How to Recover Files After a Cloud Sync App Deletes or Overwrites Them

Stop the sync first if files are still being deleted, encrypted, or replaced. Disconnect the affected device or pause/sign out of its sync client, then use the cloud service’s web interface—not the desktop folder—to check its recycle bin, trash, recently deleted area, and version history. Recover a clean copy, verify it, and only then resume syncing. Retention windows are limited: Microsoft states 30 days for personal OneDrive deleted items, 93 days for work or school accounts unless an administrator changes the setting, and Apple states 30 days for eligible iCloud recovery.

Why stopping sync is the first recovery step

A sync app mirrors changes. If a file was deleted, overwritten, corrupted, or encrypted by ransomware, the app can propagate that change to every connected device before you have time to investigate. Recovery is therefore a containment problem before it is a file-management problem.

  • Disconnect the affected computer from the network, or pause its sync client.
  • If the service offers no pause control, sign out of the sync account on that device.
  • Do not open, edit, rename, move, or delete cloud files while a recovery operation is running.
  • Keep an unaffected device offline until you know which copy is trustworthy.

Google specifically recommends signing out of the Google Account on Drive for desktop when encrypted files may be syncing. Apple warns not to change iCloud Drive data during recovery because edits or deletions can interrupt the process. If ransomware or an active script is involved, disconnect the device entirely and investigate the malware before reconnecting it.

Identify the failure before restoring anything

Deletion

The item no longer appears in its normal folder, but a recycle bin, trash, or recently deleted area may still contain it. A cloud-only file may not appear in the computer’s local Recycle Bin or Trash, so check the provider’s website.

Overwrite or corruption

The filename remains, but its contents are wrong, truncated, or unreadable. Version history is usually the appropriate tool. Look for a version created before the unwanted change rather than restoring the current copy.

Encryption or ransomware

Many files may have new extensions, unreadable contents, or synchronized encrypted versions. Treat this as an active incident: contain the endpoint, preserve an unaffected copy, and use older versions or a service-wide rollback only after the sync process is stopped.

Permission or account change

A shared file can disappear because its owner moved it, revoked access, or changed the sharing link. Confirm that you are signed in to the exact account and that the item was not shared from another account. Work and school accounts may have administrator-controlled retention and restore permissions.

The recovery procedure that works across services

  1. Contain ongoing changes. Disconnect the affected device or pause/sign out of the sync client. Leave the cloud data untouched while you assess it.
  2. Identify the service and account. Note whether the account is personal, work, or school; whether the item is owned by you or shared; and approximately when the change occurred.
  3. Open the provider’s web interface. Use a browser and the service’s recovery surfaces. Desktop folders can hide online-only items and may already reflect the bad change.
  4. Search the recycle bin, trash, or recently deleted area. Sort by deletion date and check the original path, filename, and owner before restoring.
  5. Use version history for an existing but damaged file. Select a version from before the overwrite, corruption, or encryption. For many damaged files, use the provider’s bulk-restore feature if one is available.
  6. Restore to a safe location when possible. A separate folder or local disk lets you compare the restored copy with an unaffected copy before it is synchronized back over other files.
  7. Verify the result. Open documents, inspect image previews, check file sizes and dates, and test a sample of restored files. Do not assume a successful restore message means every file is intact.
  8. Resume syncing only after containment is complete. Remove the malware or correct the process that caused the change, then reconnect one device and watch for unexpected changes.

Recover deleted or overwritten files in each major service

OneDrive

Open OneDrive on the web and select its Recycle Bin. Microsoft says personal-account users can restore files or folders deleted within the last 30 days. For work or school accounts, the stated Recycle Bin period is 93 days unless an administrator has changed the setting. The figures are Microsoft’s published support values; the support page does not display a publication year.

  • The available storage capacity may vary.

Cloud-deleted files, including online-only items, may not appear in the computer’s local Recycle Bin or Trash. If the item is absent locally, that does not prove it is gone; check the online Recycle Bin and the correct account.

For an existing file that was overwritten, open its version history and restore a version dated before the unwanted change. Eligible Microsoft 365 subscribers may also see an option to restore the entire OneDrive to a point within the last 30 days. A whole-OneDrive rollback can affect many folders and files, so record the incident time and review the proposed rollback point before confirming it.

Permanent deletion is a hard boundary for this recovery path. Microsoft’s support wording is explicit: “You can’t restore files or folders after they’ve been permanently deleted from the OneDrive recycle bin.” If an item has aged out or was removed permanently, move to local copies and separate backups rather than repeatedly searching the same bin.

iCloud Drive

Sign in to iCloud.com and use the recovery area for iCloud Drive and other eligible apps. Apple says files deleted within the last 30 days may be recoverable. Items that were permanently removed cannot be restored through that tool.

  • The available storage capacity may vary.

Do not make changes to iCloud Drive data during recovery. Editing, moving, or deleting files while Apple’s recovery process is operating can interfere with the result. Keep other devices from making automatic changes until the restored files have been checked.

Dropbox

Dropbox recovery depends on what happened, how long ago it happened, the account’s plan, and your permissions. Open the deleted-file or version-history controls from the Dropbox web interface and check the account’s current history window rather than relying on a universal number.

For an overwritten file, choose a version from before the change. For a deletion, use the deleted-files area if the item is still within the account’s permitted history. Dropbox says Support cannot recover files that were permanently deleted or files deleted outside the account’s available version history. Shared files can also be limited by the owner’s permissions and plan.

