1Fix the driver behind crashes, sound loss and screen glitches2Clear out junk files and repair common Windows errors3Scan for outdated or missing drivers - takes under a minuteThe safest way to verify a person in a Microsoft Teams meeting is to treat the meeting as one signal, not proof of identity. A familiar face, matching voice, display name, company logo, or a Teams account can be copied, compromised, or synthetically generated. When a participant makes an unexpected or high-impact request, pause and confirm the request through a trusted channel you already had before the call. Never provide a password or authentication code, approve an unexplained sign-in, install remote-access software, or transfer money during the call.
Teams encryption protects data in transit and at rest in Microsoft’s services, using technologies such as TLS and SRTP for relevant traffic. Encryption protects the channel; it does not establish that the person, account, voice, or video at the other end is genuine. The controls below combine human verification, meeting restrictions, identity security, and endpoint protection.

What Teams encryption can—and cannot—prove
Teams encryption helps prevent unauthorized interception or alteration of meeting traffic while it travels between participants and Microsoft services and while it is stored in Microsoft’s environment. That is essential for confidentiality and integrity of the connection. It answers the question, “Can someone on the network casually read this traffic?” It does not answer, “Is this really the person whose name and face I see?”

An attacker may use a stolen or newly created account, a convincing voice clone, generated video, a replayed recording, or a real compromised participant account. A legitimate account can also be used by someone other than its owner. Consequently, the absence of a warning is not an identity guarantee, and a warning is not conclusive proof of fraud either. Microsoft notes that legitimate callers can occasionally be flagged.

Deepfake impersonation is dangerous because it can make a social-engineering request feel familiar and urgent. Microsoft describes possible outcomes including business email compromise, leaked information, and the resetting of a password or two-factor authentication (2FA) for an important account. Those are consequences described by Microsoft, not an estimate of how often deepfakes occur in Teams meetings.
How can I tell if someone is using a deepfake on a video call?
There is no dependable, built-in Teams indicator that can certify a participant’s face or voice as authentic. Visual clues can justify caution, but they are not a verdict. A synthetic or manipulated stream may have lip-sync errors, unnatural blinking, inconsistent lighting, odd facial edges, audio glitches, or sudden changes in image quality. Real cameras and networks can produce the same symptoms, while high-quality fakes may show none of them.
Use behavioral and process signals as well as the media itself:
- An unexpected request for money, credentials, confidential files, remote access, or an account-recovery action.
- Pressure to act immediately, secrecy from colleagues, or a claim that normal approval steps cannot be followed.
- A request to use a new phone number, website, chat, QR code, or sign-in page supplied only during the call.
- A participant who refuses a previously agreed verification step or tries to prevent you from contacting a colleague.
- A mismatch between the meeting invitation, the person’s organization, and the task they are asking you to perform.
Do not attempt to “test” a suspected deepfake by asking for a particular facial expression or phrase and then treating the result as authentication. Such tests are easy to learn, record, or imitate. Treat odd media as a reason to stop and verify independently, not as a technical detection result.
The five-minute identity-check procedure
Use this procedure whenever a Teams participant asks for a consequential action or appears unexpectedly. It works for employees, contractors, customers, executives, and support callers.

