Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Fix the driver behind crashes, sound loss and screen glitches3Clear out junk files and repair common Windows errorsThe safest default is to treat every chatbot prompt as a potential disclosure. Do not paste passwords, API keys, authentication codes, private encryption keys, customer records, unnecessary personal information, or unreleased business secrets. Remove identifiers, use realistic placeholders, and approve a chatbot only after checking its training, retention, deletion, access, security, residency, and contract controls. For workplace or regulated use, document the purpose and safeguards and complete a privacy impact assessment when the processing could create high risk.
What makes an AI chatbot a privacy risk?
A chatbot has to receive your prompt, process it on infrastructure you may not control, and often return an answer generated from that request and surrounding context. The privacy question is therefore wider than whether the model is trustworthy. You must know what is transmitted, where it is handled, how long copies remain, who can access them, whether the provider uses them to improve models, and what happens when the provider changes its terms or suffers an incident.

The Federal Trade Commission warns that customers may reveal sensitive or confidential information when using a company’s models. A prompt can disclose a person’s identity, health information, financial circumstances, location, employment issue, legal matter, or account history even when the request seems harmless. Business prompts can expose source code, product plans, pricing, credentials, security weaknesses, or information received under a confidentiality agreement.
Model training and data storage are separate decisions. A provider may say that a particular account or plan does not use prompts to train a general model while still retaining content for a limited period for service operation, abuse prevention, debugging, or legal obligations. Conversely, a setting that disables training does not make it safe to submit secrets. Evaluate both uses independently.

Start with data classification before you type
Decide what the material is and what the chatbot actually needs. Classification should happen before a user opens the chat box, not after an answer has been generated.
| Data category | Examples | Default chatbot treatment |
|---|---|---|
| Public | Published documentation, public code, marketing copy, public statistics | Usually suitable for a general chatbot, subject to accuracy and copyright checks. |
| Internal | Nonpublic meeting notes, routine procedures, internal drafts | Use only an approved account; remove names and details that are not needed. |
| Confidential | Unreleased plans, contracts, source code, pricing, security designs | Do not use a consumer account. Require written provider commitments and an approved workspace or API. |
| Personal | Names, email addresses, identifiers, free-text support histories | Minimize, redact, and establish a lawful purpose and retention rule before processing. |
| Sensitive or regulated | Health, biometric, precise location, financial, children’s, employment, or protected legal information | Escalate to privacy or legal specialists. Use only a documented, high-control deployment. |
| Secrets | Passwords, API keys, authentication codes, private keys, recovery codes | Never enter them. Replace with placeholders and rotate immediately if exposed. |
Apply the minimum-necessary rule
Ask what fields are essential to answer the question. If a support issue can be explained with an age range, product type, and error message, do not include a customer’s name, full transcript, account number, or exact address. The UK Information Commissioner’s Office (ICO) says AI processing can worsen security risks and requires data minimisation and security measures appropriate to the risk.
Rewrite prompts with placeholders
Replace direct identifiers with tokens such as [customer], [account number], [date], and [company]. Preserve only the facts needed for the reasoning task. Keep a separate, access-controlled mapping between the token and the real identity if a human must later apply the answer.
For example, instead of pasting a complete complaint, write: “Draft a neutral response to a customer whose order arrived 12 days late. The customer is [customer], the order value is [amount], and the remedy allowed by policy is [remedy]. Ask for no additional personal information.” The chatbot can help with structure without receiving the person’s identity or full history.

What not to enter under any circumstances
- Passwords, passphrases, API tokens, session cookies, one-time authentication codes, private encryption keys, recovery codes, or security questions.
- Unredacted customer, patient, student, employee, or applicant records.
- Confidential legal advice, merger information, unreleased financial results, or information covered by a nondisclosure agreement.
- Production database exports, complete support-ticket archives, internal vulnerability details, or access-controlled documents.
- Personal information copied merely for convenience when an anonymized example would work.
Secrets require a different response from ordinary personal data. If a credential has been pasted into a chatbot, assume it is compromised: revoke or rotate it, review access logs, preserve relevant evidence, and notify the responsible security contact. Do not rely on deleting the chat as proof that the secret disappeared from every system or backup.
Understand storage, training, access, and deletion separately
Before approving a chatbot, obtain clear answers to four different questions:
- Transmission: What content leaves the device or network, and is it sent to subprocessors?
- Retention: How long are prompts, outputs, uploaded files, telemetry, and backups kept? Are temporary safety or abuse-review copies included?
- Training and improvement: Are inputs or outputs used to train or tune models by default, optionally, or not at all for the selected plan?
- Access and deletion: Which provider personnel, contractors, administrators, or connected applications can view content, and what deletion process applies to active systems and backups?
Do not infer the answer from a product name. Consumer, business, education, and API offerings can have different defaults, controls, regions, and contractual terms. A setting may apply to new conversations but not an existing workspace, uploaded file, or connected service. Record the exact plan, region, effective date, and settings that were reviewed.

