Hotmail is now Outlook.com, so recovering an old Hotmail message starts at Outlook.com. Check Deleted Items, Junk Email, Archive, and your custom folders first. If the message was deleted from Deleted Items, use Recover items deleted from this folder in Outlook.com or new Outlook. Classic Outlook desktop uses Recover Deleted Items From Server when the account supports it. Microsoft limits normal Deleted Items recovery to 30 days, and Junk Email that has been automatically removed is not recoverable through the standard process.
What “Hotmail” recovery means today
Microsoft retired the Hotmail brand years ago, but many addresses ending in @hotmail.com still work as Microsoft accounts. Their mail is managed through Outlook.com and, for some users, Outlook applications. The recovery method depends on where the message is now, which Outlook interface you are using, and whether the mailbox is a consumer Outlook.com account or a work or school Exchange account.

An old message can appear to be missing even when it was not permanently deleted. It may have been moved to Archive, another folder, or Junk Email. A message deleted normally usually goes to Deleted Items. A message deleted with Shift+Delete bypasses Deleted Items and goes directly to the mailbox’s Recoverable Items area.
Choose the right recovery path
| What happened | Where to look | What to use | Important limit |
|---|---|---|---|
| The message was moved or is still present | Inbox, Archive, custom folders, Deleted Items, or Junk Email | Search, then move or restore it | It may not have been deleted at all |
| It was deleted normally and remains visible | Deleted Items | Select it and choose Restore or Move | Deleted Items can be emptied automatically or manually |
| It was removed from Deleted Items | Recoverable Items | Recover items deleted from this folder | Outlook.com messages removed from Deleted Items are recoverable for 30 days |
| Shift+Delete was used | Recoverable Items | Use the recovery command in Outlook.com or classic Outlook | Shift+Delete skips Deleted Items; retention rules can still remove the item |
| It was in Junk Email | Junk Email first | Restore or move it while present | Junk Email is automatically removed after 30 days and is not recoverable through the normal workflow |
| The mailbox was unused for a long time | Account status, not a folder | Sign in and verify the account still exists | Microsoft says an Outlook.com mailbox not signed into for one year may be closed and all email deleted |
Step 1: Check every ordinary folder
Sign in to the correct account
- Open Outlook.com in a browser and sign in with the Microsoft account that owns the Hotmail address.
- Confirm the address shown in the account menu. If you have several Microsoft accounts, signing into a different address will show a different mailbox.
- In the folder list, open Deleted Items and Junk Email. Also inspect Archive, Inbox, Sent Items, and any folders you created.
Microsoft identifies Deleted Items and Junk Email as the first places to check for missing mail. In Deleted Items, select the message and choose Restore, or move it to Inbox or another folder. In Junk Email, use the command to mark it as not junk or move it to the destination folder offered by Outlook.

Search beyond the current folder
Use Outlook’s search box with a distinctive sender address, subject phrase, recipient, or date range. Set the search scope to all mail rather than the current folder when that option is available. Try several terms: an old message may have a changed subject, an unfamiliar sender display name, or a date that differs from your memory because of time-zone conversion.
If search finds the message, open it to verify the contents before moving it. A result in Archive or a custom folder is a move operation, not a recovery operation; place it back in Inbox or leave it where you can find it.
Step 2: Recover messages no longer visible in Deleted Items
Outlook.com and new Outlook
- Open Deleted Items from the folder list.
- At the top of the message list, choose Recover items deleted from this folder. In a narrow browser window, you may need to open the folder’s toolbar or more-options menu to see the command.
- Review the recoverable list. Select one message or several messages.
- Choose Restore and wait for Outlook to process the selection.
- Search Inbox and Deleted Items for the restored subject or sender.
Outlook attempts to return a recovered message to its original folder. If that folder no longer exists, Microsoft says the message is placed in Inbox. Rules, conversation view, and sorting can make the result look as though it is still missing, so search by subject or sender after the restore completes.

What the recovery list represents
The recoverable list is a temporary holding area maintained by the mail service, not a complete archive of every message ever associated with the account. Items can disappear because the retention period ended, an administrator’s policy removed them, or the mailbox itself was closed. The absence of a message from this list is therefore evidence that the service no longer offers it through this recovery path; it is not a reason to keep repeating the same command.
Step 3: Use classic Outlook desktop when applicable
Classic Outlook has a different label for the server recovery command. This option generally appears only for accounts that support server-side deleted-item recovery, such as many Exchange-based mailboxes.
- Open classic Outlook and display the folder list.
- Select Deleted Items.
- On the folder or Home ribbon, choose Recover Deleted Items From Server.
- Select the required messages in the window that opens.
- Choose Restore Selected Items, then confirm.
- Return to the mailbox and search Inbox and Deleted Items for the restored messages.
If the command is missing, the account may not support that server feature, you may be using new Outlook rather than classic Outlook, or the selected folder may not be Deleted Items. Switch to Outlook.com and use Recover items deleted from this folder instead. Do not confuse this command with restoring an Outlook data file from a computer backup; it works against the mail server.

How deletion method changes recovery
Normal Delete
Pressing Delete or choosing Delete normally moves the message to Deleted Items. While it remains there, select it and restore or move it. If Deleted Items is emptied, the message may still be available through Recoverable Items during the service’s retention window.