- Pause. Do not share information, open a link, install software, approve a sign-in, disclose a code, or grant remote control while you are still deciding whether the request is genuine.
- Read the context. Check the displayed name, organization, meeting invitation, participant type, and whether you expected the contact. A familiar name is useful context, not proof.
- Separate the channel. Contact the person or organization through a trusted route that existed before this request: a known telephone number, the number in your internal directory, an established ticket, a previously used website, or a prior conversation. Do not use contact details supplied only in the suspicious message or call.
- Ask for confirmation of the request, not just the identity. For example, ask the supposed manager to confirm the payment through the normal finance workflow, or ask the supposed support representative to identify the existing incident number in your service system.
- Refuse secrets. Never give a password, one-time passcode, recovery code, or authentication approval to someone on a call. A legitimate administrator should not need you to read a sign-in code aloud.
- End the call when independent confirmation fails. Microsoft Teams’ warning text says: “We recommend that you leave the call now, unless you’re sure of the caller’s identity.” Follow that advice when you cannot confirm the request.
- Report it. If your organization provides a Teams “Report call” option, use it and notify your security or IT team through the established reporting route. Preserve the meeting time, participant names, invitation, chat, phone numbers, links, and a factual description of what was requested.
What to say without escalating the situation
Short, neutral language makes it easier to follow the process: “I do not approve credentials or payments on an unexpected call. I will verify this through our normal channel and get back to you.” Do not argue about whether the video is fake. The goal is to prevent the requested action and create time for independent verification.
What should I do if a Teams caller asks for a password or verification code?
Refuse and end the interaction. Passwords, one-time passcodes, push approvals, recovery codes, and security answers are authentication factors; a caller who obtains one may be able to take over an account even if the video is genuine. The same rule applies to requests to read a code “just to confirm you are you” or to approve a sign-in that you did not initiate.
Do not type credentials into a link shown in chat or shared on screen. Open the organization’s known sign-in address yourself, or use a bookmark managed by your IT team. If you already disclosed a secret or approved an unexpected prompt, contact your security team immediately, change the affected credentials through a trusted route, revoke active sessions where your organization’s procedure allows it, and report the incident. Do not wait for the caller to contact you again.
Configure meeting access for the least privilege that works
Meeting settings cannot identify a synthetic face or voice, but they can reduce who gets into a meeting and what an admitted participant can do. Choose settings according to the meeting’s sensitivity and the minimum collaboration required.
| Meeting need | Preferred participant model | Controls to consider | Trade-off |
|---|---|---|---|
| Internal, confidential discussion | Authenticated people in your organization | Block anonymous join; keep unexpected people in the lobby; restrict presenting and screen control | External partners may need a separate, controlled session |
| Work with named outside organizations | Authenticated users from approved organizations or invited guests | Restrict external access to selected organizations; use guest accounts for defined resources; require an organizer or trusted co-organizer to admit people | More administration and possible guest-account setup |
| Open event or broad public access | Anonymous or dial-in participants only where necessary | Use the lobby, limit presenter rights, avoid sharing sensitive material, and prevent anonymous users from starting unless required | Higher identity uncertainty and greater moderator workload |
| High-impact approval or account-recovery conversation | Any permitted participant, but with out-of-band confirmation | Apply the strictest practical lobby and role settings; verify every consequential request through a separate trusted channel | Additional delay is intentional and protects against social engineering |
Choose the right external participant class
Microsoft’s Teams guidance distinguishes anonymous users, authenticated users from external organizations, and guest accounts. These classes are not interchangeable. Anonymous access is convenient but provides less account-level assurance. External access can be restricted to selected organizations. Guest access gives invited outside users controlled access to specified organizational resources.

Before scheduling, decide which class the agenda actually needs. If the meeting only requires a known partner’s staff, do not enable broad anonymous access for convenience. If an outside participant must work with files or other resources, use the organization’s guest process rather than assuming a public meeting link is equivalent.

Outbyte Driver Updater FREEScan for outdated or missing drivers - takes under a minuteDriver Scan →Outbyte PC Repair FREERepair Windows errors before they cause bigger problemsFix Now →Use the lobby deliberately
Set who can bypass the lobby and who may admit others. For a sensitive meeting, require the organizer or a trusted co-organizer to check unexpected names, organizations, and meeting context before admission. A participant who appears in the lobby under an unfamiliar name should remain there until the organizer confirms why they are attending.
Decide separately whether anonymous or dial-in participants may start the meeting before internal or trusted participants arrive. Allowing an unknown caller to start a session can expose early conversation or create an opportunity for impersonation before the organizer is present.
Limit roles, sharing, and control
Give participants only the privileges required for the agenda. Limit presenting, screen sharing, recording, and control permissions where practical. Microsoft’s threat guidance recommends generally preventing external users from requesting control of a shared screen or window by default unless there is a business justification.
Screen control is particularly risky during a support-style call. A person who can move your pointer or type may navigate to a password manager, approve a prompt, install software, or expose confidential content. If control is required for a legitimate demonstration, grant it for the shortest practical period and revoke it immediately afterward.