Deletion needs a defined scope
Ask whether users can delete individual chats, files, and workspaces; how quickly deletion propagates; whether backups have a separate schedule; and whether legal holds or security investigations can delay removal. A retention period should be tied to a documented purpose rather than an indefinite default.
Compare chatbot providers with a consistent control matrix
Use the same questions for every candidate. The following matrix is suitable for procurement, security review, or a small team evaluating an assistant.
| Control area | Questions to document | Why it matters |
|---|---|---|
| Model training | Are prompts and outputs excluded by default? Is the rule different by plan, endpoint, or region? Can an administrator enforce it? | Determines whether submitted content may influence a shared model. |
| Retention and deletion | What are the active-log, file, backup, and abuse-review periods? Can an administrator delete content and obtain confirmation? | Limits the time in which a disclosure remains available. |
| Identity and administration | Are MFA, SSO, role-based permissions, provisioning, offboarding, and audit logs supported? | Prevents former staff or unauthorized users from reaching conversations. |
| Encryption | Is data encrypted in transit and at rest? How are keys managed, and are exceptional access paths documented? | Reduces interception and storage exposure but does not replace access controls. |
| Residency and subprocessors | Where are prompts processed and stored? Which subprocessors are involved, and how are changes announced? | May determine legal transfer, sector, and contractual obligations. |
| Connected data | What files, drives, mailboxes, plugins, or APIs can the assistant reach? Can access be limited by folder, role, or action? | Integrations can turn a narrow chat into broad data access. |
| Contract and incident duties | What privacy commitments, breach notices, deletion promises, audit rights, and liability terms are written into the agreement? | Provides enforceable expectations when a technical control fails. |
| Governance support | Can the provider supply information for a DPIA, data-processing record, legal review, and sector-specific requirements? | Helps demonstrate accountability for personal-data processing. |
For business use, prefer a plan or API with written retention, access, encryption, audit, and administrative controls when the use case requires them. Verify the exact edition and region rather than relying on a sales page or a feature listed for a different service tier. One provider states that it does not train its models on an organization’s data by default for its business offerings; that statement still needs to be matched to the account type, contract, retention settings, and connected tools your organization will actually use.

Use strong identity controls
- Require multi-factor authentication for every user, especially administrators.
- Use single sign-on and centralized provisioning where available so access ends when employment or a project ends.
- Give users the least privilege needed. Separate ordinary users, workspace owners, billing administrators, and integration administrators.
- Review membership and active sessions on a schedule and after role changes.
Limit connected data
Start with no integrations. Add one approved source only when it provides a defined benefit. Restrict the folders, repositories, or records exposed; use read-only permissions where possible; and prohibit an assistant from sending messages, changing records, or executing code without a human confirmation step. Recheck permissions when a connector, plugin, or model version changes.

Protect the endpoint
A secure provider cannot prevent disclosure if a browser extension, malware, shared computer, or copied transcript exposes the conversation. Use managed devices, screen-locking, approved browsers, and controls that prevent sensitive text from being copied into unapproved services. Treat downloaded chatbot transcripts as business records with the same classification as the source material.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Set a safe workflow for everyday use
- Define the task. Write the outcome you need and list the minimum facts required.
- Classify the inputs. Mark each item public, internal, confidential, personal, sensitive, regulated, or secret.
- Redact and substitute. Remove direct identifiers and secrets; replace them with consistent placeholders.
- Choose the approved environment. Confirm that the account, plan, endpoint, and region match the organization’s policy.
- Check settings. Verify training use, retention, sharing, administrator access, integrations, and deletion options.
- Submit the smallest prompt. Do not append an entire document when a paragraph or structured summary is sufficient.
- Review the output without re-exposing data. Check for invented facts, confidential leakage, biased or discriminatory language, and instructions that could cause harm.
- Store the result appropriately. Remove temporary chats and files according to policy, or retain the approved record with its classification and provenance.
Example: analyzing a support trend
A risky request uploads 5,000 tickets containing names, email addresses, order numbers, free-text medical details, and internal notes. A safer workflow exports only the fields needed for trend analysis, replaces identifiers with random tokens, removes free text that is not relevant, aggregates counts by product and week, and asks the chatbot to suggest categories. A human analyst validates the categories against the original system without sending the original records to the chatbot.
Example: debugging code
Remove API keys, database connection strings, private certificates, customer data, internal hostnames, and proprietary modules. Reproduce the error in a minimal test case with synthetic values. If a dependency or stack trace reveals a confidential architecture, obtain approval before sharing it.

