not prove a lower cost. Compare the exact cartridge number, current purchase price and stated yield for the same printer and coverage standard.
The cost-per-page calculation
Use this calculation for each compatible cartridge:

- Package List: 1 x PG-275 black ink cartridge, 1 x CL-276XL color ink cartridge, 1 x user guide
Cost per published page = cartridge price ÷ manufacturer-stated page yield
Keep the price date and seller consistent when comparing options. Published yields are manufacturer figures under specified test conditions, not guarantees for your documents. Pages with large photographs, heavy graphics or dense coverage will consume more material than a typical office page.
Illustrative standard-versus-XL example
HP gives an example for its HP 940 black family: the standard HP 940 black cartridge is listed at 1,000 pages, while the HP 940XL High Yield black cartridge is listed at 2,200 pages. HP does not state a publication year on the cited support page. These are manufacturer examples for that cartridge family, not independent measurements and not a yield promise for another printer.
| Option | Published black yield | What to compare |
|---|---|---|
| HP 940 black | 1,000 pages | Its current price divided by 1,000 |
| HP 940XL High Yield black | 2,200 pages | Its current price divided by 2,200 |
An XL cartridge is financially attractive only when its price-per-page is lower and you will use the extra capacity before the ink’s practical storage life or your printer needs change. A low-volume household may prefer the lower upfront price of a standard cartridge even when the XL calculation is slightly better.
Check compatibility and color-cartridge design
- Read the cartridge number printed in the printer’s menu, on the installed cartridge or in the manual. Similar-looking numbers can be electrically or physically incompatible.
- Confirm whether the listing is for the exact region and printer series; cartridge numbering can vary by market.
- Check whether black, cyan, magenta and yellow cartridges are separate. Individually replaceable colors prevent you from discarding a multi-color cartridge when only one color is empty.
- Compare the manufacturer’s stated yield on like-for-like cartridges. Do not compare a black yield with a combined-color yield.
- Check return terms and storage guidance, particularly if you print infrequently.
5. Decide whether a subscription fits your actual volume
A page subscription trades ordinary cartridge purchases for a monthly allowance and automatic replenishment. It can be convenient for a predictable print volume, but value depends on the plan’s limits and rules rather than on the subscription label.

Measure a representative month first
- Record the page count shown by the printer at the start and end of a normal month, or count the pages you actually print.
- Separate color-heavy months from ordinary months; a school project or tax season can distort a single measurement.
- Note how many pages are black-only, color and duplex. Duplex reduces paper consumption but generally counts as two printed sides under a page-based service.
- Compare your typical volume with each available allowance, including the next plan above and below it.
Understand the documented Instant Ink mechanics
HP Instant Ink is a service-specific example, not evidence that a subscription is the best or cheapest choice for every printer owner. HP says the service counts color and black-and-white pages alike. Plans permit rollover within stated plan caps, and pages beyond the allowance incur additional charges. Check the current plan terms for your country because eligibility, allowances, pricing and overage rates can change by region.
| Question | Why it changes the calculation |
|---|---|
| How many pages are included? | An allowance below your normal volume creates overage charges; an allowance far above it can cost more than buying cartridges. |
| Are color and black pages counted the same? | Under the documented Instant Ink rules, both count as pages, so frequent color printing can consume the allowance quickly. |
| How much rollover is allowed? | Rollover can absorb an unusually busy month only up to the plan’s cap; unused pages are not unlimited savings. |
| What are overage charges? | They determine the effective cost when you exceed the allowance. Include them in a high-volume month estimate. |
| Is the printer and region eligible? | Enrollment and available plans depend on the specific printer, country and account. |
| What connectivity is required? | Subscriptions generally require an account and internet-connected printer so usage and replenishment can be managed. |
| What happens if you cancel? | HP says Instant Ink cartridges work only in enrolled printers and must be removed after cancellation when the billing cycle ends. |
Before enrolling, read the cancellation and cartridge terms, not just the monthly allowance. A plan that looks inexpensive at a light usage level can become costly with frequent overages, while a plan that suits a busy month may be wasteful during a long period of low activity.
6. Maintain the printer without wasting supplies
Do not clean printheads as a routine savings tactic
Printhead-cleaning cycles consume ink. HP’s guidance for a legacy Designjet family says to clean only when needed. That is model-specific documentation, not an instruction for every all-in-one, but the underlying caution is useful: do not run repeated cleaning cycles merely because the printer has been idle. If output shows missing nozzles or streaks, use the maintenance procedure specified for your model, allow the printer’s normal checks to finish, and stop when the defect is resolved.
Let the printer complete jobs and avoid unnecessary test pages
Canceling a job halfway through can leave paper in the path or trigger recovery pages. When troubleshooting, print the smallest diagnostic pattern recommended by the manufacturer rather than repeatedly printing a full-color document. Store spare cartridges as directed and keep vents and paper paths clear so the printer does not waste pages through jams.