Require verification checks for anonymous and untrusted joins
Teams administrators can configure meeting policy to require a verification check for anonymous users and people from untrusted organizations. The Microsoft Learn policy documentation identifies AnonymousUsersAndUntrustedOrganizations as the relevant option and says the default is “Not required.” This check is an additional barrier; it does not prove that the human who passed it is the named person.
Verification-check coverage is not universal across every joining path. The documented exceptions include Cloud Video Interop, Azure Communication Services, Teams Rooms on Windows and Android, and third-party devices using Direct Guest Join. Confirm current tenant documentation, client behavior, and licensing before promising that every participant will complete the check.
Administrative rollout checklist
- Identify meetings and workflows that genuinely need anonymous or untrusted-organization access.
- Review the tenant’s meeting policy in the Teams admin center or the corresponding PowerShell policy.
- Set verification checks for the populations your policy supports, documenting the exact client and device exceptions.
- Test with the join paths your organization actually uses, including rooms, browsers, mobile clients, dial-in, and external collaboration tools.
- Tell organizers what the check means and does not mean: it reduces automated abuse but is not a deepfake detector or a substitute for identity verification.
- Recheck the policy after Teams updates or a change in external-access requirements.
Harden the accounts behind the meeting
Meeting controls are only one layer. A compromised employee or guest account can look normal to participants and may have legitimate access to chats, files, recordings, and invitations. Microsoft’s Teams threat-mitigation guidance recommends combining identity, device, and monitoring controls.
- Use multifactor authentication and sign-in risk policies. Require stronger checks when Microsoft Entra ID detects risky sign-in behavior, and apply policies consistently to administrators, employees, guests, and external collaboration scenarios where supported.
- Use just-in-time privileged access. Do not leave powerful administrator roles permanently active. Grant elevated access for an approved task and remove it when the task ends.
- Apply Conditional Access and device compliance. Restrict sensitive resources when a device is unmanaged, outdated, or otherwise fails your organization’s requirements.
- Keep clients, browsers, operating systems, and security tools updated. Updates close vulnerabilities that can turn a social-engineering success into a wider compromise.
- Control guest and external access. Review who can invite guests, which organizations are trusted, how long guest access persists, and what resources external users can reach.
- Monitor activity. Look for unusual sign-ins, new forwarding or sharing behavior, unexpected meeting creation, mass downloads, and sudden changes to privileged roles.
- Use available Defender protections for Teams and related services. These can help detect malicious activity and reduce impact, but they do not certify a participant’s audio or video as authentic.
Recognize support-themed social engineering
Microsoft documented observed Teams activity in which attackers impersonated support staff, created urgency, and persuaded targets to install or grant remote-access tools. Its October 2025 article also described a late-2024 campaign involving compromised accounts impersonating IT personnel and seeking remote access. These are examples of threat behavior, not evidence that every suspicious Teams call uses a deepfake.

Respond when a suspicious meeting is already underway
- Stop the requested action. Do not continue a payment, sign-in approval, credential reset, download, or remote-control session.
- Leave or end the meeting. If you organize it, remove the participant, end the meeting when appropriate, and preserve evidence first if your incident process requires it.
- Contact security through a separate route. Use the internal help desk, incident hotline, or security portal—not a phone number or link provided by the caller.
- Protect potentially exposed accounts. Follow your incident-response procedure for password changes, session revocation, token reset, MFA re-registration, and device isolation.
- Preserve evidence. Keep the invitation, meeting ID, participant details, chat, timestamps, phone numbers, links, screenshots, and a factual account of what happened. Do not edit the original evidence.
- Warn affected colleagues. Tell them which account, meeting, file, or workflow may be involved without forwarding malicious links or repeating unverified accusations.
How much confidence should you place in Microsoft threat statistics?
Microsoft said it blocked fraud schemes worth USD 4 billion in the year from April 2024 through April 2025; many were AI-enabled. It also reported blocking 1.6 million fake-account creation attempts per hour on Microsoft services. Neither figure is a Teams-meeting loss total or a count of deepfake incidents. They show the scale of activity Microsoft is attempting to disrupt, not the probability that a particular caller is fraudulent.
Microsoft Digital Defense Report 2025 also reported 195% global growth in use of AI-generated IDs, attributing the figure to a cited reference in that report. Because the underlying original source was not independently verified here, treat that figure as report context rather than a standalone measure of Teams risk.
Common mistakes that defeat otherwise good controls
- Trusting a familiar face or executive name. Use the independent-channel check for any unusual or high-impact request.
- Assuming a Teams warning settles the question. A warning is a useful signal, but Microsoft says legitimate callers can occasionally be flagged; no warning is not proof of legitimacy.
- Using the suspicious call to verify itself. Calling back through a number, link, or chat supplied in the same request does not create independence.
- Enabling anonymous access for every meeting. Set access per meeting need and keep unknown participants in the lobby.
- Giving external participants broad presenter or control rights. Match privileges to the agenda and revoke temporary rights promptly.
- Relying on a CAPTCHA or bot check as human authentication. It can reduce automated abuse but does not prove the identity or authorization of a person.
- Buying a camera cover or other accessory as a deepfake solution. Physical accessories cannot authenticate another participant’s identity or voice.
A practical policy for organizations
Write a short rule employees can remember: unexpected requests involving money, credentials, confidential information, remote access, or account recovery require a second channel. The second channel must be selected from a known directory, an established ticket, a previously verified number, or a trusted website—not from the current call.

What Teams settings can realistically accomplish
Teams settings can reduce exposure: they can limit who joins, delay admission, restrict anonymous access, require supported verification checks, and constrain what participants can present or control. Identity and endpoint controls can reduce account takeover and limit the damage from a compromised account.
No meeting setting described here guarantees detection of synthetic audio or video. The decisive control for a consequential request remains independent verification and refusal to disclose authentication secrets.