Shift+Delete
Microsoft Learn documents that Shift+Delete bypasses Deleted Items and places the message directly in Recoverable Items. In Outlook.com, open Deleted Items and use the recovery command even though the message never appeared in that folder. In classic Outlook, use Recover Deleted Items From Server if the account provides it.
Junk Email cleanup
Junk Email has a separate cleanup policy. Microsoft states that Junk Email messages are automatically removed after 30 days and are not recoverable through the normal workflow. If an expected message is in Junk Email, restore it before that automatic removal occurs; once it has been purged, the Deleted Items recovery command is not a way to bring it back.

Recovery limits you cannot bypass
The 30-day Deleted Items window
Microsoft Support states: “Messages removed from the Deleted Items folder are recoverable for 30 days.” The period applies to Outlook.com messages after they leave Deleted Items, whether you emptied the folder or Outlook removed the item according to its cleanup behavior. It is not a promise that every message remains available for exactly 30 calendar days in every mailbox configuration, so start recovery as soon as you notice the loss.
Retention policies and service-side removal
Work and school Exchange mailboxes can have retention, litigation-hold, or purge policies controlled by an administrator. Those policies can differ from consumer Outlook.com behavior. If an item is not in Recoverable Items, only an administrator may be able to determine whether a policy removed it; an ordinary account user cannot extend a completed retention period with a desktop setting.
Mailbox inactivity
Microsoft warns that if you have not signed in to an Outlook.com mailbox at least once during a one-year period, Microsoft may close the mailbox and delete all email. If you cannot sign in, first complete Microsoft’s account sign-in or security-recovery process. If the mailbox was closed under the inactivity rule, folder-level recovery commands cannot recreate its contents.

Consumer Outlook.com versus work or school Exchange
| Question | Personal Outlook.com or Hotmail account | Work or school Exchange account |
|---|---|---|
| Primary web interface | Outlook.com | Your organization’s Outlook on the web portal |
| Web recovery label | Recover items deleted from this folder | Usually the same concept, but labels and availability depend on the organization |
| Desktop recovery label | May be unavailable for some account types | Recover Deleted Items From Server is commonly available when enabled by Exchange |
| Retention control | Microsoft service rules, including the documented 30-day post-Deleted-Items window | Organization policies and administrator settings can change retention behavior |
| Who to contact when absent | Microsoft account and Outlook support channels | Your organization’s Microsoft 365 or Exchange administrator |
Do not apply a company mailbox’s retention behavior to a personal Hotmail address, or assume that a personal account has the same administrator recovery options as an Exchange mailbox.
Troubleshoot when the recovery command or message is missing
The command does not appear
- Make sure you opened Deleted Items, not Archive, Junk Email, or a custom folder.
- Try Outlook.com in a current desktop browser if you are using a mobile app or a compact browser view.
- Confirm whether you are in new Outlook or classic Outlook. The commands have different names.
- For a work or school account, ask the administrator whether server-side recovery is enabled.
The message is not listed
- Search all folders, including Archive, Sent Items, and custom folders, using more than one sender or subject term.
- Check that you signed into the exact Hotmail address that received the message.
- Consider whether it was deleted more than 30 days ago after leaving Deleted Items, or automatically purged from Junk Email after 30 days.
- Consider Shift+Delete, a retention policy, mailbox closure, or an account compromise that moved or deleted messages.
The message was restored but seems absent
Outlook restores an item to its original folder when possible and to Inbox when that folder no longer exists. Open Inbox, Deleted Items, and any folder named in the message’s details. Sort by date, search by sender, and check whether conversation view groups it under a newer or older message. If a rule immediately moves incoming or restored mail, temporarily review your rules before restoring another copy.
After recovery: protect old mail from another loss
- Move important messages from Deleted Items or Junk Email into a clearly named folder.
- Review mailbox rules and blocked-sender settings if legitimate mail repeatedly lands in Junk Email.
- Sign in to the Outlook.com mailbox regularly; Microsoft’s inactivity condition is measured from sign-in activity.
- For work or school mail, ask the administrator how long deleted items are retained and whether an organization archive is available.
- Keep important attachments in a separate, approved backup location rather than relying on Deleted Items as storage.
These steps reduce the chance of accidental loss, but they do not lengthen Microsoft’s server retention window or recover a mailbox that has already been closed.

Outbyte PC Repair is an optional Windows utility that can address some common system issues, clean temporary and cache files, and provide troubleshooting features, but it does not replace Outlook.com’s recovery controls or guarantee that a deleted message can be restored. It runs on Windows 11, 10, 8 and 7, offers a free trial by category for at least two days, and then requires a subscription; results vary and it complements, rather than replaces, antivirus protection.
The practical answer
Start at Outlook.com, verify the account, and check Deleted Items, Junk Email, Archive, and custom folders. If the message is gone from Deleted Items, run Recover items deleted from this folder; in classic Outlook, use Recover Deleted Items From Server when available. Recovery is time-limited, Junk Email has its own 30-day purge rule, Shift+Delete goes directly to Recoverable Items, and a mailbox left unused for a year may have been closed with all mail deleted. When the message is absent from the recovery list, no built-in command can promise its return.