- Pages printed in a representative month.
- Black-only and color page counts.
- Single-sided and duplex sides.
- Current price and published yield for each compatible standard and high-yield cartridge.
- Paper cost, if paper is a significant part of your budget.
- Subscription allowance, monthly fee, rollover cap, overage charge, shipping terms and cancellation conditions.
For cartridge buying, multiply the number of cartridges needed in a month by each cartridge’s current price. For a subscription, start with the monthly fee, then add expected overage and any required paper or connectivity costs. Do not treat the manufacturer’s published yield as a guarantee that your exact mix of text, photos and graphics will produce the same number of pages.
8. Troubleshoot common cost-saving mistakes
Pages look too pale in Draft or EconoMode
Raise the quality one step, verify that the selected paper type matches the loaded paper, and reserve the higher setting for documents that need it. If the printer remains faint across all modes, follow the model’s cartridge, drum or printhead diagnosis rather than compensating by repeatedly reprinting.
Color ink falls while printing “grayscale” pages
Check whether the driver has a true black-only choice. Some inkjets blend color for smoother gray tones or consume ink during servicing, so grayscale alone may not prevent color use. Print a controlled test and consult the model-specific documentation.
Recommended Free Tools
Duplex pages are upside down or out of order
Switch between long-edge and short-edge binding, then run a two-page test. Confirm the application’s page orientation and the printer’s duplex setting agree before printing the complete document.
The XL cartridge costs less per page but expires before use
Recalculate with your actual monthly volume. If you print only a few pages, the lower upfront cost of a standard cartridge may reduce waste even when the XL option has the better mathematical cost per published page.
A subscription bill is higher than expected
Review page counts, color pages, rollover limits and overage entries for the billing period. Check whether a seasonal spike pushed you beyond the allowance and whether the plan is still eligible for your printer and region. If canceling, follow the provider’s procedure and remove service-locked cartridges when the billing cycle ends as required.
9. A practical decision checklist
- Set Draft or Normal quality for routine pages and keep a high-quality preset for finished work.
- Select black-and-white or a verified black-only mode for documents that do not need color.
- Enable automatic duplexing where page layout and printer hardware support it.
- Write down the exact cartridge number before shopping.
- Calculate price divided by published yield for standard and XL options.
- Check whether colors are individually replaceable and whether the cartridge is region-compatible.
- Track a representative month of pages before considering a subscription.
- Include allowance, color counting, rollover caps, overage, internet, eligibility and cancellation terms in the subscription comparison.
- Use cleaning cycles only for a documented print-quality problem, not as routine maintenance.
The Bottom Line
Start with model-appropriate quality settings, verified black-only printing and duplex output. Then compare exact cartridges by cost per published page and evaluate any subscription against your measured page volume, overage exposure and cancellation terms. Those combined checks reduce recurring cost without assuming that one setting or plan works equally well for every all-in-one printer.