Govern workplace and regulated deployments
The ICO advises involving privacy expertise early, documenting safeguards, and using a data protection impact assessment (DPIA) when processing may create high risk. Its guidance emphasizes that data protection should not be an afterthought and that a risk-based approach means assessing risks to people’s rights and freedoms and implementing proportionate technical and organizational measures.
Best Value
When to escalate
- The chatbot processes health, biometric, children’s, financial, precise-location, employment, or criminal-justice information.
- The system evaluates, ranks, recommends decisions about, or communicates with individuals at scale.
- Large datasets, continuous monitoring, automated actions, or cross-border transfers are involved.
- The provider cannot state retention, subprocessors, access, deletion, or incident obligations clearly.
- The use case conflicts with a confidentiality agreement, professional duty, sector rule, or customer notice.
What a DPIA or equivalent record should cover
- The purpose, lawful basis, affected people, data categories, sources, volume, and retention period.
- The complete data flow from user device to chatbot, model service, integrations, logs, reviewers, and backups.
- Necessity and proportionality: why a chatbot is needed and why less data cannot achieve the purpose.
- Threats such as accidental disclosure, prompt injection, unauthorized retrieval, re-identification, insider access, and provider compromise.
- Controls, responsible owners, residual risk, incident contacts, user training, and a date for reassessment.
Recognize common failure modes and recover safely
| Failure mode | Immediate response | Preventive improvement |
|---|---|---|
| A user pasted a password, key, or token | Revoke or rotate it immediately; inspect logs and notify security. | Use secret-scanning, training, and a hard rule forbidding credentials in prompts. |
| Personal records were uploaded to an unapproved account | Stop further sharing, delete the content where possible, document what was sent, and ask privacy staff whether notification is required. | Block unsanctioned services and require classification before upload. |
| A connector exposes more files than intended | Disable the connector, preserve audit evidence, and review accessed items. | Use least-privilege scopes, read-only access, and periodic permission reviews. |
| A provider changes retention or training defaults | Pause affected use cases and compare the new terms with the approved record. | Subscribe to change notices and schedule a recurring vendor review. |
| A chatbot output contains confidential text | Do not forward it; restrict the transcript and investigate the source context and account access. | Use sanitized prompts, output review, and controls that limit retrieval sources. |
Monitor because the risk changes
NIST notes that adopting AI changes cybersecurity and privacy risk-management needs. The ICO likewise recognizes that guidance and technical practice evolve. A one-time approval is therefore insufficient. Recheck provider terms, defaults, retention schedules, subprocessors, model and connector changes, and account memberships at a defined interval and whenever the service announces a material change.
Track approved use cases, permitted data categories, selected plan and region, training and retention decisions, DPIA status, responsible owner, incident contact, and next review date. Sample prompts and audit logs only when the policy and legal basis permit it, and remove content that is not needed for the review. Training should teach staff how to classify, redact, recognize prompt-injection attempts, verify outputs, and report accidental disclosure without delay.
A practical approval decision
Approve a use case only when all of these statements are true:
Free tools Windows power users keep installed
One-click scans. No signup required.
- The purpose is specific and the minimum data needed is defined.
- No secret or unnecessary personal, confidential, or regulated information enters the prompt.
- The selected account and region have documented training, retention, deletion, access, encryption, residency, and subprocessor terms appropriate to the risk.
- MFA, least privilege, integration limits, logging, and offboarding are operating.
- Users know how to review outputs and report incidents.
- Privacy, security, legal, or a data protection officer has reviewed high-risk or large-scale processing and completed a DPIA or equivalent assessment where required.
- An owner will revisit the decision when controls, defaults, models, or guidance change.
If any answer is no, reduce the data, choose a more controlled deployment, or do not use a chatbot for that task. Convenience is not a justification for transferring information that the organization could not safely disclose to an unknown third party.