Google Drive

In Drive on the web, check Trash for deleted items and use Google’s “Find lost files” help path when the normal folder search fails. For an existing file that was replaced or encrypted, inspect its older versions and select one from before the incident.

Google documents bulk restoration for multiple files and describes older versions as a way to recover from encryption or undo broad changes. If encrypted files may still be syncing, sign out of the Google Account on Drive for desktop first. Restore procedures and eligibility can depend on the file type and account, so follow the recovery choices shown for the affected item.

Recovery windows and limits at a glance

Service Deleted-item recovery Overwrite or corruption recovery Important limits
OneDrive personal Microsoft states 30 days in the Recycle Bin. File version history; eligible Microsoft 365 subscribers may roll back the entire OneDrive to a point within the last 30 days. Online-only files may not appear in the computer’s local bin. Permanently deleted Recycle Bin items cannot be restored by that route.
OneDrive work or school Microsoft states 93 days unless an administrator changed the setting. Version history and, where available, broader restore controls. Administrator policies, ownership, and permissions affect what an individual user can recover.
iCloud Drive Apple states that eligible files deleted within the last 30 days can be recovered on iCloud.com. Use the available recovery/version controls for the affected item. Permanently removed items are excluded. Apple advises making no iCloud Drive changes during recovery.
Dropbox Depends on the account plan, permissions, and how long ago the deletion occurred; no single window applies to every account. Use version history within the account’s available history window. Support says it cannot recover permanently deleted files or files outside the available history.
Google Drive Use Trash and the “Find lost files” path; the applicable period and eligibility depend on the account and item. Older versions and documented bulk-restore tools can undo encryption or broad changes. Sign out of Drive for desktop to stop encrypted files from continuing to sync. Exact restore options vary.

When the cloud history does not contain the file

Once a file is outside a provider’s retention window or has been permanently deleted, the web recovery tool may have nothing left to return. Check every independent copy before concluding that the data is unrecoverable.

  • Other computers and phones: Keep potentially good devices offline, search their local folders, and copy a candidate file to a new location without allowing the sync client to run.
  • Local Recycle Bin or Trash: This is relevant when the file was deleted locally before synchronization, but it is not a substitute for the provider’s online bin.
  • External drives and network storage: Look for a copy made before the incident. Mount a backup read-only when practical and copy restored data to a separate working folder.
  • Application-specific recovery: Some editors keep autosave or temporary versions. Use the application’s own recovery command only after preserving the current files.
  • Administrator or owner help: For work, school, or shared data, ask the administrator or owner to check their recovery controls, audit history, and retention policy.

A backup can restore a prior copy only if that copy was created before the loss. No backup service or support team can reconstruct data that was never saved anywhere. Microsoft 365 Backup documentation describes restoration after accidental deletion, ransomware, or another event, including file and folder restoration for OneDrive and SharePoint; availability and configuration still determine what your organization can restore.

Common situations and the safest response

Everything changed at once

Disconnect the device immediately, then identify whether the changes are encrypted, renamed, or merely moved. Do not let another computer “fix” the folders by syncing the same state. After containment, use version history or a documented service-wide rollback and verify a sample of files before reconnecting anything.

Only one file was replaced

Do not delete the current file in an attempt to reveal an older copy. Open its version history from the web interface, choose a pre-change version, and save or restore it. Preserve the current damaged version separately if it may contain new edits that are not present in the older copy.

The file is visible online but not on the computer

Check whether the item is online-only, whether selective-sync settings exclude its folder, and whether the desktop client is signed in to another account. Download a known-good copy from the web interface before changing synchronization settings.

The file is missing from both the folder and the recycle bin

Confirm the account, owner, and approximate deletion date. Search other devices and backups, then ask a work or school administrator to check policy-controlled recovery. Do not assume support can restore an expired or permanently deleted item: Microsoft and Apple exclude permanent deletions, and Dropbox excludes files outside its available history.

Restored files become damaged again

Stop syncing and inspect every connected device for ransomware, a faulty automation, or an application that is writing bad files. Restore to an offline or separate location, remove the cause, and reconnect a single clean device while monitoring changes.

How to prevent the next sync disaster

  • Keep a separate backup: Maintain a copy that is not continuously synchronized with the working folder. An external hard drive or other separate storage can serve this role, but it protects you only when it contains a prior copy.
  • Use more than one recovery layer: Cloud version history is convenient, while an independent backup protects against expired history, account errors, and broad ransomware changes.
  • Check retention and permissions: Record the actual policy for each personal, work, school, or shared account. Administrator settings and plan changes can alter the available window.
  • Test restoration: Periodically restore a small sample to a separate folder and open the files. A backup that has never been tested is an assumption, not a recovery plan.
  • Protect backup copies from sync: Do not place the only backup inside the same folder watched by the sync client. Keep at least one copy disconnected or otherwise protected from automatic deletion and encryption.

What you should realistically expect

Recent deletions are often recoverable through a web recycle bin, while overwritten or encrypted files usually require version history or a rollback. The odds fall sharply after a retention window expires, an item is permanently deleted, or every connected copy receives the same bad change. The decisive actions are to stop propagation, avoid modifying cloud contents during recovery, use the service-specific web tools, and preserve an independent copy for the future.
